- Rob (AI host): You open a new Breeze chat and paste the same paragraph of background you pasted yesterday. Rob (AI host): And the day before. Dana (AI host): HubSpot's answer is Projects. Set the context once, and every chat inside starts with it. Rob (AI host): This is Sidekick's What Just Shipped. Here's how it works. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Hi, I'm Dana. Dana (AI host): Rob and I are AI hosts, so we know a thing or two about losing context between conversations. Rob (AI host): I'm Rob. Rob (AI host): Today I'm playing an admin who built a few custom assistants last year and liked them. Rob (AI host): So I'm suspicious. Dana (AI host): Fair. Here's what shipped. Dana (AI host): Our write-up from April 24, 2026 describes Projects as named workspaces inside Breeze Assistant. Dana (AI host): Each one groups related chats, and every chat inside inherits the project's instructions and knowledge. Rob (AI host): Why did HubSpot build it? Dana (AI host): Our research quotes HubSpot's release note directly. Dana (AI host): Users often need to repeat context and instructions across multiple chats to get relevant answers. Rob (AI host): Okay. How do I make one? Dana (AI host): HubSpot's help page, updated October 21, 2026, says click Breeze Assistant in the top navigation, open the Breeze dropdown, choose Projects, then click New. Rob (AI host): And then? Dana (AI host): Give it a name, a description, and instructions that direct how Breeze Assistant responds. Rob (AI host): What goes in the instructions? Dana (AI host): Our April write-up says treat it like a brief. Audience, tone, constraints, goals. Dana (AI host): Its line is, vague instructions produce vague consistency. Rob (AI host): Vague consistency. That's my current setup. Dana (AI host): Then context. Dana (AI host): You can upload reference files from your computer, or add context already in HubSpot, like knowledge vaults or CRM records. Rob (AI host): Can it reach outside HubSpot? Dana (AI host): Through connectors, once you've connected the app to Breeze Assistant. Dana (AI host): HubSpot's example uses Amplitude and Notion together, pulling metrics and writing a summary in Notion. Rob (AI host): What switches should I care about? Dana (AI host): Two. Browse the web, so it can search during chats. Dana (AI host): And Write to the CRM, which lets Breeze Assistant create or update records on your behalf during conversations. Rob (AI host): That second one deserves a meeting before anyone turns it on. Dana (AI host): Agreed. Dana (AI host): There's also an Access section, where you set which users in your account can use the project. Rob (AI host): Can I skip the blank page? Dana (AI host): Yes. You can start from a template. Dana (AI host): HubSpot's example is a Sales prospecting template, where you'd upload your outreach templates as context. Rob (AI host): Is this replacing Breeze agents? Dana (AI host): According to our research, no. Projects are a context layer for Assistant chats. Dana (AI host): Agents are a separate, purpose-built tool. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Projects only help if your team knows what Breeze can actually do. That's the hard part. George B. Thomas (AI voice clone): So we run a free, forty-five minute live demo called Wait, Breeze Can Do That? George B. Thomas (AI voice clone): It's a quick look at what Breeze does now. George B. Thomas (AI voice clone): You'll find it on the AI for HubSpot Teams page, under workshops at Sidekick Strategies dot com. Rob (AI host): Okay, Dana. My custom assistants. What happened to them? Dana (AI host): HubSpot says custom assistants were sunset on July 13, 2026. Dana (AI host): The ones you created were migrated to projects automatically. Rob (AI host): Everything came over? Dana (AI host): Not everything. Welcome messages and conversation starters weren't migrated. Dana (AI host): And assistants installed from the Marketplace weren't migrated at all. They were just sunset. Rob (AI host): So check what I lost. Dana (AI host): Yes. Also, a naming note. Dana (AI host): Breeze projects are not related to the projects object in your CRM. Dana (AI host): HubSpot says so on the page. Rob (AI host): Good, because that would confuse a lot of teams. How do I chat inside one? Dana (AI host): In the prompt field, click the tools icon, hover over Add to project, and pick the project. Dana (AI host): To pick up an older chat, click View project. Dana (AI host): Saved prompts live under that same tools icon. Rob (AI host): And on my phone? Dana (AI host): Our August write-up says the mobile app shows projects you own and ones shared with you. Dana (AI host): You can chat in them, but creating and editing stay on desktop. Dana (AI host): To get there, tap the overflow menu and choose Projects, or tap the plus icon in the chat input. Rob (AI host): Does it remember things between chats? Dana (AI host): HubSpot says Breeze Assistant stores relevant information as memories automatically. Dana (AI host): You can review and delete project memories under More, then Memories, filtered by project. Rob (AI host): Why would a whole team share one project? Dana (AI host): Our research makes a consistency case. Dana (AI host): When several people use Breeze for the same initiative, a shared project keeps their outputs aligned. Dana (AI host): It also suggests agencies use one project per client, so each client's context stays separate. Rob (AI host): And when a project goes stale? Dana (AI host): Click the three dots on it, then Settings to edit, or Delete. Dana (AI host): HubSpot asks you to confirm before it's gone. Rob (AI host): Who can use any of this? Dana (AI host): HubSpot's page lists all products and plans. Our research says the same, including free accounts. Dana (AI host): An admin does need to turn on Give users access to Breeze Assistant in AI settings. Rob (AI host): Okay. What couldn't you pin down? Dana (AI host): Three things. First, moving chats. Dana (AI host): Our research says you can move existing chats in and out of a project. Dana (AI host): HubSpot's page only shows adding a chat to a project, not taking one out. Rob (AI host): Second? Dana (AI host): Write to the CRM in a shared project. Dana (AI host): HubSpot doesn't say whether each person's own user permissions limit what Breeze changes. Rob (AI host): That's my meeting. Third? Dana (AI host): Memories. Dana (AI host): HubSpot doesn't say whether project memories are shared with everyone who has access, or kept per person. Rob (AI host): Fine. Here's my Monday as the suspicious admin. Rob (AI host): Open each migrated assistant, and write down the welcome message and starters it lost. Rob (AI host): Pick one live campaign, make one project, and leave Write to the CRM off until we've tested it. Dana (AI host): And rewrite the instructions as a real brief. Dana (AI host): That's Breeze Assistant Projects, and what happened to custom assistants along the way. Rob (AI host): Every source we used is on the HubSpot Updates page at Sidekick Strategies dot com. Dana (AI host): Thanks for listening to Sidekick's What Just Shipped. Rob (AI host): Stop pasting that paragraph. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music. Narrator (AI voice): We're independent, and not affiliated with HubSpot. Find our research at Sidekick Strategies dot com.
