- Rob (AI host): What if your support agent's first answers came from tickets your team already solved? Dana (AI host): HubSpot's customer agent setup now runs from a name and a personality all the way to a deployment recommendation for each channel. Rob (AI host): Stay for the one thing you can't undo after you click Create. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Rob (AI host): Welcome back. Rob (AI host): Dana and I are both AI hosts, and today's sources are HubSpot's customer agent help articles, with the main setup guide updated in late October. Dana (AI host): And today I'm playing a hypothetical support lead with a small team and a very busy chat inbox. Rob (AI host): Good. Why it matters: routine questions eat the hours your team needs for the hard cases. Rob (AI host): HubSpot says the agent lets the rest of your support team focus on more complex cases. Dana (AI host): And when it doesn't know an answer? Rob (AI host): Based on its confidence, HubSpot says it either answers with a verifiable source, asks a follow-up question, or reassigns the conversation to a human agent. Dana (AI host): So who gets it? Rob (AI host): HubSpot lists Professional and Enterprise across Marketing Hub, Sales Hub, Service Hub, Data Hub, Content Hub, Smart CRM, and Revenue Hub. Rob (AI host): HubSpot Credits are required. Dana (AI host): Credits for what, exactly? Rob (AI host): For deploying it to channels. Rob (AI host): HubSpot says credits are consumed only when the agent delivers a resolution. Dana (AI host): Only on a resolution. Noted. Rob (AI host): And if it's your first setup, you can opt in to fourteen days of free access, and the agent doesn't use credits during that period. Dana (AI host): Who's allowed to build it? Rob (AI host): Anyone with customer agent editor permissions and an assigned seat. Dana (AI host): And the AI data controls? Rob (AI host): HubSpot notes you can manage AI feature access in your AI settings and configure what data is shared. Dana (AI host): Okay, where do I start? Rob (AI host): Click More, then Service, then Customer Agent. Rob (AI host): If More doesn't appear, go straight to Service, then Customer Agent. Dana (AI host): Then what? Rob (AI host): Click Continue to agent setup. Rob (AI host): Type a name in the Agent name field, then open the Personality dropdown menu. Dana (AI host): What are my choices? Rob (AI host): Friendly, Professional, Casual, Empathetic, or Witty. Rob (AI host): If you've set up brand voice, you can also choose Use my brand voice. Dana (AI host): A witty support bot. Bold. Rob (AI host): Next comes content. Rob (AI host): Use the Existing Knowledge dropdown to pick HubSpot content, and enter your site's address in the Sync Website Pages field. Dana (AI host): How much of my site does it read? Rob (AI host): Turn on Import related URLs, and up to five thousand pages in the domain get crawled and synced. Rob (AI host): Path filtering lets you include folders like support, or exclude ones like blog. Dana (AI host): And then I click Create? Rob (AI host): Yes, and here's the rule from the hook. Rob (AI host): You can edit or pause the agent at any time, but once it's created, it can't be deleted. Dana (AI host): So pick the name carefully. Rob (AI host): After Create, you land on the Overview page, where you review guidelines and handoff settings, then test and deploy. Dana (AI host): We run two brands. One agent for both? Rob (AI host): You can create a customer agent for each brand you've set up in HubSpot, and manage tone, knowledge sources, and configuration separately for each one. Dana (AI host): Now the part I care about. Can it learn from our old tickets? Rob (AI host): It can draft knowledge from them. Rob (AI host): Go to Train, then Knowledge, click Add content, then Generate knowledge, and choose Tickets, Inbox, or File upload. Dana (AI host): How far back does it look? Rob (AI host): Choosing all tickets or all inboxes covers the last ninety days. Rob (AI host): You can also pick one ticket segment or one inbox. Dana (AI host): Does it publish those answers on its own? Rob (AI host): No. AI groups the content into topics and drafts question and answer pairs. Rob (AI host): You click Accept, Skip, or Decline for each one, and accepted pairs are used by the agent immediately. Dana (AI host): Let's make it concrete with a made-up example. Dana (AI host): Say half our chats are customers asking where their order is. Rob (AI host): HubSpot's own example is close to that. Rob (AI host): The agent might draft a question about tracking an order, with a suggested answer pulled from how your team handled similar tickets. Dana (AI host): And if I want it to stay away from billing topics? Rob (AI host): Turn on the Guardrails switch before you generate, and add topics to include or exclude. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): An AI agent can only answer as well as the support process behind it. George B. Thomas (AI voice clone): Sidekick's Service Hub implementation maps how requests arrive, escalate, and resolve, then builds ticket pipelines, routing, SLA automation, and a knowledge base that deflects common questions. George B. Thomas (AI voice clone): Your team gets live training on every tool we configure. George B. Thomas (AI voice clone): Find Service Hub Implementation under services at Sidekick Strategies dot com. Rob (AI host): Okay, handoffs. Rob (AI host): By default, the agent hands off to a human when it can't answer, when the visitor asks for a person, or when the agent is paused. Dana (AI host): And my own triggers? Rob (AI host): Go to Train, then Human handoff, and click Create guidelines. Rob (AI host): HubSpot's example hands off when a visitor mentions words like Cancellation or Refund. Dana (AI host): Where does the conversation go after that? Rob (AI host): You choose per channel: a live handoff, an async handoff, or no handoff at all. Rob (AI host): There's also a workflow template called Reassign Tickets for Customer Agent Handoff. Dana (AI host): Then where should I deploy first? Rob (AI host): Go to Deploy, then Channels. Rob (AI host): The Recommended channels for deployment section shows total volume, after-hours traffic, unassigned conversations, response time, recommended coverage, and SLA adherence. Dana (AI host): Does every channel get a recommendation? Rob (AI host): A channel needs at least thirty conversations a month, and channels already running the agent aren't included. Dana (AI host): My skeptic question. Dana (AI host): Our research says setup reads your past conversations and pre-fills the agent's name, tone, guidelines, and handoff rules for you. Rob (AI host): We couldn't confirm that part. Rob (AI host): HubSpot's setup article has you type the name and pick a personality yourself, and the AI drafting it describes covers knowledge, from tickets, inboxes, or files. Dana (AI host): And the per-day estimates in our write-up, resolutions and hours saved? Rob (AI host): HubSpot's recommendation article lists the metrics I just read, plus a coverage estimate. Rob (AI host): We didn't find per-day numbers there. Dana (AI host): Fair enough. Rob (AI host): One more safety net. HubSpot says testing the agent doesn't use credits. Rob (AI host): Click Test and your agent's name in the top right, then pick Email or Live Chat. Dana (AI host): Good. Rob (AI host): So here's your plan, hypothetical support lead. Dana (AI host): Step one: confirm your tier, your seat, and your editor permissions. Rob (AI host): Step two: generate knowledge from recent tickets, and accept only the answers you'd send yourself. Dana (AI host): Step three: add handoff triggers for refunds and cancellations. Rob (AI host): Step four: test it on chat and email before it reaches a customer. Dana (AI host): Step five: deploy to one channel first, then expand after you review how it performs. Dana (AI host): Support lead verdict: build it carefully, test it hard, and start small, because there's no delete button. Rob (AI host): Name it well, train it on real answers, start small. Dana (AI host): HubSpot's customer agent help articles and our research are linked in the show notes, with more at Sidekick Strategies dot com. Rob (AI host): Appreciate you riding along on this one. Dana (AI host): Go give your inbox a night off. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music.
