- Dana (AI host): When HubSpot emails you that a record is now yours, that email can now carry AI buttons. Dana (AI host): They open the record, with a summary from Breeze already waiting. Rob (AI host): Which plans? Dana (AI host): All hubs and tiers. Dana (AI host): But how a record gets assigned to you decides whether that email arrives at all. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Before we start: Rob and I are AI hosts. Dana (AI host): Nobody assigns records to us, and we haven't opened one of these emails ourselves. Rob (AI host): I'm Rob. Rob (AI host): Today I'm playing a sales rep who gets a few dozen leads and deals assigned every week, mostly by workflow rotation. Dana (AI host): Here's the update, from HubSpot's June product updates. Dana (AI host): When a record is assigned, the notification email includes AI-generated action buttons. Dana (AI host): They link to the record, with a pre-filled Breeze summary and suggested next steps. Dana (AI host): HubSpot lists it for all hubs and tiers. Rob (AI host): Where do these emails come from in the first place? Dana (AI host): Your notification settings. HubSpot's help page on user notifications was updated on the twenty-first of October. Dana (AI host): It covers all products and plans. Dana (AI host): Click the settings icon in the top bar. In the left sidebar, go to Notifications. Dana (AI host): Each notification type can go to email, desktop pop ups, the bell, or mobile. Rob (AI host): Which assignments send an email? Dana (AI host): The help page lists a lot of them. Contacts and companies assigned to you. Deals. Tickets. Dana (AI host): Tasks. Leads. Custom object records. And conversations in the inbox or help desk. Rob (AI host): Is it instant? Dana (AI host): Not always. Assignment notifications can be delayed by up to five minutes. Dana (AI host): And if you get a burst of assignments, more than a hundred, they're combined and sent right away. Rob (AI host): Combined into one email? Dana (AI host): That's how the page puts it, a combined notification. Rob (AI host): Are there cases where I get no email at all? Dana (AI host): Yes, and this is the part most people miss. Dana (AI host): You won't get one if you assign a record to yourself. Dana (AI host): Or if the owner is set by an import or a Salesforce sync. Dana (AI host): Or if you become owner through the sync between contacts and companies, or because you logged an email, call, or meeting on the record. Rob (AI host): So in my case, workflow rotation should still send one. Imports wouldn't. Dana (AI host): That's our reading. Rotation isn't on the no email list. Rob (AI host): Anything that caps how many I get? Dana (AI host): Two things. Dana (AI host): HubSpot won't send more than a thousand email notifications to one address in a day. Dana (AI host): And if you click unsubscribe in one of these emails, that notification type is switched off for you. Rob (AI host): Good to know before I unsubscribe in a hurry. Dana (AI host): For Enterprise accounts, Super Admins can set default notification preferences with notification profiles. Dana (AI host): Your own settings still take priority. Rob (AI host): So nobody can fix my settings for me? Dana (AI host): The help page says preferences are user specific, so each user updates their own. Dana (AI host): Search or expand a topic, tick the checkbox, and click Save. Dana (AI host): Changes can take a few minutes. Rob (AI host): What if I'm flooded and want a break? Dana (AI host): In the top right there's Set channel defaults. Dana (AI host): You can toggle the whole email channel off for a while, and back on later. Rob (AI host): And for tasks? I get a lot of those too. Dana (AI host): For tasks, you can opt into one summary email every weekday instead. Rob (AI host): One more. Some of my leads come in through chat. Dana (AI host): Then note this. Dana (AI host): For inbox and help desk conversations, you only get notified if you've opened the inbox at least once before. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): A smarter assignment email only helps if your reps actually work their deals inside HubSpot. George B. Thomas (AI voice clone): Our Sales Hub training happens inside your portal, with your real deals, contacts, and pipeline. George B. Thomas (AI voice clone): Sales development reps, account executives, and managers each get the tools they need, and we check in afterward on adoption. George B. Thomas (AI voice clone): Look under services at Sidekick Strategies dot com. Rob (AI host): Okay, my doubts now, as the sales rep I'm playing. What do these buttons actually say? Dana (AI host): HubSpot's post doesn't give examples. Dana (AI host): Our write-up suggests labels like Review Deal Details, or Respond to Customer, but those aren't on any HubSpot page we found. Rob (AI host): And when I click? Dana (AI host): Our write-up says the record opens with the Breeze Assistant sidebar on the right, with a summary and next steps. Dana (AI host): HubSpot only says a pre-filled Breeze summary and suggested next steps. Rob (AI host): Which records get the buttons? Dana (AI host): Our write-up says contacts, companies, deals, and tickets. HubSpot just says when a record is assigned. Dana (AI host): So tasks, leads, and custom objects are unknown. Rob (AI host): Do I need to set anything up to get them? Dana (AI host): Our write-up says no setup at all. Dana (AI host): HubSpot doesn't say either way, so we can't confirm it. Rob (AI host): Does it use Breeze credits? Dana (AI host): Unknown. HubSpot lists all hubs and tiers, and doesn't mention credits for this item. Rob (AI host): Can I turn the buttons off, but keep the email? Dana (AI host): We couldn't find a setting for that. The help page doesn't mention the buttons at all. Dana (AI host): So that's unknown too. Rob (AI host): And the combined emails? Do those get buttons? Dana (AI host): Also unknown. HubSpot doesn't say how the buttons work when several assignments land in one email. Rob (AI host): Anything newer in this area? Dana (AI host): August's product updates say notification emails now include full context for mentions, assignments, stage updates, and association changes. Dana (AI host): That's for all hubs and tiers. Dana (AI host): And at-mention notifications now link to the exact record, across nine more object types, including contracts, orders, and subscriptions. Rob (AI host): Okay. Here's my plan, as the rep. Rob (AI host): Check that deal and lead assignment emails are on in my notification settings. Rob (AI host): Then, when the next rotated deal arrives, look for the button and compare the summary with the record before I act on it. Dana (AI host): And if a teammate imports leads with you as owner, don't expect an email. Dana (AI host): Assignment buttons, in a nutshell. Dana (AI host): HubSpot adds AI links to assignment emails, but who sees them depends on how the record was assigned. Rob (AI host): Our full source list is in the show notes, and our write-ups are at Sidekick Strategies dot com. Dana (AI host): Really appreciate you listening. Rob (AI host): Next time a record lands on you, look for the button before you click through. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music. Narrator (AI voice): We're independent, and not affiliated with HubSpot. Find our research at Sidekick Strategies dot com.
