  SPEAKER_00: Let's go.
• 0:37
SPEAKER_00: This program is for informational purposes only and should be independently verified before taking action.
• 0:44
SPEAKER_00: As your note portfolio grows, the business of managing it becomes as important as the business of buying into it.
• 0:50
SPEAKER_00: Tracking what you own, monitoring what is happening with each asset, recording every payment and expense, and staying ahead of risks across multiple loans in multiple states requires a system.
• 1:00
SPEAKER_00: Without one, things fall through the cracks.
• 1:02
SPEAKER_00: Assignments don't get recorded, bankruptcies go unnoticed.
• 1:06
  SPEAKER_00: Tax situations deteriorate.
• 1:08
SPEAKER_00: A portfolio management system is not a luxury.
• 1:11
SPEAKER_00: It is the operational backbone of a serious note investing business.
• 1:14
SPEAKER_00: The core tool that most experienced note investors land on for portfolio management is a CRM or customer relationship management platform customized for the specific demands of this asset class.
• 1:26
SPEAKER_00: Off-the-shelf real estate software rarely fits the bill because note investing is not property management.
• 1:32
SPEAKER_00: You are not tracking tenants and maintenance requests.
• 1:34
SPEAKER_00: You are tracking borrowers, lean positions, payment strings, legal proceedings, vendor communications, and resolution histories all at once, across assets that might be in a dozen different states.
• 1:46
SPEAKER_00: The platform that has proven most flexible and practical for note investors is Podio.
• 1:52
SPEAKER_00: It is an open-ended database tool that allows you to build custom applications.
• 1:57
SPEAKER_00: Essentially customize spreadsheets that talk to each other and automate workflows that would otherwise require manual effort.
• 2:03
SPEAKER_00: The core applications you need to run a note portfolio in the platform are an inventory app, a payment history app, an expense history app, and an asset history app.
• 2:13
SPEAKER_00: The inventory app is the heart of the system.
• 2:16
SPEAKER_00: It is where every loan lives as a record with all of its relevant attributes, the borrower's name and contact information, the property address, the lien position, the unpaid principal balance, the original loan amount, the interest rate, the last payment date, the occupancy status, the servicing contact, the resolution status, and every other data point you need to manage that asset effectively.
• 2:38
SPEAKER_00: Building this app thoroughly at the start saves you enormous time later because every other part of the business connects back to it.
• 2:45
SPEAKER_00: The payment history app is linked to the inventory app and records every dollar that comes in on every loan.
• 2:51
SPEAKER_00: Each incoming payment is a separate record tied to the loan it came from.
• 2:55
SPEAKER_00: This allows you to see the payment history for any loan at a glance, calculate cash on cash returns over any time period, and reconcile your servicers' remittances against your own records.
• 3:05
SPEAKER_00: The expense history app works the same way but tracks outgoing dollars.
• 3:09
SPEAKER_00: Attorney fees, title reports, credit reports, BPOs, skip traces, and any other costs associated with a specific loan.
• 3:16
SPEAKER_00: When it comes time to calculate your actual return on a deal, having clean expense records tied to each asset makes that calculation straightforward.
• 3:24
SPEAKER_00: The asset history app is where you log every meaningful communication and event in the life of a loan.
• 3:29
SPEAKER_00: A demand letter sent, a call with a borrower, a modification agreement executed, a bankruptcy filing detected, a tax payment made.
• 3:36
SPEAKER_00: Each of these becomes a dated record in the asset history.
• 3:39
SPEAKER_00: This log serves two purposes.
• 3:41
SPEAKER_00: First, it keeps you and anyone else working in your business up to date on where each loan stands without having to piece together emails and notes from memory.
• 3:49
SPEAKER_00: Second, it creates a documented history that becomes relevant if you ever need to demonstrate the timeline of events in a legal proceeding or during the sale of the loan.
• 3:58
SPEAKER_00: Automation is where podio becomes genuinely powerful.
• 4:01
SPEAKER_00: Using a workflow automation tool layered on top of podio, you can build triggers that automatically create tasks, send notifications, generate documents, or pull data from external sources based on events in your system.
• 4:12
SPEAKER_00: A loan that hits 90 days without a payment can automatically generate a task to initiate a demand letter.
• 4:17
SPEAKER_00: A loan approaching a modification balloon date can generate a reminder to start the refinance conversation with the borrower.
• 4:22
SPEAKER_00: The goal is to build a system where things do not get missed because the system is watching for them.
• 4:27
  SPEAKER_00: Start simple.
• 4:28
SPEAKER_00: Build your inventory app first and get all of your existing loans loaded into it.
• 4:32
SPEAKER_00: Then add payment history and expense history.
• 4:34
SPEAKER_00: Once those are running cleanly and you understand how data flows through the system, add automation layer by layer.
• 4:40
SPEAKER_00: A system you use consistently and maintain well is worth far more than a complex system that nobody keeps current.
• 4:45
SPEAKER_00: Next time we are going to take a step back and talk about building a note investing business that scales.
• 4:50
SPEAKER_00: What systematizing actually means and how to think about the difference between doing the work and building the infrastructure that does the work for you.
• 4:58
SPEAKER_00: Thanks for sticking around to the end, and thank you to my trusty Robot and the Fix Notes team for putting together another episode.
