- 0:01Welcome to authentic living with Roxanne, a place where we have as conversations about
- 0:08things that really matter in our lives.
- 0:11And now here's your host, Roxanne Derhodge.
- 0:36Hi, Ron.
- 0:36It's Roxanne Derhodge.
- 0:37I'm authentic living with Roxanne.
- 0:39Thanks so much for tuning in, again, this week.
- 0:42So today, I have two special guests, and they are in Mexico.
- 0:46I'm in Canada, and I'm thinking, I'd like to be in Mexico.
- 0:53And I'm and I I find out they're in Central Mexico.
- 0:56I've not been where they are, but I've been to acapulco.
- 0:59I've got all of the, ago, and I know I won't be getting there anytime soon, which is the sad
- 1:04part.
- 1:05So my special guests are Valerie Jennings and Jonah London.
- 1:09And, They have pretty interesting business backgrounds.
- 1:13Valerie's got to be in communications in over 25 years in administrative computer fields, and
- 1:20Jana has an associate's degree in computer networking.
- 1:24They founded virtual assistance in 2 2010.
- 1:27The word virtual is something that if it wasn't in your vocabulary before business in the last
- 1:343 weeks, Everybody is talking about visual, virtual, and everybody is on zoom overload.
- 1:40I don't know if you've heard that term and burnout, including me, And so we're gonna talk
- 1:46a lot about, you know, virtual assistance and services, but her their newly found business
- 1:53and their partners, is online business gurus, and their their mission is to show startup
- 2:01businesses who wanna go online.
- 2:04Right?
- 2:04And at the time we've hooked this, none of this had gone down yet.
- 2:07That's the thing.
- 2:08I just want everybody to know that at the time we booked this, none of this was going on.
- 2:13And, and then what a timely space for us to get together to be able to book to talk about going
- 2:19online.
- 2:20So they teach how to build and manage, you know, in their t in teams, how to install a
- 2:26system in their businesses, marketing products, services, businesses that could create a strong
- 2:32foundation they need to build for success.
- 2:36So you are probably in super high demand right now, I would think.
- 2:42We're getting more and more demands now.
- 2:44I think a lot of people were in that initial freeze stage when this all happened.
- 2:50But I think people are now getting into a a comfortableness into a little bit more, a
- 2:56little bit more surety.
- 2:58The stimulus packages, of course, are helping and that type of stuff.
- 3:01So people I think can see a light at the end of the tunnel and that panic part is gone.
- 3:06So people now are starting to realize that this is gonna be a little and they're gonna have to
- 3:11start planning and starting to move in the direction.
- 3:14So ready the fear element.
- 3:15I I gotta call it the deer and the headlights because, you know, most of us got, you know,
- 3:19sideswipe and didn't know kind of how to deal with it, that's kind of starting to wear off.
- 3:26And you're starting to see people kind of saying, okay.
- 3:28Now that we know that we don't know when things are gonna trickle off.
- 3:32Let's just kinda start to refocus, go out of fear mode, and to, okay, what do we have to do
- 3:38to at least minimally focus still on our business goals?
- 3:42And try to try to recoup or, continue to build that that foundation.
- 3:47Maybe if we aren't gonna see grow some growth into Q 2 and Q3, what can we kind of actualize
- 3:52to to get to Q Four?
- 3:54Would you
- 3:54say?
- 3:55Exactly.
- 3:55Yeah.
- 3:56Most definitely.
- 3:56Most definitely.
- 3:57You're starting to see people now that are are loosening up and realizing they need to get
- 4:01back to work and yeah, they're gonna have to start bringing in money and bringing into
- 4:05sales.
- 4:06And and now it's just the matter of, okay.
- 4:08Now how do we do this?
- 4:10So, Donna, tell us a little bit about, you know, some people are being forced into the
- 4:17space and they're they're they're doing it.
- 4:19People are starting to do it and get more comfortable.
- 4:22What if what what are some of the things that basic things that people have to think about?
- 4:27Now I've been working, you know, 50, 50 percent of my business virtual and then 50 was in
- 4:34person.
- 4:35But people that have never worked virtual, What are some of the things that they need to start
- 4:40to think about?
- 4:40Because now they are virtual.
- 4:42Well, with when you're working virtual, it's
- 4:44a little different in the aspect.
- 4:45And when you go into an office and sit down.
- 4:47You have a calendar.
- 4:48You have a planner.
- 4:49You have things that you've got in place so that you keep your projects in line.
- 4:54When you're doing it online, of course, you can have those things in your office, but there's a
- 4:59lot of things that a lot of people don't know about that there that are, especially if you
- 5:03work virtual and you're more than a way person team.
- 5:06Obviously, you're sit not sitting in the office with your secretary, your your admin assistant
- 5:12anymore.
- 5:12Now you're doing it all like we are now.
- 5:14You're talking to video, your emails, phone calls.
- 5:17So there are some some things out there that will make your life a little easier.
- 5:22A lot.
- 5:22There's a couple of really nice free versions of their, basically, online project managers.
- 5:29One of them is Asana, And the other one is teamwork.
- 5:33They're both free for basic users.
- 5:35So that's your average startup user, and it basically allows them to put in the project,
- 5:41put in a description of what needs to be done, and then you can assign those those specific
- 5:46tasks out to the people that need to handle them.
- 5:49Even a single entrepreneur may find that useful for them because it will send you reminders.
- 5:54Hey.
- 5:54You said you needed to do this today.
- 5:56Or, hey.
- 5:56You said you needed to do that today, or we're waiting on this, or you're still trying to
- 6:00finish this.
- 6:01And it just helps you keep things in your head.
- 6:04When you get on the computer, sometimes you get kinda lost in time just kind of gets away from
- 6:09you.
- 6:10And if you've got something there that says, hey.
- 6:12These things need to be done or we're still working on this, It just kinda keeps you
- 6:15focused so that you learn time management and you learn your best working way from working
- 6:20online and working account.
- 6:24Because not everybody is the same.
- 6:26So everybody needs to find their niche and working for home.
- 6:29Like you guys have said, this is not going to be happening where we're all gonna go to
- 6:33everything is normal tomorrow.
- 6:35So you need to find your niche and and get comfortable with being able to work online
- 6:39without panic mode?
- 6:44So when I think of okay.
- 6:46I'm gonna tell you when I went online.
- 6:49This is gonna date me.
- 6:50I was a corporate, executive and, back in 2002, my company, that was in and, of course, in
- 7:01Canada, maybe it was already happening in some of the bigger hubs in the they had just started
- 7:07to kinda I gotta say put their toe in the water to try virtual, and I was one of the first
- 7:13waves of executives to go, virtual.
- 7:16I'm telling you, I did it poorly and best.
- 7:20I because I would I would go into corporate So this is an example.
- 7:25I would go into corporate after I have my system was set up in Toronto.
- 7:29I'm in Niagara Falls.
- 7:30We you know, and, you know, but nobody told me how to do it.
- 7:35And I would, you know, because I was missing all that connection, so I would go to corporate
- 7:38this is a this is no one of a lie.
- 7:40I remember I go up into the board meeting, and then there's this big thing on, you know, one
- 7:44of those, it looks like a like a hovercraft sitting in the middle, and then there's maybe
- 7:50one person moderating.
- 7:51And I go and I sit in there as the you wanted the executives.
- 7:54And somebody said to me, what are you doing here?
- 7:55I'm like, what do you mean?
- 7:57What am doing here.
- 7:58I said, well, I'm here for the meeting.
- 7:59And they go, well, there's no need for you to be here.
- 8:01Because everybody, even though they were in the building, had quite literally taken it to the
- 8:07point where I don't need to be in the the boardroom, and that was a kind of a bit of a
- 8:11rude awakening because I'm a connector.
- 8:13I'm an extrovert.
- 8:14I like to see people.
- 8:15All that stuff.
- 8:15So that was my struggle.
- 8:17And then I went, woah.
- 8:18This is this is real.
- 8:20So that's gonna be something that I think a lot of people, to your point, Jonah, that people
- 8:25are gonna struggle with a bit.
- 8:28Well, the beauty of this is now there is zoom.
- 8:30So imagine you back 20 years ago when you could at least been able to see people around a table
- 8:36or been done doing this type of thing.
- 8:38That would have helped.
- 8:39You know, we always John and I are both military brats.
- 8:42So we joke, you know, how when we you know, when my father was off to war and her father
- 8:47was off in the Vietnam war, you wouldn't see our fathers or talk to our fathers for, you
- 8:51know, nearly 6 months.
- 8:53You know, and today, kids have got Skype and they have Zoom and they have all these other
- 8:57tools where they could see their parents And god forbid should someone go into labor while
- 9:02they're gone, they can actually bring the phone or the item into the lever delivery room and
- 9:07the father can actually see their child born.
- 9:09Which is an entirely different thing.
- 9:11So there are ways to stay for those extroverts.
- 9:14I'm one of those as well.
- 9:15So likes to talk and be people and and everything else.
- 9:19There are ways to still connect without touching people, but you could still get the
- 9:23face to face contact.
- 9:24You could still get the bounce off, the emotions off of people.
- 9:27And a lot easier than in those old days where all it was was a telephone.
- 9:32I know.
- 9:32And I like I said, because I had this assistant, but her and I kept, like, you know,
- 9:37missing.
- 9:38Because, you know, I was so accustomed to, like, okay.
- 9:40Let's sit and talk.
- 9:42And then, of course, we would get busy.
- 9:43We'd get distracted.
- 9:45You know, you're talking about, these tools, which, you know, that time, those these tools
- 9:49didn't exist, had they existed and would have already helped us, you know, to be able to to
- 9:54track things.
- 9:55So, so talk a little bit about, some of these tracking tools and how they can actually help
- 10:03project managers So I'm thinking, let's say I had a team that maybe there were some issues
- 10:09around how they work together.
- 10:12Well, how could these tools help you know, I I I I will say that, ultimately, you have to deal
- 10:18if there's disconnections or people aren't falling through.
- 10:21But the the tools like Asana, and I'm not sure if we're forgetting this teamwork
- 10:25teamwork.
- 10:26Right?
- 10:27The only reason I mentioned those is because they're very this inexpensive on their paid
- 10:31versions,
- 10:32but they
- 10:33have 3 versions which are basic.
- 10:35And, basically, I mean, even in your brickin' more everyday office.
- 10:39You're going to have those people that have to work with each other, but they're not going to
- 10:42be the best of friends.
- 10:44Right.
- 10:45Online project managers do take some of that stress off because you can assign certain
- 10:51pieces of a project to a particular person You can assign that person a particular due date
- 10:56for that, but you can make those where only that person can see their piece.
- 11:01So say you're working on a project and Jill needs to do this piece, and then Joe needs to
- 11:06finish up the piece that after Jill is completed.
- 11:09Now Joe doesn't need to know that he's waiting on Jill, and Jill doesn't need to know Joe's
- 11:13waiting on them because you can assign piece of those projects that are only visible to the
- 11:19person that needs to have those projects.
- 11:21And like I said, you can assign due dates.
- 11:23You can make them private.
- 11:24So if there's one particular person, then you've got a private project, and you only need
- 11:28a particular team member.
- 11:30You can make it private.
- 11:31There's a lot of really nice ways to use those.
- 11:35To manage your team online and not have to play referee for the daycare center when they decide
- 11:41that they don't like each
- 11:42So when they're throwing sand at the at each other in the sandbox,
- 11:47we could take the we could take
- 11:48the scoops on their hand and say, alright.
- 11:50Enough already.
- 11:51Exactly.
- 11:51Quite quite literally, virtually, you can do that.
- 11:54Exactly.
- 11:55Because they don't feel like they need to take their tonka trucks and go home.
- 11:58So there there's, I mean, there are ways to manage it.
- 12:01And because of the way they're set up, they're really nice in the fact.
- 12:04Like I said, it also tracks your time.
- 12:07Okay.
- 12:07So if you've got a team and you're trying, say you've got a team and you're trying to figure
- 12:12out how the online work is going to work for even as just a single entrepreneur, you can
- 12:18track time.
- 12:19There's time tracking in there.
- 12:20You could say, oh, then I'm gonna start the clock at this time and then they work and I'm
- 12:24in the clock at this time, and it actually adds the time to that task.
- 12:28So that
- 12:28And also on the paid versions, it allows you to bill.
- 12:31So your doctors and your lawyers and your therapists that are actually charging by the
- 12:35hour, you can go ahead and record the time.
- 12:38You can type in who the client was, what it was, and then you can actually send that
- 12:42invoice out on the paid version.
- 12:44So it is something that can grow with you as you continue to move in your business.
- 12:48And on the free versions, you could still track the time.
- 12:51It just doesn't allow you to invoice, but Teamwork and Asana are both really inexpensive
- 12:56if you decide to you pick 1 and you really like it, they're really inexpensive to do the paid
- 13:01versions.
- 13:02We, I use this on a on a daily basis for client, and I love it.
- 13:06You can set where your reminders, or if you set up a new task and you assign it, they
- 13:10immediately get an email that says you were assigned this task.
- 13:13That's what needs to be done with this task, and this is the date that I expected to see
- 13:17done.
- 13:18So there's not even there's not even a need for you to pick up any phone or an email and say I
- 13:23sent this to you, they automatically get a notification from the project manager itself.
- 13:27So it's something that I don't use.
- 13:29It's not interesting because I have a virtual And so you're you're calling me out in public
- 13:35on Zoom.
- 13:36Because we we kind of we meet you know, virtually, on a Monday, and we kind of just
- 13:44talk about what gets is gonna get done.
- 13:46And, you know, who is often the bottleneck is wah.
- 13:51So I I hate to say it, but that gets happened a lot.
- 13:55And she would if she was on this, she would agree with you.
- 13:57So I think I liked this because you know, obviously, I get, you know, you know, stuck or
- 14:03something happens, like, you're trying to find the Zoom link and she's normally available.
- 14:06She's off today.
- 14:08Those types of things.
- 14:09And then I'm like, oh, okay.
- 14:10What do I do next kind of thing?
- 14:11But I think I like this this this element that, okay.
- 14:15If you got the sequence, it very methodical.
- 14:18I, that is not my superpower.
- 14:20I am not microscopic.
- 14:22I am big picture.
- 14:23She is my she makes me look really, really good.
- 14:27So I think a tool like this would probably help us more, to to kind of know where we're at with
- 14:34projects And and and I'm gonna assume not knowing the tool that you can do multiple
- 14:38projects that you
- 14:39can do multiple projects.
- 14:40And the really nice thing is you have projects that you guys do on a regular basis, say you do
- 14:44a podcast every week.
- 14:46Yes.
- 14:46And there are specific steps that need to be handled in podcast, you create a template
- 14:51that's usable.
- 14:52Oh, okay.
- 14:53Copy the template and change the dates and change whatever information on the template
- 14:57needs to be.
- 14:58And as they're completed, you can just check them off and you'll get a notification.
- 15:01She'll get a notifications.
- 15:02This was complete.
- 15:03This is done, and this was complete.
- 15:04And then you know where you are on your task.
- 15:06So you can and you can run, I think Emma and I at the moment run 30 different projects through
- 15:12her asana on any given week
- 15:14So, oh, that's amazing.
- 15:15And the templates are nice because, you know, should your VA be out, you could go into the
- 15:21project manager and everything is already there.
- 15:23So anybody yeah.
- 15:25So anybody would be able to should somebody be sick or should a manager have to go off or a
- 15:30travel or something like that, at least somebody else can go into the backside and see,
- 15:35okay.
- 15:35This is where we are right at the moment and then pick up from the project.
- 15:39And it allows you to put contact on each of the task or a a comments and and updates on each of
- 15:45the task.
- 15:45So if you've fun finished something, but she's waiting on a link for you, she can say, I've
- 15:50done all of this, but this is what I'm still waiting on.
- 15:52And, again, that the manager, it the project manager itself sends you an email.
- 15:56You don't have take the time to write that email yourself unless you just really want to.
- 16:00Everybody gets an email that's assigned to the project and assigned to that task.
- 16:04It says this was done, but we're waiting on
- 16:06So I do something nice.
- 16:07And and it sends off the emails to everybody.
- 16:09So, oh, I like I think my I think my VA is gonna like both.
- 16:13Yeah.
- 16:16And it's really nice.
- 16:18It saves a lot of headache.
- 16:19It saves a heart to heartache.
- 16:20It saves a lot of time and project falling through or pieces not getting finished.
- 16:26So it's it's it's it's if you're coming from brick and mortar, it's something to think about
- 16:31when you're trying to figure out how you're gonna make everything online work and nothing
- 16:35become broken or lost.
- 16:36Okay.
- 16:36So let's talk about other things.
- 16:38If you're going from brick and mortar, and I know that That's your superhero, things that
- 16:43you do at your business.
- 16:45What are some other things that people that are going from bricks and mortar mortar to home
- 16:49now?
- 16:50They've they've probably been keeping it up a little bit.
- 16:52Maybe not sometimes good, sometimes not so good.
- 16:54What are other things people should be thinking about systems wise?
- 16:58Implement.
- 16:59Obviously, Zoom, which I'd like to chitchat a little bit of with you about, or there's maybe
- 17:03other things Yeah.
- 17:04There's phases that you would suggest.
- 17:07There is a great program.
- 17:08It's called Loom, l o o m.
- 17:11Right now, they're actually doing a special for COVID.
- 17:13They drop the prices half off so people could use it.
- 17:16I believe it's $10 a month, but they also have free version.
- 17:18I use the free version right now.
- 17:21And what it allows you to do is it allows you to do share screening and record it, and then
- 17:27you can pass the link over to somebody, which is wonderful when you're trying to explain
- 17:31something to somebody.
- 17:32So if you know how it works and it's a program, you can literally record the screen and show
- 17:38somebody how to do it and then just send them the link.
- 17:42So somebody like you, who has a VA, and you know what needs to be done, you could go in.
- 17:46So if you're tearing up a sales page, for example, you can just show them on their you
- 17:51know, you can circle it and tell them, you know, this is what I'm looking for or this
- 17:54isn't right instead of trying to write the email to explain it.
- 17:58So they have a visual reference to what's wrong or to how to do something.
- 18:03And it makes a great way to make a virtual SOP or a standard operating procedure for people.
- 18:09And if you do have a trainee that's coming on for the very first time, instead of having to
- 18:15retrain over and over and over again, you would have these links.
- 18:18And if you do have manager, like we were saying earlier, you could actually make a section in
- 18:23there of training videos.
- 18:25And you'd have all the links in there and the documents so that people a new person could go
- 18:29immediately right there and get whatever they need.
- 18:32And, it's it's easy that nobody has to train.
- 18:36There's another there's another program out there that's called Lucid Charts.
- 18:40Lucid Charts.
- 18:42If you are a visual person, and you need to see everything mapped out.
- 18:46Or if you're going to to show create a funnel and now you're doing this virtual, and you need
- 18:53to sell your team how this is going to flow.
- 18:55You can actually create a whole chart and then share it with them that says I want this step.
- 19:01I want that step.
- 19:02I want this step.
- 19:03I want that step.
- 19:04And then they can see what you are Val and I, which call them brain dumps.
- 19:09Brain down.
- 19:10Take it and do a brain dump.
- 19:11Yeah.
- 19:12They're the old physios.
- 19:13In the old days, Microsoft had physio which did flowcharts.
- 19:17This is the same time a program, but it allows you to share it with other people to
- 19:21collaborate as well.
- 19:23Nice.
- 19:24So, really, you know, you're making me think about how many things you can actually put in
- 19:32place at us.
- 19:33So let's say if you're doing touchpoint meetings throughout the week or beginning of
- 19:37the week, end of the week, that you can actually create these things ahead of time, and
- 19:43really kind of set up an, you know, agenda item like you do run meetings and then say, oh, you
- 19:47know, I've I've been thinking about, let's say, We're gonna hire a new social media person, and
- 19:53you've been doing this or you've been doing that.
- 19:56So you she could use the the reference you're talking about to train them.
- 20:01Mhmm.
- 20:01And, you
- 20:01know, those types of things.
- 20:03And I can kinda talk about what I do maybe part of the process, and then we could collated
- 20:07together and then you say, then give out an SOP and say, okay.
- 20:11Well, now this this is what we know we need.
- 20:13Go out and source it.
- 20:15Yep.
- 20:15Sure.
- 20:15Exactly.
- 20:16Exactly.
- 20:17Okay.
- 20:17Okay.
- 20:18Okay.
- 20:18Yep.
- 20:19Anything else you can think of that would be some some good basic things or even some, you
- 20:23know I
- 20:23mean, John knows, I mean, for social media, everybody is, you know, of course, new.
- 20:28They're used to doing posting for their own personal stuff, but when you're posting for is
- 20:33an entirely different thing.
- 20:35And, of course, you can get swamped into social media, you know, world and not even realize the
- 20:39time.
- 20:40So John, why don't you share some of the ones that we use that are free that are great out
- 20:44there for people that are easy to use?
- 20:46Okay.
- 20:46I know a lot of you guys you see the real great graphics and they have the great quote on it or
- 20:51do they have the sale, whatever that is.
- 20:54There's, the best program to use for that the most inexpensive and the most user friendly is
- 20:59camva.
- 21:00It's camva.com.
- 21:01The free version is great.
- 21:03You can do everything you want.
- 21:04They've already got the social media postings, if you click on it, they've got if you do the
- 21:08Facebook, it's already sized appropriately for Facebook, Twitter, they they think about
- 21:12everything.
- 21:12The only things you really gain if you use Canva paid, and I think it's $10 a month as
- 21:17well, is you are able to do a little more branding and you can bring in your own font.
- 21:21So if you have a branded font for your company, but for the general person starting out, It is
- 21:25a perfect program to be able to learn how to create your own graphics to a company, your
- 21:31social media post.
- 21:32Okay.
- 21:33Now now that you're ready to start posting for your business or your company, you might want
- 21:40to look into either buffer or Hootsuite.
- 21:44They are both free for, I believe, it's 3 accounts.
- 21:48Buffer is has an added bonus in the fact that you can post to your Instagram from your top.
- 21:54You do not have to pull out your mobile phone to post your Instagram account.
- 21:58So that makes buffer a little bit of a bonus in that that but they're both really inexpensive
- 22:03for the, paid versions as well.
- 22:06And they allow you to pick dates and times to schedule your post.
- 22:11They allow you to post to multiple channels, and you can post them at intermittent and
- 22:15intermittent times.
- 22:17So there are kind of some things to think about.
- 22:19Rather than having to go, oh, wait.
- 22:21I need to stop everything I'm doing right now because I've gotta do a post at 5 o'clock for
- 22:25the business.
- 22:26It just allows one thing to be off your plate.
- 22:29If you're some of those that don't like to see the posted buy option when you use a a
- 22:35scheduler, a lot of your social media channels.
- 22:38I know for sure Facebook, and I do it a lot in Facebook will allow you to go ahead and
- 22:42schedule your post ahead of time.
- 22:43You could do a month's worth of post at a time.
- 22:46Okay.
- 22:46Some things to think about.
- 22:49Okay.
- 22:50So what other things might people wanna think about going from bricks and mo mortar to
- 22:56virtual.
- 22:57What are some of the other primary things they should be thinking about?
- 23:01Storage and file sharing.
- 23:04There is Google Drive.
- 23:05A lot of people know Google Drive.
- 23:07That is one option.
- 23:09It can be expensive if you're going to larger datas.
- 23:13But you wanna keep everything as much as possible into one place.
- 23:17So whichever one you're gonna commit to, that's the one you wanna commit to.
- 23:21You wanna make sure that your personal data is not with your client data.
- 23:26So any of those files that you're gonna be sharing back and forth, it should be in a
- 23:29different section.
- 23:30For ourselves, for our internal stuff.
- 23:32We use, we have a Google drive account that's unlimited.
- 23:36So We have that account, which keeps all of our personal files in there, keeps our computers
- 23:41backed up on a regular basis.
- 23:44That allows us to store our computer data.
- 23:46And then our file data and stuff where we're gonna share out to other clients, we have that
- 23:51in a Dropbox account.
- 23:53And Dropbox is $99 a year.
- 23:55It allows you to do a very quick sharing very easily.
- 23:58It's actually integrated into the teamwork in Asana.
- 24:01So you can actually integrate and talk to it.
- 24:03So if that's where your file storage is, that helps.
- 24:07And then, of course, the other thing that you wanna keep track of is how are you going to
- 24:12back up your data now your computer is not just for gaming or for you to write your emails.
- 24:18It's now becoming a storage data center personal information as well as business
- 24:23information.
- 24:24So that needs to be backed up and secured.
- 24:27And there's lots of them out there, that you can use.
- 24:30Google Drive has their backup and sync.
- 24:32There's also, other ones.
- 24:36Yep.
- 24:37There's there's We use Blaze backup for our stuff that does the backups.
- 24:42That will run continuously all day while you're even as you're making new files, It immediately
- 24:48sees that you're making a change to a file and immediately backs it up.
- 24:51So those are all very good.
- 24:52And Blaze is cheap.
- 24:53It's fifty bucks a year.
- 24:55So it's It's spelled on as b l a I s.
- 24:58B l a z e.
- 25:01Blaise.
- 25:01Okay.
- 25:02Blaise backup.com.
- 25:04And it's unlimited.
- 25:05Okay.
- 25:06And they do I've had to use the restore option once before on it, and the restore option is
- 25:11seamlessly easy to work with if you have to have to do the the restore option.
- 25:17The other thing that we we might wanna think about is if you are working virtually with the
- 25:21team, And you have passwords that they need to have, but you don't want them to actually see
- 25:26the passwords.
- 25:26You just want them to be able to log in to that account.
- 25:30A password, a password saving system.
- 25:33Val and I use LastPass ourselves because I can share you the the login for the software or
- 25:40system or website without you actually getting to see the password.
- 25:44Okay.
- 25:44So you're
- 25:44you are And
- 25:47on and on the paid version, you can actually load it on everything.
- 25:50So you can load it on your cell phone.
- 25:52You can load it on your You can load it onto any app if your laptop, your desktop.
- 25:59So and that transfers over to all the different ones.
- 26:02So if you're know, somebody says, oh, I don't remember the password to this, and they contact
- 26:05you.
- 26:06You could still go on to your mobile phone and go, okay.
- 26:08I've got the password here.
- 26:09I can share it right now.
- 26:11So, physically, if yeah.
- 26:12So physically, they don't have to be at a desktop if if if they're not able to do that.
- 26:16They could just Exactly.
- 26:18You can still, you know, have it in the the password sent to you, but it's encoded, and and
- 26:23they don't need to see it.
- 26:24They don't need to see it.
- 26:24And that just saves you, especially if you're gonna use a one off person.
- 26:29So, like, you're just going to have a contractor who's going to create a page for
- 26:32you, or you're just going to have one that's going to do some website edits You don't wanna
- 26:37have to go through and make changes to your passwords every time you need to use somebody
- 26:41to make something or every time you a team member leaves or a new team member comes on.
- 26:46This just is a way for you not to have to change your passwords all the time.
- 26:51So let's let's talk a little bit about, zoom because I
- 26:55know people are there's been a lot of things happening with things like zoom.
- 26:59Is do you thought find Zoom is like a good platform for having meetings?
- 27:04Are there other things that you would suggest?
- 27:05We talked a little bit about kind of things could people use to connect with their team
- 27:09members and even family.
- 27:10Right?
- 27:11We're all kinda, you know, disconnected other than who we're living with now, those types of
- 27:16things with social distancing.
- 27:18What what recommendations would you make for, connection for teams or even people that wanna
- 27:23can stay connected to family at this time?
- 27:26We like Zoom.
- 27:28It allows you to record it, which is nice.
- 27:30You can also use something that's called Fremi, which allows you to transcribe the information.
- 27:35So if it is something that you need to keep for recording basses, you can actually, I think
- 27:40they charge I think it's less than a dollar a minute.
- 27:44I think it's 10¢ a minute or a penny a minute, to transcribe.
- 27:49So you could have the, you know, the notes.
- 27:50You can take the recording after it's done and completed, you can put it over to trimmy.com,
- 27:55and they transcribe it in less than 20 minutes.
- 27:58So you have an actual copy of it that you can actually look at.
- 28:02And it's not bad.
- 28:03I mean, for I would say it's probably got a 90% accuracy.
- 28:06There are some stuff because people have different accents.
- 28:10It is a little bit, it's probably about 80% in the Spanish.
- 28:15I know when I send my Spanish stuff over, it's a little bit less.
- 28:18Accuracy.
- 28:20But it does work, for for the purposes of having something written as well.
- 28:24So nobody has to sit down and take notes.
- 28:27Another thing that we personally use also is WhatsApp, which is available on Android's,
- 28:33almost everybody uses it, which is nice when you have people In our case where we're in
- 28:38Mexico, we have clients in Canada.
- 28:40We have clients in, the UK.
- 28:42We have clients that are in the US, and it allows them to still be able to not only chat
- 28:46with us, but also it has video function in there and it has voice function in there.
- 28:51So that's always nice.
- 28:53The Apple, Facebook time, or Facebook 1 is FaceTime.
- 28:58So those are always nice because it still allows those connections.
- 29:02And even Skype is an option because Skype now has a version for business.
- 29:06So you can have multiple people on a conference call.
- 29:09You could video share.
- 29:10You can screen share.
- 29:12And they have Skype recording option too.
- 29:14So if you had a big, a meeting and say one of your team members couldn't make it or one of
- 29:19them when it was late, you can always give them access to the recording and that they didn't
- 29:25miss anything on the meet.
- 29:26And there's also Slack, which is another one which allows you to do team communication.
- 29:31It is only via written, but it does allow you to chat with other people and talk to other
- 29:36people and comment on stuff.
- 29:38Yeah.
- 29:38You can check files.
- 29:40And you get, real time notifications on slack.
- 29:43So if there's a conversation going on about a project or a thing that's coming up.
- 29:48As soon as somebody replies or uploads a file, you immediately get a desktop notification so
- 29:53you're not sitting around going Well, wow, I wonder what's taken them so long to get back to
- 29:57me on this.
- 29:58And we actually use Slack, my assistant, and I, and, you know, when she's run out of all
- 30:02options, she'll she'll text me You know, and then the final is I've gotta pick up the phone.
- 30:09I've gotta pick up the phone.
- 30:11So, so again, when, you know, it's are all really, really good tools because, again, it it
- 30:15creates connection.
- 30:17Now tell us a little bit more about when is it that people should start to think about hiring
- 30:24a freelancer.
- 30:25Obviously, you freelance, and, you know, people may be needing it now and and just kinda trying
- 30:31to muddle in the park and and putting all these pieces together and, you know, probably not
- 30:36sleeping at night, some of them just because they're worried about, you know, all the things
- 30:40that how they're getting things out to their customers.
- 30:42So and and also tell me maybe some tips of of how might decide, you know, what's the best way
- 30:50to kind of, you know, source the right help that you're needing based on where you're at if
- 30:56you're just shifting over.
- 30:59Great question.
- 31:00Most people turn around and they especially if you're if you're struggling to learn a new
- 31:06program or struggling to get something done, then chances are it's probably cheaper for you
- 31:13to freelance it.
- 31:15Let's say, you know, if you're a doctor and you're charging a 100, $200, $300 an hour to do
- 31:21to to do clients and you're spending that 2 or 3 hours at your desk struggling or fighting
- 31:26over something, you're losing money.
- 31:29You can hire somebody as cheap as the Philippines for 2 bucks an hour all the way to
- 31:34the US, Canadian prices of 15 to a $100 an hour depending upon how technical you need.
- 31:40So it makes more common sense at that point in time, but your pride aside Stop saying I'm
- 31:46gonna go learn it and send it out and let it go.
- 31:50You even if you were to hire somebody for just the 1 hour or just for the one project, that's
- 31:55perfectly okay.
- 31:57You can do that.
- 32:00If you are good and you are tech savvy and you really wanna learn it because you really wanna
- 32:06learn it, that's something different.
- 32:08There's plenty of, you know, training on YouTube, the that you can go through and learn
- 32:13how to do it if you've got that type of tech savvy stuff to it.
- 32:17But the fact of the matter is somewhere in your business you're not gonna be good at something.
- 32:21And it it takes a good manager and a good owner to say this is not my Forte.
- 32:28This is what I need to delegate out.
- 32:30This is what I need to have sent to somebody because it makes more sense to do it.
- 32:35And that I say, you know, that's where it is.
- 32:37Is you really need to stop to think about is it costing you more money trying to do it yourself
- 32:42than it is send it out as a project, or do I need to have somebody do this on a regular
- 32:48basis?
- 32:48Because I'm never gonna learn how to do it.
- 32:50When you get into infusion soft or get into onto port or get onto the bigger programs.
- 32:56It's a lot of time and effort for somebody who doesn't know computers or virtual world It's
- 33:02just easier to pay somebody on a monthly basis and let them worry about it and let them manage
- 33:07it, let them run it.
- 33:09But it's also important to realize don't hire somebody and say, go set it up for me, go do
- 33:16this for me, and go do all that for me without you having control of the item.
- 33:22Mhmm.
- 33:22And we hear this a lot of times.
- 33:24Oh, well, I never set the item up, so I don't know the username.
- 33:27I don't know the password.
- 33:28I just know I get billed on my credit card.
- 33:30And as far as the companies are concerned, because I had like one client who literally
- 33:36lost everything they had done for 30 years because all the person did when they VA got
- 33:44fired is went in and changed the password.
- 33:47And because their name was on the account, instead of the owner's name on the account, In
- 33:55that case, it was Amazon file sharing.
- 33:57They said we can't help you.
- 33:59It's that's the owner.
- 34:00Doesn't matter who's paying for the bill.
- 34:02So it's very important.
- 34:04Take the time to you set it up.
- 34:07You make the username.
- 34:09You make the password.
- 34:11Paid for the additional user, whatever it is, most companies will give you at least one user
- 34:15and
- 34:15then give them that
- 34:17password never give them your password, your logins so that you are always in control of
- 34:24your account.
- 34:26Good tip.
- 34:26I've heard of people struggling with, you know, they've contracted things out and they don't
- 34:31know the username and password.
- 34:33And then, you know, they've had maybe you know, some kind of maybe not perfect ending or
- 34:38whatever, and they're struggling to get their their, you know, their IP information back
- 34:42because the person is, you know, not getting along with them or holding it, you know, that
- 34:47is yeah.
- 34:48Yeah.
- 34:48That's what we call it.
- 34:49We call it call in holding clients hostage.
- 34:52And it's very important.
- 34:53I know I know a lot of people are confused.
- 34:55They don't know how to do it.
- 34:56If you go into Entrepreneurport and you don't know how to set up an account on
- 35:00Entrepreneurport, pick up the phone and call them, say, look, I don't know how to do this.
- 35:03Here's my credit card.
- 35:05They'll do it for you, but at least you know it's in your name.
- 35:09You know, most places have online chat or a telephone number that you can call, just pick
- 35:14up the phone and say, I don't know how to do it.
- 35:16I've got to hire the workout, but I want it in my name.
- 35:21So tell us tell them, tell the listeners, how you work with companies now, that come to you,
- 35:26because I think that's important.
- 35:27We've talked about the entire how do you move over from, you know, bricks and mortar to
- 35:33virtual?
- 35:33So tell them what your, you know, what you do with companies and what services you offer?
- 35:39Because I think, probably a lot of people are needing the services, but they don't know
- 35:43people don't know where to go.
- 35:44Right?
- 35:45If they've got, you know?
- 35:48Our website is theobgs.com or the online business gurus.com, either one.
- 35:54If you are Latin speaking or Spanish speaking, then Spanish speaking, list is there.
- 35:58It'll change it over to the Spanish side for you.
- 36:01So we offer services in both languages.
- 36:04We offer everything from strategy to planning services all the way to high end done for you
- 36:10services.
- 36:11We do done with you services.
- 36:13So if somebody wants to actually learn it and do it themselves, we actually can do one on one
- 36:17training with you.
- 36:19Via zoom or via another matter.
- 36:21Usually, we do it through zoom and actually walk the person through step by step how to do
- 36:26something So they're aware how to do it.
- 36:28So we offer those trainings, and they get the recordings so they'd be able to have it for
- 36:32life.
- 36:34But we understand that people get lost and they just don't take if we can't do it, we'll get
- 36:45you to the right person or place to get it done.
- 36:48Mhmm.
- 36:48Mhmm.
- 36:50And I think to your point, right, like someone me when I was transitioning over, you know, at
- 36:54first, you're thinking, I don't have the extra income, but then you know, you get to the point
- 36:59where you think, I'm gonna lose my mind here if I try to figure out one more of these things.
- 37:03That that that's what that's literally what was, you know, and then then with all the
- 37:07pressure in the time that people are going and they're having to do this now.
- 37:10There's no choice.
- 37:11I did it 5 years ago when I started my own business and and still, I was like, oh, I could
- 37:16figure this out.
- 37:17Oh my god.
- 37:17I can't figure this out.
- 37:19And then you, you know, and then you realize how much time you had lost till I got to the
- 37:23point where I had my virtual assistant and I thought and I I always say thank you that I did
- 37:29that because what it afforded me to do, which is to get out there, to speak more, to train
- 37:34more, to consult more, to to just pick up the do my videos, all those things that only I can
- 37:40do.
- 37:41And like you said, when you look at your hourly rate based on, you know, what I would I'm
- 37:44making compared what, I had to put out.
- 37:47It was completely worth the investment because then I could continue to scale up the business
- 37:51versus me, you know, trying to say, well, I'm sure I can afford it now.
- 37:55It it was kinda recognizing that that investment, whatever that 10, you know, $50
- 38:00was, what was the return on that That's right.
- 38:03And that's that's the attitude.
- 38:05The attitude you have to have is it's a VA or a freelancer is not an expense.
- 38:09It's an investment.
- 38:11Right.
- 38:11Absolutely.
- 38:12You have to look at it that way because they're there.
- 38:14They're gonna be the ones that are gonna be able to get you those your hands because you
- 38:20just cannot do it yourself.
- 38:21It doesn't matter who you are or where you are in your business you just can't do it yourself.
- 38:28And you're gonna have to ask for help if you're gonna wanna succeed.
- 38:31And if you don't, you're gonna fail.
- 38:33Right.
- 38:33And you're gonna get mentally tired.
- 38:35And I could tell you when I was starting mine, I got to the point where I was like, oh, I'm
- 38:39I'm I'm tired.
- 38:41So I what I was supposed to be doing, I didn't time to because all this other stuff, which I
- 38:45that is not my gift.
- 38:47My gift is not the microscopic.
- 38:48And if I had to watch 1 more YouTube, you know, video I was gonna pitch my computer.
- 38:53I got to that point where I realized, okay.
- 38:55I have to save my energy to be able to do what my gift is, which is not the my endoscopic and
- 39:00then finding someone, and that fit is important.
- 39:03Would you agree?
- 39:04Most definitely.
- 39:05Right?
- 39:06So, Tiffany, so do you suggest people, like
- 39:10We actually are offering you, your audience a free checklist that goes through basically what
- 39:15interview are vital for you to ask, when you're gonna hire a freelancer.
- 39:21And then we also have in there on that on that as the bonus.
- 39:24We're giving you of where to find your first VA is your first freelancers so that there's links
- 39:30in every place and resources for them to go to.
- 39:33You'll have the link.
- 39:34So that helps them through, but the the key is you never want your VA or whoever you're gonna
- 39:41use to hold you hostage.
- 39:43You never wanna pay 100% upfront.
- 39:45Right.
- 39:47Do not always think that because you could communicate on a Zoom call for the first call
- 39:53and everything is wonderful and great and you think this is heaven and slice and everything
- 39:56else, that you're free not to check the references.
- 40:02Check the references.
- 40:04And ask people.
- 40:05I mean, there are plenty Facebook groups that you're in, and it doesn't hurt to find out or
- 40:10ask people.
- 40:11Has anybody ever heard of so and so and so and so and what are your experiences so that you're
- 40:17aware of it because it is an investment.
- 40:20And there's nothing worse than paying somebody to do something and you're 6 hours into paying
- 40:26somebody to find out that they're inept or incapable of doing it, even though they assured
- 40:31you, oh, sure I can do it.
- 40:32And there are plenty of people out there.
- 40:34Oh, yeah.
- 40:34I could do this.
- 40:35Oh, yeah.
- 40:35I could do that.
- 40:36Oh, yeah.
- 40:36I could do this.
- 40:37Oh, yeah.
- 40:37I can do that.
- 40:38Or they have a team that's got fifty people and they can't manage their team.
- 40:43So they have no idea where this where this project is, and it's in somebody's hands so
- 40:48that they were out sick today.
- 40:49So now you're gonna have to hold.
- 40:51So it's important to understand, first of all, who are you hiring?
- 40:56Why are you hiring them and ask them point blank?
- 41:00What is your forte?
- 41:03And only hire them for that one forte.
- 41:05You may have to hire 6 or 7 people.
- 41:08And that's okay because they're all good at what they're doing, which is gonna cost you a
- 41:13lot less than if you hire one person and get them out of their forte where they're wasting
- 41:18hours and hours of your time and your money, trying to get something done because they're on
- 41:24YouTube videos trying to learn how to do it.
- 41:27Right.
- 41:27The other thing I would add to that too is not everybody is going to be a good fit for you.
- 41:34And there it's just how it is.
- 41:36We have clients that will not work with me.
- 41:38They only wanna work with Valerie.
- 41:40Then we have clients that only work with me.
- 41:42They don't wanna work with her.
- 41:42You're so make sure that when you finally decide on that person, that you have that good
- 41:52repertoire.
- 41:53You have already a good basis of of communication.
- 41:57You feel comfortable working with that person and they feel comfortable working with you.
- 42:03There's nothing worse
- 42:03than trying to force a working relationship because
- 42:03you want their expertise and you end up hating them and hating
- 42:09everything about the working relationship.
- 42:09So take a few extra
- 42:09minutes and get to know that person.
- 42:09We always say 2 calls.
- 42:17Your first call to talk to them about what they can do, what they know.
- 42:21And the second call is a follow-up call to say, okay.
- 42:24These are great, but tell me this and tell me that.
- 42:27Wanna make sure that whoever you're working with, you're comfortable with.
- 42:30Yeah.
- 42:31And I I guess And the
- 42:31other thing is just ask if they've got trial times, a lot of people like our ourselves will,
- 42:36you know, if it's a small cheap project that takes us an hour or something like that, a lot
- 42:40of times we'll do it for free.
- 42:43Depending on what the expertise of the item is, or we'll do it.
- 42:47You know, we do a money back guarantee.
- 42:49If we can't get the item done or if it's not to your satisfaction, we don't charge you.
- 42:54There are a lot of people out there that do trial period.
- 42:56So they'll do, you know, 1 hour, 2 hours, or 3 hours as a trial at a discounted rate and see
- 43:02if you like the work.
- 43:03So don't be afraid to ask You know, if you're not, you're not a 100% sure it's your first
- 43:09time maybe.
- 43:10You've checked out the references, but there's half and half, and you're really just testing
- 43:15the waters, don't be afraid to negotiate.
- 43:18Absolutely.
- 43:18And I think, sometimes if you're beginning and you're trying to find someone.
- 43:22If you're trying to find somebody to say do a Facebook ad and you have no clue that you have
- 43:28no clue and you don't know what you know, how much to pay per hour and all that stuff?
- 43:33These are all things that I went through and went, I don't know.
- 43:36I don't, you know, and then you kind of fumble around in the dark and what I would do
- 43:39initially before I got my views, I would I would do one project at a time.
- 43:43And then if I, you know, if I was, you know, okay with that person, then I would use them
- 43:47again.
- 43:48And if I didn't, I would just kinda move on.
- 43:49And I would say, is it does anybody know anybody that is good at doing in shows and out
- 43:54shows for podcasts.
- 43:55Right?
- 43:55Like, so I I I've been there.
- 43:57So I I get what you're saying, and it's and and some of them have done horrible jobs.
- 44:02Other ones, I think, oh, I can't lose your contact information because I need you.
- 44:06And and now my VA, she sources out things because I trust her judgment.
- 44:11And she'll find 3 or 4 people, and she'll say, okay.
- 44:14I'm gonna send it to them.
- 44:15And, you know, they're gonna send you back.
- 44:17You just tell me what you, you know, who are who's in the final, and then I'm gonna and then
- 44:20I say to her, you the decision because I know that people have capacity.
- 44:23So I think all these things that you're giving are really, really good tips.
- 44:28So, you know, I know we could probably talk about a lot of other things.
- 44:32And I I I thank you for your time.
- 44:35I'm sure you've been super busy and your business is growing, based on our time.
- 44:40So so, again, any last words before I let you go, we're gonna, you know, obviously, you're
- 44:42gonna provide me with the to some of the things we've discussed.
- 44:49We'll make sure your website is available.
- 44:52Those types of things.
- 44:54Any last things you wanna share, Valerie and Jonah before
- 44:56I let you go?
- 44:57Going for brick and mortar to online is not as scary as you think.
- 45:01Okay.
- 45:02I know it feels scary right now, but once you get some things in place and you've done it for
- 45:07a few days.
- 45:08It's not as scary as you think it will be.
- 45:11And it's gonna take patience.
- 45:14You're not gonna succeed over day.
- 45:16It's you are gonna have failures.
- 45:18Things are not gonna work.
- 45:20Softwares are gonna fail.
- 45:21There's gonna be spelling mistakes.
- 45:23There's gonna be grammar mistakes.
- 45:25It's gonna go out on the wrong time.
- 45:27Those things are hap happens.
- 45:29It's just part of it.
- 45:30You're not the only one.
- 45:31So take a deep breath and fix whatever is wrong and move forward.
- 45:32Don't let it stop
- 45:37you.
- 45:38Well, thank you.
- 45:39Those are some great words.
- 45:40I should have met you a couple years ago.
- 45:42So,
- 45:42again, what am I taking away?
- 45:43I I think you know, we have a lot going on and a lot of people were coping with a lot of
- 45:52uncertainty.
- 45:53So, you know, not taking out an extra thing that's gonna deplete that capacity for you to
- 46:00stay present in your business.
- 46:02You know, just reach out have a conversation with them or, you know, they're gonna let it
- 46:07let give us that checklist about how you could, look at who the qualities make sure I interview
- 46:13a couple people and go with, like, Donna said, do 2 interviews, not just one.
- 46:18And, of course, references, you know, and then, you know, and then try it.
- 46:22Some people like she said has the, you know, try it for, you know, at first or a money back.
- 46:27Look for those as you're getting your feet wet.
- 46:29As you get a little bit better, you get a little bit more confidence, and then you can go
- 46:32from there.
- 46:33So enjoy your weather in Mexico.
- 46:36Thank you.
- 46:37And if I ever come down, I'm gonna come in this YouTube.
- 46:41So and stay safe and, you know, thanks for all the things that you shared.
- 46:45I'm sure a lot of people are going to take a lot of things out.
