- 0:00Most short term rental damage doesn't come from one big
- 0:03disaster. It's death by 1000 cuts and most
- 0:06managers don't even realise it's happening.
- 0:09In this episode of Host Planet Bite Size, powered by Host
- 0:13Fully, I'm joined by Sam Parks from Rapid Eye, his company.
- 0:16Analysis, cleaning and inspection photos using AI to
- 0:20help property managers spot damage drift and changes over
- 0:24time. If you manage short term
- 0:26rentals, this conversation could completely change how you think
- 0:30about inspections. Let's get straight into it.
- 0:38Sam, thank you for joining us on House Planet Bite Size.
- 0:41Let's start by explaining what your business does.
- 0:45Yeah, so we use the new advancements in AI to help hosts
- 0:50detect damages and detect any changes in the tons of photos
- 0:53they're currently taking. We also allow cleaners to take
- 0:56videos and inspectors to take videos, so we can analyse that
- 0:59with AI. Excellent.
- 1:01All right, so based on your research, then please share your
- 1:05top operational insights for property managers when it comes
- 1:09to inspections and damage tracking.
- 1:13So. So let's start with insight #1.
- 1:16Yeah. So first thing we realized, like
- 1:18we went into the industry thinking, you know, if we detect
- 1:21damages, problem solved, right? Like that's, that's the end of
- 1:25story. But we realized is it, it really
- 1:27matters who we communicate with and how we get that information
- 1:30to that person. Like each property management
- 1:33company seems to have such a different way of doing this.
- 1:36Some individuals have like remote people, some people have
- 1:40just inspectors that go into each house, right?
- 1:42But each time, like there's this amount of knowledge that just
- 1:45gets stuck in each individual's head, right?
- 1:48Like you have an inspector who knows that that damage was
- 1:52already there, but like nobody else does.
- 1:54And like that guy leaves. And so one thing that for what
- 1:57we do, right, is we're trying to make these damage insights
- 2:00actionable. And so understanding that has
- 2:03been like a huge unlock and getting it to the right person.
- 2:05But for like, like hosts, I'm sure it would be super helpful
- 2:08to just like, have your inspectors write this stuff
- 2:11down, like keep it in a system of record that's easy for a new
- 2:14inspector to come in. Like it sounds obvious, but when
- 2:17you miss that, like you have a house and you have a new
- 2:19inspector come in and they just don't know what's new.
- 2:22So yeah, that that's one thing that we've noticed.
- 2:25Excellent. Just tell us and just explain to
- 2:27us how your system actually works.
- 2:29If you were trying to sell it to a property manager right now,
- 2:32how would you explain it? Yeah, so a lot of the property
- 2:35managers we work with already take hundreds of turnover
- 2:37photos. Some people have like hundreds
- 2:39of thousands in their, you know, operations platforms.
- 2:42And So what we do is we go and analyze like the entire history
- 2:46of a property, find out all the previous damages, talk to
- 2:49inspectors, figure out what is already there.
- 2:52And then we're able to see any changes, any damages with AI
- 2:56from new turnover photos that come in.
- 2:59And we flag those and send it to the right person on your team so
- 3:03that they can actually, actually review it, right.
- 3:04Because most of the time, a lot of these companies have tons of
- 3:08photos and they can't review all of them, right?
- 3:10Because there's just so many. They're managing so many
- 3:12properties, they're taking so many photos.
- 3:14You can't review all of them. So we try to make that, you
- 3:17know, actually actionable and actually possible to review all
- 3:20of them with the help of AI. Yeah.
- 3:23Excellent. All right then, so share with us
- 3:25insight #2. Yeah, yeah.
- 3:30I guess like second insight is that like for the people who are
- 3:33taking, you know, matter ports, right, for the people who are
- 3:38taking hundreds of photos, right, you have so much
- 3:43information in there, right that can be used to help your
- 3:49business, right. Like that, that information is
- 3:52just sitting there. And I think what we found is
- 3:55that like most companies just like accept this and like move
- 3:59on and let it sit there and they, they save it, but they
- 4:02don't do anything with it. And so like, I guess this is
- 4:06part of what we do, but like using that information somehow,
- 4:08right? Like we can ingest matter ports
- 4:11and use that as a baseline to see what's changed from that
- 4:15matter port. We can use listing photos,
- 4:17right? And like, I guess just like
- 4:19thinking about new ways to use like this really good data that
- 4:23you've already collected. And yeah, yeah, that's that's
- 4:28the main thing. So basically, so So what was the
- 4:31kind of the light bulb moment when you were setting up the
- 4:33business when when you realize that there's all these thousands
- 4:36and thousands of photos being taken every day, but but
- 4:39nobody's really doing anything with them.
- 4:42Yeah, I mean, I guess like kind of two light bulb moments.
- 4:45First light bulb moment was my Co founder manages vacation
- 4:48rentals in Outer Banks and he kind of saw like how hard it was
- 4:53to keep track of all these things and was like OK, let's
- 4:55use our computer vision knowledge to try to help solve
- 4:57this. But then when we're doing
- 4:59customer discovery and talking to these these bigger companies
- 5:02just like hearing about how many photos they take and just like
- 5:06how that just like exponentially scales right Like it one
- 5:09property is one thing and then it gets to two and then it gets
- 5:12to three and then as it gets to like hundreds it's just like
- 5:14exponentially hard to keep track of that and seeing that they
- 5:17just weren't using this. I remember I was on a call with
- 5:20somebody and saw like, I think it was like 600,000 photos in
- 5:25their OPS platform. And I was just like, Oh my God.
- 5:29Like it's just impossible. It's impossible to manually
- 5:32review this. And like, the fact that they're
- 5:34trying is awesome and proves that it's valuable.
- 5:37But like, can we make this easier, you know?
- 5:39Yeah, I'm thinking from my own experience and, and my cleaners
- 5:43and turnover team, they'll share photos after every single
- 5:47turnover. And do I go through and
- 5:49meticulously look at every single one?
- 5:51No, I don't. I just assume that everything's
- 5:53all right. So, so yeah, I, I, I completely
- 5:56get it. OK, then, quick one before we
- 5:58get to tip 3. This episode is powered by House
- 6:01Fully, the property management platform trusted by professional
- 6:04hosts and managers around the world.

- 6:33the property management software, and 30% off digital
- 6:36guidebooks for life. All right, back to it, Sam, what
- 6:40is insight #3? Yeah, I guess piggybacking off
- 6:46of what you said, which is like scanning over photos, like what
- 6:50we have realized is #1 like owners just see things
- 6:55completely differently than cleaners and, and how they're
- 6:59looking at the property and what they want to like surface.
- 7:04But the person who's actually looking at the property is the
- 7:06cleaner. And there's this like, kind of
- 7:11like, I don't know, there's this, there's like levels to
- 7:15like, OK, you scan the photos. How much can you actually
- 7:18surface there? Like what are you missing?
- 7:20And like, if you were to just like excruciatingly like look at
- 7:22every single photos, what could you detect?
- 7:25And like you would, you might expect that's like a small
- 7:28difference, but in reality, when you're, when you're scanning,
- 7:30you just cannot detect any of the little things.
- 7:33And it's like that, that difference is so high.
- 7:36And if we can get like the ability for an owner and some,
- 7:40some owners like that, I talked to like genuinely trust their
- 7:43cleaners so much and are able to like transfer this like, I don't
- 7:47know, like owners mindset into their, their cleaners.
- 7:50And that's amazing. Like that's one way to solve the
- 7:53problem for some, some property management companies, they just
- 7:57have a scale that they cannot do that.
- 7:59And so like, yeah, like finding a way to get those values into
- 8:02whoever's looking at the property and not just say like,
- 8:05oh, you know, report this, report that.
- 8:08One way is to, you know, what we're doing and using AI and
- 8:11like instilling those values on that AI.
- 8:13But another way is just like, yeah, trusting cleaners,
- 8:16building that up. And however, like, however way
- 8:19you want to do that. But that's one thing we've
- 8:21realized. Yeah, I think a lot of people
- 8:23we, we, we try to kind of get that mentality across to
- 8:26cleaners like you say, you know, thinking like an owner.
- 8:31But yeah, it's it's a very difficult thing to do and often
- 8:34issues will crock pub. I mean, if an owner kind of goes
- 8:38round there and maybe does inspections and all that kind of
- 8:40thing. But sometimes you'll mention it
- 8:42to a cleaner and they'll be like, Oh yeah, I saw that a few
- 8:45weeks ago, but it didn't get, you know, message, they didn't
- 8:49mention it or something like that.
- 8:50So, yeah, I mean, I guess having this photographic archive, which
- 8:54can instantly say, hey, there's a problem here, that would
- 8:57definitely help. Insight number 4 then Sam.
- 9:01Yeah, another, another insight we've been thinking a lot about
- 9:04is like this idea of using reviews as a metric for like
- 9:08what's wrong with a property? We've seen this in like we just,
- 9:12we just feel like this is like a deeply flawed way of going about
- 9:16it because you know it, it works, it's a proxy.
- 9:19But like the the entire point is to try to prevent those reviews
- 9:23beforehand. And then another thing is like,
- 9:26you know, what percent of guests like leave a review and then say
- 9:29the exact problem with the house, Like not, not, not often.
- 9:33You know, sometimes they don't even leave the review and
- 9:35sometimes they just don't mention it.
- 9:38So like, I don't know, I think like using reviews as a proxy is
- 9:41like a great way. It's like a first step.
- 9:44But like if you can just go to the actual source of truth,
- 9:47right? The things you're reviewing
- 9:49everyday, the things you're cleaners are seeing everyday,
- 9:52you can kind of prevent things before they end up in reviews,
- 9:54which I think is the whole point.
- 9:56So yeah. Yeah, definitely we, we all want
- 10:00to avoid those bad reviews and I, I think I guess the, the
- 10:03point here is that you're giving hosts and owners the opportunity
- 10:08to take action as soon as possible rather than letting
- 10:12things build up. All right then, Sam insight #5.
- 10:15Yeah, yeah. Like Speaking of building up, I
- 10:17think one big realization we had is like we, we thought we were
- 10:21going to come in and like find like these huge things that
- 10:24happen to the property, right? Like huge, like dry hall drywall
- 10:29holes and stuff like that. But what ends up actually
- 10:31happening is like this slow drift of, you know, small things
- 10:36that are just like, again, like, that's why I say like keeping
- 10:39track of these things is like really hard and really important
- 10:43because like, it tends to be that you just lose track of
- 10:45these small things. And then a guest is like, OK,
- 10:47there's a bunch of small things wrong with this property.
- 10:49Like it, it wasn't the experience I wanted instead of
- 10:51like this big thing. And so like just being cognizant
- 10:54of like the fact that like, you know, it's not usually not one
- 10:58big thing. Like it's, it's just a ton of
- 11:00small things. And like, maybe that's why a
- 11:02guest might not leave this interview and maybe might not,
- 11:06you know, message you that something's wrong because it's
- 11:08just like a ton of little things everywhere.
- 11:10And yeah, that's one thing we've we've definitely realized when
- 11:13looking at all of these photos. I can definitely believe that.
- 11:16Yeah. I think all of us as as hosts
- 11:18and owners, there have been times where we've seen
- 11:21something, we know it needs sorting out, but is it a
- 11:24priority? Is it something we're going to
- 11:26block our calendars for to stop, you know, bookings coming in?
- 11:30Probably not. But I think, yeah, it's, I can
- 11:32completely understand that, that mentality.
- 11:35All right then, Sam. So just give us a quick lowdown
- 11:37on Rapid Eye and where people can find out more information.
- 11:41Yeah, I post on LinkedIn quite often.
- 11:44You can love to connect with any property managers.
