Latest / Sidekick's What Just Shipped / HubSpot team email signatures: one brand from every shared inbox | Shipped Apr 2026
Transcript
- 0:00Rob (AI host): You send a deal email from your shared sales address, and it goes out with one rep's personal signature, headshot and all.
- 0:07Dana (AI host): HubSpot has been fixing that, in two rounds this year.
- 0:10Dana (AI host): And the help pages don't fully agree on how far the fix goes.
- 0:14Rob (AI host): This is Sidekick's What Just Shipped. Let's get into it.
- 0:19Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies.
- 0:23Narrator (AI voice): Your hosts, Rob and Dana, are AI.
- 0:25Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you.
- 0:34Dana (AI host): Hi, I'm Dana. One honest note before we start.
- 0:37Dana (AI host): Rob and I are AI hosts, so neither of us has an email signature.
- 0:42Dana (AI host): Or a headshot.
- 0:42Rob (AI host): I'm Rob.
- 0:43Rob (AI host): No signature either, but I've read about plenty of reps who pasted theirs into everything for years.
- 0:49Rob (AI host): We're here for them.
- 0:50Dana (AI host): Noted. Round one.
- 0:51Dana (AI host): Our research says that in April 2026, as a public beta, HubSpot changed the email composer on contact, company, deal, and ticket records.
- 1:00Rob (AI host): Changed it how?
- 1:01Dana (AI host): Pick a team email address in the From field, and the signature swaps to the team signature an admin set up.
- 1:07Dana (AI host): Switch back to your own address, and your personal default signature comes back.
- 1:11Rob (AI host): So the From address decides the signature.
- 1:13Dana (AI host): That's how our April write-up framed it.
- 1:15Dana (AI host): And it said Inbox and Help Desk already worked this way.
- 1:18Dana (AI host): The gap was on record pages.
- 1:20Rob (AI host): Which plans?
- 1:21Dana (AI host): All hubs and tiers, per that same April write-up.
- 1:24Rob (AI host): Okay. Round two?
- 1:26Dana (AI host): In July, our research covered a bigger update. Three pieces.
- 1:29Dana (AI host): A team signature icon in the composer, in CRM, Inbox, and Help Desk.
- 1:34Dana (AI host): Hover over it to preview what's going out.
- 1:36Rob (AI host): Finally. Picture a rep who never knew what was attached.
- 1:40Dana (AI host): Second, personalization tokens, so one team signature can pull in each sender's own details.
- 1:45Dana (AI host): Third, a toggle, so reps can switch between their personal signature and the team one.
- 1:50Rob (AI host): Wait. If reps can switch, doesn't that undo the whole point?
- 1:54Dana (AI host): According to our July write-up, admins still control the team template itself.
- 1:58Dana (AI host): Reps can choose which one to use, but they can't edit the team version.
- 2:02Rob (AI host): Okay. Where does an admin build the team signature?
- 2:05Dana (AI host): HubSpot's help pages put it on the team email channel.
- 2:08Dana (AI host): When you connect a team email to the inbox, or edit it, you'll see Add team signature.
- 2:13Dana (AI host): You can use the simple editor or HTML.
- 2:16Rob (AI host): Same for help desk?
- 2:17Dana (AI host): Same idea.
- 2:18Dana (AI host): A help desk team email channel has its own Add team signature step, and that one applies to emails sent from help desk.
- 2:24Rob (AI host): Can you see it before it goes live?
- 2:26Dana (AI host): Yes.
- 2:26Dana (AI host): On the right side of that screen, HubSpot previews how the from name, from email, and signature will look in the contact's inbox.
- 2:33Rob (AI host): And the from name?
- 2:34Dana (AI host): Only editable for HubSpot hosted email accounts.
- 2:37Dana (AI host): For Gmail or Office 365, your email provider manages the from name.
- 2:41Rob (AI host): Good to know. And the tokens?
- 2:43Dana (AI host): HubSpot's Insert Token menu offers the sender's full name, first name, or last name.
- 2:48Rob (AI host): That's it?
- 2:49Dana (AI host): That's the base set.
- 2:50Dana (AI host): HubSpot also mentions a beta called More personalization options for team email signatures.
- 2:55Dana (AI host): If you've opted in, you also get the sender's email address, job title, and phone number.
- 3:00Rob (AI host): So it pulls from each rep's profile. Picture a rep who never filled theirs in.
- 3:04Dana (AI host): Then their signature will have gaps. Our research says incomplete profiles mean incomplete signatures.
- 3:13George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies.
- 3:16George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission.
- 3:20George B. Thomas (AI voice clone): Signatures are a small setting that touches every email your team sends.
- 3:25George B. Thomas (AI voice clone): Knowing where those settings live is how a team owns its portal.
- 3:31George B. Thomas (AI voice clone): At Sidekick Strategies, we build capability, not dependency, so your team owns the portal.
- 3:37George B. Thomas (AI voice clone): Every engagement starts with a free strategy call. No pitch, just a plan.
- 3:42George B. Thomas (AI voice clone): Book yours at Sidekick Strategies dot com.
- 3:48Rob (AI host): Okay, Dana. Who actually sees the team signature?
- 3:51Dana (AI host): HubSpot says when a team signature is set on an inbox or help desk channel, it applies to users with access to that inbox or channel.
- 4:00Dana (AI host): It's used by default instead of their personal signature when they send or reply from that address.
- 4:05Rob (AI host): And people without access?
- 4:07Dana (AI host): HubSpot says they may not see the same signature behavior.
- 4:10Dana (AI host): So their advice is to skip individual details, unless they should appear on every email from that address.
- 4:16Rob (AI host): That's a useful warning. What about a rep's personal signature?
- 4:19Dana (AI host): You set that in Settings, under General, on the Email tab, with Manage email signatures.
- 4:25Rob (AI host): And if a rep never picks one?
- 4:27Dana (AI host): The global default is used when no other signature is specified.
- 4:30Rob (AI host): Can a rep have more than one?
- 4:32Dana (AI host): With Sales Hub Professional or Enterprise and an assigned Sales Seat, yes.
- 4:36Dana (AI host): You can create several and set a different default for each connected email account.
- 4:41Rob (AI host): And fonts?
- 4:42Dana (AI host): HubSpot warns that many fonts aren't supported across email clients, and heavy HTML styling may not render.
- 4:48Dana (AI host): Keep it simple.
- 4:49Rob (AI host): Got it. So, what's still fuzzy?
- 4:52Dana (AI host): Three things. First, record pages.
- 4:55Dana (AI host): Our April research says team signatures now auto-apply in the record composer.
- 4:59Dana (AI host): But HubSpot's inbox help pages still say the team signature applies to emails sent from the inbox, and point you elsewhere for record emails.
- 5:08Rob (AI host): So test it on a record before you trust it.
- 5:10Dana (AI host): Right. And our April research adds a catch.
- 5:13Dana (AI host): If a team address has no team signature set, there's nothing to swap in.
- 5:17Dana (AI host): Second, tokens. Our July research lists profile picture and meeting link.
- 5:22Dana (AI host): HubSpot's page lists email address, job title, and phone number.
- 5:26Dana (AI host): We couldn't confirm profile picture or meeting link.
- 5:29Rob (AI host): And third?
- 5:30Dana (AI host): Access. Our July research says everyone has it with no feature flag.
- 5:34Dana (AI host): HubSpot's page talks about opting into a beta.
- 5:37Dana (AI host): Check your beta settings if the extra tokens aren't there.
- 5:40Rob (AI host): Okay. Monday?
- 5:41Dana (AI host): List every team email address you send from.
- 5:44Dana (AI host): Make sure each one has a team signature on its channel.
- 5:47Rob (AI host): Then the test.
- 5:48Dana (AI host): Send from a record and from the inbox, using the same team address, and see which signature goes out each time.
- 5:54Rob (AI host): And the rep profiles.
- 5:55Dana (AI host): Fill in your job title and phone number. Every rep, before the tokens go live.
- 5:59Rob (AI host): Fine. So the reps can finally stop pasting.
- 6:03Dana (AI host): That's team email signatures in HubSpot, across records, Inbox, and Help Desk.
- 6:08Rob (AI host): All of our sources are on the HubSpot Updates page at Sidekick Strategies dot com.
- 6:13Dana (AI host): This has been Sidekick's What Just Shipped.
