Latest / Sidekick's What Just Shipped / HubSpot Notetaker: add it to a meeting that's already live | Shipped Oct 2026
Transcript
- Rob (AI host): You're deep into a discovery call and realize the notetaker never made it in. Now what? Dana (AI host): HubSpot now has a beta that lets you add Notetaker to a meeting that's already live. Rob (AI host): Stay for the eligibility rules that decide whether it can join at all. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): Good to have you with us. Rob (AI host): Dana and I are AI hosts, and today we're working from HubSpot's Notetaker help article, last updated at the end of October. Dana (AI host): Alright, today I'm playing a hypothetical account executive who runs back-to-back video calls and never checks the waiting room. Rob (AI host): Perfect. HubSpot calls this section Add Notetaker to a live meeting, and it's labeled beta. Dana (AI host): Who can turn it on? Rob (AI host): A Super Admin can opt the account into the Invite and re-invite Notetaker to live meetings beta. Dana (AI host): Then where do I click mid-call? Rob (AI host): Go to Sales, then Calendar. Rob (AI host): At the top right, click More tools, then Add notetaker bot to live meeting. Dana (AI host): And if the meeting is already in HubSpot? Rob (AI host): Click Choose an existing meeting instead, pick it from the Select an active HubSpot meeting dropdown, and click Add notetaker bot. Dana (AI host): What if it's a call someone else sent, not in HubSpot at all? Rob (AI host): Paste the video conference URL into the Meeting link field, pick records in the Associations dropdown, give the meeting a name, and click Add notetaker bot. Dana (AI host): Oh, so it creates the meeting record too. Rob (AI host): Right. HubSpot says that name is for the meeting record that will be created. Dana (AI host): Nice. Rob (AI host): Why it matters: a missed recording means no summary, no suggested next steps, and notes written from memory. Dana (AI host): Which video tools does it work with? Rob (AI host): Notetaker works in Google Meet, Microsoft Teams, and Zoom. Rob (AI host): For Zoom, the host needs local recording turned on. Dana (AI host): Why does the bot drop out in the first place? Rob (AI host): HubSpot lists a few reasons. Rob (AI host): If it sits in a waiting room for more than five minutes without being admitted, it leaves. Rob (AI host): If it detects seven minutes of unbroken silence, it leaves. Rob (AI host): And if recording permission is denied, it leaves after one minute. Dana (AI host): Huh, so those are exactly the moments a re-invite helps. Dana (AI host): Okay, what are the other ways to invite it before a call? Rob (AI host): When you schedule a meeting on a CRM record, there's an Invite notetaker to meeting checkbox. Rob (AI host): And if you're the host, go to Sales, Calendar, Upcoming meetings, and turn on the Invite Notetaker switch. Dana (AI host): And auto-join? Rob (AI host): Super Admins set the account default, and auto-join is selected by default when Notetaker is turned on. Rob (AI host): Each user can override it on the Calendar tab of their general settings. Dana (AI host): Is there a cap on how many meetings? Rob (AI host): HubSpot says each user can invite the Notetaker bot to up to forty meetings per day. Dana (AI host): Plenty for me. Dana (AI host): What does the room hear when it joins? Rob (AI host): An audio message, a chat message, and a pop-up announce that Notetaker is in the meeting and recording. Rob (AI host): By default it joins as your brand name's Notetaker, and admins can set a custom name. Dana (AI host): And for Google Meet? Rob (AI host): The host must be signed in to admit Notetaker, or Google Meet access settings must let participants join before the host. Dana (AI host): How long can it stay? Rob (AI host): Up to three hours. Rob (AI host): If a meeting runs longer, it leaves, but what it captured before that stays in HubSpot. Dana (AI host): Good to know. Rob (AI host): One timing detail, too. Rob (AI host): HubSpot sends the join instruction thirty minutes before the meeting starts, so setting changes made right before a call might not apply. Rob (AI host): Here's a made-up scenario. A prospect sends a Teams link at the last minute. Rob (AI host): The rep joins, opens Sales, Calendar, pastes the link, associates the contact and deal, and adds the bot. Dana (AI host): And after the call, the summary and follow-ups land on that meeting record. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): A notetaker only helps if every meeting actually lands in the CRM, with the right deal attached. George B. Thomas (AI voice clone): Sidekick's Sales Hub implementation builds around your sales process. George B. Thomas (AI voice clone): We interview your reps, managers, and ops team, then configure the tools to support how you actually sell. George B. Thomas (AI voice clone): Your team gets ready-to-use sequences and playbooks from day one. George B. Thomas (AI voice clone): Find Sales Hub Implementation under services at Sidekick Strategies dot com. Dana (AI host): My skeptic question. Dana (AI host): Our research describes an email shortcut: add notetaker at hubspot dot com to any calendar invite. Dana (AI host): Can I count on that? Rob (AI host): Not yet. Rob (AI host): HubSpot's current Notetaker help article doesn't mention that address, and neither does HubSpot's Notetaker product page. Rob (AI host): So try it on one meeting before you tell your team about it. Dana (AI host): Anything else in our research that doesn't line up? Rob (AI host): One tier detail. Our write-up on the email invite says Professional and Enterprise. Rob (AI host): HubSpot's article header lists Sales Hub and Service Hub Starter, Professional, and Enterprise, with a seat required. Dana (AI host): Which seat? Rob (AI host): Starter needs an assigned Core seat. Professional and Enterprise need an assigned Sales or Service seat. Dana (AI host): Anything to know about which meetings count? Rob (AI host): Yes. Rob (AI host): To be eligible, a meeting has to be stored in HubSpot, have at least one CRM contact attendee whose email domain differs from your account's, and be set to Google Meet, Teams, or Zoom. Dana (AI host): So a purely internal meeting won't qualify. Rob (AI host): Not under those rules, no. Dana (AI host): And recording consent? Rob (AI host): HubSpot says you're responsible for the legal basis for recording. Rob (AI host): Admins can also turn on Require explicit consent, which asks by email before the meeting. Rob (AI host): If anyone doesn't consent, or doesn't answer that email, the meeting won't be recorded. Dana (AI host): Okay, plan for my imaginary call day. Rob (AI host): Step one: a Super Admin opts into the live-meeting beta. Dana (AI host): Step two: confirm your calendar is connected and call recording and transcription are on. Rob (AI host): Step three: learn the path, Sales, Calendar, More tools, so the live option is one click away. Dana (AI host): Step four: when the bot drops, use Choose an existing meeting instead, or paste the link with an association. Rob (AI host): Step five: after the call, review the summary and follow-ups on the meeting record. Dana (AI host): Back-to-back verdict: turn on the beta now, because the meeting where the bot drops is usually the one you needed. Rob (AI host): Bot dropped? Don't sigh. Re-invite it. Dana (AI host): HubSpot's Notetaker help article and our research are linked in the show notes, with more at Sidekick Strategies dot com. Rob (AI host): Thanks for listening, and may every bot get admitted. Dana (AI host): Catch the call, then catch the notes.
