- 0:00CE OS are known to waste up to 25% of their time which is
- 0:05insanely valuable due to poor scheduling practices.
- 0:09I want you to know you're not alone.
- 0:11You finished the day and you feel like you literally got
- 0:14nothing important done. You are so busy.
- 0:16You were hacked schedule wise but yet accomplishment wise.
- 0:20Moving the needle wise, being productive wise, you didn't get
- 0:24much done. You don't need to be a victim to
- 0:27your schedule in order to grow your business.
- 0:30Your mindset being that if you're not all my clients, oh,
- 0:34I'm, I'm free, I'm not doing anything, No, you are doing
- 0:37something. You're building your business.
- 0:39There's no space. There's no space for innovation.
- 0:42There's no space for planning. There's no space for
- 0:45strategizing the next thing. Just because it's something that
- 0:48you've normalized doesn't mean that it has to stay this way.
- 0:51You will put your clients on this pedestal that anything they
- 0:54want or say or request comes before your business.
- 0:57And I'm going to be honest, 9 times out of 10, your business
- 1:00is showing signs of that behavior.
- 1:02Hello and welcome back to the Ambitious Podcast.
- 1:05So if you've pressed play on today's episode, that is because
- 1:08you, like me, want to know how to better understand what do I
- 1:12do with my schedule? How do I optimize my time?
- 1:15What do I need to do to be the utmost productive, to be able to
- 1:18scale and grow my business. And I'm someone who's been
- 1:22trying to really learn all the strategies around scheduling and
- 1:25productivity for the last several years of scaling my
- 1:28business. And I want to share with you
- 1:30some of the insights of what I've learned.
- 1:32And also with this, some signs that told me I really needed a
- 1:36new approach because the way that I was doing things was not
- 1:38going to work. And so really today is an
- 1:41episode for you. If you feel like you look at
- 1:44your calendar and you ask yourself, I've got all this on
- 1:47here, but I don't know that it actually fits my current
- 1:49priorities. Or you have tasks on your
- 1:52calendar that you get stuck in the busy work and you get stuck
- 1:56in the fires of the day-to-day. But you also know they're not
- 1:59really helping you to step into the CEO that you want to
- 2:02ultimately be. And you feel like you're kind of
- 2:05having this, you know, Truman Show experience of reliving the
- 2:09same week, the same day over and over, getting stuck doing tasks
- 2:13in an area of the business you don't want to be in anymore that
- 2:16you don't want to be doing. And with this many people have
- 2:20this big aha moment with their schedule when they go to take a
- 2:23week to step away to go on vacation.
- 2:26Or sometimes it's a forced week away for a personal matter and
- 2:30you go to take that space and you feel like you can't because
- 2:33if you step away, something in the business is going to break.
- 2:37So it leads us to this ultimate reflection place of if I can't
- 2:41step away and if I feel even when I'm there, I'm being
- 2:44controlled by my schedule, who really controls my time?
- 2:49Is it me? Is it my inbox?
- 2:51Is it my team? Is it my clients?
- 2:53And so today we're going to be helping you to really unpack a
- 2:57couple core things. Number one, I'm going to break
- 3:00down a couple of the different signs that help you to
- 3:03understand whether your schedule and the way that you're
- 3:05operating with your business right now is actually dialed in
- 3:09to a level that it will help you scale.
- 3:11We're also going to talk about the different steps that you can
- 3:14go through to dialing in and creating what I kind of call
- 3:16your CEO schedule. Which means the schedule is not
- 3:20only going to help you with your lifestyle and the things that
- 3:23are happening in your life for you, but they're also going to
- 3:26be things that you can take and integrate to help you to further
- 3:29scale your business. And in these steps, I want to
- 3:32also let you know that I'm going to be sharing stats with you
- 3:35that help to prove the science around why the some of the
- 3:37things that we're talking about are impactful and why they work.
- 3:40And most importantly, I'm going to share with you a couple
- 3:43different entrepreneurs that are some of the most successful,
- 3:46successful business owners and CE OS today.
- 3:49And what I mean successful, I mean, financially to the tune of
- 3:52things like Oprah, Jeff Bezos and what they do in their
- 3:56schedule and in their productivity that you can learn
- 3:59from. And so with this, I really want
- 4:01to first say that if just as a check in, if you are somebody
- 4:06who's been listening to the podcast day in day out, you
- 4:09know, you tune in every single week for our guest episodes, you
- 4:12tune into the solo episodes like today.
- 4:15I just want to say thank you. We most recently launched our
- 4:18ambitious network. I, I have no, I have honestly no
- 4:23words. Part of the, the launch of that,
- 4:25we did a incredible giveaway for an amazing woman who ended up
- 4:28winning. And as part of that, we asked
- 4:31for your feedback on what were you loving about the podcast and
- 4:34what were things that were really resonating with you.
- 4:36And I just want to say I can't thank you enough for the amazing
- 4:38reviews you've sent in, for all of you who took the time out of
- 4:42your day to rate the show on Spotify.
- 4:45It means the world to me and to my team that you took the time
- 4:48to do that. And I want to let you know that
- 4:50the more you support this show, the bigger we are able to create
- 4:54it to be. You know, the better guests we
- 4:56can get on, the more resources we have to bring you the
- 4:59information that will help you and your life and in your
- 5:01business. So I want to say thank you for
- 5:03all of our OG listeners. And also, if you are somebody
- 5:06who's maybe pressing play for the first time and you've never
- 5:08listened to the Ambitious podcast, thank you for being
- 5:11here and welcome to the Ambitious family.
- 5:13We're excited to have you. And, you know, with that,
- 5:15today's a good episode because today is something that will be
- 5:20an actionable item. You know, I listen to podcasts
- 5:22day in, day out, and I always find there's a couple different
- 5:25ways they land. Some of them are philosophies,
- 5:27right? They shift your thinking.
- 5:29They make you look at your current life or your current
- 5:31business in a different lens. And then there's somewhere I'm
- 5:35just like, tell me what to do. Like, I just wish I had like a
- 5:38drill Sergeant to be like, OK, so here's what we're going to
- 5:41do. Step one, Step 2, Step 3.
- 5:44And I'm going to be honest, today's a hybrid of both.
- 5:46I'm going to tell you the principles of what and why.
- 5:50And then I'm also going to give you some steps on exactly what
- 5:52you can do to go take your current schedule and start to
- 5:55integrate this. Without further ado, let's just
- 6:05get right into the meat of it. OK, So we're going to start with
- 6:08understanding what are the signs that maybe what we're doing
- 6:11right now is not working Because I don't know about you, but I
- 6:14know for me when I first started my business, I didn't have any
- 6:18mindset of ACEO schedule. I was not thinking about, you
- 6:22know, well, how can I be dialed and productive and theme certain
- 6:26days and have start and end times and time blocking and deep
- 6:29work. I was just like, sit down at the
- 6:31computer, get a hot coffee, open the laptop, go to work, finish
- 6:37work, close the laptop. And that was kind of the basis
- 6:40of my schedule. And over the years, I've gone
- 6:44through a lot of different variations of schedule because
- 6:47I've been trying to really figure out, you know, what does
- 6:49work for me, not only lifestyle wise, but productivity wise.
- 6:52And so there were situations that have come up not only with
- 6:56myself, but also with clients that have been really clear
- 7:00indicators that something schedule wise needs to change.
- 7:02And I want to know as I list these out, are these may be
- 7:05something that really land for you and something that you can
- 7:09see yourself in. So first is the fact that you
- 7:11feel like maybe with your schedule right now, you're super
- 7:14reactive. Like you go into work Monday to
- 7:17Friday and it kind of feels like no matter how much you plan your
- 7:20week, you're always putting out fires.
- 7:23You've got a text message paying, you've got, hey, can I
- 7:26meet you on Zoom really quick? I have an e-mail coming in of
- 7:29something that needs me, a Slack that's coming in, and your
- 7:33calendar kind of feels like it's happening to you and not for
- 7:37you. And I've been there.
- 7:39I've had those moments where I felt like I had this perfect
- 7:42plan of my day and then it just went completely left because I
- 7:47had all these fires that came up that adjusted things.
- 7:50And again, in researching and kind of understanding how do I
- 7:53change this? Like, is this a me problem?
- 7:56Is it a schedule problem? What we actually found, and this
- 7:59was due to a study that was done by a company called Gallup, and
- 8:04they noted that reactive leadership actually is something
- 8:07that reduces the output of the business by 30%.
- 8:11Meaning if there's fires that are happening in your day, in
- 8:15your week, that you're constantly in this reactive
- 8:18mode, You're feeling like the events that are happening around
- 8:22you are kind of determining your schedule.
- 8:24That ultimately means that you're actually going to reduce
- 8:28the efficiency of your business by operating that way by 30%.
- 8:32So if we think about also, OK, well what if we didn't do that,
- 8:35that means we have the ability to build that back in to gain
- 8:39that buffer of 30% to be 30% more productive, 30% more
- 8:43efficient in our business if we stop operating from this place
- 8:47of being reactive. So first, what I want you to do
- 8:50is go into this and say, OK, well, maybe a sign of why I
- 8:54haven't been seeing things move the way that I want is because
- 8:57I'm not really planning. I'm kind of letting life drive.
- 9:01I'm kind of letting my life be the thing that determines what
- 9:05happens and when it happens. So what I want to start with is,
- 9:09OK, well, how do we TuneIn and say, am I being reactive?
- 9:13Is the demands of the world and business determine my schedule?
- 9:16If so, that's the first thing we want to look at.
- 9:19The second thing you might see is that when you look at your
- 9:21calendar, so you might want to pull up your Google Calendar or
- 9:24wherever you organize yourself. And I want you to say, looking
- 9:28at this, is this just full of meetings and bookings, Meaning
- 9:33you've got every single element of your calendar packed with
- 9:38someone else who needs your time.
- 9:40A meeting of a client, a meeting of a team member, a team
- 9:43meeting, right? It could be group, it could be
- 9:46one-on-one, but you feel like you're just constantly on calls.
- 9:49Maybe you live on Zoom because of this, you probably have no
- 9:52time to think. So you're probably somebody who
- 9:55feels like you really struggle to delegate time for yourself to
- 10:00just be able to process and think and build and plan
- 10:03strategically. You don't maybe have white space
- 10:07in between your meetings, right? You're one of those classic, you
- 10:10know, constant meeting people. And because of that, you're
- 10:13running to pee in between meetings.
- 10:15Or I'm saying this from experience.
- 10:17When I used to be this person, I would literally take my laptop,
- 10:21turn off my microphone, turn off my video, and I would literally
- 10:23go to the washroom with my laptop while sitting in and
- 10:26listening on Zoom because I had such lack of space in between my
- 10:30meetings at that time. And maybe you're somebody
- 10:33because of this, that you feel like you start the day, you've
- 10:36got so many calls, so many meetings.
- 10:39And by the time the day is done and you end that last Zoom call,
- 10:42whether it's a one-on-one, a Group, A sales call, you finish
- 10:47the day and you feel like you literally got nothing important
- 10:50done. You were so busy, you were
- 10:53packed schedule wise, but yet accomplishment wise, moving the
- 10:57needle wise, being productive wise, you didn't get much done.
- 11:02And there's actually studies that tell us why we do this.
- 11:07And that's because many of us allocate more time than we
- 11:11actually need toward getting things done and often pack more
- 11:14meetings in than necessary. There's a study done that showed
- 11:17that 50% of most business meetings are actually considered
- 11:21unproductive. And I want to share an insight
- 11:24around this because something that I can't remember, there's a
- 11:28psychology principle that's rooted around this, but there is
- 11:32a principle that basically states that your effort will
- 11:35take up the time in which you allocate.
- 11:38So if you are somebody who finds that you're, you know, having
- 11:42meetings of 30 minutes in an hour, I really also want to ask
- 11:46you and have you reflect, does it require an hour or you
- 11:50booking it to be an hour because you just believe that's how long
- 11:53that meeting is supposed to take?
- 11:55Are your meetings 20 minutes because they need to be 20
- 11:57minutes or are they 20 minutes because you just have this pre
- 12:01created booking in your system? That's a 20 minute team check
- 12:04in. These are little things that
- 12:06while, yes, they might seem like a quick change here and a small
- 12:09change there, you think, well, Kate, what kind of big impact is
- 12:12that really going to make? It makes a significant impact
- 12:15because it means that you're right now with your meetings,
- 12:20potentially allocating more time and more space than is actually
- 12:24necessary to get the outcome that you're looking to achieve.
- 12:28And so one thing I want to say is if you're somebody who's in
- 12:31this place of like my calendar is just full of meetings, I want
- 12:36you to ask yourself when you even just like pick a day on
- 12:38your calendar and you look at that, is that day really
- 12:42productive? That client you talked to, did
- 12:44they need an hour of your time or could they have talked to you
- 12:47for half an hour and you could have got the outcome?
- 12:50That team meeting that you blocked for an hour, did it need
- 12:53an hour to have you go through and discuss or could it probably
- 12:57have been achieved if there was better preparation on all
- 12:59parties in 25 minutes? These are opportunities for you
- 13:03to be able to get your time back.
- 13:06And so when someone I know for a fact with clients and probably
- 13:10with yourself, when you get into this routine of having so many
- 13:13meetings, we kind of get into autopilot.
- 13:17You say things like, well, this is how it always is.
- 13:19It's just another one of these classic weeks that I always
- 13:22have. And just because it's something
- 13:25that you've normalized and that you feel like you've experienced
- 13:28now many times over doesn't mean that it has to stay this way.
- 13:32So if you have a calendar that is packed with meetings, let's
- 13:36use today as an opportunity to say, OK, I don't exactly, as you
- 13:40listen right now have a plan of exactly how I'm going to remove
- 13:43them all tomorrow. But I'm going to stay open
- 13:45minded that this could look a little bit different if I want
- 13:47to scale to the next level. Now, another sign that comes up
- 13:51with anyone who's struggling with their schedule that I see
- 13:54is that you know, whether through your own doing or
- 13:58through your team's feedback, that you are the bottleneck.
- 14:02You are someone that your team is constantly waiting on
- 14:05decisions from you. They're waiting for you to
- 14:07approve stuff. They're waiting for an answer on
- 14:09something. They need the answer to the
- 14:11e-mail, the loom for you to review, the Slack message for
- 14:14you to dive into. And you constantly remain the
- 14:17bottleneck. And because of that, you're
- 14:19holding up production. You're holding up progress in
- 14:23different areas of the business because people are bottlenecked
- 14:26by you and the lack of hours that you have to provide.
- 14:30And because of this, your growth is slowing down because it's not
- 14:35that you don't know what to do. It's not that you're not working
- 14:38on what you need to do to grow the business.
- 14:40It's that you're like, Kate, I just have no time.
- 14:43I know what to do. I have the plans of how I want
- 14:46to do it, but I just genuinely do not have the time to actually
- 14:51get it, whatever it might be done.
- 14:54And so because of this, you feel like, which is another big sign,
- 14:58your priorities feel like they're constantly shifting.
- 15:02You know, one day it's like this is the thing we need to be
- 15:04doing, and then the next day it switches.
- 15:06And now this is the thing that we need to be doing.
- 15:09And because of this, you really struggle to get an understanding
- 15:12of what is the weekly goal? What is the number one needle I
- 15:16need to move in the next 7 days? What's the needle I need to move
- 15:19in the next 30 days? You struggle to really get
- 15:23clarity of what is the focus of what I'm supposed to be working
- 15:26on right now. Because with all these meetings
- 15:29I have to do or all these alarms that are going off in the
- 15:31business. And then on top of that, I got a
- 15:34post on social and I got to show up online and I got to serve my
- 15:38existing clients. I feel like there's just,
- 15:41there's no time. How do I prioritize all these
- 15:44things? It feels like there's a never
- 15:45ending list. And because of this, you kind of
- 15:48chase the urgent things, right? The things that get done are
- 15:53oftentimes things that really have to get done.
- 15:56Not that you're choosing to do that, but that if you don't do
- 15:59them, there's going to be a negative impact in some way,
- 16:02whether to a client, to your team, or maybe even to yourself
- 16:05or the business. And because of this, you feel
- 16:09like your goals feel fuzzy. You look back after 7 days and
- 16:13you're like, I had this plan, then I had these fires, then I
- 16:17had these meetings, and then because I had all these other
- 16:21things that came onto my plate, I struggled to know what I
- 16:24needed to do and prioritize and what was urgent.
- 16:27And because that I kind of didn't move the needle in
- 16:29anything. Here I am at the end of the
- 16:31week, exhausted, feeling like I didn't see any movement happen.
- 16:35And listen, I'm saying this because I have been there, which
- 16:37is why I know all of these different ways of these show up.
- 16:41And that end piece, which is a huge other sign, is that you
- 16:44feel burnt out and you feel drained by your schedule.
- 16:48And a really easy indicator of this is people on a Thursday who
- 16:51are like, I can't wait for Saturday.
- 16:54Or maybe you are on Sunday and you're seeing Monday and you're
- 16:58like, OK, here we go. Here we go.
- 17:01And you're trying to get yourself ramped up to go into
- 17:03the week, trying to get mentally prepared and primed to be able
- 17:07to handle the demands that you know are inevitably coming your
- 17:10way. And you often are probably
- 17:13somebody who says that you just have no energy by mid afternoon.
- 17:18Usually the typical time is around 2:00 to 3:00 PM.
- 17:22You get that midday slump. You get that kind of midday
- 17:25exhaustion where you're like, should I just call it and start
- 17:27again tomorrow, maybe come back tomorrow.
- 17:30Or maybe you're skipping meals. You're somebody who's feeling
- 17:33like you're just so drained. You didn't get around time to
- 17:36eat. You didn't get around to having
- 17:37something to drink this morning. You didn't really get around to
- 17:40sleeping very well last night. There's just too much to do.
- 17:44And most often I hear this when people say, Kate, there's just
- 17:48not enough days. There's not enough time in, in
- 17:50these days. You know, it's just not enough
- 17:51time to get things done. And when you don't have time and
- 17:57you consciously discuss that you don't have time.
- 18:00What I can know for certain is that you are not actively taking
- 18:04time to work on your business. You're working in your business
- 18:08and this is something that is probably one of one of, I don't
- 18:13want to ever say there's like one thing, but there's one of
- 18:16the main key indicators that I see with scaling business owners
- 18:20when they come to me, they're stuck in the weeds.
- 18:24The weeds could be execution again, the fires of the
- 18:27day-to-day. It could be client messages.
- 18:30They're stuck in delivery, They're stuck in questions with
- 18:33their team, and you just feel like you're stuck in the weeds
- 18:36and you can't get out. And with that, there's no space.
- 18:40There's no space for innovation. There's no space for planning.
- 18:44There's no space for strategizing the next thing
- 18:47because you're like, Kate, how can I think about all of these
- 18:50things and all of what I could do to play and to innovate it
- 18:54and these new ideas when I feel like I'm drowning, that doesn't
- 18:58seem like it's very easy, doesn't feel like it's possible.
- 19:02And so often times when we're in this place of feeling like we're
- 19:05drowning in our schedule, it makes us look at strategic
- 19:10growth and growing our business as more of a luxury than it is
- 19:14actually a default and a necessity.
- 19:17So we start to have, you know, oh, well, that would be nice if
- 19:20I could plan that offer. That'd be nice if I could launch
- 19:22something new. That'd be nice if I could go do
- 19:25XYZ and be on that new marketing platform.
- 19:27But I can't because I can't do to my calendar.
- 19:33So what I will say is we actually know from studies, this
- 19:38is from Forbes, that CEOs are known to waste up to 25% of
- 19:44their time, which is insanely valuable due to poor scheduling
- 19:48practices. So there's actually studies that
- 19:51tell us that many CEOs are losing about 1/4 of their time
- 19:56due to not actually having an intentional way in which they
- 19:59schedule their time. So the exciting part about this
- 20:03is number 1, I want you to know you're not alone.
- 20:07There are many entrepreneurs who are starting and when we first
- 20:11grow these businesses, we're like Bambi on ice and we're
- 20:13trying to figure it all out. So you're not alone.
- 20:17But I also want you to know that if any of the signs or the
- 20:20symptoms that I just outlined to you are like, oof, that feels
- 20:23true. I do feel like I'm stuck in
- 20:26fires and I'm constantly on meetings and I feel like
- 20:28planning for future goals feels like a nice to do not possible
- 20:31right now. If some of those things are
- 20:33landing for you, this is an invitation for you to think
- 20:38about the next couple steps. I'm going to outline and say,
- 20:40you know what? I'm going to dedicate me in an
- 20:42hour. It could be hiding in your home
- 20:45for an hour somewhere and taking these steps and integrating
- 20:48them. It could be going to a coffee
- 20:49shop and saying, you know what, this Sunday I'm going to have a
- 20:52little me time. I'm going to go to a coffee shop
- 20:54and I'm going to reset my schedule based off these
- 20:56principles. But here's the thing I want to
- 20:59say, if you take these to heart, you will have a very different
- 21:03experience in business because I will tell you as someone who
- 21:07used to work 6:00 in the morning till like like 1:00 AM and do it
- 21:12all over again the next day, basically seven days a week.
- 21:16You don't need to be a victim to your schedule in order to grow
- 21:20your business. And most importantly, if you
- 21:24decide that you want to change your schedule and you decide
- 21:27like I'm going to do things differently because what I'm
- 21:30doing right now is not working for me, you can have a very
- 21:35different result in your business because of it.
- 21:37You will be more efficient, more productive, and actually
- 21:40generate better outcomes for you, your life and for your
- 21:43business. So I'm going to go into the
- 21:46different steps of things that I want you to ask yourself and
- 21:49actions I want you to take. And the first is actually not
- 21:52going to be you going into your Google Calendar.
- 21:55It's not going to be you going in and, and mapping out any
- 21:57lists or anything yet. I actually want you to 1st
- 22:03reflect because here's the other thing I want to say with
- 22:05schedules today. We're not teaching you my
- 22:08schedule. And I'll tell you why I don't
- 22:11have kids. So if you're listening to this
- 22:14and you have a six month old at home, we have different
- 22:16schedules. If you are listening to this and
- 22:19you have 4 kids at home, we have different schedules.
- 22:22If you are somebody who takes care of an older or a aging
- 22:27parent, we probably have different schedules.
- 22:30Our schedules are a reflection of what's going on in our life
- 22:34and the other factors that are controlling our time.
- 22:37And it would be frankly completely tone deaf of me to be
- 22:40like, hey, here's my schedule as a 32 year old, no kids, lives
- 22:46alone entrepreneur who wants that.
- 22:50That doesn't fit for you. And it's not about me giving you
- 22:54my blueprint. I will give you examples of what
- 22:56I do, but that doesn't mean that what I'm going to say, what I do
- 23:01for my schedule should be what fits for you.
- 23:03I'm going to teach you the principles of how to look at
- 23:05your calendar, your schedule based off your life, because
- 23:07that's how we're going to get you success.
- 23:10And this is an invitation too, that if you're seeing anybody on
- 23:14the Internet who's like, this is how I use my time.
- 23:16This is how I use my time. Take the principal, not the
- 23:20tactic. Meaning just because they get up
- 23:22at 4:00 AM doesn't mean you have to get up at 4 AMI don't get up
- 23:25before AM. But it means that if for
- 23:28whatever reason, getting up at 4:00 AM is the best thing that
- 23:31you can do for your schedule, and that happens to be the time
- 23:33that makes most sense. Amazing It most importantly is
- 23:37for you. So the first thing we have to do
- 23:40is we have to reflect on our schedule, not what's right or
- 23:44wrong or what we've been told to do, but our schedule.
- 23:47So what I want you to do is I want you to just track your time
- 23:51for two to three days. And if you want to be like a A+
- 23:54student, do it for 5 full days, Monday to Friday, OK?
- 23:59And in this, I want you to analyze a couple core things #1
- 24:04where is your time actually going?
- 24:07And I will say I'm somebody who's like a notorious Google
- 24:11Calendar weirdo. Like at my entire life is on
- 24:14Google Calendar. And the cool part about Google
- 24:17Calendar that I really like is the fact that it actually does
- 24:21do a time assessment for you each week.
- 24:23So for me, I have different tabs on my Google Calendar.
- 24:27So some are for clients, some are for team.
- 24:29Everything is kind of color-coded.
- 24:32And the reason I do the color coding is it also shows me on
- 24:35the left hand side on Google Calendar where my time went.
- 24:38I spent 10% of my time with my team this week.
- 24:41I spent 30% of my time, you know, doing deep work.
- 24:44I spent this amount of time on marketing.
- 24:46You can see where all your time is being allocated, which is a
- 24:49really, really beneficial feature, especially when it
- 24:52comes to step one, which is actually auditing your time and
- 24:55where is it going. So what I want you to do in this
- 24:58first, again, two to three day reflection and for those A+
- 25:01students, the five day reflection is I want you to just
- 25:04decide that for five days, not five months, not 5 weeks, 5 days
- 25:09or three days, you're going to schedule your calendar and
- 25:12really get a conscious awareness of what did you do today?
- 25:16Where did you spend your time and what are you working on?
- 25:20This is important because this really is going to get us a
- 25:23better understanding of the facts of your time versus how
- 25:26you feel your time is being used.
- 25:29And I talked to a lot of business owners who are like, I
- 25:31feel like I have no time. I feel this, I feel that, and I
- 25:35want to know how you feel. I want to know how your schedule
- 25:37is making you feel. But I also want to know, great,
- 25:41but what are the facts of the situation?
- 25:43And often times when I run through people's calendar or
- 25:45when I start to even build them a calendar that they want, we
- 25:49come to realize there actually is potentially some time here
- 25:55that you felt was getting used that's not being used in a sense
- 25:59of you felt like you had no free space.
- 26:01And I discovered you do have free space.
- 26:03Or there are people who come to me and say, Kate, I feel like I
- 26:07just can't breathe. I feel like I don't get a
- 26:09second. And when I have them actually
- 26:11intentionally track their time for three to five days, we come
- 26:14to find out, yeah, guess what? You're right, you have so much
- 26:19that's not on your radar, and that's why when you look at your
- 26:23schedule, you see planned five hours, but your actual workload
- 26:27is 9 hours. And that's why you feel like you
- 26:31can't breathe because in fact, there is no breathing room.
- 26:34So you're right, how you're feeling is backed by facts.
- 26:38So now we know what we need to know to be able to change it.
- 26:40So it starts with reflection. Where's your time going in that
- 26:44assessment when you really outline all the things you do in
- 26:48these two to three days and again, Max 5 days when you're
- 26:52looking at this, I want you to say, OK, well, in all the things
- 26:54I have here, what about this drains me?
- 27:00And I had a client who came to me and they were so frustrated
- 27:02with their calendar. Like they were just like, I felt
- 27:04like my schedule was killing me. And what was interesting was
- 27:07everything on the schedule was actually a non issue for her.
- 27:10She didn't feel that any of it needed to go except her very
- 27:16long one-on-one meetings with clients.
- 27:19She felt like she was constantly on the phone with clients and as
- 27:22a result, she was talking about the same things over and over
- 27:24and over again and thought, OK, well like do I need to have all
- 27:28these meetings? Is there a way for me to
- 27:29streamline these down? And so we realized it wasn't the
- 27:32entire schedule that was draining her.
- 27:34It was actually these specific types of meetings that were the
- 27:37main culprit of what was draining her.
- 27:40Now on the contrast, we also want to reflect and say, OK,
- 27:43well what here excites me. So when you look at your
- 27:47schedule, which part of it are you excited by?
- 27:49Do you get excited to go on group calls?
- 27:51Do you get excited to go on team meetings?
- 27:53Do you get excited to make marketing?
- 27:56What part of your schedule really activates you and fuels
- 28:00you? And maybe it's not even
- 28:02something strategic. Maybe it's something like a
- 28:03midday walk that you go on and you go for this walk from 12:00
- 28:07to 1:00 every day. And that's the core thing that
- 28:10really amps up and gets you energized in the day.
- 28:13You know better than me. So ask yourself, what is the
- 28:16thing in my schedule each day and in these three to five days
- 28:19that I'm reflecting on that really excites me and gets me
- 28:22energized. And most importantly, if you
- 28:25look at these three to five days, I want you to ask yourself
- 28:29what in my schedule actually moved the needle?
- 28:33So in the last three to five days, what really generated
- 28:37movement results and momentum in my business.
- 28:42The best thing that I ever learned as an entrepreneur was
- 28:46that 80% of the results that you're going to see in your
- 28:49Business Today or that you will eventually see in your business
- 28:52are going to come from 20% of the effort you're putting in
- 28:55right now. Meaning the inputs in your
- 28:59business, right? If we're putting all this action
- 29:02in, 20% of the things you're doing right now are the actual
- 29:06reason that 80% of the results you're seeing are happening.
- 29:10And on the contrast, 20% of what you're going to do is going to
- 29:14be the cause of why 80% of the success is going to happen.
- 29:18Meaning if you feel like you're not seeing momentum, if you feel
- 29:20like you're maybe in a tough season right now, this is also
- 29:23an invitation to say more is not always going to generate more.
- 29:27You might actually achieve the most amount of results from 20%
- 29:31of the things that you're focusing on right now.
- 29:33So it means less. And focusing on the needle mover
- 29:35is actually the most important. So we can use tools, for
- 29:39example, like Clockify and Toggle and all these different
- 29:43apps if you want to track your time.
- 29:45But what I really want to do is I want to get eyes and facts and
- 29:49understanding of the current state before we change anything.
- 29:53We need facts of what's happening to know what needs to
- 29:56be adjusted. So this is the same when you
- 29:59think about any goal, right? When you're somebody, for
- 30:01example, who's trying to get fit and they say, OK, well, how much
- 30:04protein are you eating? You go, I don't know.
- 30:06I eat, you know, a chicken breast at lunch and a chicken
- 30:08breast for dinner. And they'll say, OK, great.
- 30:11Well, what I want you to do is I want you to track your food.
- 30:14I want you to to note down what you're eating for two weeks.
- 30:18And once we have that, then we're going to build your new
- 30:20meal plan from that. The same thing is true when it
- 30:23comes to your schedule. You need to have an
- 30:25understanding of what is the current state before you should
- 30:28ever consider putting in a new approach.
- 30:30So Step 2 is now that we have an understanding of where you've
- 30:34been, we want to look at, OK, well, what is the new vision,
- 30:38right? So we know what's not working,
- 30:40we know what's draining us, we know what's moving the needle
- 30:43and not really moving the needle.
- 30:45So where do we want to go? Step 2 is really looking at what
- 30:48are your actual CEO priorities. And the thing I want to say is
- 30:54that every single business owner needs to know where your role is
- 30:58most important, meaning where if you have effort in your day, is
- 31:04your effort the most essential. For me, my effort being in any
- 31:09area of the business needs to be #1 supporting my team and
- 31:12anything that they're doing. And two, in my marketing, I need
- 31:17to be in my marketing consistently and basically all
- 31:21over to make sure that my face, because it requires my face and
- 31:25my voice, just like today, I need to make sure that I'm
- 31:28prioritizing recording for you. I need to make sure that I'm
- 31:31prioritizing, you know, doing a photo shoot or having a meeting
- 31:35about marketing because that's something that is a core role
- 31:38for me in my business. Now, for some other people, it
- 31:42might be the fact that your core role is the fact that you're in
- 31:45client relationships. You need to be in communication
- 31:49with the clients because when you're in communication with the
- 31:51clients, that's typically something that helps your
- 31:53business to maintain and move the needle.
- 31:56For other people, it might be that you're all vision and
- 31:59leadership, you're all super high level in the business, You
- 32:03have a person to do everything and you are the quarterback.
- 32:06You're the person that each week needs to have dedicated time
- 32:10toward being the quarterback of all the other players.
- 32:12This is especially true in people that have agencies.
- 32:16So what we want to look at is understanding what is our role.
- 32:19And again, it's kind of goes back to the fires aspect because
- 32:22if we don't know what our role is, we can't quite create bumper
- 32:25lanes on how to make sure that we're staying within that role.
- 32:28So the thing that I look at is usually most business owners
- 32:32have anywhere around 3:00 or so core roles that are really
- 32:36important for me. I am the head of our delivery,
- 32:39meaning any resources we make trainings, we do calendars of
- 32:44support for clients. All of that is coordinated by
- 32:46me. Two, I'm somebody who also is
- 32:49definitely head of our marketing and I work alongside our
- 32:52marketing team to make sure that they have everything they need
- 32:55for copy and media and we come up with ideas together and we
- 32:59brainstorm. And then I also am somebody who
- 33:02headlines sales as a pass closer.
- 33:04I'm somebody who always is looking at what are the sales of
- 33:07the business, where are we going, what do we need?
- 33:10I'm looking at the data and I make sure that I'm constantly,
- 33:13every week, what do my clients need?
- 33:15What is it? What are the offers need 2.
- 33:17What is the marketing need 3. What are the sales need?
- 33:20Now I have help with integrating those, but those are still my
- 33:23core roles around making sure that my team has what they need
- 33:27in those areas to be able to generate the outcomes we want.
- 33:31So with yourself, you want to actually ask yourself what is
- 33:35the highest value of your time? Meaning, if you were going to
- 33:39have five hours in the business this week and you only had five
- 33:45hours to move the needle in your business, what areas would you
- 33:49go into and why? And it's really important that
- 33:53we know this because otherwise we can go in and find ourselves
- 33:56in every area of the business all the time.
- 33:58And that's because we don't really have a core section of
- 34:02the business that we know we're most impactful.
- 34:04You have a skill set right now. You have a mindset, you have a
- 34:08specific understanding of your business in a way that nobody
- 34:11else does. And so it's really important
- 34:14that if you are a core needle mover in a certain area that you
- 34:17maintain that, that you lean into that consistently.
- 34:21And so the thing I also want to say is that, you know, even with
- 34:26other people with their schedules, we recognize that for
- 34:29the most successful CE OS, they also have this trend.
- 34:33So again, as they name me CE OS, by the way, we're not going to
- 34:36talk about them personally, we're just going to talk about
- 34:38them schedule wise. So example being Jeff Bezos.
- 34:42Jeff Bezos schedules all of his most important meetings to
- 34:46always happen before lunch. And that's because he's at his
- 34:49peak mental energy and he is known as the core decision
- 34:52maker. So his role in his day is he's
- 34:56meant to be there to facilitate his decisions and to help to
- 35:00dial in those decisions and get the most out of those.
- 35:04He books all of them in the peak of when his energy is the
- 35:07highest, which is the morning. So we're having aspects here of
- 35:12knowing what his role is and knowing what his biggest impact
- 35:15is in the business paired with how he can schedule that to be
- 35:18intentional and most supportive for everybody, right?
- 35:21So for you, it might even be if you are someone whose team
- 35:24coordination, maybe you need to be scheduling your team check
- 35:28insurance to do the first thing that you do in the morning so
- 35:31your team has all the rest of their marching orders for the
- 35:33rest of the day. This really means, you know, for
- 35:36me, I need to make sure that my priority each week is making
- 35:40sure that our socials are good and that our podcast is good.
- 35:44It's one of the first questions I ask every single Monday on our
- 35:46team meeting. Where are we at with socials?
- 35:48Where are we at with podcasts? Where are we at socials?
- 35:49Where are we at podcast? And it's because for me, it's a
- 35:53top priority knowing that I am someone who always has the eyes
- 35:56on marketing. I want to say, where are we at?
- 35:57Where are we at constantly? So what you want to ask yourself
- 36:02is what are those core things that you need to be doing?
- 36:06And often times there's when we don't know these, the ability to
- 36:11get tied into the busy work, getting tied into things that we
- 36:15could do even though we shouldn't be doing them.
- 36:18And again, comes back to that classic quote you guys have
- 36:20always heard me say, which is just because you could doesn't
- 36:22mean you should. Just because you could be in a
- 36:25certain area and behind the scenes and systems and all these
- 36:28things doesn't mean that you should be there because it might
- 36:30not actually be the thing that the business needs.
- 36:33Now, once we know what our core areas are, we want to make sure
- 36:37that we're prioritizing those, that those are the emphasis of
- 36:40our week, that we are always focusing on the things that need
- 36:43me to move the needle. But then comes up, OK, well,
- 36:46people always ask me, Kate, how do I actually structure my week?
- 36:49How do I actually structure my time?
- 36:51Do I have, you know, Mondays and Fridays off?
- 36:54Do I work two days a week? Do I work five days a week?
- 36:56And the short answer to this is the fact that you really should
- 36:59do it based off of what feels best for you.
- 37:01So if you are somebody who feels like you are someone who needs
- 37:07to kind of slowly get into your week, you don't love having tons
- 37:10of stuff out the gate on Mondays, then you might want to
- 37:13structure it that way if you need to.
- 37:14For example, I work with a lot of parents and because of that,
- 37:17they need to be done by 3:00 to go pick up their kids at 3:30.
- 37:22Like that is just how your schedule will be formed.
- 37:25So the Step 3 is really actually understanding how you can
- 37:31structure your week around your focus areas being something that
- 37:34you prioritize. So I'm not going to say that
- 37:38it's a matter of certain days, certain time hours.
- 37:40I'll, I'll kind of add a comment to this in a second.
- 37:43What I want you to look at is in your week, are you planning time
- 37:47to focus on the needle movers? So for me, it might be, am I
- 37:50planning time aside to record this podcast?
- 37:54Am I planning time aside to have a team meeting to make sure my
- 37:57team has what they need? Am I allocating time to the
- 38:00areas that I am needed to keep the needle moving in the
- 38:04business? So if your core needle mover is
- 38:06that you're really the face of marketing, do you have time
- 38:09dedicated in a day, in a couple days, in a week that is specific
- 38:14to your marketing? And I will be just really direct
- 38:17with you. I've had people who've come to
- 38:20me and said, I just feel like I things are not moving in the
- 38:23business and I would go in to do the audit and listen like you
- 38:26need to know right now you work with me.
- 38:28There's no stone that's not allowed to be turned over.
- 38:30If I want to go investigate, I'm going to ask you the questions
- 38:33I'm asking right now. And there was a client who came
- 38:36to me and she said, you know, it's just like, this is not
- 38:38happening. And that's not happening with
- 38:39the marketing. It's just so hard.
- 38:40And I said, great, show me your schedule.
- 38:43And she's like, my schedule. No, I'm saying my marketing is
- 38:45just no time to film. And I was like, yeah, show me
- 38:48your schedule. So she showed me her schedule.
- 38:51And I remember looking at it and saying, where's the time in the
- 38:54schedule for filming? Where's the time in the
- 38:57schedule? You want to have a podcast, but
- 39:00you never dedicated time in your week to having a podcast.
- 39:05You have all these goals for marketing, but you've dedicated
- 39:08no time in your week to market. And then we're wondering why we
- 39:14don't have the marketing results that we want to have.
- 39:18So often times this starts truly with productivity in your
- 39:23schedule and say, OK, well, if you're the core needle mover,
- 39:26like no one else can record this podcast for me.
- 39:28I guess they could, but it'd be a little weird, right?
- 39:31No one else can record this podcast for me.
- 39:33So it means that I need to make it a priority in my scheduling
- 39:37to make sure that you have what I've promised to you, which is a
- 39:41weekly, sometimes twice a week episode.
- 39:45So it's making sure you've allocated the time.
- 39:47So an example of this being, let's just say a theme.
- 39:50So Monday it could be all strategy and planning, looking
- 39:54at the big picture of the business.
- 39:55Tuesday we're going to go deep work, which means things that
- 39:58really move the needle in the next three to six months, not in
- 40:01the next like day and also content creation.
- 40:05Wednesday, we're going to be on meetings.
- 40:07We're in the meeting bucket. We're going to be really, really
- 40:09focused on all things meetings. Then Thursday we're going to do
- 40:14all things sales, do prepping event, maybe any funnels, A
- 40:17webinar, promotions, anything along that line.
- 40:20And Friday we're going to leave as much open space as possible
- 40:24to clear up the loose ends of the rest of the week, right?
- 40:27So the thing that I will say with the theme days, this is
- 40:31actually something that the ex CEO Jack Dorsey of Twitter does.
- 40:35So he has theme based days. For example, Mondays are
- 40:38management and Tuesdays are always about the product
- 40:41development. So I will say this, Step 3 of
- 40:45theming out your week based off the areas that you have core
- 40:49needle movers has been an absolute game changer for me.
- 40:54And in this moment, I'm going to take a second to kind of share
- 40:57what I do for my schedule because this is really one of
- 41:00the core principles that's been a game changer.
- 41:03First, I have what's considered to be A&B weeks.
- 41:07So technically speaking, I'm only on front facing calls with
- 41:11anybody. So networking calls, sales
- 41:14calls, meetings, client meetings, group calls, anything
- 41:18that requires my face and my voice.
- 41:20Technically speaking, every month if everything goes
- 41:23perfectly to plan, which again I'm saying technically because
- 41:26it's not perfect. I have adjustments I need to
- 41:29make once in a while just as much as anybody else.
- 41:31But generally I've structured my schedule to be that I'm on calls
- 41:35six days a month. So week A, three days.
- 41:40So the Tuesday, Wednesday, Thursday, week B, no calls week,
- 41:45week C, Tuesday, Wednesday, Thursday calls, week D no calls.
- 41:50So I have what's considered to be A&B weeks.
- 41:52And what that means is I have one week that's considered my
- 41:55quote UN quote on, and I have another week that's considered
- 41:58my quote UN quote off week. Now I'm going to tell you how I
- 42:01maintain these themes. So that's theme number one is I
- 42:04actually theme my weeks. Not only my days, I theme my
- 42:07weeks. I have a week where I'm in the
- 42:10business and I have a week where I'm working on the business.
- 42:14Structuring my schedule this way.
- 42:15I've been doing it for years and it is something that I will say
- 42:20has really helped for me. This is most important for me,
- 42:23but I just want to give an insight and example of this.
- 42:25It's really helped me because I am someone task switching is
- 42:30just awful for me. I don't want it in a day, do
- 42:34client stuff and content and podcast and team meetings.
- 42:38I just want to have a singularity of focus.
- 42:41I operate and have really good productivity doing that.
- 42:44And there's actually studies to show that task switching and
- 42:47actually focusing on different areas all over of the business
- 42:50in a day for some people has the ability to decrease productivity
- 42:54by 40%. It's significant.
- 42:57So for me I went to the extreme and said OK, well I'm going to
- 43:00have an on week and an off week, which means generally fact wise,
- 43:04half my month is in the business and half my month is outside the
- 43:09business. So I spend about equal time in
- 43:11it to outside of it or I would should say on my on week,
- 43:15meaning when I'm on calls it's three days a week.
- 43:17So even less than half, probably closer around 30%.
- 43:21So that was step one. And then when it comes to those
- 43:24two weeks, you might think, OK, well, what does that look like
- 43:26for you Kate? Well, on the weeks that I'm
- 43:28quote UN quote working in the business, meaning in the weeds,
- 43:31I'm face to face with team, I'm on, you know, meetings with
- 43:34clients, things like that. When those things happen, I
- 43:39really during that still have theme days.
- 43:41So my Monday is ACEO day. It's a day where I don't have
- 43:44meetings with clients, I don't have anything on the calendar.
- 43:47It's pretty open. It's mainly for me to do deep
- 43:50work, to work on things that are going to be happening that week,
- 43:53get my team whatever they might need, helping to move the
- 43:56needle. Tuesday, Wednesday, Thursday
- 43:58that week, as I said I will do you know, client one-on-one
- 44:02sales calls, group calls, private clients, client
- 44:06feedback, all of that is something that would happen
- 44:07there on the Tuesday, Wednesday, Thursday and then Friday again
- 44:11is ACEO day. So that's my quote UN quote.
- 44:14Busy week is 3 full 8 hour days of work on the Monday and Friday
- 44:19it's kind of solo time. I if I choose to fill it, I can
- 44:22but I don't have to. On my other week, there really
- 44:26is basically no meetings. It's probably 2 hours worth of
- 44:30meetings the entire week. And that is a time for me to
- 44:33plan launches. It's to plan new offer
- 44:36development. It's to plan things for this
- 44:39podcast and its growth. It's just about future planning
- 44:42and developing the business and looking at where we can take it
- 44:45and what we can create next, how we can continue to grow.
- 44:48It's no longer I'm stuck in the fire.
- 44:50It's not any longer the alarms that are going off with
- 44:53anything. It is just me, headphones,
- 44:56laptop, focusing on growth and scaling.
- 44:59And so the theming of my weeks was step one.
- 45:01But the theming of the days is really important.
- 45:04So for you, this might look like, OK, maybe you have a time
- 45:07or a day where you're very team focused and then you have days
- 45:11where your client focused. And I want to say, you know,
- 45:14I've had people say, well, Kate, you know, what do I do?
- 45:16Because I have these meetings with clients and they're all
- 45:18over. I've had clients who've switched
- 45:21to this model. They've said to clients, hey,
- 45:23I'm so sorry. I actually can't take a call on
- 45:26the Tuesday. Can we move our calls moving
- 45:28forward to Wednesdays instead? And the clients that have gotten
- 45:32into this rhythm have actually now started to see, OK, great.
- 45:35I feel like I'm like all in with clients and then I'm all in with
- 45:38marketing and then I'm all in with sales.
- 45:40And they're starting to see the flow and the synergy that's
- 45:43starting to take place. The themes are really an
- 45:45important thing because what they do is they help us to get
- 45:48into a certain mode of operating that allow us to be super, super
- 45:51productive and the thing that we're working on.
- 45:53So what I will say is if you're someone who's looking at your
- 45:57schedule, what I want you to look at is your actual themes.
- 46:00Do you have like minded tasks together?
- 46:04Now this doesn't have to be that you're all in again on working
- 46:07in the business versus on it. It just means we want to group
- 46:09like minded things together. Have a day that's mainly focused
- 46:13on marketing, have some days that are mainly focused on
- 46:15delivery or meetings. Have a day that's really focused
- 46:19on deep work and you not having to have a lot of conversation,
- 46:22but just having time to really strategically plan the business
- 46:26and listen, this is not going to happen overnight.
- 46:27So I want to set expectations. This can be something that maybe
- 46:30is going to take you 4 weeks, six weeks to start to integrate.
- 46:34It might mean having a conversation with clients and
- 46:36saying, hey, I'm so sorry, I actually have to shift when our
- 46:40call is right. Like these are things that you
- 46:43can take as an awareness right now.
- 46:45And with each new client you onboard, you can put them in
- 46:48this model. And you also with past existing
- 46:50clients can invite them toward this model as well.
- 46:53I've had this model, as I said, for years and I've had many
- 46:55clients who've been adapted to this.
- 46:58Now a question I get with this as well, 'cause I, I got a lot
- 47:01of questions with my schedule with clients, someone says to
- 47:03me, well, Kate, what do you do if someone wants a meeting on a,
- 47:06on a Monday? And my direct answer would be, I
- 47:10say no. And that's because they said,
- 47:13well, you know, Kate, what if the person knows that you're not
- 47:16doing anything? I said that's the problem.
- 47:19It's not that I'm not doing anything.
- 47:22Your mindset being that if you're not all with clients, oh,
- 47:25I'm, I'm free, I'm not doing anything.
- 47:28No, you are doing something. You're building your business
- 47:32and something I see with schedule is that a lot of
- 47:35people, especially service providers or anyone who's a
- 47:38coach, a consultant done for you service a, you know, an agency,
- 47:42you will put your clients on this pedestal that anything they
- 47:47want or say or request comes before your business.
- 47:50And I'm going to be honest, 9 times out of 10, your business
- 47:53is showing signs of that behavior.
- 47:56Signs and the lack of marketing happening, signs and the lack of
- 47:59sales that are happening, right? So this is something that is an
- 48:03invitation for you to realize that your schedule and how much
- 48:07you are planning around your business and prioritizing you is
- 48:11just as important as clients. So when someone says to me, you
- 48:14know, I'd love to have a call on a Monday, again, if someone's in
- 48:17an emergency, different story, right?
- 48:20If they really need a call and I've triage and I, I realize
- 48:24they really need it, of course I'll take it.
- 48:27But if it's just, I'd like to have a Monday call, I'd like to
- 48:30have a call with you Friday afternoon.
- 48:32No, and that's because it's not that I couldn't take it.
- 48:36It's that I shouldn't take it because I'm working on my
- 48:39business and I'm having boundaries.
- 48:41And many of us struggle because we think if we have boundaries,
- 48:45we're going to lose clients. What if the client's not OK with
- 48:48that? I will tell you, I have enforced
- 48:50these boundaries for years and I've never had a client who says
- 48:53you're not available enough, you can't get on the phone with me
- 48:57quick enough. I structure all of things that I
- 49:00do in the business around this. So I want you to know it can
- 49:03really help you. So again, theming out your
- 49:05weeks, theming out the things that you're doing now.
- 49:09You also want to have an understanding of the day
- 49:12schedule, which is Step 4, giving yourself bumper lanes,
- 49:17giving yourself an understanding of the actual structure of your
- 49:20day. So AM midday and PM.
- 49:23The thing I want to say is the most important thing you can do
- 49:29for your calendar visually is give yourself bumper lanes.
- 49:32So what I do is I literally have a block on my calendar.
- 49:36One of them starts at 10 AM and the other one starts at 5:30,
- 49:41OK, So I technically work from 4:50.
- 49:44Thirty. OK, That's my typical day.
- 49:47And I have like a longer lunch in between.
- 49:48I have lunch, I walk my dogs, all of that.
- 49:51The bumper lanes are really important because they are in
- 49:54red on my calendar and you will see no bookings above them,
- 49:59which means nothing in the morning and nothing in the
- 50:01evening. My day will never start before
- 50:0410 AM on a meeting with anybody and I will never go on a meeting
- 50:08with anyone past 530. Those are the bumper lanes, the
- 50:11non negotiable structure of my day.
- 50:14So what it tells me is that if I can't fit what I need to fit in
- 50:18my work day in those blocks between the 10 and the five or
- 50:22530, something about my business has to change immediately
- 50:27because it means that it doesn't actually fit the structure of
- 50:29what I've planned to be my day. And this is actually something
- 50:33that I saw actually on a TikTok of the CEO of Netflix talking
- 50:37about. And he was talking about the
- 50:38fact that in all the years working at Netflix, he never
- 50:41missed a Tuesday date night with his wife.
- 50:44And their date night was every Tuesday at 6:00, and he had to
- 50:47leave the office at 5:30. He said if someone was coming to
- 50:50me with a massive fire, an alarm at 5:15, you better walk with me
- 50:55to my car because I'm not missing date night with my wife.
- 50:59And I will tell you, many times, business pulls us in a million
- 51:02different directions. It makes us feel like we have to
- 51:05do this. And if we don't do this, the
- 51:06business will go under and all these things will happen.
- 51:09That's a choice. You're going to either choose to
- 51:13use your personal time to build a business, or you're going to
- 51:17choose to structure the business differently in order to make it
- 51:19work within the boundaries you've created.
- 51:21And I especially see this with moms and anyone who's listening
- 51:24to this, who's a mom, You know what I'm talking about.
- 51:26You felt like before kids, you had no time.
- 51:29You're like, Oh my God, there's not enough hours in the day.
- 51:30And now all of a sudden you're somehow running your business.
- 51:34And you know what I'm talking about?
- 51:35You're like, Yep, I'm running my business and before I have like
- 51:399 hours and now I have 4 hours and I don't have AI know I don't
- 51:42have a second more when I close that laptop.
- 51:46Kids come home from school, it's playtime, homework, dinner, bath
- 51:50time, bedtime. Like you're packed.
- 51:53You don't, you don't have time later.
- 51:55And what ends up happening, and the real reason that moms are
- 51:58extremely productive when it comes to being business owners
- 52:01is because they learn how to really with force, typically by
- 52:05having a child, they realize they don't have as much time in
- 52:08a day. They got to make it work.
- 52:11And so guess what they do. And so the same thing is true
- 52:15for anybody who doesn't have kids.
- 52:16You have the ability to get more done in a certain block of a day
- 52:20if you put restraints on it, if you put a container around it.
- 52:24So I have this container because I know that I want to try to
- 52:30train myself to have a very specific schedule.
- 52:32I want to train myself when I have kids.
- 52:35What I will do, my plan is that I will literally bump my
- 52:39schedule up by two hours and I'll probably take a couple
- 52:42hours, obviously out of my schedule that exists right now,
- 52:45but I will bump it up. So I will be done at three.
- 52:47One thing that is really important to me is that I want
- 52:50to be able to pick my kids up from school every day.
- 52:53And guess what? I have peers that have multiple
- 52:557 figure businesses every day they're sitting outside of
- 52:58school waiting to pick up their kids.
- 53:00You choose what your priorities are and you should build your
- 53:02schedule around it. So bumper lanes are really
- 53:04important. And with this inside the bumper
- 53:07lanes, meaning you're going to create this container around
- 53:09your your calendar and your schedule, but inside of there,
- 53:12you also want to create blocks for priorities.
- 53:16So with this, the blocks for priorities, you can, for
- 53:20example, have the first part of your morning tackling the things
- 53:23that are the most important. If you know that you're somebody
- 53:27toward the end of the day who's got no energy and you feel like
- 53:29you just get zonked, then OK, great, schedule yourself around
- 53:33that. Also, if you know that on
- 53:35Fridays you kind of like to have a chill day, you feel like
- 53:37you've got no energy by the end of the week, don't make that
- 53:40your marketing day. That might mean that that being
- 53:43your marketing day means you're kind of not really getting the
- 53:45marketing done. OK, well, great.
- 53:47Well, why don't we adjust it and we'll optimize it then?
- 53:50So creating #4 is blocking your time and having themed out days
- 53:55of what you're doing, but also theming out your time.
- 53:58And so I'll give you a quick instructions here.
- 54:00Number one, in blocking out your time.
- 54:03Create the bumper lanes in your schedule.
- 54:04Create a hard start of your day. This is when I kick off and a
- 54:08hard stop. Everything has to fit inside of
- 54:11that two, you're not going to book in work first.
- 54:14You're going to book in your breaks first.
- 54:17So I don't want you putting anything business in your
- 54:19calendar until you've put in something that is personal in
- 54:21your calendar, getting your lunch in your calendar.
- 54:24This whole idea of we're not going to eat.
- 54:25You cannot be a high performance athlete slash CEO, which is
- 54:29basically what you are is you are a business athlete without
- 54:33eating and feeling your body. You need to put in breaks for
- 54:37get out in the sun, go for a two-minute, 5 minute walk, get
- 54:40your body and your state changed to be able to go into the next
- 54:43wave of business. Block off time in the middle of
- 54:46your day to be able to have lunch, maybe go for a walk,
- 54:49whatever it might be. Block in that time for you.
- 54:53Structure the rest of the business around it.
- 54:55If all the business requires everything that you value to go
- 54:58to the side, it means there's a problem with your business, not
- 55:01with your schedule. OK.
- 55:04So something that I will also share, and again, this is not,
- 55:07we're not going to share our personal insights around him,
- 55:09but more just the insights around his business sense.
- 55:13Elon Musk does this. He actually analyzes his
- 55:15schedule in five minute blocks and his entire schedule is built
- 55:20with precision because it's basically looking at how can I
- 55:23get all of the things that I need to get done in a day
- 55:27without necessarily having to have more time.
- 55:29And so the reason he does 5 minute blocks is because he's
- 55:31constantly looking at, is there a way that I'm wasting time?
- 55:34So many of us just pre allocate, you know, I need to film.
- 55:38I used to do a scene with the podcast.
- 55:40I have to film a podcast. I'm going to block off 90
- 55:41minutes just in case. Well, guess what my brain is
- 55:44doing? My brain is saying I'm going to
- 55:46give you 90 minutes to do this podcast.
- 55:48No, you get 60 minutes start to finish.
- 55:52You get 60 minutes. Put yourself literally, as I
- 55:54record these episodes, I have a timer going in the background on
- 55:58the platform I record on, and it's telling me how long it is.
- 56:01Great, 60 minutes. That's how much I get.
- 56:04So this is an opportunity for you to be able to give yourself
- 56:07structure and say, how much am I going to allocate to this?
- 56:11How much does it need me to allocate?
- 56:13And also, how can I put some structure around the time of my
- 56:17schedule? Now, the thing that's also
- 56:19really important again, in this, you'll note that I said put in
- 56:22your brakes first. Also really important in your
- 56:25schedule is making sure you're literally putting in recovery
- 56:30and adding an additional margin for you to rest and to build up
- 56:34energy. I used to have this idea that I,
- 56:37you know, could just operate without any break.
- 56:40I was like, OK, like meeting, meeting, meeting and I would
- 56:42just go and my body paid for it. And truthfully my results in the
- 56:47business paid for it. I would go call to call to call
- 56:50to call. And it was only once I started
- 56:53to integrate some space in between that I actually started
- 56:57to realize the impact of what that space was generating for
- 56:59me. I realized that having
- 57:02back-to-back to back sales calls or meetings, while I thought
- 57:05would be productive, efficient, you know, hash them out when I
- 57:09started to take even a 10 minute break in between, go get my face
- 57:13in the sun, go for a walk outside, go do something in
- 57:16between and resetting my energy, that completely changed the way
- 57:20that I was able to show up within those calls and also with
- 57:23my clients. So scheduling space to think, to
- 57:27process, to catch up. I also see this with people who
- 57:30have, you know, meetings. They'll have, you know, a day
- 57:33full of meetings, but you never booked in any time to take
- 57:37notes, you never booked time to send the Slack message follow
- 57:40up. You never booked in time in any
- 57:42way to follow up on those meetings.
- 57:45And because of that, you now don't have any capacity to do
- 57:49it. So what happens?
- 57:49It happens at the end of the day and now you're over your hours
- 57:53of when you want it to be working.
- 57:54Again, it's not an issue with necessarily the business, but
- 57:57the fact that there was an added space put in there that needed
- 58:00to be there for you to get the outcomes you want.
- 58:03And so this also applies, by the way, when you're not working,
- 58:07planning, for example, maybe your mornings or your evening
- 58:10routine, right? Like looking at where am I
- 58:13building in my recovery. So again, I'll give you an
- 58:15example. I get up every single day at
- 58:187:00, but I never work at all until 10.
- 58:22And so 7 till 10 are my hours to go for a walk, to do red light,
- 58:27to shower, to get ready, to have breakfast, to do whatever it is
- 58:31that I want to do. And also my day is done at 5:00
- 58:365-30, but I don't go to bed until 10:30.
- 58:41So I have a whole other span of five hours in the evening that I
- 58:46can do whatever I want for my recovery again, could be going
- 58:50for a walk, could go to bed early, could have a hot bath,
- 58:53could see a friend, could read a book.
- 58:55But it means that it doesn't need to be full to mean that I
- 59:00should stop working. You also want to remember that
- 59:04if your business takes for the moment, you open your eyes.
- 59:07So the moment you go to sleep to be able to function, it's not
- 59:10really a business that you control anymore.
- 59:13It's controlling you. And this is a way for you to
- 59:15take that power back. So an example as well, Tim Cook,
- 59:18a really famous entrepreneur, starts his day at 4:00 AM.
- 59:21And his whole thing is he does not touch his e-mail or do
- 59:24anything until he's gone through his gym and workout routine.
- 59:28Until his routine in the morning is done, he will never touch a
- 59:31single e-mail. Oprah always, every single day
- 59:34talked about the fact that she's got meditation, gratitude, and
- 59:37exercise as the three core pillars of her morning routine
- 59:41that are essential before she ever goes and kind of connects
- 59:44with the world in the business sense.
- 59:47So we're seeing here that there's this aspect of
- 59:51prioritizing of recovery. It could be in the morning and
- 59:53it could be in the evening. I will be honest and just
- 59:57totally transparent. I was someone who really did not
- 59:59prioritize recovery for many years of my business.
- 1:00:02I would be that notorious person at 11:00 at night who is still
- 1:00:05in Slack. I'd be still kind of, you know,
- 1:00:07on Instagram answering DMS like I was just always on.
- 1:00:11And it was only once I started to create really aggressive
- 1:00:14boundaries with the business to not be working super late at
- 1:00:17night that I actually have never been more energized and
- 1:00:20productive during the hours in which I'm working on the
- 1:00:22business. And that's because I'm taking
- 1:00:24hours outside of the business to actually recharge outside of the
- 1:00:28business to get me and my energy to a place that it needs to be
- 1:00:31at to help me to perform in the business the way that I need to.
- 1:00:36So number six is also looking at, with your schedule and all
- 1:00:39the things you've got potentially, is there an
- 1:00:41opportunity here to delegate? And you know, Sheryl Sandberg,
- 1:00:45who is actually the head of Meta at one point, focuses on only
- 1:00:49what she can do being in her schedule and everything else
- 1:00:52that's on her schedule that doesn't need to be done by her
- 1:00:55is delegated. And this is the other thing, you
- 1:00:58know, it really is looking at what can be automated in my
- 1:01:01business, what can be outsourced, what can be dropped.
- 1:01:04And one of the ones that was an aha moment for me.
- 1:01:06And it's kind of not a typical one because it's not like you're
- 1:01:09going to hire Ava or, or any of the typical recommendations.
- 1:01:12I used to work Monday to Friday and on Saturdays I would clean
- 1:01:16the house and Sundays I would food prep.
- 1:01:19And I remember for me growing up, I never had anybody in our
- 1:01:23house who would help us with cleaning.
- 1:01:25So I didn't really ever, it wasn't like a normalized thing
- 1:01:27growing up that I was around. And so I remember always
- 1:01:30thinking like, well, like I can quickly clean my house.
- 1:01:32Like, of course, you know, it probably, yeah, it took me like
- 1:01:355 hours to do the laundry and, you know, do the dishes and
- 1:01:38clean up the fridge and all these things.
- 1:01:40But what I realized was, OK, that's five hours.
- 1:01:43That's five hours. And so when I started to think
- 1:01:46about delegating at IEI have an incredible woman who helps me.
- 1:01:50I come to the house now and helps with cleaning.
- 1:01:52But what I realized was, OK, well, if I'm going to hire
- 1:01:56somebody like, am I going to work?
- 1:01:57Then I have to go make money. Obviously I'm not just going to
- 1:01:59sit. Of course you're going to sit.
- 1:02:00And this is going to sound really for most people like, OK,
- 1:02:04but you're meaning I'm going to pay somebody to help me in the
- 1:02:08business and then I'm going to use that time to rest.
- 1:02:11Yes, exactly. Because it meant for me that I
- 1:02:16wasn't really ever getting true downtime.
- 1:02:18I was never getting true rest in any way.
- 1:02:21And I originally was looking at what do I need to outsource as
- 1:02:24in like hiring Ava, hiring A-Team member.
- 1:02:26But what I realized was I was taking five hours on the weekend
- 1:02:30to do things at home that I could pay somebody to come to my
- 1:02:34home and help me and support me. And that's part of their
- 1:02:37business. And during that time, I didn't
- 1:02:40need to work, I didn't need to fill it with anything.
- 1:02:42I just needed to rest so I could perform in the rest of the time
- 1:02:44that I needed to show up in the business.
- 1:02:46And she's been now being an, it's like, I feel like she's
- 1:02:49like part of my little family now.
- 1:02:51I love her to pieces. She's been a massive support for
- 1:02:55me in the last couple years. I wouldn't have gotten through
- 1:02:58what I've gotten through without her.
- 1:02:59She's come and really like save the day so many times.
- 1:03:03And that's because I was pushing so much that I needed space to
- 1:03:07recoup. And it's looking at can you
- 1:03:11delegate things that don't have to be done by you?
- 1:03:14And here's the thing that I had to change.
- 1:03:15My mindset is like, it's not that you can't do them or that
- 1:03:19you couldn't do them because like, I could clean my house on
- 1:03:21a Saturday. There's no reason I couldn't.
- 1:03:24But I had to look at what's going to be the most supportive
- 1:03:27for me to help me to lean into the business and be able to have
- 1:03:30the energy and the capacity in the ways that I need to.
- 1:03:33And maybe, you know, I was talking to a mom a day ago and
- 1:03:35she's like, you know what, Kate, on Fridays I get 1/2 day
- 1:03:38babysitter and I go to a coffee shop and I sit on my laptop.
- 1:03:41And that for her is a structure of delegation that yes, it's not
- 1:03:45hiring Ava or an agency, but it's getting support in a way
- 1:03:49that feels like it would be supportive for you.
- 1:03:52And that's the most important thing here is to make sure that
- 1:03:54whatever you delegate is something that would really help
- 1:03:57to take pressure off of your plate.
- 1:04:01So look at asking yourself, what can I automate, what can be
- 1:04:04outsourced, what can be dropped? And this can be everything from,
- 1:04:08you know, looking at $10.00 an hour as a task all the way up to
- 1:04:11$1000 an hour, right? Like it's looking at in there
- 1:04:16when I filter through all these different hour variables, right?
- 1:04:20It's like for me in my business, I sell typically an hour of my
- 1:04:25time at just over $1000 an hour. So when I started to look at my
- 1:04:30schedule, I thought, OK, well, if something doesn't need me to
- 1:04:34do it or it's not valued at $1000 an hour, that's something
- 1:04:37that I should be aiming to delegate to outsource, to get
- 1:04:41support with. So again, as we mentioned
- 1:04:43earlier, we can be in those areas where we really move the
- 1:04:46needle in the business where we really helped to keep things
- 1:04:50growing and to keep things scaling.
- 1:04:52I know the last piece I want to say, which is step 7, is setting
- 1:04:56out your schedule, right? So say you figure out what your
- 1:04:58themes are. You've got your start and your
- 1:05:00end time. You theme your days or your
- 1:05:02week. You get your time blocks, you
- 1:05:04get your rest and recovery built in there.
- 1:05:06Maybe you outsource, delegate, and automate some things.
- 1:05:09This is not a set it and forget it.
- 1:05:12Something that's important that many people don't do is actually
- 1:05:15reflecting on your week. Reflect on how did it go?
- 1:05:18Did you get what you wanted to get done?
- 1:05:20Did you feel like the structure that you established worked
- 1:05:23well? Do you feel like you need to
- 1:05:25adjust something because something is clearly not
- 1:05:27clicking for you? Do you feel like there was
- 1:05:30things that need to be shifted that you needed more time for
- 1:05:33that you didn't have time for, like setting your schedule?
- 1:05:37One of the best things that you can do is re evaluate and say is
- 1:05:42the schedule that I used to have supporting me any longer.
- 1:05:45And what I realized is my schedule has changed 10 times
- 1:05:48over because I, in the evolution of the business, have changed
- 1:05:52over and over. So as I develop, as my role
- 1:05:56develops in the business, my schedule needs to develop along
- 1:05:59with it. Or maybe for you, if your life
- 1:06:02is developing, you were before, maybe you had no kids and now
- 1:06:07you're starting a family, your schedule is going to adapt.
- 1:06:09So trying to hang on to this way that it used to be is not
- 1:06:14serving you any longer. You want to look at instead, how
- 1:06:17can I adapt to a new schedule that's going to be supportive
- 1:06:20for me today? And the important thing to do is
- 1:06:23to look at the end of the week. So what I do is on Fridays, I
- 1:06:26look back at the week. I look at my schedule, which is
- 1:06:29basically the intention of what I wanted to have done.
- 1:06:32I look at the start of the week, what I intended to do at the end
- 1:06:34of the week. I look at what got achieved,
- 1:06:36what fires came up, what caused me to take more time, what
- 1:06:40worked really well, what didn't. Where did I feel like I didn't
- 1:06:43allocate enough time I probably should have?
- 1:06:45What surprises came up and I can structure the rest of my week or
- 1:06:50month or any future planning based off that reflection.
- 1:06:54So this is all an opportunity for us to get an understanding
- 1:06:57of what is working, what is not and really dial in a unique
- 1:07:01custom strategy for us and our schedules.
- 1:07:04The thing we know today is that there really are 7 different
- 1:07:07areas of dialing in your schedule.
- 1:07:10And we talked with the signs of, you know, opportunities of where
- 1:07:13you might need to check in with yourself and say, is what I'm
- 1:07:16doing right now working for me? Or is there an opportunity for
- 1:07:19me to really get more intentional with my schedule?
- 1:07:22The thing that I will tell you is of all the research that I've
- 1:07:25done not only for myself but also for today is that there are
- 1:07:29so many CE OS. If you want to go on AI and
- 1:07:32ChatGPT or whatever and research all different types of
- 1:07:36successful CE OS, you will see a common denominator.
- 1:07:40And it is this classic thing that they all say, oh, we all
- 1:07:42have the same hours in a day. The reality is, yes, some people
- 1:07:46like an Elon Musk are gonna have a heck of a lot more money to
- 1:07:49get things done in a certain way during those hours that cannot.
- 1:07:53That's not something that I'm going to remove as an idea of a
- 1:07:56massive impact around our hours. But the thing we want to
- 1:07:59remember is though that that wasn't always the case.
- 1:08:02Every entrepreneur had to bootstrap to get to a certain
- 1:08:05level of success. Every entrepreneur had to do
- 1:08:09certain things and make certain decisions along the way and keep
- 1:08:12adjusting and adjusting and adjusting their calendar to have
- 1:08:15the calendar and schedule they have be the thing that helps
- 1:08:18them to scale. So today is an invitation for
- 1:08:21you to say, just because you've always done it doesn't mean you
- 1:08:24should continue to do it and use this as an opportunity to just
- 1:08:28get curious. This isn't about saying throw
- 1:08:30the old schedule in the trash and throw this, throw this new
- 1:08:33one in here. It's about saying who do I want
- 1:08:35to be? What's the kind of business I
- 1:08:38want to have and what do I need to make happen in order to have
- 1:08:42that kind of business, in order to have those sorts of outcomes,
- 1:08:45in order to be that person. And if you are someone who feels
- 1:08:51like you're struggling to scale your business right now and you
- 1:08:54feel like there's never enough time, please let this be an
- 1:08:57invitation for you. My homework for you would be go
- 1:09:00take an hour. That's all I want you to do,
- 1:09:02Take an hour and I want you to go through these seven steps and
- 1:09:05I want you to pull up your Google Calendar or wherever you
- 1:09:07plan your life and if it's in a journal type calendar, OK,
- 1:09:09amazing. Get your highlighters out.
- 1:09:12And I want you to really sit down and take a moment to set
- 1:09:16intention. When life is a tilt A whirl and
- 1:09:19it's going 1,000,000 miles a minute, it can be very easy to
- 1:09:22fall and just kind of end up in the passenger seat of wherever
- 1:09:27the schedule takes you is where you end up.
- 1:09:29And if that's how you're feeling right now, I've been there.
- 1:09:32And I also want you to know that just taking even 1/2 an hour to
- 1:09:35an hour of time aside for yourself to really set intention
- 1:09:39for how you want to do things moving forward and maybe picking
- 1:09:42one of the seven steps today to start to integrate that alone
- 1:09:46will help you to see some change in momentum.
- 1:09:48And as I said, I've done a lot of these schedule things for
- 1:09:50myself and also for our clients. And what I will tell you is they
- 1:09:54don't take a very long time, but they do take intention.
- 1:09:58You can see a very big change in your productivity and schedule
- 1:10:01within like 4 weeks. But it does take some
- 1:10:03conversations potentially with clients, maybe with team, you
- 1:10:07know, maybe boundaries with the business could be again saying,
- 1:10:11hey, partner, I want to have date nights on Tuesday like the
- 1:10:14CEO of Netflix, right? Thinking about what could I
- 1:10:18integrate from this that will really help me to have the
- 1:10:21business I want. The quote that you guys have
- 1:10:23heard us say on the show, and this was from George Bryant who
- 1:10:26shared this on an episode, was that you don't have the business
- 1:10:29you want because you haven't become the person to run it.
- 1:10:32And let today be an invitation for you to master the schedule.
- 1:10:35You want the schedule, you want to have the business that you
- 1:10:38want to have. You and I both are working five
- 1:10:43days a week, most likely three days a week if you're working
- 1:10:47right. So whatever the days are, I can
- 1:10:49find you another woman who's working the same amount of days.
- 1:10:51If she has the same situation as you, same amount of kids, same
- 1:10:56amount of time, same amount of schedule hours in a day and
- 1:10:59she's getting things done. It means that we have an
- 1:11:01opportunity to refine. We've got an opportunity to dial
- 1:11:03things in to give you an even better opportunity to scale.
- 1:11:07So what I will say is if you are somebody who has not yet joined
- 1:11:12our Ambitious Network, what are you doing?
- 1:11:14Our Ambitious Network is an incredible community of women
- 1:11:17who listen to this podcast who are just as the name sounds,
- 1:11:21ambitious women who are extremely driven and are going
- 1:11:25for big things in their life and in their business.
- 1:11:27We'd love to see you inside. If you head to the show notes of
- 1:11:29this episode, wherever you're listening or watching, you will
- 1:11:32see a link to join us in the community.
- 1:11:33We have all kinds of things from, you know, resources and
- 1:11:36all kinds of stuff, but we'd love to see you inside.
- 1:11:39And with all that being said, if you've been listening today and
- 1:11:41you know you've had some aha moments, a light bulb, a
- 1:11:43download, I would love for you to just slide into my DMS.
- 1:11:47Just message me K Perkovic on Instagram.
- 1:11:50I would love to hear from you and just love to hear what
- 1:11:53downloaded for you. What's maybe one change that
- 1:11:55you're excited to put into your schedule?
- 1:11:57You know, I always talk with the fact that one of the things that
- 1:11:59changed my life was being witnessed in transformation and
- 1:12:02having people witness me in my growth.
- 1:12:04And so let this be an opportunity for you to be
- 1:12:06witnessed in your growth today to message me and say, OK,
- 1:12:09great. Kate, I listen to the schedule
- 1:12:11episode. This is what I'm doing, my
- 1:12:12schedule. I'm holding myself to it.
- 1:12:14OK, great. Let me be your day of
- 1:12:16accountability partner. Let's make sure that we get you
- 1:12:18the change that you deserve for your life and business.
- 1:12:21So all of that being said, friends, thanks so much for
- 1:12:23spending the last hour with me. I love you guys.
- 1:12:26Please be sure. It always helps our show.
- 1:12:28If you can, to leave a rating on Spotify and a review would mean
- 1:12:31the world to me. And, as always, stay ambitious.
