- 0:00Okay.
- 0:01Before we enter the first day of school shenanigans,
- 0:05I have to tell you what helps our school run so well.
- 0:10Because I do get that question a lot, a lot, a lot, a lot.
- 0:13And it is systems, you know, you didn't want to hear it, but true story.
- 0:18I'll get back to making Everyday Magic. My name is Shanna.
- 0:20If you are new here where a home schooling family of four.
- 0:23We have entered our 10th year of schooling and today I want to share with you
- 0:27some of the systems that help us find success year after year,
- 0:32day after day, in our home and in our homeschool.
- 0:40Before we go any further,
- 0:41please scroll down, hit the big red subscribe button,
- 0:42turn on the bell for notifications and give this video a thumbs up.
- 0:45As always,
- 0:45you can find me right on down
- 0:46in the comments or over on Instagram at Making Everyday Magic.
- 0:49Like I said, today we're talking systems.
- 0:52Why, Shawna?
- 0:53Why are we talking systems?
- 0:55Without our systems we would fail.
- 0:58It is a very big deal to me that we stay consistent.
- 1:02How do you stay consistent?
- 1:04You use a system.
- 1:06Myself, personally,
- 1:09I like systems and it's not a schedule.
- 1:12A schedule is like time bound.
- 1:13A routine is something that you do over and over.
- 1:15But for me, the systems are what make or break it.
- 1:19And every year I show you and I tell you about the exact same systems that we have.
- 1:25So we have a morning routine, which is our morning system.
- 1:29I have my own,
- 1:30my kids have theirs, and we're going to talk about all of these systems today.
- 1:33We have a system for meal planning and grocery getting.
- 1:36We have a system for laundry.
- 1:39We have a system for chores, which is actually just getting a revamp
- 1:42in our home.
- 1:43We have a planning system which this year changed and went digital.
- 1:47We have a calendar systems because we need to know what everybody's
- 1:51doing everywhere, because everybody's doing a lot of stuff.
- 1:53It's so much stuff.
- 1:54Why am I sharing all of this with you?
- 1:56Because again, we are starting a new home school year, which means
- 2:00we are throwing our school system back into our system routine.
- 2:04We have been off on summer, the kids have barely been doing chores.
- 2:08Nobody's doing anything like they're supposed to.
- 2:10So this video will serve two purposes.
- 2:13The first
- 2:14being that we are articulating our systems again, and I am sharing them with you.
- 2:18And that's lovely.
- 2:18And it's wonderful because it helps my homeschool soundtrack and my home.
- 2:21And number two, good enough into the system
- 2:25because we need a swift kick in the pants to get back into these systems.
- 2:29Before we do launch into another homeschool year
- 2:32and all of the extracurriculars start back up.
- 2:34So it is very important to me and we are on solid and good footing.
- 2:37I will run you down each one of our systems.
- 2:40I do have individual videos probably here on every system that we have,
- 2:44but without further ado, let's pop over
- 2:46and we're just going to run through them. Why?
- 2:48Because they help my home run.
- 2:50If you want to see anything else
- 2:52a little more in depth, if you have any more questions,
- 2:53let me know and I will circle back and maybe
- 2:55do something a little more specific on that.
- 2:57I will probably share with you.
- 2:59Like our school systems as we're getting into our school year.
- 3:02So that won't be in this one too much.
- 3:04But I can tell you what we do normally do,
- 3:06even though this year will probably be quite different, but we'll see.
- 3:10Yes, I did make quite a bit of graphics for this video
- 3:15because it helped me organize my brain and they're cute and I enjoyed doing it.
- 3:18So get ready and buckle up for the graphics.
- 3:23For the systems, I have included very many photos,
- 3:28graphics, the whole kit and caboodle and I will explain them as we go along.
- 3:31But here we are.
- 3:33Look at my super cute graphic.
- 3:37Okay, something that I
- 3:38think is pivotal to any system and genuinely anything that I do
- 3:42as a person, as a parent or as a family member is focusing on the main points
- 3:47and the keys to success for our systems, for our routines, for our everyday home
- 3:50life is that first and foremost, we treat our family as a team.
- 3:54Everyone's then everyone matters.
- 3:56Everyone has a role to play.
- 3:57We are also incredibly consistent.
- 4:00Consistency is crucial because if it gets done,
- 4:04it is more important than if it doesn't get done.
- 4:07And then communication.
- 4:09We keep open communication
- 4:11because that is a very clear goal for us as far as our family goes.
- 4:15Family is our first priority.
- 4:16We make sure that everyone is on the same team
- 4:19with the same goals, and we do that by being consistent.
- 4:23We do that by communicating, by stressing everyone's place and every bit.
- 4:27And for us it is very nice.
- 4:29We feel like our family operates and functions very well.
- 4:33Everyone enjoys their role here as far as we know,
- 4:36and we take that rule very seriously because it is important to not only feel
- 4:41like you are part of a team, but to also remember
- 4:44that you are in service to the team for the greater good.
- 4:47And one way that we do that, one way that I love doing that,
- 4:49and I'm so happy to have it back on the wall is our quote corner.
- 4:52So the girls put these up and they do such a good job.
- 4:54Dad and I were working on a bigger project outside and I just told them what to do,
- 4:58and they got them up in their street and they're so good.
- 5:00I would like to offset the color behind these a bit to make it pop
- 5:03a bit more, kind of like it used to have in our old house with the yellow,
- 5:06but I just having a quote on the wall, I feel like it's so inspirational.
- 5:09It's right, right where we see it.
- 5:12Every single person in our family sees it every single day.
- 5:15And I know that it is motivating and wonderful and we enjoy it.
- 5:21So that is there any nice having it out in our home?
- 5:25A little inspiration now as far as our parenting goes,
- 5:29our parenting system is that we have very clear communication.
- 5:32We express what we want.
- 5:34We also set the expectations.
- 5:36So we have found in our parenting
- 5:37that we have much greater success with literally everything in parenting.
- 5:42If we tell the kids what's going to happen,
- 5:44if we tell everybody what's coming, if we sit down together
- 5:47and let everybody know what's up in the week ahead.
- 5:49I mean, these are the things that really do
- 5:52convey consistent messaging and I think help everybody stay on the same team,
- 5:56help everybody stay in the same place, make sure everybody's aware of things.
- 5:59Every time that we have had some big kind of things go down
- 6:04as far as behavior wise, it usually always comes back
- 6:08to clear expectations and consistent messaging.
- 6:10So that for us is really big.
- 6:12This is our command center in our kitchen, and I've blurred out
- 6:15any important details because y'all don't need to know my business.
- 6:18But I want to show you what we have.
- 6:20So it's basically a blank calendar in a frame
- 6:23that we use wet erase markers on a,
- 6:28a like command center
- 6:29piece that you'll see again here in a minute and then a week.
- 6:33And for the week, what we do is we put down our standing obligation.
- 6:37So like every Wednesday at 1 p.m.
- 6:39we're at the library, things like that, so that we don't have to kind of
- 6:42rewrite it on every day.
- 6:43And this is just a closer look at some of these pieces.
- 6:46So like our calendar and we, you know, clear it out,
- 6:49start over every month and get set up for the day ahead.
- 6:52And this is right in the kitchen. Everybody can see it.
- 6:54Everybody knows what's coming.
- 6:55It's been really helpful even with like the kids orthodontic stuff.
- 7:00I mean just having this on the same page is really huge.
- 7:04So we love having it.
- 7:06And the same thing with our week, it just gives us a place.
- 7:09Everybody can see it,
- 7:10everybody knows what's coming and it is giving us that week ahead.
- 7:13Now you're going to see in a minute the command center that we started
- 7:16most recently.
- 7:17And the reason that I did that is like our grocery lists are digital.
- 7:20And I wanted another bit downstairs to share kind of inspirational quotes, a
- 7:25to do list, things that need to be cleaned, things like this.
- 7:27And this is what I designed in Canva and then printed.
- 7:30Now everything that you've seen on this wall is printed just with a printer,
- 7:35and then put inside a clear glass frame, and then we just wet erase
- 7:40right on top of it.
- 7:40And it works like super, super well for us.
- 7:44It's very visual, it's very tangible, and everybody loves it.
- 7:48I failed to mention that in addition to the wall calendars,
- 7:51we also have color coded family Google Calendar, because everybody
- 7:55needs to be able to see everything all the time.
- 7:57The kids don't utilize it as much as my husband and I do,
- 8:00but it is very handy to have that color coded communal calendar.
- 8:03Now, the most important thing that I think you can do to set yourself up
- 8:07for success in
- 8:08the morning is to start in the evening, and that is why I put it first.
- 8:12The evening routine determines the next day's success.
- 8:15And this is what everybody in our house does.
- 8:16Dad, make sure that the dishwasher is loaded the way he wants it
- 8:19loaded and starts the dishes every night, essentially shutting the kitchen down.
- 8:23And I will do the closing chores and just make sure we're on track
- 8:27for the next phase plan communicating that to everybody.
- 8:31Make sure anything that needs to be prepped for the next day.
- 8:33Like if I'm going to cook in the crockpot the next day,
- 8:34I just pull it out just to trigger that memory.
- 8:37If we are going somewhere, I just remind everybody and dinner preps
- 8:41if something needs to come out for the next night,
- 8:42I go ahead and pull that out just because that's how it works best.
- 8:46The kids are responsible for their closing chores,
- 8:48which we'll talk more about in a minute,
- 8:49and making sure anything needs to be prepped for the day.
- 8:51They set their alarm and then everybody gets to bed at a reasonable time.
- 8:56Okay, so that means that our morning routine starts the night before.
- 9:01If you want to see any more about these specific routines,
- 9:03I probably have a full video here.
- 9:04But if there's something that you want to see,
- 9:06let me know and I will add that to my list of things to do.
- 9:10So our morning routine does start the night before.
- 9:13Dad will unload the dishes first thing in the morning, which is huge
- 9:15because we've got the dishwasher ready to go.
- 9:18I like to get up before the kids.
- 9:20We've had this discussion many times.
- 9:22I like to have my coffee.
- 9:24I like to feel like myself, do something for myself,
- 9:28get a little work done, possibly check off a chore, and it feels amazing
- 9:32to be able to check a workbox check a house box, check a self box.
- 9:35Have a quiet morning.
- 9:36For me, this is whether or not the day is accessible.
- 9:39Starts at the crack of dawn,
- 9:41pre done in the morning and that is just because that's how I work best.
- 9:45Now the kids will get up with their alarm.
- 9:47These are their obligations for their morning routine.
- 9:49They get up with their alarm. They get dressed.
- 9:51They get fed and they pack up if they need to.
- 9:54Because we've got a lot of days we're out of the house
- 9:55and then they're ready for school at nine or before.
- 9:58And it's not a big stickler. 9 a.m.
- 10:01sometimes it's 915, but I know that they're moving
- 10:03and making progress and that is pretty huge.
- 10:05So this is our morning routine again.
- 10:07I've shared it a ton on this channel if you want to learn more about that.
- 10:10But that's how our morning goes now.
- 10:14Our school routine.
- 10:15Our school routine varies year to year as far as what is literally happening,
- 10:19the individual things. But this is how it usually goes.
- 10:22School. Everybody's ready to start at 9 a.m..
- 10:24Okay, we start our week with mom and me Mondays.
- 10:26Meaning mom heavy stuff is is front loaded into the week.
- 10:29On Mondays we do four day weeks so that we have time to fudge
- 10:33and do fun stuff and whatever else we want to happen in there, or catch up
- 10:37if that's what's needed.
- 10:39Both kids, we usually start with group work,
- 10:41so if there's something that they're watching together
- 10:43like a crash course or whatever, they will usually do that
- 10:46first thing in the morning together and then they will alternate time.
- 10:49With working with me, I usually ask who wants to go first?
- 10:52And the other one will start with independent work,
- 10:53or if one's up and ready before the other one,
- 10:56they'll go ahead and start their independent work.
- 10:57Because they like to be moving alone.
- 10:59They like to be done.
- 11:00And I have found in our home,
- 11:02especially in our homeschool, that this fosters independence.
- 11:04And then at the end of our school day, they are responsible for cleaning up
- 11:11their specific school stuff and getting it put back on the shelf.
- 11:15Now, I know it's not going to continue to look like my pretty fresh
- 11:19start cabinet, but I can pretend that it will, right?
- 11:22Okay, so here's the big one chores.
- 11:25These are our philosophy surrounding chores.
- 11:28We actually had everybody sit down and choose what they wanted to do.
- 11:32So we made a master list of things that needed to be done,
- 11:35and we just let people claim them because I recognize
- 11:39I hate unloading a dishwasher, but like, my husband doesn't mind it.
- 11:42And so he takes that and I will avoid doing it.
- 11:44And so I thought it was really important to kind of stress that that is that way
- 11:49for everybody.
- 11:49Everybody has something they would rather do or something they would rather not do.
- 11:53And I think it's really important to lean into that for success,
- 11:57because people have different things that they favor and different things
- 12:01that they don't want to do.
- 12:02So why would I be battling uphill if there's something that one kid
- 12:06would rather do over the other kid?
- 12:07Our girls do earn allowance based on completing their chores.
- 12:11I don't remember what it is, but it's like ten bucks or something.
- 12:14And then this year we are digitally tracking
- 12:16via their homeschool grade book student planners, and we try to stay flexible.
- 12:20There are times when they're just busy.
- 12:23My kids have very busy lives.
- 12:25I'm not asking for perfection, but if you want to get paid,
- 12:27it needs to get done.
- 12:30We are huge fans of you are responsible for your mess
- 12:32if you make the message your job to clean it up.
- 12:34So if you use the dishes, it's your job to get them in the dishwasher,
- 12:36things like that.
- 12:37We also are not perfectionists.
- 12:40Okay, yes, we want it done well, yes, we want it done right.
- 12:43But I would rather that it got done because perfection is the enemy of done.
- 12:48And so we do not stickler on that, but we do teach and train.
- 12:52Now these are our new chore systems.
- 12:54So I did go ahead and write them on our board here so that everybody can visually
- 12:59see them and clue in on that because it is new
- 13:01and these are different to us starting this year.
- 13:03We haven't even actually started this yet, but it's on our list of things to do.
- 13:07Now, in the past, you guys know that I have themed our tour charts to our kids
- 13:11and printed them and hung laminated them and hung them inside their school cabinet.
- 13:17But that's just not something we have anymore.
- 13:18Plus, we are now tracking digitally.
- 13:21So in the past I have loved.
- 13:23It's one of my absolute favorite things
- 13:24is to theme things for my kids interest and to make that happen for them.
- 13:28And these are the printed ones, the last ones that we had for this,
- 13:33I think these were actually even in our last house, but I love it.
- 13:37It's a passion project of mine to make little graphics and printables.
- 13:40It just entertains me so much.
- 13:42But digital this year I'll let you know how it goes.
- 13:46I forgot to show anything for laundry, but our laundry system
- 13:49is that all of the laundry gets done on Thursdays.
- 13:52That's just the day of the week we happen to be home, and it's easiest.
- 13:54And as our clothes come off, we actually have a system in our laundry room
- 13:58where they are sorted into four different bins
- 14:02and whether that is lights, darks don't dries and whites.
- 14:06And so they sort as they come off of the body.
- 14:09And then on laundry day, we just grab them and start going through them.
- 14:12And I will rotate the laundry around.
- 14:14So get it in, get it into the dryer.
- 14:16And then I lay it out on our bed and everybody's individual piles.
- 14:19And then we come together in the evening sometime to do the laundry
- 14:22as we have time all together now, what is one of the largest pain points?
- 14:27And I think most families laundry
- 14:31and meals for meals.
- 14:34I got really frustrated trying
- 14:37to think about what needed to be done, what we're going to eat.
- 14:40It's just for me, it's very exhausting, that kind of mental effort
- 14:43of always thinking about it.
- 14:45And so I printed a blank calendar I went through,
- 14:48and I thought of kind of general themes that we could stick with.
- 14:51And I just laid it out because I was tired of repeats,
- 14:55and I was tired of eating the same thing,
- 14:57like every week, or always defaulting to the same thing.
- 14:59It really stressed me out.
- 15:01So I made this for a week cycle rotation.
- 15:04Now you can see
- 15:05I have different themes across the top, but I am very reasonable at most.
- 15:09We will cook five times a week because we do leftovers.
- 15:12We're in, we're out, we're whatever.
- 15:15Okay, so at most we cook five times a week.
- 15:18Now some of these meals will make a lot of leftovers and some of them won't.
- 15:21At the beginning of the month, I make a giant pot of sauce.
- 15:23You guys red sauce.
- 15:24You guys know
- 15:24it goes for for two spaghetti and two
- 15:27lasagna is that is the only thing in this meal that gets repeated.
- 15:30And I do rotate in other meals.
- 15:33If there's something that I'm like, oh, that looks so fun.
- 15:35It looks so great, let me add that in.
- 15:36And then there's a few things that I have put in for if I'm not feeling
- 15:40something like, oh, it's too hot for soup, we'll add something else in.
- 15:43And those meals are meatball soup, popcorn chicken and mac and cheese,
- 15:47or we'll do like a buffalo chicken.
- 15:48So good sheet pan enchiladas, breakfast for dinner, pizza nights.
- 15:53And again we are sticking with,
- 15:54you know, leftovers and food out and things like that.
- 15:56My family's big leftover family, so anything I can make in a double batch,
- 16:00I totally do.
- 16:01And I do try to cut those corners when I can.
- 16:04So, for example, if I'm making sauce at the beginning
- 16:05of the month, it covers for meals with leftovers for each one.
- 16:10If I'm making meatloaf, I will double batch it up
- 16:13and throw one uncooked full thing in the freezer.
- 16:16And each each thing makes too low.
- 16:19So it's like four loaves with two in the freezer.
- 16:21These are the things that I personally love.
- 16:24It makes my life so much easier.
- 16:26Now once I figured out this plan guys, I went one step further in the crazy
- 16:30train and I went into my Microsoft to do list
- 16:33because my husband and I will share to do list for various things.
- 16:35And I made five grocery lists.
- 16:38Five grocery lists.
- 16:39We have the running grocery list for like, we need milk, that kind of thing.
- 16:43We need peanut butter, things like that.
- 16:46But I went through and mapped out the dinners for every single week.
- 16:50I thought about every single little thing that we might need to make those dinners
- 16:54for week one completely possible, and I put them on a list.
- 16:57So dinners, week one, dinners week two, dinners week three, and dinners week four.
- 17:01And then I go stand in my pantry every week when we're going to go
- 17:05grocery shopping and I check off what I already have.
- 17:08Okay, so there's a lot of things like I'm not buying taco seasoning that often,
- 17:12I buy it at a big box store and it just doesn't come up that that much.
- 17:16But every week I go clear all these check
- 17:18marks and I put them back at the top, and then I stand in my pantry
- 17:21and I check it off and it is automated and it is done.
- 17:23And then my husband, before we go to the grocery store, my sweet, sweet
- 17:26has been will go in and organize the things that we need
- 17:31by which sure, we're going to and the layout of the store.
- 17:34And so yes, I do physically go into the grocery store.
- 17:38I don't mind it.
- 17:39It's actually kind of fun.
- 17:39My husband and I will go on our own,
- 17:41but it's also really easy if we're just doing a grocery pickup.
- 17:45Okay, so this does allow for flexibility.
- 17:47It does allow for leftovers
- 17:48because like my husband takes leftovers for lunch,
- 17:50he would rather do anything but eat a sandwich.
- 17:52Same thing with my oldest child.
- 17:53And it's so easy.
- 17:55And so we'll have leftovers and and we never go hungry.
- 17:58And usually what happens by the end of this four weeks,
- 18:00to be completely honest with you, is that there is a fifth week of eating
- 18:04whatever we still have in there, because there's things
- 18:06that didn't get cooked for one reason or another.
- 18:08There are things that we still have so many leftovers, like whatever it is,
- 18:12and we'll just we'll eke out another week if possible, just to clear the freezer
- 18:16out, because we only have the one now, which is weird, but it's okay.
- 18:19So this is just dinners.
- 18:21And then we have running lunches and running
- 18:25running
- 18:26breakfasts, which the kids are responsible for their own breakfast and lunch.
- 18:29Unless it's like a weekend when we're doing like a big, a big,
- 18:33you know, breakfast or something.
- 18:34But this works really, really well for me.
- 18:37I have basically and the same thing with all of my assistants
- 18:41guys, I automate them and then I forget them.
- 18:42And it's freaking glorious because having to touch something
- 18:45all the time really makes me want to hurt people a lot.
- 18:49So this is gold, guys.

- 19:05I would love to hear from you!
- 19:07What system do you feel like you struggle with the most?
- 19:12Or which system have you nailed down to where it is just autopilot?
- 19:17Because I think that for me is why I love system so much, is
- 19:20when I can just check out I have got it in place, it runs well, it runs smooth.
- 19:26Anybody in my home can pick it up because they know how it goes.
- 19:29That for me is like the true marker of success when it just happens.
- 19:33And that is glorious because there's so much stuff that we have to make happen.
- 19:37If I had to stop and think
- 19:39and devote energy to making it all happen all the time in the same, well,
- 19:43no, no, no, no, I honestly think my favorite system
- 19:49is probably our current meal planning grocery system because it's working
- 19:54very well and I love it very much, and it makes it a lot easier.
- 19:57So that is kind of it also prevents a lot of like
- 20:00boredom and repeat on the meals, but that's a whole other thing.
- 20:04Anyways, guys, I hope that you will share with us your successful systems
- 20:08or your pain point systems, and together we can keep making everyday magic.
