- 0:00Melinda Lee: Welcome, dear listeners to a speak in flow
- 0:03podcast episode we are going to talk about complaints today.
- 0:07Complaints complaints. I mean, it seems like they're everywhere
- 0:11in our chaos and complexity and people with bad moods. It just
- 0:15seems like we can't break free from them. And so I wanted to
- 0:19dedicate an episode on how do we manage and navigate these
- 0:23complaints. I think it's important for us, and we're
- 0:27building our relationships. And so what are complaints, when
- 0:31someone complains to us, that means that they're neither
- 0:34there, they're dissatisfied with something, their expectation is
- 0:39not being met. And usually, when they're complaining, there's a
- 0:43lot of emotion on top of it, they're frustrated, they're
- 0:47angry, they're disappointed, they could just be blurting out
- 0:51things and directing them at you, whether it's your fault or
- 0:55not, it doesn't really matter, but they are just doing it. And
- 0:59so in the moment, it can be, it can feel really uncomfortable,
- 1:03because we, as a receiver can get really defensive. And if
- 1:07we're not careful, we're going to refute back, we're going to
- 1:11yell back and and then we're going to disconnect from the
- 1:15relationship. There is uncomfortable this and then
- 1:18there's tension. And then so we want to avoid that. And so here
- 1:22are some three things that you can do when someone complains at
- 1:26you. The first is listen with empathy.
- 1:30Second is get real curious. And third is open it up for
- 1:34solutions. So the first is, listen with empathy. When
- 1:38someone complains, just take a deep breath, and just go into
- 1:42curiosity mode. Oftentimes, we can be defensive and yell back.
- 1:47And so I highly recommend just taking some deep breaths, taking
- 1:51a step back and and then move into curiosity. Start to ask,
- 1:55Oh, tell me more. You're upset by this? I didn't do what you
- 2:00want it. So tell me more about that. What is happening? And so
- 2:04ask questions and and ask continue to ask questions. Tell
- 2:08me more. Tell me more. And they'll continue to tell you the
- 2:12story. Or you can also start to do some mirroring, labelling,
- 2:16which means that you just paraphrase what they said, Oh, I
- 2:21didn't meet your needs, oh, I failed to meet with you at a
- 2:25certain time, or I didn't deliver your task on time. So
- 2:29just paraphrasing what they're saying. And really go in with
- 2:33curiosity. So don't I think sometimes if we tried to do
- 2:37mirroring and labelling, we will feel like we're condescending,
- 2:41or we're doing it just to check off the box. And that was going
- 2:46to you know, create some defensiveness in them. You do
- 2:49want to go in with genuine curiosity. And leave mirroring
- 2:53labelling will come so naturally, because you're
- 2:57curious, you're like, what does that mean? Where is this coming
- 3:01from? Because underneath the emotion, you want to go
- 3:05underneath all that as they continue to tell you more,
- 3:09they're going to tell you the story of what has happened to
- 3:13them. And then therefore you can get into the needs, what is
- 3:17their true needs, underneath that, you're going to find out a
- 3:22lot of information. And then once they do that, they're going
- 3:26to be more receptive to talking about potential solutions.
- 3:30Because the reason why they're complaining is because actually
- 3:34they do want us, someone around us to hear them. And then now
- 3:39open up the door to what can we do about this? What do you what
- 3:43do you recommend? What do you propose? What are some
- 3:47solutions, or some ways that we can work together? What are some
- 3:51ways to help alleviate to get you what you want? And so open
- 3:56up the door for the third is solutions, but only after you've
- 4:00demonstrated the first listening with empathy. Second, getting
- 4:04curious and then going into what can we do about this together
- 4:09and really partnering to find some common ground to find some
- 4:13common solutions that will then create this connection again,
- 4:17that will then increase some possibilities that both of you
- 4:21together separately may not come up with. And so moving into open
- 4:26brainstorming and and ideas of what can be some solutions.
- 4:31So that is how you can handle complaints. I know that there is
- 4:37a lot of a lot of people that are struggling and dealing with
- 4:42a lot. And so for you to take that step forward to unleashing
- 4:47your voice. It requires that we rise above the noise, the chaos,
- 4:53the fear, the frustration and know that these are all just
- 4:58underneath that could Be emotions. And when we can rise
- 5:03above these limiting negative emotions, and coming in with
- 5:08curiosity, coming in with listening, and then opening up
- 5:13the door underneath all of that our possibilities are solutions
- 5:18that we can create together and move toward a partnership and
- 5:24into a deeper relationship, even when it's uncomfortable, even
- 5:29when things have not or expectations have not been met.
- 5:34Once you hear them, we can close the door on that I'll create a
- 5:39vehicle for connection for change, and more meaningful
- 5:44relationships. So I hope that you could take these tips today
- 5:49on how to navigate complaints in our crazy chaotic world rise. I
- 5:55am your sister in flow. Until next episode, I hope you take
- 6:00care and go out and lead with your heart
