- 0:58You're already taking the first step. just by
- 1:01joining us here today. Hey guys, thank you so
- 1:05much for being here and for being a part of this
- 1:08summit. It's just awesome. I said it like every
- 1:11single time I think I get on here that these
- 1:12are my six favorite days of the year and I'm
- 1:14super glad that you're a part of it and I am
- 1:16super glad that we get to hear from Janet Fields
- 1:18because she and I have been chatting a little
- 1:21bit here before we started recording and I think
- 1:23this is going to be truly amazing because I already
- 1:27heard stuff that I'm like that would be really
- 1:30awesome. So I'm super excited to hear what she
- 1:33has to share with us and Jan I'm going to kind
- 1:35of toss it over to you and let you tell us a
- 1:37little bit about your background and what you
- 1:39can bring to us today. Yes. Well, I'm Janet Field,
- 1:43CEO of Oak Trust Properties down in Charleston,
- 1:45South Carolina. I pretty much was born into the
- 1:48business. I grew up around real estate just through
- 1:51osmosis. I learned a lot about business when
- 1:53I didn't even know I was learning about it. I
- 1:56bought my first book of business in 2014. I worked
- 1:59alongside my father doing a DBA. As his company,
- 2:05eventually we did another acquisition and then
- 2:07we joined forces, brought all the businesses
- 2:09together and recently I actually just bought
- 2:12him out. So now I'm just one big sole company
- 2:16owner. I have about a dozen people who work for
- 2:19me and we manage about 600 properties. I have
- 2:23many other businesses I'd like to get started
- 2:25in the next three to five years and they're all
- 2:28feed off of real estate. And I'm super pumped
- 2:32about that. No, and that's awesome because like
- 2:35I've heard so many different people talk about
- 2:37their teams and How much more productive they
- 2:40are? Once they do the personality tests we haven't
- 2:43done it on our team yet But like my husband and
- 2:46I we know I know what's his lane. He knows what's
- 2:48my lane And we tend to stay in our lanes because
- 2:52they're vastly different like he's numbers Underwriting
- 2:55that is his thing. That is not my thing. I am
- 2:59like relationships, relationships with vendors,
- 3:02with property management companies, with GCs,
- 3:05with handymen around town, with our investors,
- 3:08like that's my part. Meeting other people, doing
- 3:10what we're doing, going to conference, that's
- 3:13my thing. And I love it. I can do it on like
- 3:16two hours of sleep for eight days straight and
- 3:18I am fine. If I drag him with me, he's like,
- 3:23can I just go back to the room and take a nap?
- 3:26I'm like, you know what? I forgot my meds. He's
- 3:27like, I will get them. he goes back to the room
- 3:31and an hour later I see him he's like here you
- 3:33go I also forgot mine see you later but it's
- 3:38like it's just uh we're just two different very
- 3:42very different people so we work really well
- 3:44together as a team but hearing you talk it it
- 3:47makes me wonder if maybe our GP team shouldn't
- 3:50do some personality testing because we would
- 3:53like to move forward and do more things but we're
- 3:57having or maybe maybe it's just me but i'm having
- 4:00a really hard time getting this one under control
- 4:02and feeling really good about moving forward
- 4:05um if you're feeling it everybody else is feeling
- 4:09it i just went through something similar and
- 4:11um i didn't think anybody felt it and after we
- 4:15made a major change people came to me and was
- 4:17like yeah we could always tell something was
- 4:19going on like nothing was said you guys were
- 4:21always aligned but afterwards like it felt a
- 4:24lot lighter and i was like oh okay then I guess
- 4:27we don't really hide things you know I guess
- 4:30we can't really just push through and grind through
- 4:33it and make it work so if if an owner had an
- 4:39issue what would be the best way for them to
- 4:42bring that up to you or to your team so that
- 4:45it could be addressed and taken care of um you
- 4:48mean just like picking up the phone or making
- 4:50a phone call or shooting us an email sort of
- 4:53thing like which avenue channel Yes, I'm just
- 4:57thinking like There's things like there's hard
- 5:01conversations that I prefer not to have oh, yeah,
- 5:05so like other people on the team have those not
- 5:06me but as a property manager like Would you prefer
- 5:12somebody just be direct and call and say hey,
- 5:14this is how I feel This is what's going on and
- 5:16we need to fix this 100 % There is something
- 5:19what we call the snowball effect in our office.
- 5:22And I'm going to use it as an example of residents.
- 5:25So a resident moves into the property and somehow
- 5:27it was not clean to their expectations. But everything
- 5:30else in their experience is amazing. So they
- 5:32don't call. And then they find out that their
- 5:35washer and dryer knocks, makes an annoying noise.
- 5:38But everything else in their experience is fine.
- 5:40No big deal. Well, then one more thing happens,
- 5:44and say the dog next door barks, and they don't
- 5:46like their neighbors, there's nothing they can
- 5:47do about it, but now that's the last straw. It
- 5:49doesn't matter what this last thing is, but it's
- 5:51always like, so your second or third strike,
- 5:53but you didn't know about strike one and two,
- 5:55and now they're livid, and now everything is
- 5:57garbage, and you hear about everything, and it's
- 5:59like, I wish you would have told us in the beginning.
- 6:03So we actually do send out customer surveys.
- 6:05We do check in with them and say, how is everything
- 6:07going? And we almost... inundate them with texts.
- 6:12So through our software, we can text our residents
- 6:15and our clients. So we're texting them all the
- 6:17time. Hey, how's it going? Hey, there's a storm
- 6:19coming in. We just want to let you know that
- 6:20we don't board up windows because of the fire
- 6:22hazard. We'd rather you be safe than the house
- 6:25be okay, you know, stuff like that, which isn't,
- 6:27you know, we want everything to be okay. But,
- 6:29you know, we keep open these lines of communication.
- 6:31And then after the storm, it's like, hey, We
- 6:34know you went out of town. We just want to know
- 6:36if you guys are safe and when you guys are coming
- 6:37back. And when you come back, do you mind taking
- 6:39pictures of the property? Mind doing a walk?
- 6:41So just keeping that positive flow of communication
- 6:45does help us because that snowball effect, it
- 6:49sucks. Just tell us. Tell us the minute there's
- 6:51a problem because we will correct it. We can't
- 6:54serve you unless we know your expectations. We
- 6:57have expectations, but when we're not meeting
- 6:58them and we don't know what they are, we can't
- 7:01improve. and that's that's my life mantra is
- 7:05like if i don't know your expectations you can't
- 7:07get upset with me if i'm not meeting them absolutely
- 7:10so do y 'all have a pretty high completion rate
- 7:13on your resident surveys um not really so our
- 7:19client surveys that we send out we send out uh
- 7:2290 days so those are better so 90 days after
- 7:26our residents are on board we call it 100 days
- 7:28left it's actually 100 days We send out a survey
- 7:31and it says, you know, how was your experience?
- 7:33And it's just 20 questions and they can do a
- 7:34two to three minutes to tell us that. And almost,
- 7:38I would say 20 % do that, which is great. And
- 7:41it's always great. They always tell you, well,
- 7:44not always, but five stars, right? Tell us you're
- 7:47fabulous. And then in the back it says, you know,
- 7:50what else can we do? And then they ask, you know,
- 7:52we're not short terms. We want this, we want
- 7:54that. And that's a great thing just to kind of
- 7:56keep a pulse on. how is your customer service
- 7:59going? Just because there's no squeaky wheels
- 8:01doesn't mean everything's fine. Wow. Yeah. Now
- 8:05you got me thinking now it's like, how do you
- 8:07get your residents to tell you the first thing
- 8:10that's going wrong? Yeah. I think, um, I don't,
- 8:14we haven't mastered that, but keeping the communication
- 8:17open and telling them that you want to know instead
- 8:19of like, whenever they send in a work order and
- 8:21be like, responding them in a week tells them
- 8:24you don't care, you know, telling them that we
- 8:26don't really have any vendors tell them that
- 8:28you don't care. So you have to be prompt and
- 8:30courteous and kind and just kill them with love
- 8:35to smother them. And then I feel like they are
- 8:38more proactive. Wow. So we've walked units for
- 8:43friends and I think there's also a difference
- 8:46in the residents from say a class C to a class
- 8:49B. Yep. But we discovered that in the class C
- 8:54Not only are they less likely to tell you problem
- 8:57one two or three or maybe even four Even when
- 9:00the whole AC is out and you're running four box
- 9:03fans You're still not telling them your AC is
- 9:06out because you don't want to bother them. Yeah,
- 9:09because they're underserved Because they're underserved
- 9:12and they've been forgotten and pushed aside and
- 9:15every other life experience they have so it's
- 9:17a lot of psychology and like Just like you said
- 9:19you have to know who you're working with and
- 9:21who you're dealing with and if you're working
- 9:22with these Um, I would get in that property more
- 9:25often because they're not going to tell you and
- 9:27almost thank them when they do tell you Be like
- 9:29this is amazing. We love that. You told us this
- 9:31we never get to hear this and this is exactly
- 9:33what we need It's like you have to stroke their
- 9:35ego and tell them how great it was Wow. Yeah.
- 9:38No, I just I remember walking in into that unit.
- 9:40I was like Dude, you are cooking in here and
- 9:43i'm not talking meth i'm talking you're cooking
- 9:45like a like a chicken in the oven, dude It's
- 9:48so hot We took over some properties to an out
- 9:52-of -state resident. It was a C class. And walking
- 9:56into a bucket under the kitchen sink, because
- 9:59the kitchen sink didn't work. There was no pipe
- 10:01at all just trained into the bucket. That is
- 10:04still memorable to me. And he lived like that
- 10:07for five years because he didn't want to bother
- 10:09his landlord. So that has just been completely
- 10:12burned in my mind. It's like they're so underserved
- 10:15that they don't even bother serving themselves.
- 10:19So how often do y 'all do site visits and walk
- 10:23-throughs? So we do three times a year and I'm
- 10:27working on building in more especially for places
- 10:30with pets and monetizing that. We now have a
- 10:34third party who does inspections for us. We still
- 10:37use the software but there's times when it's
- 10:39more appropriate to use the software and there's
- 10:42times when it's more appropriate to have somebody
- 10:43walk. So after you walk the property are ready
- 10:46and we've already had like our periodic or annual
- 10:50inspection and we're getting closer to the lease
- 10:52turn and we want to know if they're renewing.
- 10:54That's when we use our app because that's the
- 10:56time where it's like, okay, resident, what do
- 10:58you want to show us? Not what's wrong with the
- 11:00property? Um, and is there cats or that shouldn't
- 11:03be there? Does it smell? Is there extra roommates?
- 11:05That's when we need a person in the property.
- 11:07But when we just need to know like what sort
- 11:10of maintenance things have you not told us about?
- 11:12We send them the app and that's when they show
- 11:14us those things. And we just get slight eyes
- 11:17on the property, but it's not a full report.
- 11:20So that's kind of what we learned. And we're,
- 11:23I plan on the next 30 days adding an inspection
- 11:26for pets that's monetized and funded by residents.
- 11:30So we'd have additional pet visits where we put
- 11:33people in the property to look for pet damage,
- 11:36make sure everything's okay. And that would be
- 11:38paid for at move in. Cause I'm just thinking
- 11:43about like, There were pluses and minuses to
- 11:46me being on site and taking care of the hoarding
- 11:48and all those things I think one of the biggest
- 11:50takeaways I had is how do I stop that from happening
- 11:53in the future? Because it was it was rough It
- 11:58was hoarding But it was like in the bat in the
- 12:03farthest bedroom. The trash was like a foot a
- 12:05foot and a half deep okay, and I was just like
- 12:09Holy night, I wouldn't when I left the when I
- 12:11left the apartment that first day I called one
- 12:13of our GP team members and I was like That was
- 12:16horrible. I've never seen anything like that.
- 12:17I will never again call my house a hoarder paradise.
- 12:20We just got a lot of stuff My voice jokes. So
- 12:23yeah, we have a hoarder paradise, you know when
- 12:25a family member passes we get all their stuff
- 12:27Which is how we got all the stuff but I will
- 12:31never ever ever again call it a horror paradise
- 12:34because after being in they knew me it's like
- 12:35it hurt my heart to know that somebody was living
- 12:39there like that yeah how do you what do you say
- 12:44how do you stop that from happening well i don't
- 12:47know that you can stop it i do believe it's a
- 12:49protected class you got to be careful with that
- 12:50word um because once you say it you might be
- 12:53stuck um so i think site visits a lot of site
- 12:57visits uh we have an instance like that where
- 13:00um there was a we already knew the person had
- 13:04a rough background they were um they have ptsd
- 13:08They lost their spouse and adult child within
- 13:1218 months. They now were living on their own.
- 13:17And things started falling apart. All the red
- 13:19flags started popping up. The late rent, strings
- 13:24of emails with no punctuation and no proclarity.
- 13:28We'd go to the property when we said we'd go
- 13:30and we couldn't get in and the guy would be angry.
- 13:33All the red flags. And it's just really hard
- 13:36to navigate those situations, especially now
- 13:38that's the protected class. Yeah, we ended up
- 13:44sending out services to them. We did have to
- 13:47evict, but we also brought in social services
- 13:50and VA services to help support that person.
- 13:53That was, I think, the best thing for everyone
- 13:55on the team and them, is to get to know that
- 13:59person was going to be okay after the fact. I
- 14:02don't know what we can do other than to, you
- 14:04know, um, to correction, forced correction, 14
- 14:08day correction, send it out, whatever your state
- 14:10laws are. Yeah, well, this, this particular person,
- 14:14um, was a, was eventually evicted. Um, I would
- 14:18say it was for a lease, lease violation or fire
- 14:23safety or I don't know what magic they worked.
- 14:25Yeah. Um, but it was, it was heartbreaking to
- 14:29me. And I just don't want to see anyone go through
- 14:33that again. Like the idea of getting social services
- 14:35involved kind of makes me happy because then
- 14:38at least that person is getting some level of
- 14:41assistance. Even if they're not something. Yeah.
- 14:46What was heartbreaking for us is they were not
- 14:48accessible to us. And then when we finally did
- 14:50get with them, they would be combative. So we
- 14:53were like, and they felt isolated and alone.
- 14:55So we're like, we need somebody to be on this
- 14:57person's side. We're trying to be on their side.
- 14:59to them or not. So we really felt like somebody
- 15:02needed to go in there. And honestly, today, this
- 15:06past week, we've had a lot of scary situations
- 15:08where residents or IRAs, this time that we're
- 15:11in right now, it's very tough for residents.
- 15:13Everything, prices are going up, the job market's
- 15:16crazy. And we have residents who are stressed
- 15:20out. We have residents who are being evicted.
- 15:22I'm hearing across the nation, the fold -over
- 15:24tenants I'm hearing about. suicides. We're walking
- 15:26into evictions and finding suicides. We're hearing
- 15:28about murder, suicide. So that was a huge conversation
- 15:32this week was safety for our team, safety for
- 15:35our vendors that were sending out the properties
- 15:38and, um, respect of everybody. Honestly, we were
- 15:42in a really tough time just navigating everything.
- 15:46Wow. Well, I'm just thinking of all these pieces
- 15:49as you just keep getting bigger and bigger and
- 15:52it's, it's more. more chances that you're going
- 15:56to have those hot situations because of the,
- 16:00I mean, it sounds to me like you're like exponentially
- 16:01expanding. And so you are also exponentially
- 16:04picking up those possibilities of those hard
- 16:06or those hot danger situations. Yeah. It's interesting.
- 16:12We had a gun issue recently and yeah, they pulled
- 16:17a gun on a vendor and that was really hard to
- 16:20navigate and figure out. Because what do you
- 16:22do? It's not our property. Um, you send them
- 16:25a correction, a 14 day correction, but yeah,
- 16:30it's, it's documentation, but what do you, there's
- 16:33really nothing you can do to protect anybody.
- 16:36Yeah. Now that would be, that'd be rough. Yeah,
- 16:41it is. It's, it's really heavy. Wow. Yeah. Now
- 16:45there's, there's a lot of pieces at play. That's
- 16:47just one more reason why I don't want to be your
- 16:50property manager. But that's your, I mean, that's
- 16:55your strength. Yeah, I enjoy the messes. I enjoy
- 16:59fixing things and making things better for everybody.
- 17:02I enjoy creating a customer experience, but I'm
- 17:04not going to lie right now. It's been really,
- 17:07there's been a lot of new interesting things
- 17:09to navigate more often. Yeah, but you're still
- 17:12doing it. I mean, oh yeah, I'm not selling this
- 17:15cow. Well, I think, you know, I was talking to
- 17:19somebody else the other day and It was this we
- 17:22kept coming back to the same thing. It's grit.
- 17:24It's persistence. It's if you want to be successful
- 17:26in this space, you got to stick it out. If you,
- 17:30you know, if you want to be an amazing property
- 17:31manager, you just have to stick it out. And when
- 17:34those crazy things happen, back up, right, that
- 17:38SOP to deal with that situation. I'm going to
- 17:40have to keep saying that one up here. Yeah. Added
- 17:43to the knowledge bank. Yeah. Just create those
- 17:46methods, create those systems so that as you
- 17:49continue to scale, everybody has the same book
- 17:53to reach back to, which tells you how to handle
- 17:56it. And if it's something not in the book, well,
- 17:58guess what? A new page gets added. One of the
- 18:01podcasts that I was listening to for a while
- 18:03that I broke off of it was 500 to 5 ,000. I don't
- 18:07remember what property manager is using that
- 18:10or is creating that podcast. I wish I did, but
- 18:13they talked about education. I was like, oh my
- 18:15gosh, education. I love that. That's one of the
- 18:17things I want to do is we've talked about educating.
- 18:21agents on how to work with presidents as they're
- 18:23selling the property. And I was like, well, what
- 18:26about educating my own team? What about educating
- 18:28my team to be better property managers? What
- 18:30about educating my team in leadership? What about
- 18:32educating my team and mentorship for when we
- 18:34have new people come on? What about educating
- 18:36them in business? What about leadership? What
- 18:39if I just want them to be successful and happy,
- 18:41even if they're only happy here for two to five
- 18:43years and they go somewhere else and start their
- 18:45own business? Should I be threatened by that
- 18:46or should I be like, oh my gosh, they used me
- 18:48as a launching pad. That's amazing. So building
- 18:52up others is kind of where I'm trying to draw
- 18:54my strengths right now when all this chaos is
- 18:56going on. Yeah, I was like trying to find the
- 18:58podcast. I'm like, maybe I can find it while
- 19:00she's talking. Yeah, no idea. It's a huge property
- 19:05manager, the property manager field, but I'm
- 19:07the main living man right now. Yeah, well, but
- 19:09it's, you know, it's so true that the education
- 19:12piece is so important. As well as the experience
- 19:16piece. Yeah, and so I just. You know, I applaud
- 19:20you for just creating, creating your own piece
- 19:25in this space and growing it the way you have.
- 19:27And that's just amazing. And thank you for sharing
- 19:30some of your methods and ideas for getting it
- 19:33nailed down. So you're able to scale effectively
- 19:35because I think, well, again, I always bring
- 19:39it back to me because I understand me, but I
- 19:42know I am not. So unique that there's only one
