- 1:22your number one source for truth in mortgage marketing.
- 1:27Hey listeners, it's Jeff, it's him for welcome to this week's episode of Mortgage
- 1:40Marketing Radio.
- 1:41It's been a bit of a delay in being with you and getting back to the podcast and that's
- 1:48because we've got some really cool developments coming your way very soon.
- 1:52I'll give you a little hint, a little sneak, a reveal and it has to do with video.
- 1:58That's right.
- 1:59Getting back to the video.
- 2:00So stay tuned for that.
- 2:01I'm going to be launching actually a weekly series called Mortgage Marketing TV and
- 2:07you'll be seeing more and hearing more about that coming very soon.
- 2:10I've figured it makes sense to expand and use the platform as a video as well as this
- 2:16platform of audio.
- 2:19So we'll be doing some interesting things on Facebook, Facebook live, tying in some YouTube
- 2:24there as well and involving users, special guests, viewers, your input, your feedback is
- 2:31always welcome and appreciate it.
- 2:32That's what drives everything here.
- 2:33So today it's just you and I, no special guest, special guest coming up on the next episode.
- 2:38I'll get details about that very soon, but today I just wanted to take a couple of minutes
- 2:42and talk about a topic that's been coming up quite frequently on my coaching calls with
- 2:46loan officers across the country and that is this concept of time blocking, time blocking.
- 2:54Perhaps just the very thought of it sends you into a corner, cowering in no, please don't
- 3:02make me time block by calendar or don't make me block out that time and focus.
- 3:06Well, I'm here to tell you that the things I hear most often from loan officers is how
- 3:11do I get more done in a day?
- 3:13How do I be productive?
- 3:14How do I get off the rollercoaster ride of I generate some loans and some business and
- 3:18then I stop marketing and stop getting out in the field and stop promoting and getting
- 3:22in front of referral partners and doing those key things because I'm busy focused on
- 3:27the loans and process and I'm busy dealing with all those issues and I can never seem to
- 3:30get back to the things I need to do and there are things we definitely need to do in our
- 3:35business, particularly sales and prospecting, depending on where you're at in your business,
- 3:40sales and prospecting is a daily at best discipline that should be done and practiced and perfected
- 3:47every single day.
- 3:49But what I hear is most don't do it on a consistent basis.
- 3:53What's the reason, distractions, interruptions, take it off the grid, off course, the time
- 3:59stealers, if you will.
- 4:02I'd like to present to you an ongoing series, a dialogue, a communication between us.
- 4:08Because time blocking is such an extensive and involved topic, it can't be handled in
- 4:14just one quick podcast episode.
- 4:15I want to set the stage up for if you want to learn more about time blocking and setting
- 4:20priorities and adding structure to your daily routine so you can get the things done you
- 4:25need to get done.
- 4:26If that's relevant and important to you, then let me know.
- 4:29Leave a comment in the show notes, leave a rating on iTunes, let us know if you like it,
- 4:34send me an email, info at mortgagemarketinginstitute.com, always look forward to hearing from you, but
- 4:40let's talk a little bit about time blocking and why it's so important and so relevant.
- 4:44I want to give you some tips and first of all kind of set the stage for time blocking
- 4:47because you have to have this concept of time blocking and it starts with an example
- 4:52I heard from someone else.
- 4:53And by the way, if you're looking for a great book that will help you focus, it's called
- 4:57The One Thing by Gary Keller.
- 5:00So some of the things I'll be talking about will be excerpts from that, different trainings
- 5:03and resources they've got, but I'm going to break it down for you and customize it for
- 5:07us as mortgage loan officers here in the business.
- 5:10But I want you to think about this, okay?
- 5:12And this will help deal with the issue of why you get distracted when you're trying to
- 5:17schedule the time for what you claim to be the important must-doze in your business,
- 5:23or at least they should be, must-doze.
- 5:26And that is this.
- 5:27If you had an appointment with somebody that, let's just say you're ideal client, let's
- 5:33see you had an appointment with a top realtor that you've been working for months or years
- 5:36to get in front of.
- 5:37Let's say you had an appointment with somebody, a financial planner, who you knew was going
- 5:41to whether it's this financial planner or realtor, but they were going to literally have
- 5:45a major impact in your business because of the relationship, because of the referrals
- 5:48that you'd be getting.
- 5:50Picture yourself having a meeting scheduled with that person, or picture yourself having
- 5:53a meeting scheduled with your wife for an anniversary dinner.
- 5:57Or imagine you've been waiting a year for this very special event that you got tickets
- 6:03to a year ago.
- 6:04You paid a lot of money for them.
- 6:06You've been waiting for this.
- 6:07It's one of the most favorite events and experiences, whether it's a concert, a play,
- 6:10a show, whatever it is.
- 6:13And yeah, you've got these tickets, or now you're meeting with this referral partner,
- 6:17or it's your anniversary dinner with your wife.
- 6:19And somebody calls you and says, hey, can you meet with me Thursday at seven o'clock?
- 6:25I'd like to go over something with you.
- 6:27And you tell them, it's my anniversary.
- 6:30Oh, oh, oh, I'm sorry, yeah, so maybe we could do it on Friday at three o'clock.
- 6:35What I want to instill in you is that what you have there, when you've got those important
- 6:40advances, you've got an appointment with yourself.
- 6:44And if you talk to a potential referral partner, you tell them, oh, no, I can't meet with
- 6:48you because I got to go walk the dogs at seven o'clock at night.
- 6:52Well, how's that going to look, right?
- 6:53Not very good.
- 6:54Or if you tell them, I've promised my kids I take them out for ice cream at seven o'clock
- 6:58on Thursday night.
- 6:59They're going to probably hopefully recognize as that's important and valuable.
- 7:04But look, here's what I'm saying.
- 7:06Time blocking is about making an appointment with yourself.
- 7:10And too often we allow ourselves to be interrupted by the disruptions of others.
- 7:15And so if you simply respond to somebody, when you look at your calendar and look to see
- 7:19your availability, you can simply number one, tell people, I'm sorry, I have an appointment
- 7:24at that time.
- 7:25Now that appointment is your time blocked period.
- 7:29What have you time blocked on your calendar?
- 7:31That's an appointment with yourself.
- 7:34And it's a very important appointment.
- 7:36Now it can also be appointments, obviously, with other people like the examples I gave
- 7:39you.
- 7:40We'll talk more about that.
- 7:41But for the sake of just day-to-day business and getting your stuff done, making your
- 7:45calls, meeting with your processor, your loan officer, assistant to do pipeline reviews,
- 7:50getting belly-to-belly with referral partners, building your business plan, strategizing
- 7:56about your business.
- 7:57Those are very important meetings, appointments with yourself.
- 8:01So I want you to number one, look at it from that light.
- 8:04Okay?
- 8:05And number two, when you're looking at time blocking your calendar, you've got to really
- 8:08decide what are those activities or things that you must get done on a daily basis, whether
- 8:16it's to generate one loan referral a day, whether it's make your 10, 20, 30, 40 calls a day.
- 8:22What are those uncompromisable, non-negotiables that you've got to get done and begin to look
- 8:30at your schedule, your calendar?
- 8:32We'll dive into more into proper scheduling and structuring of your day.
- 8:37But begin to look at your calendar and look at those small time blocks.
- 8:40I want you to just, you know, when you get started with time blocking, start small.
- 8:44Okay?
- 8:45Don't block out three hours of time because it's pretty difficult to work consistently
- 8:50for three hours with no breaks, with focusing on that, you know, just for three continuous
- 8:55hours.
- 8:56If you can do it great, more power to you.
- 8:58Studies and research show, though, that the most highly productive, efficient people
- 9:03do not work for extended three hours blocks of times without any breaks.
- 9:07They work for short bits of time and you can build up your muscles over time, but here's
- 9:11my advice to you.
- 9:12Start with just a small time block, say 30 minutes, okay?
- 9:1630 minutes to focus on your one thing needs, right?
- 9:20What are the one thing, those one things that you need to get done and structure those
- 9:24in a single time block on a single aspect of your day, your daily routine that you need
- 9:30to get done?
- 9:31What you'll find is, when you schedule them in these short, focused time block periods
- 9:35that you are number one, your energy tends to be higher, right?
- 9:38You're much more focused because you know that you're not going to be, you know, it's
- 9:43okay to whatever those little interruptions are that are clamoring for your attention, the
- 9:47phone call, the email, the whatever, right?
- 9:49You'll know that, hey, it's only 30 minutes.
- 9:51So it's not like, oh my gosh, you have to drop this because I'm going to be making calls
- 9:54for the next six hours all day.
- 9:56No, I'm only focused for 30 minutes.
- 9:58So we can let those other interruptions and distractions go by the way side, okay?
- 10:04So number one, take a look at your calendar, map out the next month, the next 30 days,
- 10:10and block out a few different periods, a few different times throughout the day for 30
- 10:15minutes each of when you're going to get the focused work done.
- 10:18Now, obviously you choose what it is, but I'm going to assume if you're like many, right?
- 10:22It's the calls, it's the meetings, it's the prospecting, right?
- 10:25As most elbows I talk to, probably are falling short on the outbound prospecting efforts
- 10:31they need to do in whatever fashion or shape that is, right?
- 10:34Because they're too often busy being distracted and interrupted.
- 10:37If you take a look at the typical day, if you picture a pizza, right, yummy pizza, if you
- 10:43picture a pizza, you know how you slice the pizza into different triangle shapes, well,
- 10:47so we've got this whole entire pizza, it's our entire day, right?
- 10:51And if you just take one slice of pizza out, for most people, that one slice of pizza,
- 10:57the amount of time they spend on a typical day focusing on their important tasks and activities.
- 11:04And so what do you have the rest of the day?
- 11:06The rest of that huge pizza is everything else, oftentimes, unproductive time, right?
- 11:12So a productive pizza, if you will, a productive viewpoint of your day and using this wonderful
- 11:18pizza analogy is cut the pizza in half, on one half, you've got the critical things,
- 11:24the core things, your one thing that you need to focus on on a given day.
- 11:29The other half of the pizza is everything else.
- 11:32How much more productive would you be?
- 11:33How much more successful?
- 11:34How much more money would you make?
- 11:35How many more would you get more results if you simply increased the time in a given
- 11:41day that you focus on your high-priority tasks?
- 11:44Obviously answer, we all know that, right?
- 11:47So how do you do it?
- 11:48How do you structure time-block it?
- 11:49Get out your calendar.
- 11:51Decide what are the most non-negotiable things that you must do every single day.
- 11:55Time block them on your calendar.
- 11:56Again, I'm suggesting you start with just 30 minutes because those are short bites, right?
- 12:01They're little snackable bites of block time that you can begin to build your block time
- 12:05muscles with, okay?
- 12:08And I want you to also evaluate, when are you best during your day?
- 12:13Are you a morning person?
- 12:15You tend to have more energy in the morning versus the later afternoon.
- 12:20The reason why is because if you're going to make calls, you want to do it when you're
- 12:23at your best.
- 12:24If you're going to be making presentations, you want to do it when you're at your best,
- 12:28when you're at your most effective, when all the cylinders are firing.
- 12:31And the problem is there's this old concept that whatever time that's allotted or given
- 12:36for us to complete a task is usually the amount of time it takes.
- 12:41So what do I mean by that?
- 12:42What I mean is every day you know you've got calls to make.
- 12:45Let's say you've got 20 calls to make to realtors, referral partners, past customers.
- 12:49If you haven't time blocked those into specific segments of your day, guess how long those
- 12:5520 calls take on average?
- 12:58Pretty much all day.
- 13:00Why?
- 13:01Because you're not in control of your time.
- 13:04You're not in control of your calendar and your focus and your activities.
- 13:08You're allowing the other people, you know those people.
- 13:13The external world to be in control of your calendar and your time.
- 13:16And therefore, you're allowing yourself to be constantly interrupted and taken off track.
- 13:21And did you know that when being interrupted and focusing on a different task, even if it's
- 13:25just for a few minutes, it takes an average of 20 minutes to get back into that previous
- 13:30task, multiply that by three, four, five times a day.
- 13:34And we're talking hours of lost productivity time, okay?
- 13:38So number one, I want you to look at when you're most effective in your day, when your
- 13:41energy is the highest and schedule, you know, Brian Tracy in his book called Eat That
- 13:45Frog, talked about eating that frog first thing in the morning, okay?
- 13:50And so what we want to do is use our time most efficiently.
- 13:54So if I got to make calls, outbound calls, I'm going to do it when I'm feeling as much
- 13:58energy as I can.
- 14:00Later in the day, three or four o'clock, that's more for me personally, the administrative
- 14:04type stuff, right?
- 14:05The following up with emails, the checking on loans and process in my loan processing software
- 14:10or whatever it is, or maybe it's posting some stuff on social media, right?
- 14:14Those things don't really require that much mental capacity for us.
- 14:18Okay, that's tip number one, tip number two, build a bunker, build a bunker.
- 14:24You've got to set up your defenses, right?
- 14:26And minimize distractions because we all have distractions.
- 14:31They come at us every single day.
- 14:33So you've got to build a bunker, find that place, that quiet, happy place where you can
- 14:37get your focus time.
- 14:38Is that in your office?
- 14:39I don't know.
- 14:40Maybe it's at home.
- 14:41Maybe it's somewhere else, but you've got to build a bunker around you and set it up
- 14:45so that during that block time, you're not going to allow interruptions.
- 14:50So that means for your internal team, perhaps, I know what I do is I put a big sign on my
- 14:55door that says, time block, do not interrupt.
- 15:00And what I do is I set up the parameters with my team with everybody that I work with
- 15:05about what is an acceptable interruption.
- 15:07And it's typically anything that's fire trucker ambulance involved, okay?
- 15:11Those are usually the only things that get through and get an interruption.
- 15:16That's how important I want you to consider time blocking, okay?
- 15:19So build a bunker, set up the expectations with your team and other people that you work
- 15:24with, your processor, your loan office assistant, you know, your team, your juniors, anybody
- 15:28else you've got, right, your spouse, even your kids to that point.
- 15:33And this is where you get very specific in your strategy, like voicemail, for instance.
- 15:37Talk to a lot of loan officers, what about realtors?
- 15:39I got to call from realtor, I have to take that call, do you?
- 15:42How many times have you heard people use a voicemail successfully that says, hi, this
- 15:45is Jeff with ABC loans, your call is very important to me.
- 15:48However, between the hours of X and Y, I will be returning phone calls.
- 15:53Outside of that, I'll be working with clients.
- 15:56If this is urgent and is regarding a loan in process, now you've got some options, right?
- 16:01Hit star pound, they'd be connected to my assistant.
- 16:04Call 999-423-456 to connect yourself with my assistant loan processor.
- 16:09Or you can text me at this number if it is urgent.
- 16:12So what I'm saying is, you can let these calls go to voicemail and provide direction and
- 16:17communication for them via voicemail.
- 16:21So that now you're in control because how many times do you take that call and it's a call
- 16:24that really wasn't urgent, you know, from the Stephen Covey's book, there's the seven
- 16:28habits of highly successful people, right?
- 16:31There's these four different quads, right?
- 16:33There's urgent and important.
- 16:35There's not important.
- 16:36There's important.
- 16:37Well, most people are coming at us thinking their stuff is urgent and important when it's
- 16:42more often than not only important.
- 16:45So urgent is things like fire truck, ambulance, loan blowing up and the buyers are at escrow
- 16:52signing paperwork, okay?
- 16:54That's urgent and important.
- 16:57But much of the stuff in our average day is not urgent.
- 17:01The house is not on fire, no one's injured, no one's in an accident.
- 17:06What's urgent?
- 17:07Well, that's for you to decide.
- 17:09But depending on the state of your business, your one thing might be the urgent thing, the
- 17:13calls you make, the connections, the engagement you continue to drive with your referral partners,
- 17:18the meetings you have, the face to faces, okay?
- 17:22One other quick tip, make sure you store provisions.
- 17:26So what I mean by this is get your area set up for success, right?
- 17:31Build a bunker.
- 17:32Talk about that.
- 17:33Create a perimeter, create a wall, right?
- 17:34So that you have your locked in and you're not going to be susceptible to all those interruptions
- 17:38and noise and distractions and then set up the communication plan with everybody that's
- 17:43relevant and then secondly store provisions, okay?
- 17:47Do not be walking out of your bunker to grab water, to grab a snack, to get a breath
- 17:53of fresh air, okay?
- 17:56If you need water, keep it in your bunker.
- 17:59If you think you're going to need a snack during your block time, keep it in your bunker.
- 18:05Because as soon as you walk outside that bunker, you get assaulted, you get attacked by
- 18:10the enemy, the enemy is distractions, the enemy is other people's alleged priorities.
- 18:16You've got to set yourself up for success and efficiency.
- 18:20And the last thing I'll share with you is this, make sure you reward yourself.
- 18:24Use short time blocks that you're going to start with, these 20 minute, 30 minute time
- 18:29blocks, okay?
- 18:31Take a break at the end of that.
- 18:32And you can even set up your day in several 30 minute chunks of time, right?
- 18:38You can block, you can schedule these out.
- 18:40As I said earlier, it doesn't have to be a three hour slog of a time block.
- 18:45That's not very effective in productive, you know what's effective in productive, right?
- 18:48Work solid and focused and committed, uninterrupted and get it done for 30 minutes and then take
- 18:54a break.
- 18:55Take a five for 10 minute break.
- 18:56Take a breather.
- 18:57Take a walk.
- 18:58Get outside.
- 18:59Get some sunshine.
- 19:00Do some pull ups.
- 19:01Do some burpees.
- 19:02Okay?
- 19:03Whatever's going to renew your energy.
- 19:05But if you got another time block scheduled, right?
- 19:07Come back.
- 19:08Come back.
- 19:09Refreshed.
- 19:10Renewed.
- 19:11Go back into your bunker and repeat the process.
- 19:14Some of the successful schedules I've seen have this process repeated every single day where
- 19:18we're blocking out three, four, five, six blocks of time.
- 19:22And what happens is over time, as you build up your time blocking muscles, start with
- 19:2520, 30 minutes, right?
- 19:27You'll get stronger.
- 19:28You'll get better.
- 19:29You build that consistency.
- 19:30You'll build that deep well of reserve.
- 19:32So now that you can go for longer times of time blocks.
- 19:35So you can eventually build to an hour if you want.
- 19:38But again, looking at the research, right?
- 19:40You want to stay really highly productive, highly energized, highly laser focused and
- 19:44mentally, you know, with it and checked in versus checked out and just going through
- 19:49the motions.
- 19:50You've got to manage your state, you've got to manage your state and keep your state high.
- 19:55And how do you do that?
- 19:56You set yourself up for success.
- 19:57You set up your bunker.
- 19:59You eliminate minimize distractions.
- 20:01You set up your support by communicating.
- 20:03It's block time with your team.
- 20:05What does that mean?
- 20:06Who gets in?
- 20:07Who doesn't get in?
- 20:08What are the parameters for being interrupted if at all?
- 20:11Remember, fire truck ambulance.
- 20:14And so begin to do this, okay?
- 20:17Check it out.
- 20:18I'll put an example, a couple examples of some time block calendars of what this looks
- 20:22like.
- 20:23You can even make a color coded, right?
- 20:24You can make your prospecting call time block green.
- 20:26You can make other things blue, yellow, purple, right?
- 20:29If you've got any association of emotions to colors.
- 20:32But this, by the way, this is something that is you want to set it up on a recurring basis
- 20:36on your calendar, okay?
- 20:39This is something that doesn't just happen once.
- 20:41You repeat this.
- 20:42I want you to test this for 30 days, right?
- 20:47Now, some things on your calendar might only be a time block once.
- 20:52Maybe it's only something you've got to do once and that's okay, right?
- 20:55But much of what we need to do to be consistent and productive in this business is that we
- 21:00need to block them off regularly every day, every week, right?
- 21:05So if it's a regular thing, you need to do the calls, the appointments, the meeting with
- 21:09your processor and assistant to manage your pipeline.
- 21:13Imagine what could happen if you met with your assistant just briefly every day.
- 21:17For 10 minutes, 15 minutes, depending on your pipeline size, the number of loans in your
- 21:21pipeline.
- 21:22I know some loan officers would meet twice a day once in the morning, once in the break
- 21:25before end of day.
- 21:27Maybe it's for you three times a week.
- 21:29Too often, most loan officers aren't managing their pipeline with a block time, a block time
- 21:34actual appointment with your support team.
- 21:37So you know, every single week during this time, these days, during the week, I'm going
- 21:42through my pipeline.
- 21:44Now, with that minimize questions, with that minimize surprises, with that minimize,
- 21:47I don't know, I gotcha is, right, questions.
- 21:50With that, keep things tighter when it's when you're chasing conditions, okay?
- 21:55So it all comes back to a system, okay?
- 21:57And then each day ask yourself, okay, you've got your regular time blocks, regular thing
- 22:01that's happening every day, so it becomes a habit, right?
- 22:04You're using those times when you're most high energy and highly efficient.
- 22:09So those things you've got to do every single day, I want you to go block those off in
- 22:11your calendar for 20, 30 minutes at the end of listening to this.
- 22:14And I want you to block it off on a recurring basis.
- 22:17You've got to make those calls, pick the days you're going to make them three days a week,
- 22:20five days a week, your call, pick the times, set it up in your calendar, block it out,
- 22:25and schedule it, recurring, infinity.
- 22:28Put it into your daily method of operation now.
- 22:31And as you approach every day, this is where you begin to get better and build your muscles,
- 22:36ask yourself the focusing question.
- 22:38What is the one thing that I could do that if I did would make everything else easier
- 22:44or go away?
- 22:45That's essentially the question from Gary Keller's book, The One Thing.
- 22:48Again, if you haven't read it, I suggest you do.
- 22:50I'll put a link in the show notes to it if you want to buy it on Amazon, great $20 investment
- 22:55in your business.
- 22:56So build your bunker, communicate with your team, store provisions, and just do it.
- 23:01Just do it and see if you like the results, see if you are more effective, more productive
- 23:06and more focused.
- 23:07It's okay to let those calls go during your time block.
- 23:13It's not the end of the world.
- 23:15Last tip, you can even ask your agents, hey, barring any emergency, is it okay that if
- 23:21and when you do call me, if it goes to voicemail, we have an expectation set of the turnaround
- 23:28call time.
- 23:29Mr. and Mrs. Agent, I want to be there to serve you and be responsive and you know I'm
- 23:34100% committed to stellar responsive, timely customer service.
- 23:39I've already demonstrated that for you.
- 23:40Have I not?
- 23:41Yes, you have.
- 23:42Great.
- 23:43So I'm implementing time blocking into my calendar and I just wanted to check with you
- 23:47because you're one of my most important partners.
- 23:51Should you call me or someone on your team call me?
- 23:54What's your expectation for a return call time?
- 23:57Because when I'm doing time blocking, you know how important that is, Mr. and Mrs. Agent
- 24:00time blocking, right?
- 24:01Yes, I do.
- 24:03Great.
- 24:04I'm time blocking.
- 24:05That's obviously a structured set of my day where I don't take calls and interruptions
- 24:09unless it's an emergency.
- 24:11So I'd like to ask you what your expectation is in those situations.
- 24:15Is it a 30 minute callback?
- 24:17Is it a one hour callback?
- 24:19And let them talk.
- 24:21See what they say.
- 24:22I think you'll be surprised.
- 24:23I think they'll tell you, hey, you know, if it's not an emergency or for now, you know,
- 24:27some blowing up thing in the pipeline or whatever, it's all right.
- 24:29I mean, you don't call me back in a half hour or whatever it is, right?
- 24:32So I'll leave you with that.
- 24:34If you'd like this, let me know.
