- 0:56You're already taking the first step. just by
- 1:00joining us here today well and also um there's
- 1:06so sometimes a property management company will
- 1:08require that there be a minimum balance and this
- 1:12was the situation that we ran into was we met
- 1:15the minimum balance but an invoice came in that
- 1:18was greater than the minimum balance and it paid
- 1:21out anyway and so we were in a conversation with
- 1:24them and they were like well you know it went
- 1:26it went into the red And my sister -in -law is
- 1:31amazing at details. And she's like, but we met
- 1:36the minimum requirement. So this should be on
- 1:39you. And that, I mean, she said it in a much
- 1:43nicer way. Actually, I think her husband, Alan,
- 1:45probably said it the best, but he's really good
- 1:47about saying these negative things and people
- 1:50don't get upset. I don't know how he does it.
- 1:54I like, I'm just kind of in awe. I sit there
- 1:55and I'm like, oh, how does he say this? And people
- 1:58aren't like jumping down his throat. I think
- 2:01I will borrow this next time I have a bad deal.
- 2:04No, I'm kidding. For real, like for real. But
- 2:09it's, we've had issues. And so that was where
- 2:12we said, if it's something over XYZ amount of
- 2:15money, we need to approve it. And like you said,
- 2:19it's not that it's not going to be approved.
- 2:22It's that we just need to know. Like we had to
- 2:24replace all the gas lines at one of the properties.
- 2:27It was $40 ,000. We had to approve that because
- 2:32even if you've got a loan that's helping you
- 2:34cover some of the capex or you're able to put
- 2:36it somewhere where you can get a draw on it You
- 2:40still have to front the cash So you front it
- 2:43and then you get reimbursed So that that's really
- 2:47the reason why you need to know but aces what
- 2:49choice do we have gas? That's how people like
- 2:52take hot showers and like cook the food because
- 2:55it's gas gas stoves I mean, you're not gonna
- 2:57say no but it's more just to keep you on top
- 3:00of what's going on because I don't know about
- 3:03you, but when I'm looking at some of those reports
- 3:05and some of them are cash, some of them are cruel,
- 3:08and I'm just like, I didn't do that well in accounting.
- 3:13Looking at all these reports, I'm just like,
- 3:16I don't understand. It's just easier if you stay
- 3:23on top of those big ones. That way, at least
- 3:25you've got a mental note. what you're looking
- 3:28at for that month or maybe the next 30 to 60
- 3:30days. So those are all I screen shotted your
- 3:34little list of things because I thought it was
- 3:37really good. So guys, for those of you out there,
- 3:40yes, I am learning right here alongside of you.
- 3:42I'm taking my notes. And like I said, I screen
- 3:45shotted her list because that was awesome. So
- 3:50absolutely be taking notes. And I mean, you're
- 3:55you're hearing real life examples. um and it's
- 4:00it's not for the it's not for the faint of heart
- 4:04no definitely is nothing so no and i like we've
- 4:09had calls here recently too where um like the
- 4:15proposed budget isn't being met but it's not
- 4:17like on the expenses side it's on the revenue
- 4:19side so like with rent increases or additional
- 4:23streams of income and that's hard too because
- 4:28you're trying to address it and you want people
- 4:30to be on proposed budget and on that revenue
- 4:33side, but at the same time, we've had so many
- 4:37changes in the economic landscape over the last
- 4:40six months to a year, and we'll continue to have
- 4:43them for the next probably 18 months, that some
- 4:47of those projected budgets are just going to
- 4:51have to be set to the side a little bit. I mean,
- 4:59do you know if you can as a team and the problem
- 5:02is going to come back together and do like an
- 5:04amendment or a revised kind of projection? Because
- 5:10I know that like there's I know that there are
- 5:14people on our team that are like, no, you have
- 5:16to be with what you projected, but there's really
- 5:17no way to because well, number one, it's a classy
- 5:20property. But number two is the economy is crazy.
- 5:25Inflation is crazy. Disposable income is Basically
- 5:29gone. So is there, do you know if teams do that?
- 5:34Do teams get together with the property management
- 5:35company and like reassess? Well, I know that,
- 5:39you know, on our property, it hasn't been done.
- 5:41I personally think that you need to. I mean,
- 5:45ideally you don't. You want to set a budget for
- 5:47the year and you want to go and be able to manage
- 5:49to that budget. But if you know for a fact, like,
- 5:52you know, just as an example, you know, everywhere
- 5:56across the country, insurance is just blown through
- 5:58the roof. But when you hadn't necessarily put
- 6:00your budget together, you didn't know when your
- 6:03new policy was gonna come up, it was gonna be
- 6:0520 % higher. Well, are you just gonna not pay
- 6:08it? No, of course not. So you've got to be able
- 6:10to like find either money in the budget where
- 6:14you can. accommodate for that increase, or you're
- 6:17going to have to reevaluate your budget for the
- 6:20year to factor in and see how that's going to
- 6:23impact your overall numbers. It's not anything
- 6:26that you could have planned for. It's just the
- 6:29climate of what's going on across the country.
- 6:31There's so many insurance claims. basically everywhere
- 6:34in the United States that I think the lowest
- 6:37insurance is going up is 20 percent. And then
- 6:40if you live in Florida like I do it's a little
- 6:42tripled between last year and this year. So there's
- 6:45no way on the planet when you bought a property
- 6:47that you could have expected a 300 percent increase
- 6:49in your insurance and that's definitely going
- 6:52to impact your budget without a doubt. So yeah
- 6:56I know and we we're in Texas our properties are
- 6:58here in our backyard and taxes went up insurance
- 7:02went up and then um if you're wondering about
- 7:05insurance you can listen to JT's presentation
- 7:07um because we talk about all those things too
- 7:10and the last summit he was saying that some of
- 7:14the major insurance providers have totally left
- 7:17Texas and Florida yes they've just decided that
- 7:20they're out or some of them aren't even um insuring
- 7:23apartments anymore they'll do industrial they'll
- 7:26do industrial flex they'll do other things but
- 7:28they will not um insure apartments or multifamily
- 7:32at all So that's kind of crazy. So you've got
- 7:37reduced supply because you don't have as many
- 7:40people offering insurance or providing different
- 7:43providers. And then you've got people that are
- 7:46still demanding it. You still have to have insurance.
- 7:49And so that's going to put upward pressure on
- 7:50the price too, because that's how the market
- 7:53stays where it needs to. The less competition
- 7:54you have, the less competition you have than
- 7:56the people that are providing it just go, oh,
- 7:59we don't need to just go up by... three or 4
- 8:01% this year, we can go up 25 % because they don't
- 8:04have any options. Well, and because of what did
- 8:08they call it? It was like the cash basis thing.
- 8:13Like, so if you needed to replace something,
- 8:16they were still using old costs. So if you needed
- 8:21to replace something, so something happens, flood,
- 8:24whatever. instead of them covering 100 % of it,
- 8:28they were only covering like 60%. So they revamped
- 8:32like the per foot reimbursement or coverage so
- 8:36that it's closer to the 100%, which also means
- 8:38it has to go up and you get risk pulled. So if
- 8:42you're in a place like Texas or Florida where
- 8:45there've been lots of claims, even if you're
- 8:48in an area that hasn't had claims, you get risk
- 8:50pulled with the other people because you're gonna,
- 8:53what you pay, helps cover what happens to them
- 8:56even if you're you know even if you don't make
- 8:58a claim so and it's like that with cars like
- 9:01that with all insurance risk pools that's what
- 9:03they do and they allow you to self -select because
- 9:05i'll ask you things like do you want a high deductible
- 9:07or a low deductible well if you know you're going
- 9:09to get a whole bunch of car wrecks you want the
- 9:10low deductible um so you self -select into these
- 9:13risk pools so just putting it out there for you
- 9:16um but though the way the apartments work is
- 9:19different because it doesn't follow the owner
- 9:22it follows the property So the insurance will
- 9:26in fact be higher in a property that's made more
- 9:29claims. But if you're in an area where lots of
- 9:33claims have taken place, even if you didn't make
- 9:35the claims or your property didn't make the claim,
- 9:37it's still going to be higher because of the
- 9:39risk pool. Yes. So a lot of things working against
- 9:43people who are trying to invest wisely. It's
- 9:49definitely a tough environment out there. I heard
- 9:54I've only ever heard of one other. Property management
- 9:58company in Texas that another one of two that
- 10:02we're doing the umbrella policy. And it was it
- 10:05was actually Houston property that every other
- 10:09insurance company was saying that it would be
- 10:11like 1800 a door and they were able to get in
- 10:14on an umbrella that was like 900 a door. So that's
- 10:18what's good about the getting into those umbrella
- 10:21policies, but not all property management companies
- 10:24have those. That's why that's why I left it as
- 10:28the last bullet and I said it's a great to have
- 10:30because I do know that a lot of them don't have
- 10:32it but if you can get there you know outside
- 10:34of you owning over a thousand doors you're not
- 10:37going to be able to get an umbrella policy that's
- 10:39worth it so if your property manager can do that
- 10:42that is a good thing and it'll help you save
- 10:43some money. Absolutely and you know I just want
- 10:47to thank you for sharing this information and
- 10:51putting it out there because property management
- 10:55and asset management can seem really overwhelming.
- 11:00We meet weekly with our property management company
- 11:03and sometimes it gets really redundant and it
- 11:08seems kind of foolish to be meeting every week.
- 11:11But then when something happens like the gas
- 11:14lines need to be replaced and the water main
- 11:15getting busted and all of these other things,
- 11:18I'm really glad that we meet weekly because you
- 11:22kind of get slammed sometimes. So I definitely
- 11:26think that as long as you can have those weekly
- 11:29meetings, it's really good. And you also gain
- 11:32a lot of experience from it. So yeah, that's
- 11:37the part that I like because sometimes I get
- 11:39on the calls and those of you that know me, you
- 11:42know, I don't do numbers. I don't like the numbers.
- 11:45It's not fun for me. And sometimes we get in
- 11:47a meeting and that's all it is, is numbers. And
- 11:51I promise you, I don't want to be there at those
- 11:53meetings, but I am. And I've learned more about
- 11:57the numbers than I ever wanted to learn. But
- 12:02there's other things I've learned too, like your
- 12:06property management company is not, or hearing
- 12:10about a property management company doesn't mean
- 12:12that every single regional and every single person
- 12:15that is employed by that company is amazing or
- 12:18that they're all horrible. Our experience has
- 12:22been, which I know is limited, but our experience
- 12:24has been that it is absolutely determined by
- 12:27the regional. So if you have an amazing regional
- 12:31manager, most likely you're going to have a pretty
- 12:34amazing experience. Now we looked into ours because
- 12:40we just kept the management company that we used
- 12:43on our first property and some crazy stuff happened
- 12:46because that property management company actually
- 12:48dissolved. But the regional and all of our onsite
- 12:52people remain the same and she found another
- 12:55property management company to bring all them
- 12:57on. Wow. Okay. Yeah. So it worked out really
- 13:01nice. Um, and she's just amazing. So Elizabeth,
- 13:05if you're listening, I think you're amazing,
- 13:07but she just does it's she's made, she makes
- 13:12it smooth. Like I said, I mean, when there was
- 13:14an issue on one of the properties, she identified
- 13:17it, replaced it, took care of it, everything,
- 13:20and then came to us and told us about it after
- 13:22it was fixed. and we didn't have to worry. We
- 13:26didn't get involved with the, why is all this
- 13:28crap happening? Like, she just took care of it.
- 13:31So I think those are things that you really want
- 13:33to watch out for. The accounting, I think it's
- 13:37probably a nightmare regardless. We've got a
- 13:40property management company for our residential
- 13:42stuff that the accounting, I mean, we still get
- 13:45reports and stuff, but like we had a house that's
- 13:48been sitting empty since like January and we
- 13:50didn't know. And with residential, especially
- 13:55like the single -family homes, when it's empty,
- 13:57it's 100 % empty. Yes. And so we just, it wasn't
- 14:02on the reports. And we were just like, dang,
- 14:04and we don't meet with them at all. We text back
- 14:07and forth every now and then because it's smaller
- 14:09properties. It's just not the same. When we were,
- 14:15the first company we were with, the one that
- 14:16dissolved, their accounting was wonky too. And
- 14:22when we're with now, it's like, I don't know
- 14:23how to run the reports. I think my sister -in
- 14:25-law does, but that's her lane anyway. But like,
- 14:29I don't know how to run the reports and look
- 14:31at the reports. And I'm just like, so when you're
- 14:34talking there at the beginning, you're like,
- 14:37what you were being told wasn't matching up.
- 14:41So now that I've heard your story, I would know,
- 14:44hey, this is, okay, this report says this was
- 14:46our gross rents. So this much should have been
- 14:48deposited. Now I would know to look. But I wouldn't
- 14:53have known to be looking for that if you hadn't
- 14:56said that in your presentation So it's um, it
- 15:00makes me a little concerned I'm sure Sarah's
- 15:03looking at it because she's that detail person
- 15:05but how much could be hidden and It also has
- 15:11me wondering about these properties here in town
- 15:13that I know of that are the whisper is 20 25
- 15:18too much per door and I'm wondering What expenses
- 15:22are not being reported? Something is up Just
- 15:28something is up because that same company two
- 15:31different properties in the last year and a half
- 15:36The accounting the accounting the accounting
- 15:39and it can kill you if you're not paying attention
- 15:42to it It's really not your enemy. But we if you
- 15:45don't ignore if you ignore it for too long. It
- 15:47can be Something you will be very sorry that
- 15:50you ignored So I will say So I don't remember
- 15:55seeing it on the list, but because of insurance
- 15:58and taxes, at least for us in Texas, you also
- 16:01want to make sure that your property management
- 16:03company is escrowing those. Like I know it's
- 16:05not a true escrow because there's not an intermediary,
- 16:07but setting them aside, because that's another
- 16:11thing that happened to us, is so the one property
- 16:14management company dissolved, we got the new
- 16:16one, and they weren't setting aside taxes and
- 16:20insurance. So we had to come up with like a little
- 16:23over $100 ,000 over a three -month period. So
- 16:26your lender wasn't escrowing them? Because our
- 16:28lenders escrow those. Okay. So it's the type
- 16:32of loan you got. You have Freddie Fannie loans,
- 16:35you have to escrow it. So the only problem that
- 16:38is, is one of my properties, we had it escrowed,
- 16:41but then again, we insured the new insurance.
- 16:43It wasn't enough. 20 % higher. So we ended up
- 16:46with money deficit in our reserve. So. Well,
- 16:50we have we have fixed rate bridge on the first
- 16:53property and then the second one is a bank loan
- 16:56okay so just a little bit different so putting
- 17:00it out there for you guys make sure that stuff's
- 17:03being set aside or you're gonna have some really
- 17:05rough months yeah especially if they come in
- 17:09at the same time which hopefully you don't have
- 17:10but god forbid you get your insurance all the
- 17:13senior taxes in the same month ouch that's painful
- 17:17Well, and it's, you know, it's really funny because
- 17:19when the first, when that first property management
- 17:21company dissolved, of course all the money's
- 17:24locked up, right? So like six figures of money
- 17:27was locked up because they were, they were going
- 17:30to be taking like the remainder of whatever we
- 17:32owed them or whatever. So we set up a second
- 17:36account for all that money to be transferred
- 17:39into. And it took like a month and a half or
- 17:41something. It was insane. Um, but I put that
- 17:45into like a second operating account. that we
- 17:49had control of. And thank goodness that was there
- 17:52because it was like, I think 66 ,000, I think
- 17:55was in it. And that helped cover the fact that
- 17:58the insurance and taxes weren't being escrowed.
- 18:03It didn't cover all of it, but it covered a substantial
- 18:06amount of it. But those three months were still
- 18:09horrendously difficult. I bet. I've heard from
- 18:14more people also that it's important if your
- 18:17property management company has control of the
- 18:19operating account to have a second operating
- 18:23reserve account that your team has control of
- 18:26for those times when something big happens, especially
- 18:30if your loan is LTV and you don't have any draws
- 18:33to reimburse on capex or unforeseen. We've learned
- 18:44in just a few years, and I can only imagine what
- 18:48we're going to be learning over our lifetime
- 18:50of being in this space, so. Absolutely, but that's
- 18:55fun in a way. Fun, challenge, all of, you know.
- 19:00We don't want it to go smoothly, do we? Because
- 19:03that would just be like too easy, and then everybody
- 19:06would want to do it. Yeah. No, it's insane. But
- 19:11you know, I thank you for being here and for
- 19:14your list, your presentation and for chatting
- 19:16with me now after. This has been great. And I
- 19:19did take screenshots and notes and thank you.
- 19:24Not a problem. Thank you for having me. Appreciate
- 19:25it. Absolutely. Guys, remember, you can join
- 19:29us on the live side. You can stay over here.
- 19:30There's tons of info here. Whatever you choose.
- 19:33Until next time.
