Transcript
- 0:00SPEAKER_02: You know how every spring there's that moment where you look around your space and you think, okay, it's time to clean this up.
- 0:08SPEAKER_02: I feel like nonprofits have that same moment with their systems.
- 0:12SPEAKER_02: You open up your CRM, your donation tools, your spreadsheets, your this, your that, and nothing is technically broken, but everything feels just a little bit harder and messier than it should.
- 0:26SPEAKER_02: Things take longer.
- 0:27SPEAKER_02: You're double-checking everything, you're clicking around trying to find what you need.
- 0:31SPEAKER_02: And you know it could be better, but you don't even know where to start.
- 0:36SPEAKER_02: The Nonprofit Podcast, powered by DonorBox.
- 0:40SPEAKER_02: Welcome to the Nonprofit Podcast.
- 0:42SPEAKER_02: I'm Jenna Lynch, Head of Community Engagement here at DonorBox.
- 0:46SPEAKER_02: Each week we bring you practical strategies, clear insights, and inspiration to help you raise more, reach further, and take your nonprofit to the next level.
- 0:55SPEAKER_02: Today we are basically doing a version of spring cleaning, but for your systems.
- 1:01SPEAKER_02: A little bit of, you know, spring cleaning without turning it into a huge project.
- 1:07SPEAKER_02: And the goal here is to keep it simple and useful so that you can walk away and make something just a little bit easier for yourself this week.
- 1:16SPEAKER_02: And I am so excited to be joined by Darren Cook, founder of MyMogul Media.
- 1:22SPEAKER_02: He is also one of our amazing donor box ambassadors.
- 1:26SPEAKER_02: He works with nonprofits to simplify their digital presence and systems so teams can operate more efficiently without getting overwhelmed or adding more tools.
- 1:35SPEAKER_02: Darren, I am so glad we are finally doing this.
- 1:38SPEAKER_00: Jenna, I'm excited to be here.
- 1:40SPEAKER_00: Yes, yes, yes.
- 1:42SPEAKER_02: I think this conversation is long overdue and something that we've talked a lot about in the last year that I we've known each other.
- 1:51SPEAKER_02: I can't believe it's only been a year.
- 1:53SPEAKER_02: I think many of our listeners may be familiar with you and MyMogul.
- 1:57SPEAKER_02: But before we dive in, for anyone who may not be familiar, can you share a little bit about MyMogul Media and the kind of work that you do with nonprofits?
- 2:04SPEAKER_00: So if I'll take you back all the way to about 2009 when I started, I'm born and raised in New Orleans.
- 2:11SPEAKER_00: Growing up, um my journey of being an entrepreneur was uh started selling Mardi Gras beads.
- 2:18SPEAKER_00: But I've been doing a website and building digital ecosystems and systems for nonprofit leaders since 2009.
- 2:26SPEAKER_00: Uh, worked with clients all over America.
- 2:29SPEAKER_00: Um, so I've seen it all, I've experienced it all, and I just deeply, deeply love what I do.
- 2:34SPEAKER_00: And I'm so excited to be here with you.
- 2:37SPEAKER_00: Excited for the work that we will do together in the future, the Sodic for the work that DonorBox is doing already.
- 2:43SPEAKER_02: Thank you for that.
- 2:44SPEAKER_02: And I know your coming up story very well at this point.
- 2:48SPEAKER_02: And uh I love the work that you're doing.
- 2:51SPEAKER_02: I think that you've used this term a lot, uh, empathetic systems.
- 2:56SPEAKER_02: Yes.
- 2:57SPEAKER_02: Right?
- 2:57SPEAKER_02: You want your systems to work for you, not against you.
- 3:02SPEAKER_02: And I think that context is important because you're seeing this up close across a lot of different teams and types of nonprofit organizations.
- 3:13SPEAKER_02: So I feel like what we're talking about today is probably something you run into all the time, right?
- 3:18SPEAKER_02: So let's let's get right into it.
- 3:21SPEAKER_02: When a nonprofit comes to you and says, I just feel like our systems are messy.
- 3:29SPEAKER_02: I feel like everything's harder than it should be.
- 3:32SPEAKER_02: Things aren't talking to each other.
- 3:34SPEAKER_02: There's not just a clear path to the type of work that I'm doing every single day.
- 3:40SPEAKER_02: What does that usually look like in real life for these organizations?
- 3:45SPEAKER_00: And I do hear that a lot.
- 3:46SPEAKER_00: I was just on a call with a nonprofit leader from Dallas before uh we got on the call.
- 3:53SPEAKER_00: And when people say their systems are messy, it's not literally messy, it's not chaos, it's more of quiet friction.
- 4:02SPEAKER_00: Now I'll give an example.
- 4:03SPEAKER_00: It's more like your donor data is in multiple places.
- 4:07SPEAKER_00: It's really like a lot of the tasks that you and your team are doing, it's a lot of copying and pasting work, moving from one spreadsheet to the other.
- 4:15SPEAKER_00: It's tools that do not connect.
- 4:18SPEAKER_00: And it's teams that's relying just on memory instead of the systems, just to shear willpower along to just grind it out instead of really having your infrastructure in place.
- 4:30SPEAKER_02: That makes a lot of sense.
- 4:31SPEAKER_02: I think what you're describing is something that um teams can get used to over time, right?
- 4:39SPEAKER_02: Uh nothing feels urgent enough to fix, but something feels just a little harder than it should.
- 4:47SPEAKER_02: And like you said, it's quiet friction.
- 4:49SPEAKER_02: It kind of creeps in a little bit and it adds up.
- 4:52SPEAKER_02: And it's probably not always one big issue, right?
- 4:54SPEAKER_02: It's just friction everywhere.
- 4:57SPEAKER_02: So uh let's say someone's listening and thinking, uh, like, okay, that you're speaking to me.
- 5:03SPEAKER_02: That's not as much.
- 5:04SPEAKER_02: That is me.
- 5:05SPEAKER_02: Uh, if if a nonprofit wants to take a step back and basically just check their systems, how should they actually walk through that?
- 5:16SPEAKER_02: So, not even like what they'll find yet, just how they should approach checking to make sure that things are set up in a way that truly serves them.
- 5:25SPEAKER_02: And is this something that teams are realistically doing on their own?
- 5:30SPEAKER_02: And um maybe how you would guide your clients through it.
- 5:35SPEAKER_00: And and maybe can I pause just for a second before I go there?
- 5:39SPEAKER_00: I want to just for the listeners who are really saying, well, maybe is he talking about me?
- 5:46SPEAKER_00: Is he not?
- 5:47SPEAKER_00: I'm talking about you.
- 5:48SPEAKER_00: And I want to explain why I really want to paint the picture about what a messy system is, if you don't mind.
- 5:56SPEAKER_00: So let's say we are at home, close our eyes, we're in our kitchen cooking our favorite meal.
- 6:01SPEAKER_00: What are we gonna cook today, Jenna?
- 6:02SPEAKER_00: Just give me a dish.
- 6:04SPEAKER_00: It's gonna be gumbo.
- 6:05SPEAKER_00: Okay, I was gonna say gumbo too.
- 6:08SPEAKER_00: Okay, so we're gonna make a gumbo.
- 6:11SPEAKER_00: This is how a messy system will look.
- 6:14SPEAKER_00: I'm in the kitchen, and everybody know, you know, you have your pots in the cabinet, you have your spatula in one cabinet, you have your seasoning here.
- 6:24SPEAKER_00: If the system was not organized, it was it would look something like this.
- 6:30SPEAKER_00: You would have to go into the living room to get a pot.
- 6:33SPEAKER_00: You would have to go into the bedroom to get your seasoning, you would have to go outside in a trunk to get something.
- 6:40SPEAKER_00: We would not tolerate that in the kitchen because it's creating so much friction.
- 6:45SPEAKER_00: Even though the gumbo may turn out to be amazing, I'm gonna be exhausted just from looking for things.
- 6:51SPEAKER_00: Yeah.
- 6:51SPEAKER_00: So that is why it's important to have really a cohesive system and using tools like donor box to really make everything seamless because you will you're gonna save you and your team so much time.
- 7:04SPEAKER_00: And I know it's difficult when you're used to running, and I'm the same way, I'm guilty of it as well.
- 7:10SPEAKER_00: So the people I'm talking on, I'm not picking on you.
- 7:14SPEAKER_00: I'm showing you is a better way to do it.
- 7:16SPEAKER_00: So, fast forward to your question.
- 7:19SPEAKER_00: Uh, with the four-part reset, I would say, Jenna, if someone has just one hour, I would say just take a moment and pause and think about your information.
- 7:30SPEAKER_00: The first part would be take a moment and understand where your information live.
- 7:38SPEAKER_00: That's the first point.
- 7:39SPEAKER_02: Okay.
- 7:40SPEAKER_00: After figuring out where your information lives, let's move to our second point is where does it move to?
- 7:48SPEAKER_00: Once you realize where the information is and where it's moving to, where does it get stuck?
- 7:53SPEAKER_00: Where's the bottleneck?
- 7:55SPEAKER_00: Every organization has a bottleneck.
- 7:59SPEAKER_00: So just take a moment after you after you identify the information and where it gets stuck, then figure out what feels heavier than it should.
- 8:08SPEAKER_00: What are your teams telling you?
- 8:10SPEAKER_00: Oh, Darren, oh, Jenna, I'm really, you know, doing this.
- 8:13SPEAKER_00: I'm staying up until midnight doing these manual spreadsheets.
- 8:17SPEAKER_00: The data from uh the donation portal is not in sync with the email listserv.
- 8:23SPEAKER_00: It's those small whispers that the team will help you identify it.
- 8:28SPEAKER_02: Okay, so when you talk about data, that can mean a lot of different things.
- 8:34SPEAKER_02: Let's let's say just for the purpose of general fundraising, because that's the space that we're in right now.
- 8:40SPEAKER_02: Can you give me a tangible example of data to where it's moving to, to where it could get stuck?
- 8:46SPEAKER_00: So if you're if you're collecting data, and I'll just say old school in terms of using like a Google spreadsheet or something, and you're using an email listserv as it can be MailChimp, Constant Contact, Clavio, those it those systems are not talking to each other.
- 9:05SPEAKER_00: So it's it's it's so impossible to really see your metrics.
- 9:10SPEAKER_00: Tell me who's the most active donors, which ones have been giving consistently over the last 24 months or over the last six months.
- 9:20SPEAKER_00: You are only telling a fraction of your story if you do not have your systems talking to each other.
- 9:28SPEAKER_02: Mm-hmm.
- 9:29SPEAKER_02: Mm-hmm.
- 9:29SPEAKER_02: Yep.
- 9:30SPEAKER_02: I think about having segments in your donation platform and identifying your recurring givers, your mid-level donors, your major donors.
- 9:40SPEAKER_02: Yes.
- 9:40SPEAKER_02: And if your email platform, as you said, isn't talking to your fundraising platform, how do you then send personalized emails to those specific donors, donors, right?
- 9:52SPEAKER_02: Uh and and I like to that through this system, identifying your data, where it's going to, and what the roadblock is, you're not starting with tools as a solution here.
- 10:03SPEAKER_02: You're truly just starting with how things are being used.
- 10:07SPEAKER_02: Absolutely.
- 10:08SPEAKER_00: Absolutely.
- 10:09SPEAKER_00: Absolutely.
- 10:10SPEAKER_02: Uh you're you're taking a step back and just sitting and just looking at how things are operationally working.
- 10:16SPEAKER_02: And so once someone goes through that process, what do you find with your clients are the most common issues that tend to show up?
- 10:24SPEAKER_00: The number one, you're gonna laugh at this, is having multiple systems that are doing the exact same thing.
- 10:32SPEAKER_00: Yeah, no single source of truth, no single system or platform that allows you to see everything that's happened in one cohesive place.
- 10:42SPEAKER_00: Manual processes that should be automated is something that I see often.
- 10:47SPEAKER_00: No clear ownership.
- 10:48SPEAKER_00: Oh, I think I signed this to Mary, I think Bob was doing it, I'm doing a little bit of everything.
- 10:54SPEAKER_00: So no one on the team is really responsible for one thing, but everybody's responsible for everything.
- 11:01SPEAKER_00: So that's what I see.
- 11:03SPEAKER_00: And um one common consensus is a lot of the times nonprofit leaders do not need more twos, they need fewer twos, just use better.
- 11:16SPEAKER_02: I think that's where teams really get tripped up because the answer is not always adding new tools.
- 11:22SPEAKER_02: Like you said, it's it's just asking whether the tools you already have are actually working together.
- 11:27SPEAKER_02: And that's, I mean, in my experience, especially true for fundraising systems.
- 11:32SPEAKER_02: Your fundraising platform should make work easier, you know, not just um sit off to the side as its own separate thing.
- 11:39SPEAKER_02: And that's one thing I really appreciate about DonorBox as a fundraising system.
- 11:44SPEAKER_02: It can serve a strong core of your nonprofits set up right while still connecting the other tools that people rely on every day, whether that's a CRM, an email platform, workflows through Zapier or QuickBooks, your your accounting tools.
- 11:58SPEAKER_02: And I laughed because I've been there when you said when you take a step back, you realize, oh, all these people are doing a little bit of everything.
- 12:08SPEAKER_02: Yes.
- 12:09SPEAKER_02: And not only is that inefficient for your team, but your donors can feel that.
- 12:15SPEAKER_02: Absolutely.
- 12:16SPEAKER_02: Donors experience that.
- 12:17SPEAKER_02: How many times do donors get the same type of outreach email from two different staff members without them knowing that the other person reached out, right?
- 12:26SPEAKER_02: There are so many ways that that shows up that doesn't just impact you internally as an organization, but your donors, they do feel that one way or another, right?
- 12:35SPEAKER_00: Yes.
- 12:35SPEAKER_00: And Jenna, if you don't mind, I would love to just paint the picture for when you're not using an empathetic system, how it impacts donors.
- 12:46SPEAKER_00: So, you know, us, you know, our team at MyMogul Media, we're passionate about building the infrastructure and this digital systems for nonprofit emission-based leaders.
- 12:58SPEAKER_00: And I always just like to bring it home for people who are trying to grasp the importance of having the right digital ecosystem.
- 13:08SPEAKER_00: So think of a nonprofit, uh, a donor.
- 13:12SPEAKER_00: Just think of a donor discovering your website.
- 13:16SPEAKER_00: Your website is almost like your front door.
- 13:19SPEAKER_00: So if they're knocking on the door and no one's coming, it's gonna be like, Am I wanted?
- 13:25SPEAKER_02: Yes.
- 13:26SPEAKER_00: Okay, so if the door is unlocked and they push a little bit and they say, Hello, is he gonna still like?
- 13:34SPEAKER_00: Does Darren want me here and not?
- 13:36SPEAKER_00: Or should I go home?
- 13:37SPEAKER_00: So if your website is not doing it justice, if your mission is unclear, if the path to donate has a lot of friction, it's gonna feel like, do they want me here?
- 13:48SPEAKER_00: So, okay, you have the first step.
- 13:50SPEAKER_00: You have the first step where your website is functional and somebody is there to donate.
- 13:56SPEAKER_00: They're now in your home.
- 13:58SPEAKER_00: When someone comes to my home, I like, I'm from New Orleans, so I like to give them everything, including the kitchen sink.
- 14:04SPEAKER_00: So greeting them properly is an equivalent of as soon as somebody gives a donation, Jenna, you should say, thank you, Jenna, for your generous donation.
- 14:13SPEAKER_00: An email received instantly.
- 14:15SPEAKER_00: Here's our tax ID number, here's the contribution number.
- 14:18SPEAKER_00: And if they're really advanced and if they really want to be trendsetters, um, they will migrate to such as donor box to allow the donor to be empowered to change their donation amount at any time.
- 14:31SPEAKER_00: So that's someone in their house.
- 14:34SPEAKER_00: You're gonna offer them anything to drink, you're gonna ask them.
- 14:38SPEAKER_00: The challenge is when everybody on the team is responsible for something, but no one is really responsible.
- 14:44SPEAKER_00: It's sort of, okay, Jenna comes to my house, I greeted her, but it's just like, who's gonna be the host?
- 14:50SPEAKER_00: Is it gonna be Mary?
- 14:51SPEAKER_00: Is it gonna be Darren?
- 14:53SPEAKER_00: If you're not clear, the donor's gonna feel like, ugh, I mean, it's a beautiful house, but they don't really have their stuff together.
- 15:00SPEAKER_00: I think I may need to cut this short.
- 15:02SPEAKER_00: How are you gonna have longevity and sustainability with your art with your organization and the stakeholders if things are not clear?
- 15:11SPEAKER_00: It's funny right now when I think when you think about it in terms of cooking and inviting people, but it's the same fundamentals.
- 15:18SPEAKER_00: It really is.
- 15:19SPEAKER_02: I think it does perfect analogy.
- 15:23SPEAKER_02: And I've been guilty of this before.
- 15:25SPEAKER_02: When I've thought about auditing my systems, I truly do feel like for a while I thought it was just an internal thing, right?
- 15:34SPEAKER_02: My journey, my experience with my tools, but it's also the donor's journey, their experience with your tools.
- 15:43SPEAKER_02: Yes.
- 15:43SPEAKER_02: Right?
- 15:43SPEAKER_02: So there's two sides of the coin here.
- 15:47SPEAKER_02: And um you kind of need to take a look at it all from the very beginning.
- 15:54SPEAKER_02: The the introduction to the desired action.
- 15:58SPEAKER_00: Yeah.
- 15:59SPEAKER_02: So um, I think when people start to really analyze these things internally, externally, how their tools are talking to each other, how their tools are creating an experience for themselves, for their donors, they're going to find a few things.
- 16:13SPEAKER_02: Even a nonprofit, as you said, you're like, if you're not sure if I'm talking to you, I'm talking to you.
- 16:18SPEAKER_02: There's going to be something, right?
- 16:20SPEAKER_02: Uh there are going to be things that they find that are causing some kind of friction.
- 16:25SPEAKER_02: So, how should a nonprofit decide what's actually worth friction?
- 16:30SPEAKER_00: So, I would take a moment and really ask the team what is really causing the most chaos?
- 16:40SPEAKER_00: What's pulling your hair out?
- 16:42SPEAKER_00: Because it may be something that can be implemented within a few hours, and it's not a whole overhaul that will take a year.
- 16:50SPEAKER_00: So it's not necessarily the biggest mountain, what's actionable that we can take today or this week?
- 16:57SPEAKER_00: So I would really take a moment in understanding where your gaps are and talking to your team and just looking at two, what are the things that you're doing daily or even weekly, manually copying and pasting in the spreadsheet?
- 17:09SPEAKER_00: Sending if you're sending an email to a certain subset or segment every so often, you that should be automated.
- 17:17SPEAKER_00: Um, donation receipts, none of that should be manual.
- 17:21SPEAKER_02: How many systems do you think a nonprofit needs to be efficient?
- 17:25SPEAKER_02: And what's the max amount?
- 17:27SPEAKER_00: Okay, okay, okay.
- 17:28SPEAKER_00: I like that question.
- 17:29SPEAKER_00: I like that question.
- 17:30SPEAKER_00: So I would say a sweet spot would be three to five systems.
- 17:35SPEAKER_00: Okay.
- 17:35SPEAKER_00: You need, of course, your CRM, your donor platform.
- 17:39SPEAKER_00: You need your email platform if that's constant contact, MailChimp, Clavio, you know.
- 17:45SPEAKER_00: Of course, you need your website.
- 17:48SPEAKER_00: And then those are the basic ones.
- 17:50SPEAKER_00: If you want to get fancy, I would do an internal tracking system so you can see your own internal metrics.
- 17:57SPEAKER_00: And I would see an optional reporting layer.
- 17:59SPEAKER_00: So I would I would keep it definitely the three essentials would definitely be your CRM donor platform, donor box, side note, your email platform, and of course your website.
- 18:12SPEAKER_00: So if you have those fundamentals in place, you are trending in the right direction.
- 18:20SPEAKER_02: And and I like that you said website because I wouldn't have initially thought a website as a system for the longest time, but it is because that's how it connects back to your CRM, to everything.
- 18:34SPEAKER_02: Uh so for those listening, take take a take a look.
- 18:38SPEAKER_02: How many systems are you using right now?
- 18:41SPEAKER_02: And are they serving multiple purposes, the same purpose as each other?
- 18:46SPEAKER_02: Can you streamline?
- 18:47SPEAKER_02: Can you use Zapier to connect things so that they work better?
- 18:51SPEAKER_02: Uh, three to five, that could be a challenge for some.
- 18:53SPEAKER_02: So we've talked a lot about what it can look and feel like on both sides when systems are not working well.
- 18:59SPEAKER_02: Um, so what does uh what does that feel like when everything's working together?
- 19:03SPEAKER_00: Yes, it should feel like support, not stress.
- 19:06SPEAKER_00: That's the main thing.
- 19:08SPEAKER_00: People on your team will know where to go to find it, it will almost like if you're if you have a really well-organized kitchen, okay, the forks and spoons are in this straw, the cups and everything are in this pantry, everything has a place.
- 19:25SPEAKER_00: Less second guessing, fewer things falling through the cracks, and faster, clearer decisions.
- 19:31SPEAKER_00: Those are the things that will make a good system.
- 19:34SPEAKER_00: It should feel like support, not stress.
- 19:38SPEAKER_02: And that's that's what we all want, right?
- 19:40SPEAKER_02: Yeah.
- 19:40SPEAKER_02: You mentioned this earlier on, so I want to bring it full circle.
- 19:44SPEAKER_02: If someone listening has just one hour this week to improve things just a little bit, what would you recommend they do with that hour?
- 19:53SPEAKER_02: And if they get into it and they realize they need more support than they really thought they did, how should they think about getting help?
- 20:01SPEAKER_00: Awesome.
- 20:02SPEAKER_00: Okay, so yes, if you just have one hour for the week, I want you to just do a small reset to just take inventory.
- 20:10SPEAKER_00: And the first point would be just see where your information is living.
- 20:15SPEAKER_00: And then after you do that, I want you to just think about the flow.
- 20:21SPEAKER_00: Where is it moving?
- 20:22SPEAKER_00: From what system to what system?
- 20:25SPEAKER_00: Then I want you to look at it and see where the bottlenecks in your organization is happening.
- 20:31SPEAKER_00: Where are things getting delayed?
- 20:32SPEAKER_00: Where are things getting stuck?
- 20:34SPEAKER_00: And then finally, I want you to tell me what feels heavier than it should.
- 20:39SPEAKER_00: When you're doing this work, when you're thinking, I know it's a better way to do this.
- 20:44SPEAKER_00: Or, you know, the team, it's not a lack of passion, guys.
- 20:49SPEAKER_00: It's more of just having the right infrastructure.
- 20:52SPEAKER_00: So if things are falling through the cracks, it's not because you or your team do not care.
- 20:56SPEAKER_00: It's just you need better systems in place.
- 20:59SPEAKER_00: Um, if someone still needs assistance, of course, uh, I would love to help you.
- 21:06SPEAKER_00: You can find more about working together and uh schedule a uh digital clarity call on our website.
- 21:13SPEAKER_00: It's mymogulmedia.com.
- 21:16SPEAKER_00: It's M Y M is in Mary O-G-U-L M E D I A dot com in a short version of our URL.
- 21:24SPEAKER_00: It's just M is in Mary, the number three dot media.
- 21:27SPEAKER_00: So mymogulmedia.com, m3.media.
- 21:31SPEAKER_00: Love, love helping nonprofit, mission-based leaders just like you.
- 21:35SPEAKER_00: Listening, yes, I'm talking to you, listening.
- 21:39SPEAKER_00: There's a better way to do this, I promise.
- 21:42SPEAKER_00: And you're gonna feel so much better.
- 21:44SPEAKER_00: You're gonna feel lighter, you're gonna wonder, why did I not do this sooner?
- 21:50SPEAKER_00: It gives you more time to focus on serving your community because in Jenna, I'm sure you're gonna agree with me with this.
- 21:58SPEAKER_00: An empathetic system is good on both sides, right?
- 22:02SPEAKER_00: It's good for the organization and the end user.
