- Rob (AI host): You booked the meeting in Google Calendar, you had the meeting, and HubSpot never heard about it. Dana (AI host): HubSpot's Sales extension for Google Calendar now has a beta that lets you push that meeting into HubSpot yourself. Rob (AI host): Today: how to turn it on, what still won't sync, why it matters, and a one-week test for your reps. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): Up front: Dana and I are AI hosts. Rob (AI host): We don't have calendars or prospects, and we haven't synced a meeting ourselves. Dana (AI host): I'm Dana, and today I'm playing an account executive who books most first calls straight from Google Calendar, not from a scheduling link. Rob (AI host): Here's the change. Rob (AI host): If a calendar event never made it into HubSpot on its own, you can now open it in Google Calendar, click Log meeting to HubSpot, pick the records it belongs to, and save. Rob (AI host): You can do the same thing while you're creating a brand-new meeting, so it lands in HubSpot with the right records from the start. Dana (AI host): And I never leave Google Calendar to do it? Rob (AI host): That's the idea. Rob (AI host): Our research notes both actions happen inside the Chrome extension, right on the calendar event, so you're not switching into HubSpot to hunt for the record. Dana (AI host): Why did meetings go missing in the first place? Rob (AI host): Our research describes the usual story. Rob (AI host): A rep books a call with someone who isn't in HubSpot yet, the event doesn't sync, and the rep has to stop, go create the contact, and hope the sync catches up. Rob (AI host): Often it doesn't. Dana (AI host): Which plans get the new option? Rob (AI host): HubSpot's help page lists all products and plans, and it's a beta. Rob (AI host): A Super Admin opts the account into Manual meeting syncing and enhanced meeting creation in the Sales Extension for Google Calendar. Dana (AI host): And what has to be set up on my side? Rob (AI host): Two things. Connect your calendar to HubSpot. Rob (AI host): Then, in the HubSpot Sales Chrome extension, click the sprocket icon, open the Settings tab, and switch Google Calendar on. Dana (AI host): What won't sync, even with the button? Rob (AI host): Three kinds of meetings. Cancelled meetings, meetings marked private, and meetings with no associations. Rob (AI host): You have to pick at least one record before HubSpot will take it. Rob (AI host): So if a meeting has no contact or deal picked yet, choose one first, and then sync. Dana (AI host): So a private meeting stays private. Good. And if I tied it to the wrong deal? Rob (AI host): For meetings that already synced, click the meeting, open the associations dropdown, choose the object type on the left, search for the record, and tick or clear the boxes. Rob (AI host): At least one contact has to stay associated. Rob (AI host): So you can swap records around, but the meeting never ends up with no contact at all. Dana (AI host): Why does this matter to the rep I'm playing? Rob (AI host): Why it matters: our research says unlogged meetings quietly break your data. Rob (AI host): Activity reports look clean but miss a few conversations a week per rep, and the deal timeline your manager reads is missing the calls that moved it. Rob (AI host): Logging from the calendar closes that gap where the meeting was booked. Rob (AI host): For a manager, that means forecast calls built on what really happened, not on what someone remembered to log. Dana (AI host): So who should care first? Rob (AI host): Our research points to reps who send calendar invites directly instead of using a scheduling link, and RevOps managers tired of chasing activity after the fact. Rob (AI host): If every meeting already goes through a HubSpot scheduling link, the impact is smaller. Rob (AI host): For teams that meet with lots of outside buyers, this is the quickest win in the update. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Reps skip logging when the CRM feels like extra work. George B. Thomas (AI voice clone): A new button helps, but habits change with training. George B. Thomas (AI voice clone): Our Sales Hub training happens inside your portal, with your pipeline, your deal stages, and real contacts, and each role, from SDRs to managers, learns the tools they actually use. George B. Thomas (AI voice clone): After training, we check back in on adoption. George B. Thomas (AI voice clone): Find Sales Hub training under services at Sidekick Strategies dot com. Dana (AI host): Okay, Rob. What couldn't we pin down? Rob (AI host): Recurring meetings, mostly. Rob (AI host): Our write-up said a manual sync only logs one instance of a recurring series, with full series support coming before public beta. Rob (AI host): HubSpot's August product updates then said recurring external meetings with a CRM contact now sync to HubSpot automatically. Rob (AI host): HubSpot's help page doesn't say how the manual button handles a series, so test one before you tell reps it's covered. Rob (AI host): There's also an attendee rule on HubSpot's page for managing meetings from Google Calendar: the meeting needs at least one CRM contact as an attendee, from a different email domain than your account. Rob (AI host): It doesn't say whether that applies to the new manual sync, so try it with a prospect who isn't in HubSpot yet. Dana (AI host): That's the exact case this feature is meant for, so it's worth knowing before you roll it out to the whole team. Dana (AI host): Anything else on that page worth knowing? Rob (AI host): Yes. Anyone can log a meeting outcome from Google Calendar. Rob (AI host): Logging the meeting type needs Sales Hub Professional or Enterprise, with call and meeting types turned on. Rob (AI host): And the Prep for meeting and follow-up buttons need Sales Hub Professional or Enterprise plus an assigned Sales Seat. Dana (AI host): Then here's my week, as the account executive I'm playing. Dana (AI host): Step one: ask a Super Admin to opt into the beta, then switch Google Calendar on in the Chrome extension. Rob (AI host): Step two: find three meetings from last week that never reached HubSpot, and log each one to the right contact and deal. Dana (AI host): Step three: book one new meeting with the associations set as I create it, and check that it shows up on the deal. Rob (AI host): Step four: try one recurring meeting and one meeting with a brand-new prospect, and write down what happened. Dana (AI host): Step five: share what worked with the team, so everyone knows which meetings still need a second look. Rob (AI host): And after that week, compare each rep's activity report with their calendar. Rob (AI host): If meetings are still missing, check whether they were private or cancelled before you blame the rep. Rob (AI host): Bottom line: if HubSpot missed a meeting, you can now log it right from the calendar. Dana (AI host): You'll find every source linked in the show notes, and more of our research at Sidekick Strategies dot com. Rob (AI host): We're grateful you spent this time with us. Dana (AI host): Log it where you booked it. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music.
