- Dana (AI host): Picture it. Great call. Budget mentioned, competitor named, timeline confirmed. And then... nobody updates the CRM. Rob (AI host): Notetaker with Smart Deal Progression reads the transcript and drafts those CRM updates for you. Rob (AI host): A human still approves them. Dana (AI host): This is Sidekick's What Just Shipped. Let's go. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): Welcome in. I'm Rob, and a reminder: Dana and I are AI hosts. Dana (AI host): Which means we've never once forgotten to log a call. Also, we've never made one. Rob (AI host): Both true. Okay, two pieces here. Rob (AI host): Notetaker records and transcribes calls and meetings: Zoom, Google Meet, Microsoft Teams, HubSpot's own calling tool, or face to face through the mobile app. Dana (AI host): And the second piece? Rob (AI host): Deal Progression reads that transcript plus the deal's context and drafts three things: suggested CRM property updates, next steps you can turn into tasks with one click, and a personalized follow-up email. Dana (AI host): Drafts. Not sends. Rob (AI host): Drafts. Rob (AI host): Reps review, approve, or edit everything on a Conversation Review page before anything is written to the CRM. Rob (AI host): Admins can set certain properties to auto-approve, and HubSpot's help page says Call outcome and Meeting outcome start out that way by default. Dana (AI host): Okay. And before the call? Rob (AI host): A Prep for Meeting view with deal score, risks, buyer goals, recent activity, and pain points. Dana (AI host): Does every call get property suggestions? Rob (AI host): No. Rob (AI host): HubSpot's help page says the call needs a recording that isn't a voicemail, at least 60 seconds long, with at least two speakers. Dana (AI host): Now, how did it get here? Because this one moved around. Rob (AI host): It did. Rob (AI host): When our research covered it in April and May 2026, it was a public beta for Sales Hub and Service Hub Professional and Enterprise seats. Dana (AI host): So Pro and up, beta. Then? Rob (AI host): A June beta update added sharing. Rob (AI host): Recordings, summaries, and transcripts can go to anyone outside HubSpot with a secure link, no login, with expiration dates and revoke any time. Dana (AI host): Oh, that's nice. Rob (AI host): And each person can pick their own language for summaries and next steps. Rob (AI host): Our research's example: four reps in four countries, same conversation, each in their own language. Dana (AI host): Love that. And September? Rob (AI host): Our September research says Starter subscribers now get recording, transcription, summaries, action items, and follow-up email drafts. Rob (AI host): But the Deal Progression CRM updates are still Sales Hub Professional and above. Dana (AI host): And what does HubSpot's own help say today? Rob (AI host): The Notetaker help page lists Sales Hub and Service Hub Starter, Professional, and Enterprise. Rob (AI host): Starter needs an assigned Core seat. Professional and Enterprise need a Sales or Service seat. Dana (AI host): And the Deal Progression part? Still beta? Rob (AI host): HubSpot's deal progression help page, updated October 12, lists Sales Hub and Service Hub Professional and Enterprise, and says a Super Admin must be enrolled in the Deal Progression: Next Best Actions and Deal Plans public beta. Dana (AI host): So the recorder is broadly available, and the deal brain is still a beta. Rob (AI host): That's how the help pages read today. We couldn't find a dated announcement that changes it. Dana (AI host): Okay. Quick break, then the part that can actually bite you. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Smart Deal Progression can draft your CRM updates right after the call. George B. Thomas (AI voice clone): But if your deal properties are poorly labeled, the suggestions come back generic. George B. Thomas (AI voice clone): At Sidekick, we fix what's broken and build what's missing, including the properties and workflows your pipeline runs on. George B. Thomas (AI voice clone): Want a second set of eyes before you turn it on? George B. Thomas (AI voice clone): Book a free strategy call at Sidekick Strategies dot com. Dana (AI host): And we're back. The part that bites. Rob (AI host): Two things. Credits, and a change to how meetings get recorded in the CRM. Dana (AI host): Credits first. Rob (AI host): Standard properties in your smart data capture settings don't use credits. Custom properties do. Rob (AI host): Our research puts it at 10 credits per custom property per transcript run, through the Data Agent. Dana (AI host): Give me the math. Rob (AI host): Our research's example: 50 calls a week with 5 custom properties is 2,500 credits a week. Dana (AI host): Okay. That adds up fast. Rob (AI host): You can watch it in Account and Billing, under Usage and Limits. Rob (AI host): And our September research says that starting January 15, 2027, transcript limits apply: 5 a month for Starter seats and 50 a month for Sales and Service Pro-plus seats, with more available through credits. Rob (AI host): We didn't find that on HubSpot's help pages, so confirm it before you budget around it. Dana (AI host): Noted. Now the record change. Rob (AI host): Recorded meetings used to create both a Call record and a Meeting record. Rob (AI host): Our research covered HubSpot ending that duplication on July 31, 2026, so recorded meetings create only a Meeting record. Dana (AI host): But? I hear a but. Rob (AI host): HubSpot's Notetaker help page, updated October 28, says as of August 31, 2026. Rob (AI host): So the date moved, or the sources disagree. Either way, it's in the past now. Dana (AI host): So what does that mean for someone today? Rob (AI host): Sequences and post-call automations that trigger off Call creation stop firing for recorded meetings. Rob (AI host): Our research says rebuild them on Meeting data, using the native Meeting properties has transcript, transcript ID, and duration. Dana (AI host): And reports? Rob (AI host): Call volume drops on Call-based dashboards. Our research says that's deduplication working, not lost data. Rob (AI host): Rebuild those views on Meeting data. Dana (AI host): Okay, who's this for? Rob (AI host): Our research lists reps with high call volume, sales managers and rev ops leaders who need pipeline data they can trust, customer success teams on Service Hub Professional or Enterprise, Starter subscribers getting the basics, and admins who own data quality. Dana (AI host): Monday. Three. Rob (AI host): One. Rob (AI host): If anyone built Call-triggered workflows or Call-based reports for recorded meetings, check whether they've quietly gone silent. Dana (AI host): Two? Rob (AI host): Two. Rob (AI host): In Settings, under Data Management, then Data Capture, look at which properties are in scope, add property descriptions, and decide on purpose which custom properties are worth the credits. Dana (AI host): And three? Rob (AI host): Three. Before your next call, open Prep for Meeting and see what it surfaces. Dana (AI host): That's a good Monday. Dana (AI host): That's our show. Dana (AI host): Notetaker with Smart Deal Progression: the call drafts the CRM update, and a human approves it.
