- Rob (AI host): One import goes wider than planned, your marketing contacts cross the tier line, and the higher bill sticks until renewal. Dana (AI host): HubSpot now lets admins set a maximum, so imports and automations stop adding marketing contacts once you hit it. Rob (AI host): There's one setting that decides whether it actually protects your budget, and most people will miss it. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): Quick note: Dana and I are AI hosts. Rob (AI host): We don't pay a HubSpot bill, and we haven't set a contact maximum in a real account. Dana (AI host): And for this one, today I'm playing a finance lead who approves the HubSpot invoice and hates surprises on it. Rob (AI host): Start with the basics. Rob (AI host): Marketing contacts are the ones you engage through HubSpot's marketing tools, like marketing emails and ads. Rob (AI host): They count toward your contact tier, and that tier sets what you pay. Rob (AI host): Non-marketing contacts aren't billed. Dana (AI host): And what happens if we go over? Rob (AI host): If you exceed your tier by even one marketing contact, you're upgraded to the next tier automatically. Rob (AI host): You're billed for that higher tier until your next renewal date, even if your count drops later, and HubSpot doesn't downgrade mid-term. Dana (AI host): Put that in plain terms for me. Rob (AI host): HubSpot's own example: a Starter account with a tier of one thousand marketing contacts has nine hundred ninety-eight. Rob (AI host): Someone adds five more, the total hits one thousand and three, and the account moves to the two thousand tier until renewal. Dana (AI host): Five contacts. That's the surprise I'm worried about. So what's new? Rob (AI host): HubSpot's August product updates list it plainly: Super Admins can set a hard cap on marketing contacts to prevent unexpected tier upgrades. Dana (AI host): Who's allowed to set it? Rob (AI host): Super Admins, and users with the Modify Billing permission. Rob (AI host): The help article lists Marketing Hub Starter, Professional, and Enterprise. Dana (AI host): So not every admin can touch it. Good, I'd want that locked down. Dana (AI host): Where do I find it? Rob (AI host): Click your account name in the top right, then Account and Billing. Rob (AI host): In the left sidebar, choose Marketing Contacts. Rob (AI host): Under Maximum Marketing Contacts, click Set maximum, enter the number or use the arrows, and click Confirm. Dana (AI host): And once we hit that number? Rob (AI host): Contacts from imports and automated features, like workflows, forms, and chatflows, that would go over the maximum are set as non-marketing instead. Dana (AI host): Okay, here's my finance question. Does the cap stop the tier upgrade, full stop? Rob (AI host): Only if you set it with care. Rob (AI host): HubSpot says the maximum and your contact tier are separate. Rob (AI host): Going over your tier still triggers the automatic upgrade. Rob (AI host): If you enter a maximum above your current tier, HubSpot shows you the price of the next tier, and you're only charged if you actually exceed your current one. Dana (AI host): So if I want no upgrade at all, the maximum has to sit at or under our tier. Rob (AI host): That's the setting most people will miss. Dana (AI host): And if a big launch needs more room? Rob (AI host): You can raise the number, or remove it. Rob (AI host): Under Maximum Marketing Contacts, click Edit, choose Don't set a maximum, then Yes, remove maximum. Dana (AI host): Could we just delete old contacts to get back down? Rob (AI host): Deleting a marketing contact frees up room under your tier, but it won't downgrade the tier itself. Rob (AI host): That only happens at renewal. Dana (AI host): Who finds out when we hit it? Rob (AI host): An in-app message shows that the maximum was reached. Rob (AI host): Super Admins, workflow owners, form owners, and users with Modify Billing get an email. Rob (AI host): Users without permission are prompted to request an increase or add contacts as non-marketing. Dana (AI host): Why it matters: a cap turns the billing tier into a decision you make, not something an import makes for you. Rob (AI host): Our research adds a warning that I like. Rob (AI host): Once the cap is hit, the workflows that set contacts to marketing just quietly stop growing your audience, so you have to watch for it. Dana (AI host): Who should set this first? Rob (AI host): Our research points to marketing ops managers close to a tier threshold, RevOps leads with lots of people running imports and workflows, and finance leaders who need a predictable bill. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): A contact cap stops the overflow, but it doesn't tell you what's messy inside your database. George B. Dana (AI host): Before we plan, Rob, where does our August research part ways with HubSpot? Rob (AI host): Two places. It lists this for Marketing Hub and Customer Platform, all tiers. Rob (AI host): HubSpot's help article lists Marketing Hub Starter, Professional, and Enterprise, so go by that. Rob (AI host): And our write-up says no import or automation can push you into the next tier. Rob (AI host): That's only true when your maximum sits at or below your tier, because the maximum and the tier are separate. Dana (AI host): And the parts nobody at HubSpot has written down? Rob (AI host): Our research also suggests starting ten to fifteen percent under your tier, and says the cap doesn't change contacts that are already marketing. Rob (AI host): We couldn't find either on a HubSpot page, so treat them as our advice, not HubSpot's. Dana (AI host): What catches teams off guard after that? Rob (AI host): Timing. Rob (AI host): Setting a contact to non-marketing only takes effect on your next update date each month, which you'll find in the same Marketing Contacts section. Dana (AI host): Then here's my plan for the next invoice, as the finance lead I'm playing. Dana (AI host): Step one: open Marketing Contacts and write down three numbers: current marketing contacts, your tier, and the next update date. Rob (AI host): Step two: have a Super Admin or someone with Modify Billing set the maximum at or under your current tier. Dana (AI host): Step three: list every workflow, form, and import that sets contacts as marketing, and decide who owns each one. Rob (AI host): Step four: make sure the workflow and form owners know they'll get the email when the cap is hit, and what to do next. Dana (AI host): Step five: before each update date, set anyone you won't market to next period as non-marketing. Rob (AI host): One quick check while you're in there. Rob (AI host): If HubSpot shows you the next tier's price when you type your number, your maximum is above your tier. Rob (AI host): Lower it. Dana (AI host): My finance lead is sold, on one condition: whoever owns the cap gets a calendar reminder each month, a few days before the update date. Rob (AI host): If the cap email starts showing up every month, that isn't a billing problem. Rob (AI host): It's a cleanup list. Rob (AI host): The short version: set the maximum, and keep it at or under your tier. Dana (AI host): Sources for everything we said are linked in the show notes, and more of our research is at Sidekick Strategies dot com. Rob (AI host): We're grateful you stuck with us to the end. Dana (AI host): Cap first, then grow. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music.
