- 1:30episode of Holiday Let Insider. Today's special guest is Rachel
- 1:34Brennan, the senior manager of property onboarding at Sykes
- 1:37Holiday Cottages. How's it going, Rachel?
- 1:39Good, really good. Thank you.
- 1:41The sunshine. And so that's nice.
- 1:43It is. It's a bit of a scorcher.
- 1:44Isn't it? OK then, so today we're going to
- 1:47discuss how to care for your holiday let to ensure that it's
- 1:51a long term success. So what are the key things that
- 1:55owners need to get? Right from the outset.
- 1:59So I think there's a couple of non negotiables that we've got
- 2:02here. So I think firstly, quality
- 2:05matters. So whatever your budget can
- 2:08cover, I would aim for the best or top standard that you can
- 2:12possibly go for. Customers, guests really notice
- 2:15this and I think investing in high standard pieces of
- 2:20furniture linen can really go a long way and can withstand the
- 2:24test of time. So you're talking about things
- 2:26that are durable, comfortable, things that were photographed
- 2:30beautifully as well so that you're less the Elliston looks
- 2:32fantastic, but also not just stylish, but that you are going
- 2:37for longevity and functional. So if you go cheap, I think he
- 2:42can end up paying more in the long run because you're
- 2:44constantly needing to replace it.
- 2:46So I think go for the quality furniture is something that's
- 2:49really, you know, is really, really important.
- 2:52I think second to that is the cleanliness and the maintenance
- 2:56of the property. I think this is probably the
- 2:58most important one. This is what's going to change,
- 3:01you know, one person returning just for the first time to a
- 3:04five star review and a return, you know, guest, you've got to
- 3:09go for hotel standard cleanliness here and it's got to
- 3:14be consistency is key. So every the property is exactly
- 3:17the same for every single guest that comes there.
- 3:19And then there's other things like the legal sort of
- 3:22standpoint as well. So making sure that the property
- 3:25is insured correctly, is on the correct mortgage, that you're
- 3:28compliant to all health and safety regulations.
- 3:31So things like a fire risk assessment or a gas safety
- 3:34certificate that you've got. Maybe you've got private water
- 3:37supply. So you're going to need
- 3:38certificate for that as well. And then also that you're
- 3:40legally permitted to actually holiday let the Unit 2 and there
- 3:45is a couple of locations that do require licensing, so for
- 3:48example, Scotland. So if you put in the research
- 3:51and do your homework from the very beginning, from the onset,
- 3:54you're going to save yourself a lot of stress in the long run.
- 3:57And then lastly, I think a really smart sort of approach
- 4:01for anyone entering the market is to sort of identify what your
- 4:05USP is. So what is your unique selling
- 4:07point? What stands your property apart
- 4:10from others? And this could be that you're
- 4:13family friendly so that you are great with children, could be
- 4:16that you're pet friendly or you're ultra green so you're eco
- 4:19conscious or large parties or anything like that.
- 4:23Whatever it is, what I would suggest is lean into it.
- 4:26This gives you an edge when it comes to marketing, but also
- 4:29sort of sets you apart and it'll attract the right customers to
- 4:31you as well. Yeah, a few things kind of stood
- 4:34out for me there, but. Aiming for the hotel.
- 4:37Quality, I think is is so important.
- 4:39I mean. Cleaning is just an.
- 4:40Absolute non negotiable. It has to be great for every
- 4:44single guest. They're going to notice straight
- 4:47away if it's not up to standard. Are you a?

- 5:29Linens, the towels in particular.
- 5:32Before you mentioned hotel quality, I was thinking this is
- 5:34kind of what you need to go for because I remember.
- 5:37When I set up. And I was buying things that
- 5:39were. Probably lower to mid range
- 5:41because it was like oh get it set up it'll be okay but they
- 5:43really don't last so now. Top quality stuff because it
- 5:48will last and it just looks and feels better for the guests as
- 5:52well. OK, So what role does guest
- 5:55communication play? In ensuring smooth operations.
- 6:00And what's the best way to encourage guests to be proactive
- 6:03in things? And it might be just just
- 6:05straightening things up before they leave a property.
- 6:08Yeah. So guest communication, I feel
- 6:10like is, is a sort of foundation, you know, for a
- 6:12smooth running holiday let unit. I think it really sets the tone
- 6:17for the entire stay. And when I'm talking about guest
- 6:20communication, I'm really thinking about clear, friendly,
- 6:23proactive communication that's throughout their entire, you
- 6:27know, sort of customer journey. So that can be before, during
- 6:31and after. And when I think about before,
- 6:33I'm thinking things like, you know, a thank you for booking
- 6:36confirmation. We're thinking key collection
- 6:38details that are really precise. We're thinking directions.
- 6:41So as we approach the property, what are some of the landmarks
- 6:43that I should be looking out for?
- 6:44One of my favorite things, things to put in there is what,
- 6:473 words, you know, so that you can pinpoint exactly where the
- 6:51property is, but how am I actually going to park, you
- 6:53know, when I get there? All of these things that are
- 6:56really important. I've recently went to a property
- 7:00down in Devon and coastal property.
- 7:02And one thing that they sort of, you know, I was surprised with
- 7:05when I got there was there was windbreakers, there was the
- 7:08buckets and spades, there was the deck chairs.
- 7:11I wish I'd have known that those sort of things in the beach
- 7:13towels were actually in the property already.
- 7:16So sometimes even letting people know what you actually offer is
- 7:19fantastic because got it to save some room in my car if I'd have
- 7:22known that beforehand. So things like that would have
- 7:25made a huge difference. It was a pleasant surprise.
- 7:27It certainly didn't affect my stay, but it meant that I could
- 7:30have took some other, you know, some other bits with me instead
- 7:33that I've maybe had to had to pull out a secondary and during
- 7:37the stay can be really important as well.
- 7:39So I'm thinking about welcome packs and things when you
- 7:42arrive. So this could be things like the
- 7:45contact details of the local cab services that you've got around
- 7:49there and taxi services. It could be all the top
- 7:52restaurants to go to. What's the price range of those?
- 7:54What contact number should I have to book a table?
- 7:57It could be discounts for local activities as well.
- 8:00Where are the best walks? Where are the best playgrounds
- 8:04for children? Where are the best dog walks or
- 8:07dog friendly beaches. So that can be really important
- 8:10too. And then also one thing that we
- 8:14do is really, really important site is a is what we call a
- 8:18first first night text message that we sent to them.
- 8:22And this is just how did you sleep?
- 8:24How did your first night sleep go?
- 8:27And this allows customers to flag anything that could have
- 8:31potentially been a possible negative or, you know, a
- 8:36complaint, you know, in the future.
- 8:37And it gives you time to actually rectify it before the
- 8:40end of the stay. This is a real proactive, you
- 8:44know, sort of a message that goes out that I think makes the
- 8:46world of difference and customers feel back, feel
- 8:50trusted, you know, by all of that as well.
- 8:53And then after the stay, so we're talking about on part
- 8:55today, what should we, you know what, how should I leave the
- 8:58property And of course collecting that more important
- 9:01feedback as well. When it comes to certain
- 9:03expectations, I think firm but gentle is the best way to
- 9:08approach things. I would definitely include it in
- 9:11that before communication as well as the departure
- 9:15communication as well because think about myself on holiday.
- 9:18When it comes to the before communication, I'm very much in
- 9:23planning mode. I'm in organization mode.
- 9:26I am thinking and preparing. I'm reading everything really
- 9:28carefully. Whereas when it comes to the
- 9:30departure e-mail, I'm still in holiday mode.
- 9:32So I am not really reading anything in full detail.
- 9:36So go with using it in both communications.
- 9:39That's a really good idea. And in those you want to do
- 9:42things like where do you want all of the crockery?
- 9:45Do you want it all to be in the dishwasher and left so that you
- 9:47can put it out knowing that it's clean?
- 9:49Do you want it to be away? Do you want all of your linen to
- 9:51be taken off the bed? Where do they put all of the
- 9:55rubbish and all of the the bean bags?
- 9:57Where's that one going to go? And the sort of timings of when
- 10:02they need to vacate the property.
- 10:03So all of these things are really important, but you very
- 10:06much set the standard for when they've arrived.
- 10:09So if when they've arrived that property is spotless, that's the
- 10:14way that they're going to leave it as well.
- 10:15So you set the standard, you've got to make sure that you're
- 10:18going for that top standard first as well.
- 10:20And when you're with an agency, you're usually backed by, you
- 10:24know, good booking conditions too.
- 10:26So I know in our booking conditions it's that you leave
- 10:29the property as you found it, treat it as your own.
- 10:32So you're making those expectations, not just a list of
- 10:34demands, but it's part of the sort of shared experience that
- 10:38you're going with. So I think that's really, really
- 10:41important. So many great tips there.
- 10:45I love the one about sending the message the morning after a
- 10:48guest arrives. I do think that makes a massive
- 10:50difference because often a guest.
- 10:52They might have something that they're not quite.
- 10:54Happy with a little niggle and they're not going to contact you
- 10:57about it unless you are proactive.
- 11:00And sometimes that issue might get mentioned in the review.
- 11:04And as a host, it can be quite frustrating because you think,
- 11:06well, if you'd have told me this.
- 11:08Earlier I'd have been able to put this right, but that message
- 11:11allows you to. Allows the guest.
- 11:13To come back to you and say, oh look, you know XY and Z, it'd be
- 11:16better if I. Had this or?
- 11:17Whatever it was. So yeah, I think, I think that's
- 11:19a really, really great tip. Talk to us about.
- 11:22Cleaning and maintenance How can owners get?
- 11:27This right? And how important is it to work
- 11:30with a? Cleaner who really understands
- 11:33short term rentals. So as I sort of said, clean and
- 11:37absolutely it's the backbone of everything.
- 11:39It's critical, It's crucial that we get this right.
- 11:42We're not just talking about a once over.
- 11:44And I think that's where a lot of owners can go wrong.
- 11:46It's just a quick once over. It's not, it's a thorough clean.
- 11:49So whether you do it yourself or you're hiring professionals,
- 11:52it's getting that detailed checklist of exactly what needs
- 11:55doing. It is a good idea to get, you
- 11:58know, sort of help in. But when you are going for
- 12:00professional help, things you need to think about is if that
- 12:03cleaner is sick or that cleaner wants to go on holiday
- 12:06themselves, who is then going to cover those?
- 12:08You don't want to get yourself into a tricky messy situation
- 12:11where you've got a guest coming, but your cleaners then on
- 12:13holiday, how are you then going to do it?
- 12:15So a real thorough clean checklist and it's not just a
- 12:18once over, it's a full clean of the property.
- 12:20It's something that's vital and important.
- 12:23And then when it comes to maintenance, regular inspections
- 12:26and checking the appliances during or change over days, just
- 12:30making sure things like changing light bulbs or the batteries in
- 12:33a remote can be really frustrating for a customer and
- 12:36you know, can make a huge, you know, difference and stop a
- 12:39bigger issue coming out. So just checking everything's
- 12:42work working during that time as well.
- 12:44But then also having a trusted trades, you know, people group,
- 12:49you know, whatever it is that you can call on quickly that are
- 12:52reliable, that you can then sort.
- 12:54And you've got great ways that you can work with sort of a, a,
- 12:58a, a property management company in that a lot of our owners will
- 13:03set maybe a guide price that they'll go up to for things
- 13:06like, you know, if it was changing the light bulbs or
- 13:08anything like that, they might say, if the job is within 100 or
- 13:11200 lbs, go ahead and do it. I don't need to be contacted.
- 13:14You don't need my approval. Just go ahead and do it, get it
- 13:16done quickly. And then anything over that,
- 13:18that sort of limit, then they will check first before, before
- 13:21taking it out. And then that can again, just
- 13:23help to speedily, you know, correct things.
- 13:26And there's lots to juggle when it comes to property management.
- 13:29So if you're on site and you're looking to do this as more of a
- 13:33hobby and absolutely, you know, if no one's going to treat that
- 13:36property being yourself, you've poured your heart, your money,
- 13:39you know, into it, go for it if you're going to get the
- 13:42enjoyment out of it. But if you, you know, are a
- 13:44couple of hours away from the property, you've got a full time
- 13:47job, you've got a family to look after, the last thing you want
- 13:49to do is juggle, you know, customer communications, the
- 13:52clean, the maintenance, suddenly the boiler breaks.
- 13:56So you're going to want to make sure that you've got a reliable,
- 13:58a reliable supplier there with you.
- 14:01And that's where, again, an agency can help you in that they
- 14:05will have either in house providers like ourselves or
- 14:09again, like ourselves in certain locations.
- 14:11And it could be a network of preferred suppliers that have
- 14:14been vetted that we know that we can trust.
- 14:16And of course, if things aren't quite right, you could, you
- 14:18know, you can always change and get another supplier as well
- 14:22when it comes to. Deep cleaning and maintenance
- 14:26checks. What are the best practices for
- 14:29these areas? Yeah, So I think when you think
- 14:32of deep cleans, I think for me it's probably every one to three
- 14:35months, depending on how busy the property is.
- 14:38And I think you should try to time them before the busy
- 14:41period. So time them before the Easter
- 14:42break, time them before the Super, you know, super peak of
- 14:45the summer holidays and straight after as well, because that's
- 14:48the time when your property is being used the most.
- 14:51When I talk about deep cleans, we know that the property is
- 14:53getting thoroughly cleaned on every changeover because we know
- 14:56that that's vital. This is where I'm talking about
- 14:58cleaning the carpets and showing the windows, the gardens
- 15:01pristine, you know, inside the actual appliances itself rather
- 15:06than just on the outside. So it's going above and beyond
- 15:10the sort of usual clean that we've got there.
- 15:12And then when it comes to the sort of maintenance, again, a
- 15:15monthly inspection of just checking everything and ticking
- 15:19it off and keeping a log of the small repairs that you've been
- 15:22doing, but also using your reviews as a bit of a blind spot
- 15:26too, of anything that could have been missed is really, really
- 15:28important. And that you respond to those
- 15:30really quickly. And then I would say have a sort
- 15:33of annual, you know, where you block the property off maybe for
- 15:36a week or two during the off peak season.
- 15:39And maybe it's a November, January sort of time or or
- 15:42during December, just not your Christmas and New Year week that
- 15:46you can get to the property to maybe refresh some of the paint
- 15:49work. And maybe you want to refresh
- 15:50some of the decor with a furniture, the linen, all of
- 15:53these things can really sort of help and it's a full refresh for
- 15:56the next, next year. And it just regular and and
- 16:01consistent cleaning and and inspection of maintenance can
- 16:05just ensure that there's no costly surprises in the future.
- 16:08You mentioned reviews there and we.
- 16:11All get a bad one now and again. Whether it's deserved or or not.
- 16:16What advice? Do you have for owners on how to
- 16:20respond to negative reviews? I think firstly, you know, don't
- 16:25take it personal. I think is is the biggest one.
- 16:28And before you ever respond, you know, to a guest review that
- 16:32that could be negative is take a deep breath before you go and
- 16:36respond. You know, the next customer will
- 16:39be judging your response just as much as they were judging the
- 16:42review itself. So it's become, you know, don't
- 16:46be reactive, don't be aggressive and it don't be, you know, sort
- 16:49of combative, you know, towards it.
- 16:52It's, it's just taking a really professional and, and calm
- 16:56neutral approach to it. So thank that guest for
- 16:59providing that feedback. Thank them for sharing those
- 17:02views. And if it is warranted, if it's
- 17:04a valid claim, then absolutely own it, You know, apologize for
- 17:08it. Hold your hands up and explain
- 17:11exactly the, the, the, the path you've taken to actually resolve
- 17:15that. So we're really sorry that the
- 17:18heating, you know, the boiler was, was broken when you were
- 17:20there. Since then we've had it
- 17:21inspected and it's, it's fully working.
- 17:24So it's letting guests know that that was an issue here.
- 17:26We're really sorry, but we've rectified that.
- 17:29And if you're feeling that the review maybe is inaccurate or
- 17:33invalid, then again, it's just explaining your point of view in
- 17:37a really professional, calm way, because as I said, they are
- 17:41judging both of them and treat it like a business.
- 17:44So don't take everything personal.
- 17:46Every property is not going to be everyone's cup of tea.
- 17:49And I always think that even the one or two, you know, what will
- 17:53you go to class as negative reviews can actually make your
- 17:56property look a bit more trustworthy than a glowing 5
- 17:59star review all the time. Because sometimes I see just
- 18:02five out of five content. I'm thinking it's got to be
- 18:04something wrong. You know, you want to, you want
- 18:08to add trust, you want to add validity to it.
- 18:10So you, you want to make sure that you do show the good and
- 18:13the bad and, and the proactive, you know, work that you've done
- 18:16to make things right. So it is absolutely not the end
- 18:19of the world. For every bad one, you'll get 20
- 18:21good ones. So don't worry and don't take it
- 18:23personal. Yeah, that's interesting what
- 18:25you say there about your trusting, trusting a 4.7 / 1,
- 18:29that's five across the board a little bit more.
- 18:32So for new owners who might feel we do get those properties,
- 18:35they're all five star, we do get them.
- 18:37They are the, you know, they are the golden properties and we do
- 18:41get them. I know.
- 18:42I know exactly what you mean though.
- 18:45So for new owners who might. Feel a bit overwhelmed just by
- 18:49the challenges of everything involved in holiday letting.
- 18:52How can they? Avoid burnout.
- 18:55And and keep a positive outlook throughout the process.
- 18:59So it's normal to feel overwhelming, I think is the
- 19:03first thing to to sort of consider here that is, you know,
- 19:06it's total, you know, normal to feel that way.
- 19:09It's part of the journey. There is an awful lot of things
- 19:12to juggle when you're first setting out.
- 19:14There's the guest communications, your pricing,
- 19:16your availability, your calendars, your marketing, the
- 19:19cleaning maintenance. There is a lot.
- 19:21So I would say outsource what you need to.
- 19:24So if you're on site, you want to do the clean and think about
- 19:26then get a booking and marketing agent that can take care of all
- 19:29the rest for you. So, or if you are, as I said,
- 19:32miles away from the property, think about hiring in the
- 19:35professional, helping the professional team to sort the
- 19:38property maintenance and management for you.
- 19:41So outsource what you can and again, treat it like a business
- 19:45from day one. You know, it's not a sort of
- 19:47personal project. It's a business at the end of
- 19:50it, you know, particularly when it comes to things like price
- 19:53points, you know, people can go, well, I, I think my property's
- 19:56worth more, you know, than that one, than that price.
- 19:59But then when you look that you're getting a slightly lower
- 20:01price, but get 2 in that one week, you walk away with more
- 20:04money. And then it then it starts to.
- 20:06Become more like a business and not as a set of personal venture
- 20:09and exactly the same when it comes to the reviews.
- 20:11So if you do get one of those sort of bad reviews, again,
- 20:14that's not your sort of your personal worth or the OR the
- 20:17property that was just one, one review in there.
- 20:21So I just think it take it day by day.
- 20:23Take a break whenever you need to take a break as well.
- 20:25Even if you are wanting to do all the maintenance and and
- 20:30cleaning yourself, you sometimes will need a holiday too.
- 20:33So whether it is to the property itself or to maybe it's another
- 20:36property that's with that agency, take a break for
- 20:39yourself to, you know, protect your own health and mental
- 20:42state, you know, through it all. But you couldn't get ad hoc
- 20:46cleans too. So it doesn't mean that you have
- 20:48to shut down shop and it doesn't mean you have to close the
- 20:50business when you go off. You could always get an ad hoc
- 20:52clean from if you've got a company that have got lots of
- 20:56supplier networks and you could do that as well.
- 20:59So don't go it alone. Outsource what you need to
- 21:02outsource and treat it like a business, not a personal
- 21:05project, and and treat it with a business mindset.
- 21:08I'm sure there'll be people out there thinking.
- 21:11I love my holiday. Let but I want to have a bit
- 21:13more free time so if they're. Thinking of.
- 21:16Working with a holiday letting agency like Sykes.
- 21:20What should they be? Looking for when they're having
- 21:22those conversations and and doing their research.
- 21:26So I think you've got to choose a company that works for you.
- 21:29So don't just go with the brand, go with a company that ticks all
- 21:33the boxes and gives the services and has the morals and all of
- 21:36the ethics that suit you. I think transparency is
- 21:39everything. So know exactly what services
- 21:42are being offered, what they're going to cover.
- 21:45A good agency should build a package to suit your needs, so
- 21:48it should be a bespoke package for you that's going to cover
- 21:50everything. There shouldn't be any hidden
- 21:52costs. You should know exactly what
- 21:53you've got to pay at all times and they should they should feel
- 21:57more like a partnership rather than just a transaction.
- 22:01You know, don't just take that company's word for a reputation
- 22:04is everything. So look at other reviews, look
- 22:06at what other owners are saying about those.
- 22:08Look at some of the awards that they have received from both
- 22:11customers and owners. And the customer service that
- 22:14they give is going to be everything because that's the
- 22:17customer service that your guests are going to be
- 22:18receiving. So have a little look how that
- 22:20all works. You know, how are they going to
- 22:22be treated? What tools do they have?
- 22:26Take a little look at what the list in itself looks like.
- 22:28So how is your property going to be marketed?
- 22:31Do you need to juggle lots of sites or are they going to do
- 22:33everything for you? And will they do all the
- 22:35photography? Will they help you to stage it?
- 22:37What guides have they got for you?
- 22:39So one of the things that I love to give out to owners, you know,
- 22:42on that very first visit, we have a beautiful pack that has
- 22:45sort of got a checklist of every single room of what you need to
- 22:49take and it's got lots of hints and tips on there.
- 22:51So having your three, you know, sets of bedling and so on,
- 22:55that's in the, in the covered and ready to go on monitor the
- 22:57washer months on the bed itself. You know, all of these little
- 23:00tips, making sure that your, your kitchen's well equipped.
- 23:02So you've got the pizza cutter, you've got the egg cups, you've
- 23:04got everything. So it's a checklist that you can
- 23:06go through of all of these. If you've got a hot tub, maybe
- 23:09having a hot water tap installed outside next to the hot tub is
- 23:13going to make that sort of refilling of, of water much
- 23:16quicker and much faster. So that's a really good one.
- 23:20So make sure that they've got guides that can support you
- 23:23along the way and you can just check every think off and then
- 23:26they'll have cleaning guides and checklists too to help you with
- 23:29everything. And then lastly, I think for me
- 23:33is that, as I said, you're happy with the way that the property
- 23:38is going to look. You're happy with the services,
- 23:39you're happy with the customer services and an account manager
- 23:42that cares. I think that's the big important
- 23:45thing. I think one of the reasons I've
- 23:47been with sites for for a long time.
- 23:50So I've been with them. So I'm just over 11 years now
- 23:52and we live and breathe property.
- 23:55You know, it is very much in our blood.
- 23:57You know, we absolutely, you know, love properties, love
- 24:00holidays, love making memories for people.
- 24:02And we want to be with a company that cares just as much about it
- 24:07as you do. So that's an important piece.
- 24:10And with ourselves, you'll get a dedicated account manager that
- 24:12will get to know you get to know your property.
- 24:15So it is about getting you and your property to succeed and
- 24:19they care about it just as much as you do.
- 24:21So that's some of my some of my tips.
- 24:24Superb. And if people are interested in
- 24:26learning more about working with Sykes, where should they go?
- 24:29So they can go to our website And so that's
- 24:31www.sykescottages.co.uk. They can go to the letting the
- 24:35property side of it, but also just give one of my team a call.
- 24:38So I've got a team of holiday let advisors that you'd be given
- 24:41a dedicated on board advisor and that can help you from whether
- 24:45you are purchasing your first holiday home or you don't know
- 24:48where to invest in locations, whether you're completely new to
- 24:51it or whether you maybe you're switching from a competing
- 24:53agency. So go onto the website, do our
- 24:55inquiry form or just quickly give us a call.
- 24:58So 01244345700. Fantastic.
- 25:03And we'll put all those details in the show notes.
