- Hey, it’s VoraPrep Audio. Let’s talk about something that makes every client's blood run cold: a letter from the IRS announcing an audit. When that call comes, the first words you'll hear are almost always, "Why me?" They're convinced they've done something terribly wrong. And your first job as an Enrolled Agent is to bring the temperature down. Getting selected for an audit isn't an automatic accusation of guilt. The IRS has a system for this, and understanding it is the first step to navigating it. So, how does the IRS pick someone? The main tool in their shed is a powerful computer program called the Discriminant Function System, or DIF for short. Imagine every tax return getting a secret score, like a credit score. This DIF score basically represents the probability that there’s a significant error on the return. A higher score means a higher chance the IRS could find something to change, and that makes an audit more likely. The formula itself is a secret, but we know it compares your client’s return to the norms for other, similar taxpayers. There’s also a specialized version of this, the UIDIF, that’s laser-focused on finding unreported income. It’s really good at sniffing out situations where, say, a pile of 1099s suggests your client made more money than they actually reported. But a lot of audits don't start with a secret score. They start with something much simpler: information matching. This is huge. The IRS computers are constantly cross-referencing the W-2s, 1099s, and K-1s they receive from employers and partnerships with what your client reported on their return. If those numbers don't line up, a notice gets generated automatically. It's often a CP2000 notice. That mismatch, if you can't explain it, can easily lead to a full-blown audit. Sometimes, it's just about who you know. If your client's business partner gets audited, the IRS might pull your client's return too, just to make sure the transactions between them are reported consistently on both sides. And of course, audits can be triggered by outside referrals or as part of special projects where the IRS decides to target a specific industry—like cash-heavy businesses—or a hot-button issue, like cryptocurrency. Okay, so once a return is selected, what happens next? On the exam, you're going to see questions that try to trip you up on the different *types* of audits. There are three main flavors, and they're all about location and complexity. Think of it like a car inspection. The simplest type is a Correspondence audit. This is like the DMV sending you a letter asking for proof of insurance. It's all done by mail. The IRS has a question about one or two simple things, maybe a charitable donation or a tuition credit, and they just need to see the paperwork. Your job here is simple: mail or fax clear copies of exactly what they asked for. Nothing more. Don't send originals. Now, if the issue is a bit more complex, you get an Office audit. This is like having to take your car to the shop for a specific smog check. The IRS is asking your client to come to *their* office to discuss certain items. This is common for things like a sole proprietor's Schedule C expenses or a home office deduction. It's more involved than just mailing a document. The third and most serious type is the Field audit. This is when the manufacturer’s engineers decide to come to *your* garage to take the whole engine apart. A Revenue Agent comes to your client's place of business. This is reserved for the most complex returns—think big businesses, corporations, partnerships. They're not just looking at one line item; they're doing a deep dive. For those in-person audits, the Office and Field audits, your role as the practitioner is to take complete control. The biggest mistake is letting your client go to the meeting or speak directly to the examiner. An innocent comment can open up a whole new can of worms, something we call "scope creep." You, the EA, are the single point of contact. You answer only the questions that are asked. Let’s walk through a quick scenario. Maria is a freelance graphic designer. She gets a notice for an Office Audit. The IRS wants to look at her vehicle expenses and her home office deduction. First thing you do? You have Maria sign a Form 2848, Power of Attorney. Instantly, the IRS has to talk to you, not her. That's huge. You've just become her shield. Next, you review the notice to see exactly what they want. Then you work with Maria to gather every single piece of paper: mileage log, gas receipts, utility bills, a diagram of the home office. You organize it all. Let's say you notice her mileage log is spotty for the last two months of the year. You make a note of that. Then, you go to the meeting at the IRS office. Alone. Maria stays home. You present the organized documents. When the officer asks about the vehicle, you're prepared. You present the good records, but you also concede the part that can't be proven because of the incomplete log. That shows good faith. The officer accepts the home office deduction but disallows the portion of the vehicle expenses you couldn't back up. You review the proposed changes, agree they're fair, and Maria signs off. Audit closed. See how you controlled that whole process? To keep the three types straight in your head, just remember the mnemonic COF… like the C-O-F in "coffee." It tells you the location: C for Correspondence, by mail. O for Office, at their office. And F for Field, at your client's field of business. One common trap to watch out for is confusing every IRS notice with an audit. That CP2000 notice I mentioned, the one from the information matching program? That's not technically an audit. It’s an automated proposal of changes. It needs a response, for sure, but a true audit involves an assigned IRS employee reviewing your books and records. The distinction matters. On exam day, the questions will almost always give away the audit type by describing the location. If it says "by mail," you're looking at a Correspondence audit. If the taxpayer has to go "to an IRS office," it's an Office audit. If an agent is visiting the "taxpayer's place of business," it's a Field audit. The location is the giveaway. Let's try one. Frank is a contractor, a sole proprietor. His Schedule C shows big deductions for Cost of Goods Sold and Supplies. The IRS sends a letter instructing him to call and schedule an appointment at a local IRS office to discuss these two items. What kind of audit is this, and what's your first step? Okay, let's break it down. The key phrase is "appointment at a local IRS office." That immediately tells you it's an Office audit. It’s not by mail, and the agent isn't coming to him. The issues—COGS and Supplies on a Schedule C—are too complex for a simple letter but don't necessarily require a full-on Field visit. So, it's an Office audit. And what's the very first action for his EA? Always, always, always: file Form 2848 to take control of communications. The right answer is: Office Audit; file Form 2848. If you were tempted to pick Field audit because it’s a business, that's the trap. It’s not about the *type* of return, it's about the *location* of the exam. An Office audit is like going to the doctor's clinic. A Field audit is the doctor making a house call. Since they're summoning him to their office, it's an Office audit. So, to wrap it up: The DIF score is the IRS's main automated tool for picking returns. The three types of audits—Correspondence, Office, and Field—are defined by their location. And your job as an EA starts with a Form 2848, taking control, and being thoroughly prepared. You know, mastering these kinds of distinctions is exactly what separates passing from failing.
