- 0:00SPEAKER_00: Hi everybody, it's Kim Hughes, and today we're going to talk about client events.
- 0:05SPEAKER_00: So, this is one of my most favorite things to do every year.
- 0:09SPEAKER_00: I love helping our clients put these together, and I've been doing these events for probably 20 years, and we've gotten pretty good at it.
- 0:19SPEAKER_00: So, stick around.
- 0:20SPEAKER_00: We're going to talk about how you do this, what your timeline is, and what should you do.
- 0:27SPEAKER_00: Welcome to the Unstoppable Real Estate Agents Podcast.
- 0:31SPEAKER_00: I'm your host and real estate productivity expert, Kim Hughes.
- 0:35SPEAKER_00: Join me as we focus on real strategies and implement real solutions designed for you to achieve major success in your business and life while getting you organized.
- 0:48SPEAKER_00: So today we're going to talk about how to do a client event.
- 0:52SPEAKER_00: And I'm going to use the Thanksgiving Pie event as my example.
- 0:58SPEAKER_00: But just remember, this applies to any kind of an event that you want to put on.
- 1:08SPEAKER_00: The timeline will pretty much be the same, but you need to decide what you want to do, what's in your budget, and what does your what do your clients want?
- 1:18SPEAKER_00: You know, if if you live in an area where, you know, people have wineries and, you know, everybody's into wine, you may want to do a wine event.
- 1:27SPEAKER_00: You may want to do a movie theater and rent out the movie theater and have all your past clients come to that.
- 1:34SPEAKER_00: The Thanksgiving pie is a great one.
- 1:36SPEAKER_00: Um, Santa Pictures, breakfast with Santa, um, you know, photo op opportunities with the local nurseries and a photographer.
- 1:46SPEAKER_00: There are so many ideas.
- 1:48SPEAKER_00: Um, and I'll even throw one out there that we do for another client because everybody in her market does the Thanksgiving pie.
- 1:56SPEAKER_00: She loved the idea.
- 1:57SPEAKER_00: She just didn't want to do it at Thanksgiving because everybody else was doing it.
- 2:00SPEAKER_00: So we came up with 4th of July, and we did blueberry and cherry, maybe apple.
- 2:09SPEAKER_00: There were two flavors, I know that.
- 2:12SPEAKER_00: And so she did that for 4th of July, and that was probably one of her biggest events she's ever done.
- 2:17SPEAKER_00: So, just so you know, I have over 20 years doing these events.
- 2:21SPEAKER_00: Um, they are so much fun.
- 2:23SPEAKER_00: The agents have so much fun doing it because they're not so stressed out because they have a system in place.
- 2:30SPEAKER_00: And that's what we're gonna talk about today is we're gonna talk about when do you start putting your events together?
- 2:36SPEAKER_00: Now, for example purposes, I'm going to use the Thanksgiving pie event, which is always you're handing out your pies the weekend prior to Thanksgiving.
- 2:49SPEAKER_00: So your days are always gonna be the same for Thanksgiving.
- 2:52SPEAKER_00: Um, if you're gonna do 4th of July or another holiday, just remember the weekend before the actual holiday, okay?
- 3:00SPEAKER_00: Um, because you don't want to get into the family and you know, people coming in from out of town, people going out of town, those are the reasons.
- 3:06SPEAKER_00: Plus, it's easier to do it the Saturday before because it's easier on YouTube.
- 3:10SPEAKER_00: Okay, so why do we want to do a client event?
- 3:15SPEAKER_00: Um, they can be very expensive or they can be done on a shoestring budget.
- 3:20SPEAKER_00: Um, I always say to start off with a shoestring budget.
- 3:24SPEAKER_00: If you have no database, okay, if you're a brand new agent and you want to do this just to get your name out there, then invite people.
- 3:31SPEAKER_00: The key is to have the RSVP.
- 3:34SPEAKER_00: That's the number one thing you've got to remember is your RSVPs are gonna be very important.
- 3:41SPEAKER_00: So you've got to have that follow-up system so that you know how many pies that you need to purchase to give away.
- 3:48SPEAKER_00: Okay.
- 3:49SPEAKER_00: Now you're always gonna have pies left over.
- 3:52SPEAKER_00: People are gonna forget, they're gonna say, yes, I'll pick it up, and then they don't.
- 3:55SPEAKER_00: And you can do a couple of things here.
- 3:57SPEAKER_00: After the event is, you know, once it's over and you have pies that people have that actually RSVP'd, you can call them and ask them if you can drop them by.
- 4:07SPEAKER_00: Um, or you can take them and donate them to a food pantry, you can donate them to a nursing home, you can donate them to the church, you know, whatever it is that you want to do, you can donate them.
- 4:20SPEAKER_00: Um, you know, you might want to just take them home and hand them out to your neighbors.
- 4:23SPEAKER_00: You know, there's nothing wrong with that.
- 4:25SPEAKER_00: So kind of start thinking about that as well because you don't want to order too many.
- 4:31SPEAKER_00: Because if you say, I have 20 people of RSVP on the pie, then you might want to get 25, right?
- 4:40SPEAKER_00: You know, just always have a few extras because people will stop by.
- 4:44SPEAKER_00: What are y'all doing?
- 4:45SPEAKER_00: Everybody does that.
- 4:47SPEAKER_00: So always just be prepared.
- 4:49SPEAKER_00: And then the other thing that you want to think about is when you're doing the pie giveaway, is there anything else you want to do while you have your client at your disposal?
- 4:59SPEAKER_00: In other words, you've got your client right in front of you.
- 5:02SPEAKER_00: So what else can you do?
- 5:04SPEAKER_00: Do you want to serve maybe some apple cider, some hot chocolate?
- 5:08SPEAKER_00: You know, do you want to serve appetizers?
- 5:11SPEAKER_00: What is it that you want to do?
- 5:12SPEAKER_00: Or maybe they just drive up, you hand them the pie, and they leave.
- 5:17SPEAKER_00: You know, you can do something that simple.
- 5:19SPEAKER_00: So just kind of start thinking about that.
- 5:22SPEAKER_00: And you can, and if you use ChatGPT, you can definitely put this in there and it'll tell you, you know, what its recommendations are based on you as the agent and your market.
- 5:33SPEAKER_00: So once you have that, you know, understand that this is a great PR event.
- 5:39SPEAKER_00: This is something that's going to help you stand outside of all the other agents.
- 5:45SPEAKER_00: And then it's going to be memorable.
- 5:48SPEAKER_00: They're going to appreciate it.
- 5:49SPEAKER_00: They're going to talk about it.
- 5:53SPEAKER_00: They're going to have it at a family gathering and somebody's going to say, Well, who brought that pie?
- 5:57SPEAKER_00: And they're going to say, Oh, my agent did, you know, that kind of thing.
- 6:00SPEAKER_00: So think of it that way is that this is a um a way to give back to your clients as well as to build that strong relationship with them and make an impression.
- 6:15SPEAKER_00: Okay.
- 6:15SPEAKER_00: Now, one of the other things that I always say is, you know, when you're handing out the pies, do you want to mix that with business?
- 6:23SPEAKER_00: If not, don't.
- 6:25SPEAKER_00: Okay.
- 6:26SPEAKER_00: But if you want to, you could put in there a little um, maybe a copy of the market stats for that month or the previous month.
- 6:35SPEAKER_00: Um, maybe something in there that tells them what's going on in the local market.
- 6:40SPEAKER_00: And then, you know, you don't have to talk about it or anything.
- 6:42SPEAKER_00: You can just stick it into the pie, stick it on the pie, whatever you want to do, and then send it with them.
- 6:48SPEAKER_00: And then when they want to look at it, they can.
- 6:50SPEAKER_00: So the other thing that you want to keep in mind is when you are sending out your RSVPs, you want to make sure you have a good address, a good email address, a good phone number, um, make sure you have the right names, you know, and everything.
- 7:05SPEAKER_00: Make go back into your documents and look at your closing files and make sure you have everything correct.
- 7:11SPEAKER_00: Because when you send this out, you don't want to have any mistakes on it.
- 7:15SPEAKER_00: And you sure don't want to have to email somebody and it'd be a wrong email, or you call them and it's to the wrong person or something like that.
- 7:22SPEAKER_00: So just make sure that before you start on this, the first thing you need to do is update your past clients because that's who you're inviting to this event, is all of your past clients.
- 7:34SPEAKER_00: You can invite anybody you want, but it's really for your past clients and it's to show them how much you appreciate them and everything that goes along with that.
- 7:44SPEAKER_00: So keep that in mind is that this is a great opportunity to update your database, which you know I'm always going to tell you that.
- 7:51SPEAKER_00: Um, and then as you do this, it's going to be a tradition.
- 7:55SPEAKER_00: So if this is your first year, um just put all of it in there.
- 8:00SPEAKER_00: I I will give you a story of an agent many, many years ago.
- 8:05SPEAKER_00: She decided she wanted to do the Thanksgiving pie giveaway.
- 8:09SPEAKER_00: And we talked about it.
- 8:10SPEAKER_00: I asked her, how many do you have in your database?
- 8:13SPEAKER_00: She'd been in business two, three years, maybe.
- 8:16SPEAKER_00: So she only had like 20, 25 people.
- 8:19SPEAKER_00: She invited them, and she, of course, bought the five extras, like we had advised her.
- 8:25SPEAKER_00: And then what she did with them was she did take them to her local nursing home.
- 8:30SPEAKER_00: But what was interesting is that 25 people were invited.
- 8:34SPEAKER_00: I think 17 actually showed up.
- 8:37SPEAKER_00: So now what we've already talked about what she did with the leftovers, but those 17 people, that was her first Thanksgiving pie giveaway.
- 8:46SPEAKER_00: So the people that showed up for that first event are going to reap the rewards in the future.
- 8:52SPEAKER_00: So here's what you do.
- 8:54SPEAKER_00: If you are a first-time agent, if you've never done this and you want to do it, I don't care how many people are in your database, invite your neighbors, invite people from the business community, um, you know, invite people from your networking.
- 9:07SPEAKER_00: You know, if you need to do this and you want to get it off the ground this year, invite whoever you want, you know, if you don't have the numbers to support it, okay?
- 9:17SPEAKER_00: But let me also say this for those agents that don't support the database to go out there and put the time and the effort into this, get the pies and then deliver them to your clients.
- 9:29SPEAKER_00: So if you have five clients from last year that closed, then you go buy five pies.
- 9:35SPEAKER_00: You do the same process, RSVP, everything.
- 9:38SPEAKER_00: They have to order their pie, they have to commit, and then you tell them you're gonna drop it off on Saturday between nine and twelve.
- 9:44SPEAKER_00: Done.
- 9:45SPEAKER_00: And then that makes an impression on them.
- 9:47SPEAKER_00: So then when the next year rolls around and you do the pie event, those five pick seven people that were in on the first, now they're two years in.
- 9:56SPEAKER_00: Now they're three years in.
- 9:58SPEAKER_00: And as you grow or as you build this event, you're gonna be so surprised at how many people love it, come back to it every year, talk about it every year, and it make it a big event.
- 10:12SPEAKER_00: I mean, make it really something.
- 10:14SPEAKER_00: I mean, if you're gonna take the time to either be at your office, be at your home, wherever you're going to distribute the plot the pies, make sure that it's a fun event.
- 10:26SPEAKER_00: You are high energy.
- 10:27SPEAKER_00: Everybody on your team, high energy.
- 10:30SPEAKER_00: When you see the people, they are the only people in the room.
- 10:33SPEAKER_00: If I walk in that room, I don't care if there's a hundred people standing there, I want you to treat me as if I'm in the only person in that room.
- 10:41SPEAKER_00: And when you do that, people that makes them feel good, they're gonna feel, they're gonna leave feeling good, they're gonna remember that, they're gonna talk about it, and they're going to be excited to see you again because you took the time to really focus on them and what they need.
- 10:57SPEAKER_00: Now, is this an event where you want to talk about real estate?
- 11:01SPEAKER_00: I really wouldn't.
- 11:02SPEAKER_00: Um, you know, I I mentioned that you can put in your market stats in there, and that's fine, but this is not a place for you to, hey, what are you ready to get and sell your house?
- 11:12SPEAKER_00: You know, who do you know and all that?
- 11:14SPEAKER_00: No.
- 11:14SPEAKER_00: This is I want to show my appreciation to you for trusting me with your biggest investment ever.
- 11:22SPEAKER_00: And this is one way I would like to say thank you.
- 11:25SPEAKER_00: And that's the way you do it.
- 11:26SPEAKER_00: It's all about them, all about what have they accomplished.
- 11:32SPEAKER_00: So, you know, if you have a smaller database, you could tap into social media and see what they've been doing.
- 11:38SPEAKER_00: You know, if they just had a baby, a grandbaby, a kid graduate, a marriage, um, a kid just went on a trip and they posted about it.
- 11:47SPEAKER_00: Have a little information before you start talking to your past clients when they show up for these events.
- 11:53SPEAKER_00: Because the more you know about what's going on with them, it's going to impress them.
- 11:59SPEAKER_00: And you don't want to be that agent that goes in and goes, oh, hey, I heard that your son just got back from the Appalachian Trail.
- 12:06SPEAKER_00: What a great experience.
- 12:07SPEAKER_00: I did that when I was, you know, 20 years old, et cetera, et cetera.
- 12:11SPEAKER_00: It's not about you.
- 12:12SPEAKER_00: It's not about you.
- 12:13SPEAKER_00: It's about your client.
- 12:15SPEAKER_00: So don't, you can say something about it, but don't go into any stories.
- 12:19SPEAKER_00: Make it all about their son who just got off the Appalachian Trail.
- 12:25SPEAKER_00: You know, that kind of thing.
- 12:26SPEAKER_00: I hope that makes sense because it's really not about you, the agent today.
- 12:31SPEAKER_00: This is about you saying thank you for your serve, you know, for them trusting you.
- 12:36SPEAKER_00: Okay.
- 12:37SPEAKER_00: So keep that in mind.
- 12:38SPEAKER_00: And then also have a photographer there.
- 12:42SPEAKER_00: You are not to take for pup photos or videos.
- 12:45SPEAKER_00: You are to assign someone to walk around and take videos and do testimonials and um take pictures.
- 12:54SPEAKER_00: That's all they need to do.
- 12:56SPEAKER_00: And then when that gets done, you'll bundle that up, put it in your online um folder, and then you'll edit everything, put it together, and then you can sprinkle it out into social media.
- 13:08SPEAKER_00: You can sprinkle it into a blog.
- 13:10SPEAKER_00: You can do all kinds of stuff with that, with those photos and the day of the event.
- 13:15SPEAKER_00: So what you want to do is have someone going around and documenting.
- 13:19SPEAKER_00: Then you want to have someone else going around with um, as they show up, you might have somebody, you know, what is your name?
- 13:27SPEAKER_00: Oh, my name is Kim Hughes.
- 13:29SPEAKER_00: I had an apple pie check, you know.
- 13:32SPEAKER_00: So you're checking off the people who have ordered the pies, but that is a different person.
- 13:37SPEAKER_00: You, as the agent, are the ones that are going to be meet and greet.
- 13:43SPEAKER_00: You're gonna be talking and and laughing and showing people where their pies are and walking them to their cars and having private conversations the whole 10 yards.
- 13:54SPEAKER_00: They bring their kids, you're gonna talk about the kids.
- 13:57SPEAKER_00: You might even have some little goodie bags that the kids can take home, you know, something like that.
- 14:02SPEAKER_00: Make it a real, you know, a real family event.
- 14:06SPEAKER_00: And so even if they don't bring the kids, you could find out what how old their kids are.
- 14:12SPEAKER_00: If they have young kids who like to color, send home a coloring sheet with a turkey on it, you know, or some little craft idea.
- 14:19SPEAKER_00: You can do so many things with this event that it would just be so phenomenal.
- 14:24SPEAKER_00: I had a client that did a um breakfast with Santa and they did photos.
- 14:30SPEAKER_00: So not only did you get to eat breakfast, I think they did doughnuts, or maybe it was pancakes, I don't remember.
- 14:37SPEAKER_00: But they did breakfast with Santa, and then you had the photo op.
- 14:41SPEAKER_00: So right there were two events for the kids that was family oriented.
- 14:45SPEAKER_00: Then they had an activity.
- 14:47SPEAKER_00: So as the kids were waiting to see Santa, um, those kids had an activity to work on.
- 14:53SPEAKER_00: You know, could it could be a coloring a page, it could be uh putting a puzzle together, it could be whatever you want it to be.
- 15:01SPEAKER_00: Could be a I wouldn't do a scavenger hunt because then you got kids running all over the place.
- 15:05SPEAKER_00: But you know what I mean.
- 15:06SPEAKER_00: Um, something that keeps them located.
- 15:09SPEAKER_00: You could even go buy a whole bunch of Legos and set them up.
- 15:12SPEAKER_00: I think you can go to Five Below or um Dollar Tree, Dollar General, find the knockoff Legos, and everybody gets to put together Legos.
- 15:22SPEAKER_00: You know, what a great idea.
- 15:24SPEAKER_00: There is a Lego Christmas set that I just bought because I'm putting them in my grandchildren's um Christmas stockings.
- 15:32SPEAKER_00: I'll put a link below and then you can order them too.
- 15:36SPEAKER_00: I I'm thinking I got them off of it, it was either Instagram or TikTok.
- 15:41SPEAKER_00: I'll put the link to the company, and if you want to order them, you can.
- 15:44SPEAKER_00: They wasn't that expensive.
- 15:45SPEAKER_00: I think you got like five, five boxes for 20 bucks, something like that.
- 15:49SPEAKER_00: So, anyway, so now that you kind of see where I'm going with this, you know, this is what you're going to be doing getting ready.
- 15:58SPEAKER_00: So let's kind of start there and talk about when do you start putting your Thanksgiving pie event together?
- 16:05SPEAKER_00: And keep in mind, this is for any event, okay?
- 16:09SPEAKER_00: You just need to adjust your guidelines and your timelines a little bit.
- 16:12SPEAKER_00: So you want to put your pie event together in um September, if you're doing it in November for Thanksgiving.
- 16:21SPEAKER_00: So, what you want to do in starting in September is looking at your database, what needs to be done to get that database updated, get the names correct, the email, the phone numbers, and start and start putting together like a little flashcard about each client.
- 16:40SPEAKER_00: Again, don't do that if you have 200 past clients.
- 16:45SPEAKER_00: But if you have like 10, 15 and this is your first time doing it, then do that.
- 16:49SPEAKER_00: Kind of remind yourself how old are their kids?
- 16:52SPEAKER_00: Anything I saw on Facebook that I could write down and maybe remember to ask them about, you know, the person that you're greeting, you know, that comes that's taking all the names and everything when they get there.
- 17:03SPEAKER_00: That could be where she's pulling their flashcard and then talking to you on the side before everything gets started.
- 17:10SPEAKER_00: So, you know, y'all need to work that out, but there is a way to do it, you know.
- 17:14SPEAKER_00: Like if you saw The Devil Wears Prada, remember Meryl Street at that party where she had Ann Hathaway and I can't remember her name behind her, and they were telling her who the people were and what the situations were so that she felt like they knew her, I mean, knew them all this time.
- 17:33SPEAKER_00: Have somebody like that.
- 17:34SPEAKER_00: There's nothing wrong with that.
- 17:35SPEAKER_00: If that's your child, you know, like a teenager, if you have like a teenager that's like 10, 11, 12th grade, um, have them do it, you know.
- 17:44SPEAKER_00: I mean, it's a family event.
- 17:45SPEAKER_00: Have your husband do it.
- 17:47SPEAKER_00: Um, have your wife do it if you're the agent, you know.
- 17:49SPEAKER_00: So figure that out.
- 17:50SPEAKER_00: But these are the tips.
- 17:52SPEAKER_00: So then you start in September, um, you're going to clean up your past clients.
- 17:58SPEAKER_00: You are going to decide who do you invite?
- 18:01SPEAKER_00: Do you want to invite other then um, like your vendors, which are your landscapers, your housekeepers, your electricians?
- 18:09SPEAKER_00: Do you want to invite people from other businesses, insurance, mortgage, you know, those are people to, you know, that you can invite as well.
- 18:17SPEAKER_00: Show your appreciation.
- 18:19SPEAKER_00: Um, so those are the things that you have to do first and then get them ready, put them in a separate category called client event, Thanksgiving pie, whatever you want to call it, just so that you can easily get to it and email to them when you get ready.
- 18:34SPEAKER_00: And then what you want to do from there is now you need to decide what am I gonna give them?
- 19:54SPEAKER_00: Am I going to do an apple pie and a cherry pie, blueberry pie?
- 20:00SPEAKER_00: What are you gonna do?
- 20:01SPEAKER_00: You know, are you gonna do cookies instead of a pie?
- 20:03SPEAKER_00: I don't recommend it, but you know, you can do whatever you want.
- 20:06SPEAKER_00: It's your event.
- 20:07SPEAKER_00: Um, but I would do the Thanksgiving pie.
- 20:11SPEAKER_00: I would call your local bakery.
- 20:13SPEAKER_00: Now, here's two things that you can do.
- 20:15SPEAKER_00: You can call your local bakery and work out a deal and say, look, I'm gonna be inviting, you know, I'm gonna use numbers hypothetically.
- 20:24SPEAKER_00: I'm inviting 50 people to my Thanksgiving pie event.
- 20:28SPEAKER_00: And these are the two pies that I'm gonna offer them.
- 20:31SPEAKER_00: How much are your pies?
- 20:32SPEAKER_00: And can you accommodate this order once I have it confirmed?
- 20:36SPEAKER_00: And I'll probably have it confirmed about two weeks before the actual event.
- 20:40SPEAKER_00: And then you work that out with that local bakery.
- 20:43SPEAKER_00: Maybe they give you a discount or ask for a discount.
- 20:46SPEAKER_00: They can put a business card in the pie to promote if they want to give you a real deep discount, like I'm thinking like 30 to 50% off of each pie.
- 20:56SPEAKER_00: Okay.
- 20:57SPEAKER_00: Now, if you don't want to go to the local bakery because it's too expensive, it's not in your budget, then you can go to your local Costco, Sam's, and talk to them and tell them what you're doing and how many pies do you need to, do you need to order those pies or will they have those pies?
- 21:14SPEAKER_00: I am of the always be ready.
- 21:16SPEAKER_00: So I'm gonna tell you to make sure that you order the pies so that the manager of the store or the bakery can put them over to the side for you.
- 21:24SPEAKER_00: Okay.
- 21:25SPEAKER_00: And then what you're gonna do is you're gonna pick those pies up on this on the Thursday or the Friday before the actual event, because then you have to do things to get that pie box ready.
- 21:35SPEAKER_00: Okay, so now we've cleaned out your database, we've chosen how and what we're going to be serving.
- 21:42SPEAKER_00: Now you got to decide what else am I gonna be doing at this event?
- 21:46SPEAKER_00: You know, um, I've given you the idea, so now you just need to decide do you want to just hand out the pies or do you want to make it more elaborate?
- 21:54SPEAKER_00: And then we go from there, um creating a page on your website because you're gonna promote it on your website.
- 22:02SPEAKER_00: That's the link.
- 22:03SPEAKER_00: I always tell everybody go get a domain that says like Kim's Thanksgiving Pie Event, or you know, the five-star team, or um, you know, whatever your your team name is, your name, whatever.
- 22:17SPEAKER_00: But going by the domain that says Thanksgiving pie event.
- 22:22SPEAKER_00: And then when you are sending out your invitations, you have the link to the order form.
- 22:29SPEAKER_00: And that's why you need the domain.
- 22:30SPEAKER_00: Now you can go into Google Forms and create your form.
- 22:33SPEAKER_00: You can ask them any questions you want.
- 22:36SPEAKER_00: Most important are what kind of pie do you want?
- 22:38SPEAKER_00: You know, do you want an apple or a cherry?
- 22:41SPEAKER_00: Um, and then, you know, make sure there's a place to put their name, their address, their phone number.
- 22:46SPEAKER_00: And that way, when you get that order, you can confirm it to what you have in your CRM.
- 22:52SPEAKER_00: Okay.
- 22:53SPEAKER_00: So you're going to do a couple of things here.
- 22:56SPEAKER_00: Now, this is where we're going to get in kind of nitty gritty.
- 23:00SPEAKER_00: We're going to create a mail out invitation.
- 23:04SPEAKER_00: Could be just a postcard.
- 23:06SPEAKER_00: Not, you know, we give you all these samples.
- 23:08SPEAKER_00: I'm going to tell you about that here in just a minute, but I'm going to give you everything that you need.
- 23:13SPEAKER_00: So So what I need you to remember is that you're going to mail the invitation and then you're going to email the follow-ups.
- 23:24SPEAKER_00: So they only get one invitation in the mail, right?
- 23:28SPEAKER_00: Snail mail.
- 23:29SPEAKER_00: And then everything else is going to be followed up by email.
- 23:33SPEAKER_00: And the reason why is because it's proper etiquette.
- 23:35SPEAKER_00: That's just the right way to do it.
- 23:37SPEAKER_00: Now, if you're that person that says, I don't want to spend the money, I don't have it in the budget, then of course you can send it out by email.
- 23:44SPEAKER_00: You can even call them and say, hey, I'm putting on my first client event.
- 23:49SPEAKER_00: I'm doing my fifth annual Thanksgiving pie event.
- 23:52SPEAKER_00: We'd love to have you.
- 23:53SPEAKER_00: I'm going to send you an email.
- 23:55SPEAKER_00: It's going to have a link.
- 23:56SPEAKER_00: Just click on the link, tell me what you want, and then we'll follow up and remind you.
- 24:00SPEAKER_00: So after you are sending out that email, so I'm going to do it old school.
- 24:06SPEAKER_00: I'm going to say, I'm mailing my invitation to my uh Thanksgiving pie event.
- 24:11SPEAKER_00: Okay.
- 24:12SPEAKER_00: Then I'm going to create my order form so that when they get the invitation, they get that link, they can go to it and make it simple.
- 24:22SPEAKER_00: Don't make it long and everything.
- 24:23SPEAKER_00: Make it something really easy for them to remember.
- 24:26SPEAKER_00: And then once they confirm, all right.
- 24:30SPEAKER_00: So now that they've confirmed, they go on the reminder emails.
- 24:35SPEAKER_00: Okay.
- 24:35SPEAKER_00: So this is, hey, we got your email.
- 24:38SPEAKER_00: You're confirmed to have this pie picking up between this time and this time on this day.
- 24:43SPEAKER_00: Um, then they're going to get reminders every week and then like two weeks before the event, a couple of times a week, the week of the event.
- 24:53SPEAKER_00: I want you to do a countdown.
- 24:55SPEAKER_00: This way they don't forget.
- 24:57SPEAKER_00: Okay.
- 24:57SPEAKER_00: Now you can do the countdown by text as well as email, but I would definitely try to do email up until the week of.
- 25:08SPEAKER_00: People don't like all these text messages.
- 25:11SPEAKER_00: I'm one that doesn't.
- 25:13SPEAKER_00: And so, you know, if you're going to send me a text, I'm going to see it right then.
- 25:16SPEAKER_00: So, but I don't want you doing it all the time.
- 25:19SPEAKER_00: I want you to do it the proper way, which is snail mail, email, and then text, okay?
- 25:26SPEAKER_00: And then the date, you know, so like the night before the event, you're going to um either call them or send them a text.
- 25:34SPEAKER_00: The morning of the event, you're going to send them a text.
- 25:37SPEAKER_00: And then, you know, if your event is like at from one to three, you might want to send a couple of them.
- 25:44SPEAKER_00: You know, you might send one at nine o'clock in the morning and another one at 11.
- 25:48SPEAKER_00: Um, if you're doing it first thing in the morning, then you of course just do it like maybe an hour before the event starts.
- 25:54SPEAKER_00: Okay.
- 25:54SPEAKER_00: Don't want to do it too early in the morning and wake them up on a Saturday and make them have a bad day.
- 26:01SPEAKER_00: The great thing about this event is that if you do it the way I'm telling you to do it, it's going to be a success.
- 26:10SPEAKER_00: 100%.
- 26:11SPEAKER_00: And what's even more cool is that you're going to have somebody there videotaping it.
- 26:16SPEAKER_00: You're going to have somebody taking pictures.
- 26:18SPEAKER_00: You're going to have other people there to help you.
- 26:21SPEAKER_00: Because your job on that day is to hand a pie and talk.
- 26:25SPEAKER_00: Hand a pie and talk.
- 26:27SPEAKER_00: It's not taking pictures.
- 26:29SPEAKER_00: Now, if somebody says, hey, I would love to have a picture with you, then you call your photographer over and you get your picture made.
- 26:35SPEAKER_00: Okay?
- 26:36SPEAKER_00: Simple, you know?
- 26:38SPEAKER_00: Um, but one of the other things that you can be doing is when they're taking pictures and you've got the other person taking down their information and everything, you could even have a form with their name on it.
- 26:49SPEAKER_00: And then it's got a box, give them a piece of paper and a pen, give them an iPad, phone, whatever you want them to do it in, and get a testimonial from them.
- 27:00SPEAKER_00: While they are there, they're excited, they're happy to see you, they're festive.
- 27:04SPEAKER_00: We've got the holidays coming up.
- 27:05SPEAKER_00: What's the best time to get a testimonial?
- 27:08SPEAKER_00: And then once you get it, when you, after the event is over and everything has calmed down, you take all those testimonials, you use them in social media, your newsletter, your presentations, your website, everywhere.
- 27:20SPEAKER_00: So you're accomplishing so much.
- 27:23SPEAKER_00: So we're not only showing our clients how much we appreciate them, we're going to give them a copy of the most recent market stats.
- 27:29SPEAKER_00: We're not going to talk about them unless they ask you.
- 27:32SPEAKER_00: Okay.
- 27:33SPEAKER_00: If they ask you, then I would definitely say, hey, give me five minutes and we'll have a conversation.
- 27:39SPEAKER_00: Or go into it if you can and say, and I'll follow up with you.
- 27:42SPEAKER_00: Don't go into great detail at the event, but give them enough to think about it and then say, I will follow up with you on Monday, whatever, you know, at three o'clock.
- 27:52SPEAKER_00: Let's put that on the calendar, et cetera.
- 27:55SPEAKER_00: Right?
- 27:56SPEAKER_00: So keep in mind when somebody does approach you at these events and they want to talk about, I want to buy, I want to sell, then when you get home, you send them your pre-listing package, you send them your um pre-buyer package, you send them everything that you can to prepare for them to talk to you on Monday.
- 28:18SPEAKER_00: The more prepared everybody is, the better the conversation goes, people make quicker decisions, and people respect the agent that knows how to prepare.
- 28:29SPEAKER_00: Pretty simple, you know?
- 28:31SPEAKER_00: Okay.
- 28:32SPEAKER_00: So then we've talked about all the things that you can do.
- 28:37SPEAKER_00: Um, like I said, you can make this into anything that you want it to be.
- 28:42SPEAKER_00: If you want to have a basketball game in the parking lot while you're handing out pies, you can do that.
- 28:50SPEAKER_00: But once the event is over and everything is put away, you've taken your leftover pies and you've done whatever, whatever you've decided to do with them, when you go home, then you know the first job is to look at who do I need to follow up with.
- 29:06SPEAKER_00: And then you make make that into your put that into your planner for the next week.
- 29:11SPEAKER_00: Then what you want to do is sit down and write out thank you cards.
- 29:16SPEAKER_00: Thank you for showing up.
- 29:18SPEAKER_00: Thank you for attending my client event.
- 29:21SPEAKER_00: It was so great to see you.
- 29:23SPEAKER_00: I really do appreciate you, and I hope you enjoy the pie.
- 29:26SPEAKER_00: The apple pie, the cherry pie, whatever.
- 29:29SPEAKER_00: You need to be very specific.
- 29:31SPEAKER_00: Do not say, I hope you enjoy the pie.
- 29:34SPEAKER_00: I hope you enjoy the apple pie or the pumpkin pie, you know, because you remember when your parents were raising you and and they were your mom was teaching you how to write thank you notes.
- 29:45SPEAKER_00: And so you were graduating from high school, and you know, mom would sit there and say, Well, that person gave you$10.
- 29:52SPEAKER_00: And then you would write, you know, dear Sue, thank you for the$10.
- 29:56SPEAKER_00: You know, I will be putting that towards my books when I go to college.
- 30:00SPEAKER_00: So you fe you have to tell them what they received, okay?
- 30:06SPEAKER_00: That's really important.
- 30:07SPEAKER_00: I mean, people take notice on how much detail you can remember about them.
- 30:13SPEAKER_00: So just make that little handwritten thank you, put it in the mail, and then after about a week, maybe two weeks, I would follow up with an email.
- 30:24SPEAKER_00: Probably would rather do a text.
- 30:26SPEAKER_00: So when you send that text, then what you can say is, hey Kim, just wanted to make sure that um you enjoyed your pie.
- 30:34SPEAKER_00: How was your Thanksgiving?
- 30:36SPEAKER_00: You know, um, just wanted to check in and just let you know how much I appreciate you.
- 30:41SPEAKER_00: Now, you may be sitting there saying, but I just mailed them a card that said thank you.
- 30:45SPEAKER_00: Yes, you did.
- 30:46SPEAKER_00: But then you're gonna follow that up because you don't know if they got it because they haven't said anything.
- 30:51SPEAKER_00: So when you follow up with a text, then they're gonna say, Oh yeah, thank you.
- 30:55SPEAKER_00: I got your thank you card, you know, that kind of thing.
- 30:58SPEAKER_00: But you always want to make sure that you say thank you for attending and thank you, you know, for whatever.
- 31:04SPEAKER_00: And I hope you enjoyed whatever.
- 31:07SPEAKER_00: Now, if you're doing pictures at an event um and you have a photographer, I mean like a professional photographer that is going to do your um fall pictures, Christmas, whatever they're doing for your clients.
- 31:24SPEAKER_00: They may want to have those pictures on their own website for them to download, and that's perfectly fine.
- 31:30SPEAKER_00: If not, you can put them on your website.
- 31:33SPEAKER_00: You just have to upload them and put them on your website.
- 31:36SPEAKER_00: And then I would always say that is a private link.
- 31:39SPEAKER_00: Because if you have children, you don't want those people, your clients having their children on your website.
- 31:45SPEAKER_00: You know, chances nobody's gonna mess with it, but you just don't want to put that out there.
- 31:52SPEAKER_00: That link is what you give them to go download their own photos.
- 31:56SPEAKER_00: Pretty simple, pretty private.
- 31:57SPEAKER_00: Nobody would have the domain unless you gave it out or unless they just happen to see it in a search or something like that.
- 32:04SPEAKER_00: So that's a pretty cool thing.
- 32:06SPEAKER_00: So keep that in mind that your your order form should be on your website.
- 32:11SPEAKER_00: You want everything on the website because when they go to that order form, it's in it's framed inside your website.
- 32:19SPEAKER_00: So now they're on your website, they're filling out the form for the Thanksgiving pie.
- 32:24SPEAKER_00: But now that they've done that, they're taken back to your homepage and they're sitting there going, Oh, I wonder, I wonder.
- 32:31SPEAKER_00: And then they start looking around on your website trying to get some information.
- 32:35SPEAKER_00: And if they can't find it, they'll ask you.
- 32:37SPEAKER_00: But at least they're on your website, which that drives inbound linking to your website, which helps you grow in the SEO.
- 32:47SPEAKER_00: So there's so much here to talk about.
- 32:50SPEAKER_00: So here's what we have done is we have taken all of this for you and created a package for your Thanksgiving pie event.
- 33:00SPEAKER_00: You can click on the link in the in the show notes or in the blog.
- 33:04SPEAKER_00: Um, if you're watching this on YouTube, it's going to be in the description below.
- 33:08SPEAKER_00: If it's on my website, you'll see it in the show notes.
- 33:11SPEAKER_00: If you're reading my blog, it's linked.
- 33:14SPEAKER_00: So we have put everything together for you.
- 33:17SPEAKER_00: All you have to do is click on the link, open it up, drop in your logos, your pertinent information, print it, mail it, done.
- 33:25SPEAKER_00: Email it, whatever it is that you want to do.
- 33:28SPEAKER_00: This whole package has been put together based on, again, the 20 plus years that I've been doing these events.
- 33:35SPEAKER_00: And what we've done is we've taken the package because I've talked to agents that say, oh, you know, I've heard of that.
- 33:41SPEAKER_00: I just don't have the energy.
- 33:43SPEAKER_00: I don't have, I don't know how to do that.
- 33:45SPEAKER_00: You know, I don't, I don't want to take the time.
- 33:47SPEAKER_00: It's too, I'm not a creative person, you know, that kind of stuff.
- 33:51SPEAKER_00: So we've taken all of that, put it together.
- 33:53SPEAKER_00: We've created your postcard, we've created your um your thank you cards, your pie labels, we've created your checklist, we've given you everything, your scripts and everything to put into this package.
- 34:07SPEAKER_00: So literally, you do not have to do anything except just follow the checklist and everything that's been created for you.
- 34:14SPEAKER_00: All you have to do is drop in your information, done.
- 34:17SPEAKER_00: So that will take a lot off of you as far as time and effort when you're putting this together.
- 34:25SPEAKER_00: So here's my recommendation is read my show notes.
- 34:30SPEAKER_00: I'm going to have a bunch of information for you in the show notes in the description in the blog, okay?
- 34:37SPEAKER_00: Then I'm going to give you a link to where you can go get the Thanksgiving pie package that we've created just for you.
- 34:44SPEAKER_00: And then if you need anything else, you can just reach out to us.
- 34:48SPEAKER_00: We'll help you put this together.
- 34:50SPEAKER_00: Not a problem.
- 34:51SPEAKER_00: We're very good at it.
- 34:52SPEAKER_00: Everybody on my team does this.
- 34:54SPEAKER_00: So we would be thrilled to death to help you have a very successful pie event this Thanksgiving.
- 35:02SPEAKER_00: But keep in mind, you can do this for any kind of event anytime throughout the year.
- 35:07SPEAKER_00: So thank you so much for joining me today.
- 35:10SPEAKER_00: This did go a little bit longer, but I felt like it was really important for you to have the information so you can decide if you want to start having a Thanksgiving pie event or any kind of event.
- 35:21SPEAKER_00: You just needed some guidelines.
- 35:23SPEAKER_00: And then if you have any questions, you just let us know.
