- Dana (AI host): Your support lead just spent an hour on site, and the only record is a sticky note in a jacket pocket. Rob (AI host): HubSpot's August updates brought Mobile Notetaker to Service Hub, so the visit gets recorded and summarized by phone. Dana (AI host): Stick around for the one menu switch that hides the microphone from service teams, and what to check before your workflows fire. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Straight up: Rob and I are AI hosts. Dana (AI host): We've never visited a customer, and we're reading HubSpot's help article on Mobile Notetaker, which was updated today, October thirtieth. Rob (AI host): And today I'm playing a customer success manager at a company that sells warehouse scanners, who runs training visits at client sites every week. Dana (AI host): Good, because this one is for you. Dana (AI host): We covered Mobile Notetaker for sales reps in an earlier episode. Dana (AI host): HubSpot's August product updates extended it to Service Hub, so Service Hub Professional and Enterprise customers can record meetings and use the post-meeting experience on mobile. Rob (AI host): So what do I actually need to have? Dana (AI host): HubSpot's help article lists Sales Hub or Service Hub, Professional or Enterprise, and you need an assigned Sales or Service seat. Dana (AI host): Setting it up needs a Super Admin, on the desktop side. Rob (AI host): Fine. I open the app on my phone. Where's the record button? Dana (AI host): Here's the catch for service teams. Dana (AI host): The microphone icon sits in the upper right of the Home screen, but only when your Home screen is set to the Sales experience. Rob (AI host): And I'm not in sales. Dana (AI host): Right. Dana (AI host): So tap the Menu icon in the top left, tap Selected Experience at the top, then tap Sales. Dana (AI host): Now the microphone shows up on the Home screen. Rob (AI host): Ha, the Sales switch. Dana (AI host): There are two other ways in that don't need that switch. Dana (AI host): Open a scheduled meeting and tap Record next to Mobile Notetaker. Dana (AI host): Or open a contact, find the meeting under the Activity tab, and tap Record there. Rob (AI host): What about the warehouse basement where I lose signal? Dana (AI host): You can record offline, then play it back and rename it, still offline. Dana (AI host): To attach it to any CRM record, you'll need to get back online. Rob (AI host): Okay, visit's over, and I'm in the parking lot. How do I file it? Dana (AI host): Two choices. Pick a scheduled meeting, or log it as a new meeting. Dana (AI host): One rule: the scheduled meeting has to be created in HubSpot, not synced from an outside calendar. Rob (AI host): Can I attach it to more than one thing? The contact and the company? Dana (AI host): Yes. HubSpot says you can associate it with multiple records of different types. Rob (AI host): What else can I add while I'm sitting there? Dana (AI host): Quite a bit. Dana (AI host): A description, a photo from your camera, a file attachment, an at-mention of a teammate, and a follow-up task with its own timing. Rob (AI host): Ooh, photos of the whiteboard. Dana (AI host): Then HubSpot processes the audio, and you can get a push notification when the recap is ready. Dana (AI host): To find it, open the Menu, tap Mobile Notetaker, and tap Logged Meeting created under the recording. Rob (AI host): And that recap has what? Dana (AI host): Three tabs. Review has playback, the AI summary under Meeting notes, and the transcript. Dana (AI host): Actions has suggested follow-up tasks and suggested CRM property updates. Dana (AI host): Details has the meeting type, the outcome, and the linked records. Rob (AI host): Here's a made-up example. Rob (AI host): A support lead named Marisol trains a new client's warehouse team on Tuesday. Rob (AI host): She records the session and files it on the client's company record before she leaves the lot. Dana (AI host): Then she reviews the suggested tasks, emails the summary to herself, and mentions her teammate in a comment about the scanner that keeps dropping its connection. Rob (AI host): Why it matters: the team sees what happened on site the same day, not whenever someone types it up. Dana (AI host): And the follow-up starts while the client still remembers the visit. Dana (AI host): That gap after a field meeting is where customer relationships quietly erode. Rob (AI host): Who should roll this out first? Dana (AI host): Our research points to field customer success managers who run on-site visits and training, CS team leads who want searchable records of those visits, and RevOps leaders who care about CRM data quality. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Recording your site visits pays off most when the support process behind them is already clear. George B. Thomas (AI voice clone): Our Service Hub training maps your support workflow before touching tools, then runs live sessions inside your portal with your real tickets, and gets your SLAs configured along the way. George B. Thomas (AI voice clone): You keep the recordings for new hires, plus a knowledge base structure to grow into. George B. Thomas (AI voice clone): Find it under services at Sidekick Strategies dot com. Rob (AI host): Dana, how well did we cover this back in September? Dana (AI host): Mostly. The plans, the seats, and the summary, transcript, tasks, and property suggestions all match. Dana (AI host): Starter seats don't get it, and both agree on that. Rob (AI host): Then where's the gap? Dana (AI host): Two spots. Our write-up says the AI drafts a follow-up email for you. Dana (AI host): HubSpot's help article only covers emailing or copying the summary, though its September updates mention generating a follow-up email, so check your app. Dana (AI host): And our write-up says you can start from the Home screen, but it skips the Sales experience switch. Dana (AI host): That's the step most service teams will trip on. Rob (AI host): Oof, the step everyone skips. Rob (AI host): What should a support lead check before turning this on for the whole team? Dana (AI host): Our research flags two things. Dana (AI host): First, AI-created tasks from meeting summaries can trigger automations you built for manually created tasks, so audit your Service Hub workflows after rollout. Dana (AI host): Second, the suggested property updates write to your CRM fields, so if your properties are messy, clean them up before you scale. Rob (AI host): And the legal side, before I record a client's training room? Dana (AI host): HubSpot says you're responsible for consent and disclosures. Dana (AI host): And Notetaker can't handle protected health information, so if you support clinics, don't record patient details. Rob (AI host): Anything about short recordings? Dana (AI host): Property suggestions only appear for recordings longer than ten seconds. Rob (AI host): Plan time, for a service team. Dana (AI host): Step one: have a Super Admin finish the desktop setup for Notetaker. Rob (AI host): Step two: on each phone, switch the Selected Experience to Sales, and confirm the microphone appears. Dana (AI host): Step three: tell the client you're recording, then record the next site visit. Rob (AI host): Step four: back online, file it on the company record and the contact. Dana (AI host): Step five: open Actions and review every suggested task and property update before you accept it. Rob (AI host): Field visit verdict: I'd record my next training session, but I'd audit our task workflows first and read every suggestion before I accept it. Dana (AI host): Tomorrow's first step: open the app, check your Selected Experience, and find that microphone. Rob (AI host): HubSpot's help article, the August update, and our write-up are all linked in the show notes, with more at Sidekick Strategies dot com. Dana (AI host): Thanks for riding along between site visits. Rob (AI host): Record the visit, then review.
