Latest / Connor with Honor: AI, Real Estate and Real Life / How to Use AI Voice Systems by HireAIVoice and Santa Clarita artificial Intelligence
Transcript
- 0:01SPEAKER_00: People are beginning to hear artificial intelligence, voice systems, answer calls, book appointments, qualify leads, and transfer conversation, and they're asking two different questions.
- 0:11SPEAKER_00: Some say, you know, I can always tell this is AI.
- 0:14SPEAKER_00: Others said I tried one recently as what and wasn't completely impressed.
- 0:19SPEAKER_00: Now, how could this work in my business?
- 0:21SPEAKER_00: Or is this something I should bring on in my company?
- 0:24SPEAKER_00: That real question is not whether the voice sounds human for 30 seconds.
- 0:28SPEAKER_00: The real question is whether the system understands the business, follows instructions, captures information, and completes the correct task and knows when to bring in a human.
- 0:38SPEAKER_00: A beautiful voice with bad instructions is still a bad business system.
- 0:43SPEAKER_00: I begin identifying the business problem.
- 0:46SPEAKER_00: Is the company missing calls after hours?
- 0:48SPEAKER_00: Are staff members unavailable during appointments or lunch?
- 0:51SPEAKER_00: Are leads waiting too long to get somebody to contact them?
- 0:55SPEAKER_00: Are employees answering the same questions repeatedly?
- 0:58SPEAKER_00: The AI mates serve as a receptionist, intake specialist, lead qualifier, appointment coordinator, customer service agent, or after hours answering system.
- 1:08SPEAKER_00: It should not be told to handle everything without boundaries.
- 1:12SPEAKER_00: The system needs a written operating manual, business identity, purpose, services, geography, approved answers, prohibited answers, of course, required questions, appointment types, business hours, transfer destinations, escalation rules, follow-up actions, and instructions for saying I want to make sure I give you the right information, so I'm going to connect you with our team.
- 1:36SPEAKER_00: Compliance must be designed before launch.
- 1:38SPEAKER_00: The FCC has confirmed that AI-generated human voices fall within the TCPA restrictions on artificial or pre-recorded voice calls.
- 1:47SPEAKER_00: Inbound calls, outbound calls, manually initiated calls, and automatically initiated calls may create different obligations.
- 1:56SPEAKER_00: Consent, do not call rules, recording disclosures, opt-outs, and state-specific requirements must be reviewed.
- 2:03SPEAKER_00: This is general education, not legal advice.
- 2:06SPEAKER_00: Data connections are another major layer.
- 2:09SPEAKER_00: The AI may connect to a CRM, calendar, website forms, property database, knowledge base, ticketing system, email platform, or scheduling application.
- 2:19SPEAKER_00: But we must determine whether it needs read access, write access, or both.
- 2:23SPEAKER_00: Can it create a lead?
- 2:25SPEAKER_00: Can it update a contact or book or cancel an appointment?
- 2:28SPEAKER_00: Can it access private notes, send a follow-up message?
- 2:32SPEAKER_00: Every permission should be limited to what the AI actually needs and activity should be auditable.
- 2:39SPEAKER_00: Capacity matters.
- 2:40SPEAKER_00: How many simultaneous callers can the system handle?
- 2:44SPEAKER_00: What happens when capacity is reached?
- 2:46SPEAKER_00: Does the caller enter a queue or receive a callback, go to voicemail or hear a busy signal?
- 2:52SPEAKER_00: Does the system have a backup number?
- 2:54SPEAKER_00: A 24-hour promise is meaningless if the system drops callers during a traffic spike.
- 3:01SPEAKER_00: Booking must also be tested.
- 3:03SPEAKER_00: Can the AI see real-time availability?
- 3:05SPEAKER_00: Understand time zones, prevent double booking, schedule different appointment types with different durations, send confirmations, ask qualification questions before booking or reschedule or cancel.
- 3:18SPEAKER_00: Transfers should be intelligent.
- 3:19SPEAKER_00: Can calls go to different people during business hours, after hours, weekends, holidays, or lunch?
- 3:26SPEAKER_00: Can that system try one staff member and then try another?
- 3:30SPEAKER_00: Can it send a summary before the transfer so the human knows who's calling and why?
- 3:35SPEAKER_00: Natural conversation requires interruption handling, sometimes called barge in, when a caller should be able to interrupt, change direction, ask a question, or correct information without waiting for the AI to finish a paragraph.
- 3:50SPEAKER_00: Voice selection is part of the brand as well.
- 3:53SPEAKER_00: Can the business choose different voices, accents, languages, genders, tones, or specialized agents?
- 3:59SPEAKER_00: Can the system produce or pronounce names, streets, neighborhoods, and industry terms correctly?
- 4:06SPEAKER_00: Does it truly understand another language or merely repeat a limited translated script?
- 4:11SPEAKER_00: We also need to measure pickup rate, connection rate, voicemail rate, and of course transfer success booking rate, abandoned calls, callback requests, errors, and complaints.
- 4:22SPEAKER_00: If outbound calls are used, we need to understand consent, caller ID accuracy, number registration, whether the number is being labeled spam likely.
- 4:33SPEAKER_00: The best information is staged.
- 4:35SPEAKER_00: Document the call types, gather clean knowledge sources, define the AI's boundaries and establish disclosures and opt-outs, connect only necessary databases, write the instructions, test interruptions and unexpected questions, launch with limited volume, monitor transcripts and outcomes, and improve the system based on real conversations.
- 4:55SPEAKER_00: AI Voice should not fabricate answers, make legal or financial promises, argue with callers, hide the human handoff or make it difficult to opt out.
- 5:05SPEAKER_00: Its job is to improve availability in consistency, not remove judgment from the business.
- 5:11SPEAKER_00: When clients come to me, I determine where AI Voice fits in their business.
- 5:15SPEAKER_00: I design the instructions, establish compliance procedures, and correct the CRM and calendar, configure booking and forwarding, select the voice, build after hours rules, and create the human escalation process.
- 5:27SPEAKER_00: If you want me to evaluate where AI best fits in your business, audit what you already have, or build the system correctly from the beginning, visit hireAIVoice.com.
- 5:37SPEAKER_00: The goal is not to replace every person, the goal is to answer more calls, capture legitimate opportunities, handle routine questions, and get important conversations to the right human at the right time.
- 5:49SPEAKER_00: This is general education information, not legal advice.
- 5:52SPEAKER_00: So before launching automated outbound calls, have that specific process reviewed by qualified legal counsel and confirm the provider's requirements if appropriate.
- 6:03SPEAKER_00: I'm Connor with honor.
- 6:04SPEAKER_00: We'll see you in the next one.
