- 0:37Jennifer Johnson: Today we welcome into the studio Jen Cail.
- 0:40Jennifer Johnson: She owns Medrano and Cail Bookkeeping and they assist small business owners with their finances so they can focus on what they love and what they do best.
- 0:51Jennifer Johnson: Welcome, Hi.
- 0:52Jennifer Johnson: How are you?
- 0:53Jennifer Johnson: I'm doing well.
- 0:54Jennifer Johnson: We had you in last season.
- 0:55Jennifer Johnson: We talked about a lot of different topics.
- 0:57Jennifer Johnson: Today we're going to talk about something different but still related, and it's about accounting.
- 1:04Jennifer Johnson: I know I tell people I don't math.
- 1:06Jennifer Johnson: I hate that part of the business.
- 1:08Jennifer Johnson: It's a necessary evil, Right, but it needs to be done.
- 1:11Jennifer Johnson: It does need to be done and inevitably there's always mistakes that people make All the time, I'm sure you see it a lot.
- 1:20Jennifer Johnson: I see a lot.
- 1:23Jennifer Cail: Yes, some are very creative too.
- 1:24Jennifer Johnson: Maybe they weren't mistakes.
- 1:25Jennifer Cail: Well, I'll say they're mistakes.
- 1:35Jennifer Johnson: I mean, I have seen it because I used to do my books once upon a time and I remember it was my mother-in-law does books and I remember her helping me and she's like can you just explain to me it was like the back doorway of doing something that should have been the front door and I'm like I don't know.
- 1:49Jennifer Johnson: That part of my brain just doesn't function like a normal person.
- 1:53Jennifer Cail: Yeah Well, I'm not creative, so it's fine.
- 1:57Jennifer Johnson: So yours would be straightforward you wouldn't be going through the back door.
- 2:01Jennifer Cail: No, no, I would be matching colors that don't even need to be matched.
- 2:03Jennifer Cail: Oh my God.
- 2:05Jennifer Johnson: So let's talk about mistakes that people make in their accounting Yep.
- 2:11Jennifer Johnson: And we're just going to start there.
- 2:14Jennifer Johnson: The second half we're going to talk about, not the creative ways to go about it, but let's talk about five ways that people make mistakes in their small business accounting Yep.
- 2:28Jennifer Cail: Well, you touched on the first one.
- 2:29Jennifer Cail: It's just poor bookkeeping, just not keeping your books like you're supposed to.
- 2:34Jennifer Cail: That is huge.
- 2:35Jennifer Cail: Every time people do that, they think it makes sense, but it doesn't make sense.
- 2:39Jennifer Cail: Another one is mixing business and personal finances.
- 2:42Jennifer Johnson: Oh, people do that all the time.
- 2:44Jennifer Cail: All the time they use the wrong debit card, they use the wrong credit card.
- 2:48Jennifer Cail: They're saying, oh, my kid's soccer is fine, it's a no-no.
- 2:51Jennifer Cail: You can't mix business and personal, so does that get?
- 2:55Jennifer Johnson: Obviously, if you were audited, that will be a problem.
- 2:58Jennifer Cail: That is a problem.
- 2:59Jennifer Cail: You have to provide explanations as to why that's on your business books, and then it's up to you to provide information as to that is a qualified expense or not a qualified expense.
- 3:09Jennifer Johnson: And would that be something and I know you're not an accounting attorney, but is that something that would tip somebody off on an audit Like, oh my gosh, they're not looking for that, are they, or are they?
- 3:21Jennifer Cail: It's not that they're not looking for that.
- 3:22Jennifer Cail: It's how you maintain your records.
- 3:24Jennifer Cail: So that's why you have a CPA that will say, okay, let's go through your books and definitely see you contributed this money to yourself, you distributed this money, what did you do?
- 3:32Jennifer Cail: It's how you keep it in the books.
- 3:34Jennifer Cail: As long as you're not putting it towards a business expense and thinking it's qualified, then you can always explain it.
- 3:39Jennifer Cail: It happens Sometimes.
- 3:41Jennifer Cail: You only have a personal card that goes through I never suggest it, but again, sometimes it happens or a business.
- 3:47Jennifer Cail: So that would be a big one mixing business and personal.
- 3:50Jennifer Cail: But if it's more than quite a few times, then that's a pattern.
- 3:56Jennifer Johnson: So that's definitely not.
- 3:57Jennifer Johnson: Make sure you're not doing that.
- 3:58Jennifer Johnson: Unless it is Correct, you're on camera all the time, so you go get your hair done and your business pays for it, because it's part Is that permissible.
- 4:07Jennifer Cail: That is a very gray line.
- 4:09Jennifer Cail: Oh, so that just depends on where your CPA is looking, on the left or the right side of that line.
- 4:15Jennifer Cail: So anything can be explained to the IRS, so you just have to have documentation Is it a reasonable call of duty expense.
- 4:22Jennifer Johnson: I'm always on camera, I'm always in front of the Yep, so do you.
- 4:29Jennifer Cail: is your hair only for business use?
- 4:30Jennifer Cail: Well, I wear it every day, Are you?
- 4:32Jennifer Cail: And again, you know that's kind of what they're looking at, but there's ways around items like this.
- 4:37Jennifer Cail: Oh, that's interesting.
- 4:37Jennifer Cail: It is interesting.
- 4:38Jennifer Cail: Another one is not reconciling the bank accounts.
- 4:41Jennifer Cail: There's a lot of people that don't even look at their bank statement.
- 4:44Jennifer Cail: And at the end of the year.
- 4:45Jennifer Cail: They're thinking what came out of my bank account?
- 4:47Jennifer Cail: So, at the end of the month, if you're not looking to make sure all those checks came out, all those deposits came in.
- 4:52Jennifer Johnson: That's a big, big mistake that people have Well, I've had it where the bank is actually long story, short right, that means it's going to be a long story.
- 5:02Jennifer Johnson: We went on vacation a couple of years ago and came back to many fraudulent charges on our business check card.
- 5:09Jennifer Cail: That's the worst.
- 5:10Jennifer Johnson: And Did you know that as a business, you only have I think it's 10 days?
- 5:17Jennifer Johnson: That is correct, but as an individual it's like 30 or 60?
- 5:20Jennifer Johnson: 60.
- 5:21Jennifer Cail: I never knew that A business, you're held up to a different standard because it is a business and there's so many transactions.
- 5:27Jennifer Johnson: So, yes, so here we are.
- 5:30Jennifer Johnson: I mean, it wasn't small change either.
- 5:32Jennifer Johnson: It was a lot of money and they got creative.
- 5:34Jennifer Johnson: Talking about getting creative, they actually wrote checks with my signature, a totally erroneous logo.
- 5:43Jennifer Johnson: That is a logo that we use, but it's not a logo that we normally use.
- 5:48Jennifer Cail: So creative and it usually starts with small amounts too.
- 5:51Jennifer Cail: So start with like $50, $10.
- 5:54Jennifer Cail: They want to see what comes out of it, and then all of a sudden those big amounts come out $5,000, $10,000, $15,000.
- 5:59Jennifer Johnson: And that's kind of what it was yeah, and you didn't catch it.
- 6:01Jennifer Johnson: We did not catch it because we were gone and they were not going to refund our money.
- 6:07Jennifer Johnson: They refunded everything but like $4,500.
- 6:10Jennifer Cail: And they're like no, we can't.
- 6:11Jennifer Johnson: They're like no, we can't.
- 6:12Jennifer Cail: And we pushed, and, pushed, and pushed and finally they did Well, that's a good bank, but there's a point where you just need to continue moving forward with it and say, okay, it's not going to happen again.
- 6:24Jennifer Cail: I tell people check your bank account daily.
- 6:26Jennifer Cail: Right, you need to daily.
- 6:28Jennifer Johnson: Well, the sad part is that they tried to chase down the check and none of that matched up.
- 6:37Jennifer Johnson: They don't do anything.
- 6:38Jennifer Johnson: They don't.
- 6:39Jennifer Cail: Which is really wild.
- 6:40Jennifer Cail: But by the time you think about it, the money's gone.
- 6:42Jennifer Cail: Where did it go?
- 6:43Jennifer Cail: You can't find it Right, so that's.
- 6:46Jennifer Johnson: I know.
- 6:46Jennifer Johnson: So yes, I mean check your bank account statement.
- 6:51Jennifer Johnson: I mean if you can check it should you be checking it daily?
- 6:55Jennifer Cail: If you can check it daily, I would say check it daily because you never know the pending transactions.
- 6:58Jennifer Cail: What if you got charged twice and it's a big amount and you're going to overdraft on your bills?
- 7:01Jennifer Cail: That's a huge thing also.
- 7:03Jennifer Cail: Or payroll, which brings me to the next thing.
- 7:05Jennifer Cail: Another thing is people confusing employees with contractors 1099 employees.
- 7:10Jennifer Cail: That is a huge common mistake.
- 7:12Jennifer Cail: Everyone says I have 10 employees.
- 7:14Jennifer Cail: I Huge common mistake.
- 7:15Jennifer Cail: Everyone says I have 10 employees.
- 7:16Jennifer Cail: I'm like, oh, that's a lot of payroll.
- 7:17Jennifer Cail: Well, no, they pay their own payroll, all their contractors, and there's rules against that.
- 7:20Jennifer Cail: You know employment laws.
- 7:21Jennifer Cail: So there's a big difference in employees and contractors, especially at the end of the year where a deadline comes in and you have to give a 1099 to all your contractors, w-2 to your employees.
- 7:30Jennifer Cail: So that's a big common mistake.
- 7:32Jennifer Johnson: You know, I just heard something, and it was regarding Venmo and those cash apps.
- 7:43Jennifer Cail: Yep, they changed something this year.
- 7:43Jennifer Cail: They changed it again.
- 7:44Jennifer Cail: So right now it's still up in the air.
- 7:45Jennifer Cail: It's supposed to be documented by the actual business.
- 7:47Jennifer Cail: But now they changed it, where maybe it doesn't need to be more than $600.
- 7:51Jennifer Cail: Because if you think about it, how much are you sending to your babysitter?
- 7:54Jennifer Cail: How much are you sending to your repairs guy?
- 7:56Jennifer Cail: What are you sending?
- 7:57Jennifer Cail: So they're trying to keep it more liable to the business owner.
- 8:00Jennifer Cail: But that's why you have a business account and a personal account.
- 8:02Jennifer Cail: So it's still up and it hasn't passed yet.
- 8:04Jennifer Cail: It's just still going in.
- 8:05Jennifer Cail: So what is it?
- 8:06Jennifer Cail: Right now, $600.
- 8:08Jennifer Cail: But that's why I always tell people if you do cash up or you do Venmo, they are responsible.
- 8:18Jennifer Cail: But just do one, just in case Got it, because you don't want to be the one to tell the IRS oh, I was waiting for you guys to pass a rule.
- 8:20Jennifer Cail: They'll say, oh great, we're still waiting on that too.
- 8:22Jennifer Cail: That's so funny.
- 8:25Jennifer Johnson: It's hilarious because somebody I'm attending this event and I bought the tickets Everybody has to pay me back.
- 8:31Jennifer Johnson: And they're like do you have Venmo, do you have, is it Zelly?
- 8:34Jennifer Johnson: I'm like don't have any of them, but I guess I need them, it's the way of life you need to.
- 8:40Jennifer Cail: It's the way it happens right now.
- 8:41Jennifer Cail: You could tap a phone and get someone's information right away.
- 8:43Jennifer Cail: So what do you think about money?
- 8:44Jennifer Cail: Honestly, it's crazy.
- 8:47Jennifer Cail: I have contractors that prefer to get paid on Venmo.
- 8:50Jennifer Cail: I'm like really Okay, it's a business transaction.
- 8:53Jennifer Cail: I guess I know, I know this is crazy to me.
- 8:57Jennifer Johnson: I know.
- 8:57Jennifer Cail: And the fifth mistake that I most commonly see is people don't know the deadlines for taxes, quarterly taxes.
- 9:02Jennifer Cail: What I know Like big taxes Even small ones, like state taxes, if you have a sales tax.
- 9:09Jennifer Cail: I don't know if they're supposed to pay it by the next month, or quarterly taxes or what are their tax deadlines.
- 9:13Jennifer Cail: So that is huge.
- 9:14Jennifer Cail: These are the most common mistakes that I have to go in and help and fix where they're coming and they're getting notices and it's just like one snowballs into another.
- 9:21Jennifer Johnson: Then it becomes a really big problem and all of a sudden it's out of control and to regain that usually is a lot of money.
- 9:28Jennifer Cail: And a lot of work.
- 9:28Jennifer Cail: And a lot of customer service people in the state that are not happy to pick up that phone call.
- 9:33Jennifer Johnson: Yeah, I would imagine.
- 9:34Jennifer Johnson: Call the.
- 9:35Jennifer Cail: Department of Revenue sometimes.
- 9:36Jennifer Johnson: Oh, I don't want to.
- 9:37Jennifer Johnson: No.
- 9:37Jennifer Johnson: Four hours to get through, let's not.
- 9:39Jennifer Johnson: Oh my gosh, I can't imagine the things that you've had to clean up.
- 9:44Jennifer Cail: It's been fun.
- 9:44Jennifer Johnson: Like you said creative, creative.
- 9:47Jennifer Cail: It's been fun.
- 9:48Jennifer Cail: Yes, but it's also asking what were you thinking?
- 9:50Jennifer Cail: Can you walk me through this process?
- 9:52Jennifer Cail: So I can understand, and then I can explain what you're trying to do.
- 9:55Jennifer Johnson: And then redirect you.
- 9:57Jennifer Cail: Right, Sometimes it is logical thinking, but when you're doing math it's not always the same, especially with taxes.
- 10:03Jennifer Johnson: Is math really logical?
- 10:04Jennifer Johnson: I mean not in my brain.
- 10:07Jennifer Cail: No, math is true numbers, I love math.
- 10:09Jennifer Johnson: Numbers don't lie.
- 10:10Jennifer Cail: Numbers don't lie.
- 10:11Jennifer Cail: But how do you get that number?
- 10:14Jennifer Johnson: Well, I added oh, I maybe did it wrong in the calculator.
- 10:19Jennifer Cail: That nine happened to be a four and that's skewing a lot of numbers, oh, my gosh Correct.
- 10:23Jennifer Johnson: All right, when we come back from commercial break, we're going to talk about these mistakes and how we can avoid them.
- 10:28Jennifer Johnson: Is your closet overflowing?
- 10:30Jennifer Johnson: Or maybe your kids' closets are as well, or maybe you just want to redecorate your house.
- 10:34Jennifer Johnson: If you're wondering what to do with all that stuff that you've accumulated, bring it all to True Fashionistas, or even ship it to them for free.

- 10:55Jennifer Johnson: Come into the store or check them out on Facebook or Instagram.
- 10:57Jennifer Johnson: That's truefashionistascom.
- 10:58Jennifer Johnson: All right, friends, we're back in studio with Caial and and we are talking about business accounting mistakes.
- 11:11Jennifer Johnson: We've all been there.
- 11:11Jennifer Johnson: We've all made them.
- 11:12Jennifer Cail: I am sure.
- 11:13Jennifer Johnson: I make them too, you do, I do, we're all human.
- 11:14Jennifer Johnson: We're all human.
- 11:15Jennifer Johnson: I say po-buddies, nerfect.
- 11:16Jennifer Johnson: So why do people make these mistakes?
- 11:21Jennifer Johnson: Is it sheer time?
- 11:23Jennifer Cail: It's limited resources.
- 11:24Jennifer Cail: If you think about it, you're a small business.
- 11:25Jennifer Cail: You're getting up in the air.
- 11:26Jennifer Cail: You're trying to figure out the admin.
- 11:28Jennifer Cail: You're trying to figure out the brick and mortar.
- 11:30Jennifer Cail: You're trying to figure out what is going on.
- 11:32Jennifer Cail: Accounting is not something that you're going to dive deep and do it, so you're one person sometimes.
- 11:37Jennifer Cail: Look at the solopreneurs they're trying to do it all.
- 11:39Jennifer Cail: We all start somewhere.
- 11:40Jennifer Cail: So it's limited resources.
- 11:41Jennifer Cail: It's also not having the training.
- 11:43Jennifer Cail: There's a lot of times they won't reach out to get at least consulting, set up their books properly.
- 11:47Jennifer Cail: What does it look like?
- 11:48Jennifer Cail: What am I supposed to do on a monthly basis?
- 11:50Jennifer Cail: So it's just growing too fast.
- 11:53Jennifer Cail: You want to grow, but numbers are important.
- 11:55Jennifer Cail: So these are common mistakes.
- 11:56Jennifer Cail: It's just making sure that you have the right background that you need, and this is common mistakes that people have.
- 12:03Jennifer Johnson: Right, yeah, consequences Right.
- 12:06Jennifer Johnson: I know the big bad wolf will be knocking on your door, but besides the IRS coming after you to audit and want their money, what?
- 12:16Jennifer Johnson: What other consequences are a direct correlation of not having your financial house in order and making these mistakes?
- 12:24Jennifer Cail: Financial loss.
- 12:25Jennifer Cail: Let's say you overstate your income and you think you have $200,000 that you made this year and you look at your bank account, it's negative $500.
- 12:33Jennifer Cail: You've lost so much money because you don't understand what's going on, so that's a huge loss.
- 12:38Jennifer Cail: That's damaging your credit.
- 12:39Jennifer Cail: Also if you end up getting all these credit lines and you're thinking, oh, I'm going to pay this back, or just going into debt and not being able to fix that I want to talk about I know this is often a tangent, but debt, oh yes.
- 12:53Jennifer Johnson: So I remember talking to somebody a while back and they're like you know what?
- 12:57Jennifer Johnson: But not all business debt is bad debt, and I think of debt as like, oh my God, it's so bad.
- 13:03Jennifer Johnson: But they're like you've got to leverage it too Correct.
- 13:08Jennifer Cail: So there is actually a company locally that leveraged their debt and ended up selling for about six times that debt.
- 13:16Jennifer Cail: How is that possible?
- 13:18Jennifer Cail: They leverage and they grew quickly.
- 13:21Jennifer Cail: That is a risky move.
- 13:22Jennifer Cail: It worked in their favor.
- 13:24Jennifer Cail: I can see where someone says debt is not bad for the business if you can control it.
- 13:30Jennifer Cail: You buy equipment but it's going to pay off.
- 13:32Jennifer Cail: You know your books are in order.
- 13:34Jennifer Cail: You get a line of credit but you know you're going to pay it off, so you're always forecasting that money that's coming in and then when you sell you can equate that debt in there.
- 13:43Jennifer Cail: But it's too risky sometimes.
- 13:46Jennifer Cail: And these are those consequences where, if you don't have those accurate books, that debt can get out of control.
- 13:52Jennifer Johnson: And that's another consequence.
- 13:54Jennifer Cail: Correct Right.
- 13:54Jennifer Cail: A lot of people think business debt is like personal debt and it's not.
- 13:57Jennifer Cail: Business debt is ingrained with your personal debt too, so your personal score affects your business debt, it does Okay.
- 14:06Jennifer Johnson: So if you have a lot of debt personally, it's going to affect your.
- 14:11Jennifer Johnson: Is it Dunn and Bradford?
- 14:12Jennifer Johnson: No, how do they?
- 14:13Jennifer Cail: Dunn's and Bradford they do it the.
- 14:15Jennifer Cail: Dunn's number.
- 14:15Jennifer Cail: But they also pull your credit report Because when you start off, who's the guarantor?
- 14:19Jennifer Johnson: sometimes it is your business, but it's your personal.
- 14:21Jennifer Cail: So as your personal credit score is lower than what?
- 14:23Jennifer Cail: 650 now, you're not going to do anything good with your business loans.
- 14:27Jennifer Cail: You're going to get those high interest rates.
- 14:28Jennifer Cail: You're going to just debt snowballs there.
- 14:30Jennifer Cail: What's a good credit score?
- 14:31Jennifer Cail: Well, nowadays depends who you ask.
- 14:34Jennifer Johnson: But I would say 750 or above.
- 14:37Jennifer Cail: Okay, got it, but it depends, because I see people with 800 that can't get credit sometimes.
- 14:41Jennifer Johnson: Isn't that crazy.
- 14:42Jennifer Cail: Exactly Because they have no debt.
- 14:46Jennifer Johnson: Oh, so you know.
- 14:48Jennifer Johnson: I mean, I'm glad we're having this part of the conversation because I think, as business owners, most people don't see that personal affects business and business does affect personal Right, and what you do in personal you're going to do in business.
- 15:03Jennifer Cail: So if you can't keep a budget, on your personal side.
- 15:05Jennifer Cail: How are you going to keep it on the business?
- 15:06Jennifer Cail: It's a pattern, it's your lifestyle.
- 15:08Jennifer Cail: Just because you made a business doesn't mean you made a new person too.
- 15:11Jennifer Cail: That's so true.
- 15:13Jennifer Cail: It's just they affect each other.
- 15:15Jennifer Cail: So if your house is not in order on that personal side, there goes a business.
- 15:24Jennifer Johnson: Absolutely so, given the fact that we know that mistakes are going to happen, how can we avoid those?
- 15:27Jennifer Johnson: How can we avoid making these mistakes that seem like they're no big deal?
- 15:31Jennifer Johnson: But, to you.
- 15:32Jennifer Johnson: They're a big deal.
- 15:33Jennifer Cail: They are a big deal.
- 15:34Jennifer Cail: I always tell people if you can't afford an accounting software, find one that works with you and is probably free.
- 15:39Jennifer Cail: There's a lot of free ones there that can start you off.
- 15:41Jennifer Cail: Get an accounting software.
- 15:42Jennifer Cail: They walk you through it.
- 15:43Jennifer Cail: Get a consultation with a bookkeeper locally.
- 15:45Jennifer Cail: Call someone.
- 15:46Jennifer Cail: Get training on YouTube.
- 15:48Jennifer Cail: Don't go on other social media platforms but go to actual, substantiated channels.
- 15:54Jennifer Cail: There's free courses on the college websites that you can get.
- 15:57Jennifer Cail: Local colleges they give free accounting softwares and energy trainings, so you can get so much of it.
- 16:05Jennifer Cail: This is how you prevent it.
- 16:06Jennifer Cail: You want to learn as much as you can on the accounting side and then just call and ask your state as well.
- 16:11Jennifer Cail: You can call Florida Department of Revenue hey, I think I owe this or I think I might have to pay sales tax.
- 16:16Jennifer Cail: Call people who actually know, but don't stay to the point where, when you're in that bubble where you don't know how to get out of it, you start asking for help.
- 16:24Jennifer Cail: It starts from the beginning.
- 16:26Jennifer Johnson: And that was going to be my other question resources for small businesses to learn the things that they don't know.
- 16:32Jennifer Johnson: And you've said you know some of the like.
- 16:34Jennifer Johnson: The community colleges have things Right.
- 16:36Jennifer Cail: There's also SCORE.
- 16:37Jennifer Cail: They're local, they're free and I'm giving a training coming up.
- 16:44Jennifer Cail: You know there's a lot of mentors on there that just love to provide help and assistance to business owners.
- 16:47Jennifer Cail: Get your local score involved, go somewhere and just ask for help.
- 16:51Jennifer Cail: The library has books for bookkeeping, for dummies.
- 16:55Jennifer Johnson: It literally says something or it says five things to know if you start a business for dummies probably, although I have a complaint to make to those people because there's one Spanish for dummies and I couldn't figure it out.
- 17:11Jennifer Cail: That might be a little bit different, I probably can't figure out German for dummies.
- 17:14Jennifer Cail: But there's always help everywhere.
- 17:16Jennifer Cail: It's just getting it and as well as a business owner, you're doing so much also, so maybe it just might be hey asking a significant other for help, someone you know, a friend who did accounting or knows a little bit about accounting, just something.
- 17:30Jennifer Cail: You want those accurate numbers and if not, the minimum is make sure you know what's in your bank account, because that's important.
- 17:36Jennifer Johnson: It is very important.
- 17:36Jennifer Johnson: Well, you have shared so much for our listeners here.
- 17:40Jennifer Johnson: It was really packed with good information.
- 17:42Jennifer Johnson: But to take this further, if our listeners want to reach out to you for your services, how do they reach you?
