- Rob (AI host): If you book demos in HubSpot but don't work in the Sales Workspace, seeing your own week meant digging through contact records. Dana (AI host): HubSpot's August product updates fixed that. Dana (AI host): Every user now gets a meetings calendar in the main navigation, under Sales, then Calendar. Rob (AI host): Today: where it lives, what it shows, why it matters, and a short Monday checklist. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): First, the honest part. Dana and I are AI hosts. Rob (AI host): We don't keep calendars, and we haven't clicked through this one ourselves. Dana (AI host): I'm Dana, and today I'm playing a marketing coordinator who books demos for the sales team, with no Sales Workspace login. Rob (AI host): Here's the change in one sentence. Rob (AI host): HubSpot's August post says all users can now open a meetings calendar from the main navigation, and it's available on every hub and tier. Dana (AI host): So before this, where would someone like me see their meetings? Rob (AI host): According to our research, the calendar only lived inside the Sales Workspace and the Customer Success space. Rob (AI host): Everyone else pieced the week together from contact records, deal timelines, or an outside calendar. Dana (AI host): Which is a lot of tabs. Who actually gets the new view? Rob (AI host): HubSpot's help page lists all products and plans. There's one requirement first: a connected calendar. Rob (AI host): The meetings help page says you can connect one Google, Office three sixty-five, or Exchange calendar in your calendar settings. Dana (AI host): And how do I get to the calendar itself? Rob (AI host): Click More in the top navigation, then Sales, then Calendar. Rob (AI host): If More doesn't appear in your account, go straight to Sales, then Calendar. Dana (AI host): Okay. I'm in. What am I looking at? Rob (AI host): The controls at the top let you switch between day, week, and month, pick which kinds of events show with the Key menu, choose a time zone, and move through dates with the arrows. Rob (AI host): On the left there are two lists, upcoming meetings and past meetings. Rob (AI host): Click any meeting on the calendar to see its details. Dana (AI host): Can I book from there, or only look? Rob (AI host): You can book. Rob (AI host): At the top right, click Schedule a meeting, enter the details in the dialog box, then click Schedule meeting. Dana (AI host): One catch I'd expect. Does every kind of calendar behave the same? Rob (AI host): Not quite. The meetings help page says Exchange calendars don't support two-way sync. Rob (AI host): Meetings created in Exchange won't sync to HubSpot as calendar events. Dana (AI host): Good to know before anyone on Exchange wonders where their meetings went. Dana (AI host): And if someone skips connecting a calendar altogether? Rob (AI host): Then scheduling pages still work, but in offline mode. Rob (AI host): The help page says contacts can request a meeting, but it won't be added to the calendar automatically. Dana (AI host): So connecting is step zero. Why does this matter, beyond saving a tab? Rob (AI host): Why it matters: the place you check your day is now the same place your CRM meetings live. Rob (AI host): Our research frames it as an adoption change more than a navigation change. Rob (AI host): When the schedule lives in HubSpot, people start trusting HubSpot. Dana (AI host): And who gains the most? Rob (AI host): Anyone without Sales Workspace access. Marketers booking demos, operations leads joining calls, and account managers. Rob (AI host): Our research says everyone in the account can now see their schedule without a seat upgrade. Dana (AI host): Anything else from August that changes what lands on this calendar? Rob (AI host): One thing. Rob (AI host): HubSpot's August post says meetings recorded through Notetaker or a video conferencing integration now create only a meeting record, with no duplicate call record. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): A calendar inside HubSpot helps most when the meetings on it were booked the right way. George B. Thomas (AI voice clone): Our Sales Hub implementation sets up individual and team meeting links, with calendar integration and routing rules, built around how your team actually sells. George B. Thomas (AI voice clone): We configure your deal stages, sequences, and dashboards too, so your reps save time from day one. George B. Thomas (AI voice clone): Look under services at Sidekick Strategies dot com. Dana (AI host): Okay, Rob. Before the Monday list, what couldn't we confirm? Rob (AI host): Four details, all in one place. Rob (AI host): Each comes from our research, and none is on a HubSpot page we checked. Rob (AI host): First, colors. Our write-up says HubSpot meetings show in orange and outside events in blue. Rob (AI host): The help page only mentions a Key menu for event types. Rob (AI host): Second, outcomes. Our write-up says you can update meeting outcomes straight from the left panel. Rob (AI host): The help page doesn't say that. Rob (AI host): Third, extras for Sales and Service Professional and Enterprise, like meeting prep, transcripts, and AI summaries, through a Notetaker beta. Rob (AI host): That's from our research only. Rob (AI host): Fourth, timing. Our research describes a public beta rolling out on the seventeenth of August. Rob (AI host): HubSpot's own post simply lists the calendar in August, for all users. Dana (AI host): So, as the coordinator I'm playing, colors and outcome logging stay a maybe until they show up in the account. Rob (AI host): Exactly. Now, Monday. Step one: have every non-sales user connect a calendar. Rob (AI host): The help page says the calendar view comes after that, and connecting also needs personal email access turned on in settings. Rob (AI host): Step two: open Sales, then Calendar, set the right time zone, and switch to week view. Dana (AI host): Step three, for my role: open the Key menu and see which event types are listed, then check that outside meetings show up next to HubSpot ones. Rob (AI host): Step four: book the next demo with Schedule a meeting, then open that contact's record and confirm the meeting is there. Rob (AI host): Step five, a week later: open the past meetings list together, and talk through any meeting that never made it into the CRM. Dana (AI host): And if a past meeting has no outcome logged, that's a gap worth fixing, wherever your team logs it. Dana (AI host): Here's the short version. Dana (AI host): Every HubSpot user now has a meetings calendar under Sales, and it starts with a connected calendar. Rob (AI host): Every source we used is linked in the show notes, and our write-ups live at Sidekick Strategies dot com. Dana (AI host): Glad you spent part of your day with us. Rob (AI host): See your week where you log your work. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music. Narrator (AI voice): We're independent, and not affiliated with HubSpot. Find our research at Sidekick Strategies dot com.
