- 1:47SPEAKER_00: Now, one of the questions that I often get asked from people who are thinking about creating an online course is how can they find time in their day to do the extra work needed to create an online course alongside all the other commitments that they have?
- 2:05SPEAKER_00: And I think this is a really great question because before you jump into creating your online course, maybe this is something that you are thinking about is how on earth am I gonna find the time to do what I need to do to create this thing?
- 2:22SPEAKER_00: Our time is so valuable, but it's also really limited, and whilst we can make lots of money, like we all have the ability to make lots of money, we can never get that time back.
- 2:35SPEAKER_00: So, what we don't want to be doing is oversubscribing ourselves to do lots of different things because it can ultimately leave us feeling tired and exhausted.
- 2:47SPEAKER_00: So, if you are thinking about creating an online course and you are concerned that you're not going to have the time to focus on that, then this episode is for you because the tips that I'm going to be sharing will help you to create more time for yourself and to approach the online course in a way that you can work on it consistently and move that needle forward so you're not having to constantly find the time to put to it.
- 3:18SPEAKER_00: By the end of this episode, you're going to have a better idea on how to approach this, and what I hope for you is that the strategies that I'm going to be sharing will help you to put a plan in place that's going to support your efforts.
- 3:34SPEAKER_00: As entrepreneurs, we wear so many hats.
- 3:38SPEAKER_00: We have to do lots of things during the course of our day, our week, our month, and our year just to keep our businesses going.
- 3:47SPEAKER_00: We have to be the marketer, we have to be the finance, we have to do the admin, we have to be the designer, all the things that are needed to keep your business going.
- 3:58SPEAKER_00: And we spend our time trying to do so many different things all at one time, it's exhausting and it can leave us feeling as though all you're doing all the time is chasing your tail.
- 4:11SPEAKER_00: I mean, how many times have you actually thought to yourself that there's just never enough time in the day to get the things done that you want to get done?
- 4:19SPEAKER_00: Sometimes it can seem really impossible to get the simplest of tasks done because of everything else that's coming in that also needs your attention.
- 4:30SPEAKER_00: And it also feels as though at times the to-do list is never shrinking, it's always growing, which can leave you feeling overwhelmed, exhausted, and that you're not being as productive as what you actually want to be.
- 4:47SPEAKER_00: But here's the thing: we all have the same amount of time in our day.
- 4:52SPEAKER_00: However, it's how we choose to spend that time is what is going to make the difference on what you get completed in the course of a day.
- 5:01SPEAKER_00: Now it all boils down to what your priorities are and where you need to spend your energy and what you need to be focusing on.
- 5:09SPEAKER_00: If your desire is to create a six-figure business, then putting things in place to make this happen is going to be your priority.
- 5:18SPEAKER_00: So the tasks that you're going to be doing during your day are going to be driven by the need to meet your goals.
- 5:27SPEAKER_00: So you're going to be utilizing your time in a way that is moving the needle for you, but then being intentional with that time is actually what gets us to where we need to be in terms of our goals.
- 5:44SPEAKER_00: So if you're thinking about creating an online course whilst you're having to take care of the day-to-day running of your business, it can seem really impossible to find the time to focus on this new project.
- 5:57SPEAKER_00: And I know firsthand how difficult it can be juggling client demands whilst keeping on top of everything else that needs to be done, whilst developing new products at the same time, and it could be really challenging to get it all done without feeling exhausted and burnt out.
- 6:15SPEAKER_00: I think for me over time I've had to learn to be more effective with my time because my time is so limited.
- 6:24SPEAKER_00: I have two young children, and they were the reason for me starting my business in the first place.
- 6:30SPEAKER_00: It was because I didn't want to be chained to a desk, and I wanted to give myself the freedom to be available to my children at the end of the day.
- 6:41SPEAKER_00: I wanted to be able to do the school run and to sit with them when they get back from school so that I can really find out how their day has been.
- 6:50SPEAKER_00: Now, this has always been a really big motivator for me because my girls are young.
- 6:56SPEAKER_00: My youngest is eight, and my eldest is ten, and I want to be around for them whilst they're still at school.
- 7:03SPEAKER_00: I want to make the most of the time that I have with them whilst they're young because I know they're not going to be young forever.
- 7:11SPEAKER_00: So this means on average that I only really work about six hours a day, and so I have to be really focused during that time to ensure that I'm getting the things done that I need to get done before I can switch off and enjoy time with my family, which of course is really important to me.
- 7:30SPEAKER_00: Now, in the early days of running my business, I would work on my client projects through the day, and then I would have a few evenings a week where I would put time aside to work on additional projects like creating my online course, creating my brand strategy planner, and my digital downloads.
- 7:48SPEAKER_00: I used to do this once the kids had gone to bed, and it was the way that I could juggle the two.
- 7:55SPEAKER_00: So during the day I was working with clients, and then in the evening, I would spend the time working on the projects that really lit me up and what I wanted to actually focus on.
- 8:08SPEAKER_00: But when I realized that this way of working wasn't sustainable because I wasn't actually switching off and getting the rest that I needed, and also I wasn't spending the valuable time that I had with my husband.
- 8:22SPEAKER_00: He would work during the day, I would then work during the day, and then I would do additional in the evening, and that would really eat into our family time.
- 8:31SPEAKER_00: I would put deadlines in place as well that just weren't realistic, and then I would be really annoyed with myself when I didn't achieve the deadlines because they were unrealistic.
- 8:42SPEAKER_00: So it didn't take long before I started to feel burnt out and found myself in a position where I actually fell out of love with the work that I was doing just because I was so exhausted and tired.
- 8:56SPEAKER_00: How many of you have found yourself in a situation where you're working really hard to keep things going and you just get to the point where you just think I can't keep doing it at this pace because I'm so exhausted?
- 9:09SPEAKER_00: And I think when it comes to running a business, it's so easy to find ourselves caught up in the weeds of everything that needs to be done that we can really burn ourselves out trying to be everything to everyone and to try and keep a needle moving in our business.
- 9:27SPEAKER_00: Now I must admit, these days I approach projects very differently.
- 9:32SPEAKER_00: I have simple strategies that I've put in place that support me, especially when I'm working on projects outside of my day-to-day client work.
- 9:43SPEAKER_00: I tend to now create a project plan ahead of time so that I can get really into the weeds of what needs to be done, and so I can also set more realistic deadlines for myself so that I'm not putting myself under constant pressure to have to get things done when it's just not realistic to meet the deadlines that I've put in place.
- 10:09SPEAKER_00: Also, I have a VA that I invest in, and that's been a game changer because having a VA there to support me means that it gives me time back, so I'm not having to do everything, I can actually pass over tasks to share the load, and that has made a huge difference to me.
- 10:29SPEAKER_00: And just by doing this, and just by taking very simple steps in changing the way I work, I've noticed how much easier and quicker it is to get things done, and of course, how much more focused I am and in control I feel because I have things in place to support me.
- 10:48SPEAKER_00: I also make sure that I have very simple workflows in place as well, so that I know all the steps that need to be done in order to achieve my outcome.
- 11:00SPEAKER_00: Now, as well as supporting clients with creating their online courses, I also own a branding studio where myself and my team we run multiple projects at any one time.
- 11:13SPEAKER_00: Now, it can be really tricky to balance out the needs of clients and the deadlines, especially when lots of things are happening at any given time.
- 11:24SPEAKER_00: So, in order to be able to show up and support my clients in the way they need me to, I have to be really effective with the way that I do manage these projects, which is why I've had to learn how to be more productive and efficient in my day.
- 11:40SPEAKER_00: Having a plan in place means that I can be really intentional and I can make conscious decisions about what my priorities are so that I can focus in on the things that need to actually get done.
- 11:53SPEAKER_00: And this really helps me not just in my branding studio, but also when I'm working on my own projects and then supporting clients with their digital courses as well.
- 12:04SPEAKER_00: And as I've become a more seasoned entrepreneur, I've also learned to say no as well because I don't want things taking my time and my focus when they're just not important.
- 12:16SPEAKER_00: So I always think about the goals that I'm looking to achieve and whether or not what I'm doing is supporting those goals or whether it's taking my attention away from them.
- 12:28SPEAKER_00: And if it's taking my attention away from them, then it's just a clear no.
- 12:34SPEAKER_00: So, in this episode, what I wanted to do is share my top six productivity tips with you so that you can take more control over your day, get the stuff done that you need to get done, and hopefully, it will leave you energized rather than feeling burnt out and exhausted.
- 12:54SPEAKER_00: So, my first tip is to write out your big goal and what it will mean to you once you've achieved it.
- 13:04SPEAKER_00: I want you to get really clear on what this is and why you're doing what you're doing and what it's all for, and actually create something that is a visual representation of that.
- 13:18SPEAKER_00: Why have you decided to run a business?
- 13:20SPEAKER_00: What is your vision, and what does that mean for you, your business, and your family?
- 13:27SPEAKER_00: Now, the clearer we can be on what we want, the more connected we're going to be to it, and the more connected that we are, the more we're going to feel the benefits of it, and when we apply feeling to something, we connect to it on a much deeper level.
- 13:45SPEAKER_00: It also means that we take ownership for what we actually want, and we have to show up and be the person that we need to be in order to make it happen.
- 13:56SPEAKER_00: So, again, it's just taking that ownership, taking responsibility, and committing to bringing that goal to life.
- 14:04SPEAKER_00: Now, if you're haplessly coasted through life without any purpose, you will struggle to achieve anything of any real substance because you're not focused.
- 14:15SPEAKER_00: By getting laser focused on what you want, you can then create the plan that's going to help you to achieve your goals.
- 14:24SPEAKER_00: Your business is a vehicle that can drive you to wherever you want to go.
- 14:29SPEAKER_00: But first, you need to know where that end destination is, you need to know where you're heading.
- 14:35SPEAKER_00: You wouldn't just jump in a car, switch the engine on, and then just drive without having any idea of where you're going to.
- 14:43SPEAKER_00: You need to know where you're going in your business and what your vision is because that's going to connect you to the things that you need to do to make it happen.
- 14:55SPEAKER_00: Why are you in business and where do you want your business to go?
- 15:00SPEAKER_00: Keep it simple, align it to your dreams and ambitions, and then just create a strategic plan to get you there.
- 15:08SPEAKER_00: It will keep your mind focused.
- 15:12SPEAKER_00: So get really clear on what you want to achieve for yourself in your life.
- 15:18SPEAKER_00: What difference is your goal going to make to your life, and what difference is it going to make to your family's life as well?
- 15:26SPEAKER_00: Clarity is the key.
- 15:28SPEAKER_00: It's so important that in anything we do, we know why we're doing it.
- 15:33SPEAKER_00: We're applying context to what we're doing.
- 15:38SPEAKER_00: The clearer you are, the more attached you'll feel to your goal, and then you can use this to motivate you so that when the last thing that you want to do is work on your online course, you're going to be motivated by what you desire, that it will get you up, get you working, and then you can bring this to life.
- 16:01SPEAKER_00: So really get clear on what your goal is and what it means to you, and what life will look like once you've achieved it.
- 16:10SPEAKER_00: Okay, so my second tip is all about planning ahead.
- 16:14SPEAKER_00: So I mentioned earlier that when I start a new project, I create a project plan.
- 16:21SPEAKER_00: I use that to really focus my attention so that I know all my key milestones ahead of time.
- 16:31SPEAKER_00: We need to make sure that we have a plan in place so that it can keep us focused on the outcomes that we're looking to achieve.
- 16:40SPEAKER_00: By creating a really simple plan, it doesn't have to be anything complicated.
- 16:44SPEAKER_00: You're most likely going to be sticking to it, and especially if you add your plan to your calendar, because if it's in your diary, you'll work on it, you'll get it done, and you'll commit to it.
- 16:57SPEAKER_00: So, one of the things that I did very early on when I was working on my online course was I decided to choose a day in the week that I would dedicate to my online course.
- 17:09SPEAKER_00: Now it wasn't the entire day to begin with, it was probably only about an hour, but I used the same day every week and I put that in my calendar and I blocked it out.
- 17:22SPEAKER_00: And what I found was that just by having that block of time in my diary, I started to show up and apply myself.
- 17:33SPEAKER_00: I created it as a non-negotiable, like there was nothing that was going to take precedence over that calendar entry because I had to get my course done, and I found that really useful because I knew on that day that I would be working on my online course, so I started to shift my mind and my thinking to thinking about my online course.
- 17:59SPEAKER_00: So I dedicated time, energy, and attention to getting it done.
- 18:04SPEAKER_00: I showed up every week, the same time every week in my business to create my online course.
- 18:11SPEAKER_00: And yes, it took time, but over time I got it done, and I am so pleased and thankful that I did that because it really did move the needle for me in my business.
- 18:24SPEAKER_00: And of course, when I started creating my online course in the very beginning, I struggled with time, like everyone does, there's never enough time in the day.
- 18:33SPEAKER_00: But once I made the decision to commit to getting my course done, I found that just by putting time aside each week on a regular basis to work on it, I was able to meet my goals.
- 18:45SPEAKER_00: I was taking action, it didn't matter how small those steps were, the fact that I was taking action, I was showing up on a regular basis, it meant that I met my goals.
- 18:56SPEAKER_00: So for me, scheduling became really important.
- 19:00SPEAKER_00: If I blocked out time in my calendar, I was going to make it happen.
- 19:05SPEAKER_00: So dedicating time to it, even if it was only sort of 15 minutes, 30 minutes, an hour, it meant that I was moving the needle and I was getting stuff done.
- 19:16SPEAKER_00: And the more I worked on my online course, the more I enjoyed it, and the more I looked forward to working on it.
- 19:23SPEAKER_00: And I soon found myself in a state of flow where things got easier, and I felt that I was being super productive because I knew exactly where my attention needed to go.
- 19:37SPEAKER_00: But it all started with me creating a plan and then committing time to taking the action needed in order to follow through on it.
- 19:46SPEAKER_00: So if you are thinking about creating an online course but you're not sure how you're going to bring it to life, look at your diary, see if you can pencil some time in your calendar so that you can block some time out, and then use that time to just make a start.
- 20:04SPEAKER_00: And if you make a start and keep showing up and working on it on a regular, consistent basis, you'll find that you'll get it done.
- 20:13SPEAKER_00: Okay, so my third tip is about making daily focus lists.
- 20:18SPEAKER_00: What I recommend is that you create a daily focus list that lists out your top three to five tasks for that day.
- 20:27SPEAKER_00: Now, the idea is that you don't make it too long, you don't want a long list of tasks that you're wanting to complete because it'll just be overwhelming, and all you'll do is add to it rather than ticking your tasks off, and that can be really overwhelming.
- 20:43SPEAKER_00: By reducing your list down to about three to five tasks, you're just focusing on the key tasks that need to take priority.
- 20:53SPEAKER_00: By putting tasks on your focus list, you'll actually feel as though you're accomplishing stuff.
- 21:00SPEAKER_00: So if you just have three things to do in a course of a day, you'll get those three things done because you're not going to be sidetracked by all the other things that are on your list.
- 21:13SPEAKER_00: The idea of a focus list is that you're just focusing in on specific tasks that need to be done that day.
- 21:21SPEAKER_00: So three to five tasks are doable, manageable, and you'll get them done.
- 21:27SPEAKER_00: But what you'll do is you'll just focus on those, which means you'll actually feel productive.
- 21:34SPEAKER_00: If you write your list at the end of each day, then you'll start your next day knowing exactly where your focus needs to be, and where focus goes, success flows.
- 21:46SPEAKER_00: So if you are currently creating an online course, make a list of the three tasks that you need to achieve the next time you work on your online course.
- 21:56SPEAKER_00: Don't worry about all the other tasks, just the three key ones.
- 22:00SPEAKER_00: So, if you know that you need to record your video, edit your video, and upload your video to your platform, then just focus on those three tasks rather than all the other tasks that also need to be done.
- 22:16SPEAKER_00: Because by the end of the time that you put aside to work on your course, you'll have achieved at least three things that would have moved you forward.
- 22:25SPEAKER_00: So think of it in terms of the compound effect.
- 22:29SPEAKER_00: Every time you work on your course, you're achieving three tasks.
- 22:32SPEAKER_00: Then not only are you going to be really utilizing your time in an effective and productive way, but you're also going to be making huge progress on getting your course creative.
- 22:43SPEAKER_00: And three tasks are not a lot.
- 22:46SPEAKER_00: You can do three tasks in the space of a day.
- 22:49SPEAKER_00: So it's not a lot in the way of making you feel overwhelmed, but it's enough to help you feel as though you're moving forward.
- 22:58SPEAKER_00: So, what three tasks can you focus on the next time you work on your online course?
- 23:06SPEAKER_00: My fourth tip is all about working out which part of the day you are most productive and then blocking out time to work on your online course during that period.
- 23:21SPEAKER_00: Now, I don't know about you, but as I get older, the one thing I often struggle with is working late into the night.
- 23:28SPEAKER_00: I used to be able to do that, but I just can't seem to do it these days.
- 23:32SPEAKER_00: I just really struggle with it.
- 23:34SPEAKER_00: Come four o'clock in the afternoon, I'm hitting a wall and I'm counting down to the time where I'm switching off my Mac so that I can chill out and be with my family.
- 23:44SPEAKER_00: I really don't want to work in the evening, often because I'm too tired.
- 23:49SPEAKER_00: However, if I get up early in the morning whilst everybody is in bed, then I'm like a ninja.
- 23:56SPEAKER_00: I power through my list getting things done, but it feels easy and it feels as though I'm not having to apply a lot of myself in order to do it.
- 24:07SPEAKER_00: So when do you feel most productive?
- 24:10SPEAKER_00: Is it first thing in the morning like me, or are you a night owl and you prefer to work during the evening?
- 24:16SPEAKER_00: Everyone is different, and everyone has different periods of time in which they're at their peak mental state.
- 24:24SPEAKER_00: Some people work better in the morning, a bit like me, and others may get a burst of energy late into the afternoon.
- 24:31SPEAKER_00: By figuring out when you're at your most optimum, you can use this to help you to be more productive.
- 24:38SPEAKER_00: Now, if I'm writing blog posts or I'm creating content, then I like to do this when I feel most awake because that's when I'm most creative.
- 24:48SPEAKER_00: I can't design when I'm tired because my creative juices they've dried up, they've gone, they've gone off for the evening.
- 24:55SPEAKER_00: By knowing this, I can then manage my day to suit my energy levels.
- 25:00SPEAKER_00: So, whatever that period of time is for you, schedule your more mentally challenging tasks during those hours.
- 25:09SPEAKER_00: You can also use this approach to manage your week as well.
- 25:13SPEAKER_00: So, for example, I use Mondays to plan ahead and I create all my social media content on a Monday.
- 25:20SPEAKER_00: I write my podcast, I record my podcast on a Monday because that's when I'm at my peak in terms of creativity.
- 25:29SPEAKER_00: And then my Fridays are when I slow down and I focus on tasks that are not time critical, often because I'm in a more relaxed frame of mind.
- 25:40SPEAKER_00: So for me, I've always worked on my online courses on a Friday because that's when I'm in a bit more of a chilled-out state and I'm feeling that little bit more creative, but also I want to do fun things because I want to finish my week off on a high.
- 25:57SPEAKER_00: My Tuesdays, my Wednesdays, and Thursdays tend to be client-focused days, and I also do growth activities in those days as well.
- 26:07SPEAKER_00: Now, the reason why I structure my week this way is so that I can be more productive and efficient with my time.
- 26:15SPEAKER_00: I know when I'm going to be focusing stuff, I can map things out in my calendar, I can block out time, and I can give focus during that time to the things that need to get done.
- 26:26SPEAKER_00: So for me, it's a really simple strategy, but it makes such a difference.
- 26:32SPEAKER_00: I don't feel I'm chasing my tail, I know exactly when I'm booking meetings in for, and I also know when I'm going to get stuff done.
- 26:40SPEAKER_00: So if I have a client project that comes in that needs my attention, I know when I'm best to work on that, and also when I can get it back to the client.
- 26:51SPEAKER_00: So think about your week, think about how you can structure your week to help you to support your energy levels, and also to give you the most out of your working week.
- 27:04SPEAKER_00: Is there a particular day that you can use to work on your online course?
- 27:08SPEAKER_00: So, are you like me where you maybe like to work on a Friday morning because that's when you feel like you can just take a step back from client-based work to focus on stuff for the business?
- 27:21SPEAKER_00: So, really think about what works for you and then put a structure in place to support you.
- 27:28SPEAKER_00: My fifth tip is about getting rid of distractions because we live in a world where we're always being pinged at.
- 27:44SPEAKER_00: You know, we are having noise thrown at us all the time, and it can take our attention and be really distracting.
- 27:52SPEAKER_00: I think social media is a classic example of this.
- 27:55SPEAKER_00: I mean, how much time do you spend scrolling down feeds looking at pictures of friends on holidays or reading other people's content instead of actually focusing in on key tasks that need to get done?
- 28:12SPEAKER_00: In fact, you can probably find out for yourself because now the iPhone tells you, and it's really interesting how much time actually does get wasted.
- 28:21SPEAKER_00: But the point is that we can waste so much time just by having our phones in our hands or near us as we're working, just by putting our phone away, closing down the apps on our computers, distancing ourselves from our inbox, instantly we get time back because we're not being distracted.
- 28:40SPEAKER_00: So get it into a habit of doing this, of closing things down, moving things away, and also when it comes to emails, only check your emails twice a day, once in the morning and once in the afternoon.
- 28:53SPEAKER_00: Outside of that, close your inbox, and unless something is urgent, it can wait.
- 28:58SPEAKER_00: So give yourself the time and space to focus in on your tasks without being distracted by things that are not actually that important.
- 29:09SPEAKER_00: So, my sixth and final tip is about batching tasks, which is a really effective productivity strategy that involves grouping similar tasks together to complete in one time period.
- 29:22SPEAKER_00: The main purpose of this strategy is to avoid switching back and forth between tasks.
- 29:28SPEAKER_00: Task batching is great because it allows our brain to just focus on one task at a time rather than getting caught up in multitasking.
- 29:38SPEAKER_00: Because when we multitask, we can get distracted and we can end up doing things that take us away from the things that we should be doing.
- 29:47SPEAKER_00: The human brain actually functions better when it is only focusing on one thing at a time.
