- Dana (AI host): When we first covered HubSpot's agent for Microsoft three sixty-five Copilot, it could only read your CRM. Rob (AI host): Now HubSpot says it can create and update records, and log activities, without switching to HubSpot. Dana (AI host): That's a big jump, so let's find where the guardrails sit. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Dana and Rob here, both AI hosts, working from HubSpot's help article on the HubSpot Agent for Copilot, in its newest version. Rob (AI host): And today I'm playing a hypothetical sales ops lead at a made-up company that runs its day in Microsoft Teams. Dana (AI host): Why it matters: the agent went from read only to read and write, so Copilot can now change real HubSpot records. Rob (AI host): Hold on. Read only was the whole point last time. Dana (AI host): It was. Dana (AI host): The earlier version of HubSpot's page said the agent was limited to read-only access and couldn't create or edit data in HubSpot. Dana (AI host): That line is gone. Rob (AI host): So what does it do now? Dana (AI host): HubSpot's examples: sales teams can review active deals, update deal stages, create follow-up tasks, and log calls on records. Dana (AI host): Support reps can view their assigned tickets and update them. Rob (AI host): Which objects, exactly? Records covers a lot of ground. Dana (AI host): HubSpot publishes a table. Write access covers contacts, companies, deals, tickets, line items, and products. Rob (AI host): And activities? Dana (AI host): Calls, meetings, notes, tasks, and emails. All of those are read and write. Rob (AI host): What stays read only? Dana (AI host): Users, quotes, invoices, orders, carts, subscriptions, and segments, which are lists. Dana (AI host): Copilot can read those, but it can't change them. Rob (AI host): So in my made-up company, a rep could log a call and move a deal stage, but couldn't touch a quote. Dana (AI host): Right. Dana (AI host): And on deals, HubSpot's in-app product updates say line item changes can include quantities, pricing, and discounts. Rob (AI host): Does our data need to be perfect before we turn this on? Dana (AI host): HubSpot says clean, well-organized data improves the quality of insights, but the agent doesn't require perfectly tagged data. Rob (AI host): Good, because perfect isn't coming. Dana (AI host): Nobody's data is perfect. Rob (AI host): Where does all this happen? Dana (AI host): In Copilot Chat, and in Copilot inside Microsoft Teams, on web, desktop, and mobile. Dana (AI host): HubSpot also says the agent supports multiple languages. Rob (AI host): Okay, the part I care about. Does it ask before it changes something? Dana (AI host): HubSpot says that if you ask Copilot to create or update a record, Copilot will ask for your confirmation before making any changes. Rob (AI host): Good. Then who decides what each person can change? Dana (AI host): HubSpot's permissions. Dana (AI host): Users can only view or edit CRM data in Copilot that they're allowed to view or edit in HubSpot. Rob (AI host): So a rep who can't edit a deal in HubSpot can't edit it through Copilot either. Dana (AI host): Exactly. And the actions available also depend on the permissions granted when the app was connected. Rob (AI host): Who grants those? Dana (AI host): Two sets of admins, same as before. Dana (AI host): A Microsoft admin adds the HubSpot Agent to the company's Microsoft tenant. Dana (AI host): Then a Super Admin, or a user with App Marketplace permissions, sets up the connection the first time and picks the allowed permissions. Rob (AI host): Where does the Microsoft admin do that? Dana (AI host): In Microsoft's admin center, under Agents, then All agents. Dana (AI host): Search for HubSpot and check that the status is Available. Dana (AI host): If it isn't, click the agent and select Unblock. Rob (AI host): Can they spare every rep from hunting for it? Dana (AI host): Yes. Dana (AI host): On the Users tab, choosing All users in the organization can install installs it automatically, so nobody has to add it by hand in Copilot Chat. Rob (AI host): That saves some help desk tickets. Dana (AI host): Then each rep opens Copilot Chat, or Copilot inside Teams, clicks HubSpot under Agents in the left sidebar, signs in to HubSpot, picks the account and permissions, and clicks Connect app. Rob (AI host): And after that, the answers come from HubSpot? Dana (AI host): HubSpot says Copilot will use HubSpot context when responding. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Now that Copilot can update your CRM, the permissions you set in HubSpot decide what it's allowed to change. George B. Thomas (AI voice clone): At Sidekick, we fix what's broken and build what's missing, and we train your humans to run it. George B. Thomas (AI voice clone): Want your HubSpot data ready for every AI tool your team uses? George B. Thomas (AI voice clone): Book a free strategy call at Sidekick Strategies dot com. Rob (AI host): Okay, what are the limits? Dana (AI host): Every interaction stays subject to HubSpot's API usage limits. Dana (AI host): So if your account already runs busy integrations, keep that in mind. Rob (AI host): What about Sensitive Data settings? Dana (AI host): If your HubSpot account has Sensitive Data turned on, Copilot can't access any engagement data. Dana (AI host): And properties marked as Sensitive Data aren't accessible to the agent. Dana (AI host): So if that setting is on, test activity logging first. Rob (AI host): Which plans? Dana (AI host): HubSpot's in-app product updates list it as live for all hubs and tiers, free included. Dana (AI host): On the Microsoft side, you need a paid Copilot license, or the Copilot Chat add-on with an eligible Microsoft license. Rob (AI host): And for agencies with several portals? Dana (AI host): Still one HubSpot account at a time per Copilot account. To switch, you disconnect and reconnect. Rob (AI host): Can Microsoft copy out a whole customer list through it? Dana (AI host): HubSpot says no. It doesn't have access to copy CRM data or entire customer lists. Dana (AI host): And prompts, responses, and data accessed through Microsoft Graph aren't used to train the models behind Copilot. Rob (AI host): And when it gets something wrong? Dana (AI host): HubSpot is blunt: Copilot can make mistakes. Dana (AI host): It recommends accurate data, a human in the loop, and asking for citations you can confirm in HubSpot. Rob (AI host): Now, what couldn't we confirm this time? Dana (AI host): Two things. HubSpot gives no rollout date. Dana (AI host): Our check in late October still showed read only, and HubSpot's in-app product updates now mark it live, so we're dating it to November. Dana (AI host): And neither HubSpot source says whether that confirmation step can be switched off. Rob (AI host): So test the confirmation step yourself before rolling it out wide. Dana (AI host): Here's a plan for this week. Dana (AI host): First, confirm your Microsoft licenses, and have the Microsoft admin check the agent's status. Rob (AI host): Next, a HubSpot Super Admin reviews which permissions the connection gets, because those can now include editing. Dana (AI host): Then review user permissions for your Copilot users, since whatever they can edit in HubSpot, they can edit from Copilot. Rob (AI host): Finally, have one rep update a test deal and log a test call, and read the confirmation before approving it. Dana (AI host): So what's the verdict from the sales ops seat? Rob (AI host): Ops verdict: write access is useful, but your HubSpot permissions are now the guardrail, so review them before rolling it out. Dana (AI host): Read and write, with a confirmation in between. Rob (AI host): Every source is linked in the show notes, and more HubSpot updates live at Sidekick Strategies dot com. Dana (AI host): Glad you spent this one with us. Rob (AI host): Permissions first, prompts second.
