- 0:02Melinda Lee: Welcome, dear listeners to the speaking flow
- 0:05podcast where we share unique experiences and strategies to
- 0:09help you unleash your leadership voice. I can't wait to dive in
- 0:14today. It's been a while since I've done a solo episode, and I
- 0:18missed it. So today we're going to dive into communication, team
- 0:24communication breakdowns, as well as effective strategies for
- 0:28you to help you maximize your team's potential to get more
- 0:32into a flow and synchronicity. Let's start off with an example.
- 0:37Let's take a team and each member on a team. Imagine they
- 0:42all have their unique zone of geniuses, their unique
- 0:46strengths, they know it, they do it well. And yet, they miss
- 0:50deadlines. Why does this happen? What is the root cause? It's
- 0:56almost always misunderstanding of priorities, as well as
- 1:00misunderstanding, communication, misunderstandings. There's a
- 1:06team. Sarah, let's call her. She is focused on the team's
- 1:13technical aspects. She's diving in getting into all the
- 1:17technical parts. And she assumes that John is getting all the
- 1:21regular client updates. While John is getting all the client
- 1:25updates she gets she goes to John and says, We're the client
- 1:28updates. And he says, I got them. And she looks at the data,
- 1:35there's mismatch of data. And suddenly, the project has slowed
- 1:40down, and they've missed a deadline. Things happen like
- 1:45this all the time. Let's face it in our complex world, there's
- 1:50change. There's complexity, there's tons of variables,
- 1:54there's going to be misunderstanding. And then your
- 1:59team looks bad, the reputation looks bad, the overall
- 2:03relationships are broken. So how can we prevent this? Today, I'd
- 2:09like to talk about three strategies, the first one being
- 2:13have a robust communication channel. When you are first
- 2:18starting off, or brainstorming new ideas within the project,
- 2:23you need to have creativity, those meetings are best when
- 2:27they're live. I think it's important that you get the team
- 2:31together to develop a bond. There's nothing like being in
- 2:36person together to create a sense of bond to feel each
- 2:39other's energy as well as fuel for creativity, brainstorming
- 2:46together, open ideas, open the channel have new ideas. That's
- 2:51when creativity sparks. So getting together, especially
- 2:57when you need to develop some innovative solutions. Then once
- 3:02you have those you can meet regularly over Microsoft Teams
- 3:06or zoom to have regular meetings in your calendar, as well as if
- 3:10you're a leader meet with each individual regularly, and really
- 3:14understand where they're at, and how you can support them. Once
- 3:20you have your communication chat, oh, Slack and cello are
- 3:23also great, too. That's going to help with instant messages. I
- 3:28use Slack with my team, we have different channels for our
- 3:31different projects. And so we can go to each channel. And all
- 3:35of the messages for that channel for that project are organized
- 3:39within slack. And you can get and you can send messages
- 3:43quickly and the other person will receive it quickly. And
- 3:48then once you have these channels created, have
- 3:52transparent communication. Oh, open dialogue. That means every
- 3:59person is truly seen, heard and valued. When people feel seen,
- 4:06heard and valued, there's a bond. And when there's a bond,
- 4:11they feel safe. When they feel safe, they're going to want to
- 4:14collaborate, they're going to want to go the extra mile to
- 4:18make things happen. So do what it takes. And transparency
- 4:26doesn't mean that you spew out all of your emotions and
- 4:30feelings and escalate the tension. Knowing how to have
- 4:34transparent dialogue means that effective transparent dialogue
- 4:40means that you are direct. You're honest, respectful to
- 4:47each other. You really think through what is it that you
- 4:51want, and you say it calmly and clearly without trying to
- 4:58escalate the tension to him. much. And then you, you listen,
- 5:04you listen for feedback, you actively listen to others as
- 5:07well. So creating that environment where everybody's
- 5:13seen, heard and valued, that's transparent communication. And
- 5:19that is where you forge bonds. And that's when people will go
- 5:23the extra mile. And finally, you put in empathy. Empathy is one
- 5:30of the most overlooked skills that can be developed empathy,
- 5:34because we're always in our head, we're thinking we're
- 5:37analyzing, we're building we have structure, Empathy means
- 5:42going into your heart. But to have empathy means you need to
- 5:46have very good self awareness. Self awareness, is the key to
- 5:54empathy. Self awareness means understanding our own biases,
- 5:58our own feelings in every interaction, whether you're
- 6:02talking to your manager for or a colleague, what is my
- 6:06interaction or my feeling in this? Am I afraid? Am I worried
- 6:12or concerned, as I'm talking to this person, and because you can
- 6:18subconsciously project your own emotion into the interaction.
- 6:24And then you've broken the connection, you've broken the
- 6:29empathy, because you're in your own emotion and projecting that
- 6:32onto others. Empathy means that you understand the other
- 6:37person's perspective, without bringing your own emotion into
- 6:42it, you are fully present for the other person, listening to
- 6:48their perspective, and really getting all the details of their
- 6:51perspective. And also, their emotion, their feeling, what are
- 6:56their feelings involved without your own assumptions. That means
- 7:01that you have clear self awareness about where you're at,
- 7:04and knowing whether that's that that you are breaking or opening
- 7:10up the connection. Using these strategies that we share today
- 7:18around team communication, having a robust communication
- 7:23channel, having channels that streamline communication, so
- 7:28people get regular updates and know exactly where the team's at
- 7:32having transparent, respectful dialogue, honest dialogue in a
- 7:38way that allows everyone to feel truly seen, heard and valued.
- 7:45And having empathy, really putting yourself in their shoes,
- 7:49feeling what they're feeling, listening to their perspective,
- 7:52while refraining from your own. So having very clear self
- 7:56awareness about where you're at in it, and not projecting them
- 8:00onto others. When you can have this type of communication, you
- 8:07will rise above all obstacles. Because doing it together is
- 8:13better than doing it in one. And when you're in sync, and in flow
- 8:21with each other, you'll be able to succeed, achieve outcomes and
- 8:28get to that mountaintop. And I hope that you have some
- 8:34takeaways from this episode. And until I see you next time,
- 8:39continue to speak in flow. Connect authentically and be
