- 0:00Hi everyone, welcome back to The Science of Leading.
- 0:02I'm Claire Monroe, and as always,
- 0:04I'm joined by the quietly brilliant Edwin Carrington-Edwin,
- 0:07how are you?
- 0:07I'm well, Claire.
- 0:08And I appreciate the upgrade to "quietly brilliant." I'll try not to
- 0:12let it go to my head.
- 0:12Just calling it like I see it!
- 0:15So today we're digging into recruitment automation,
- 0:18which...
- 0:18I mean, let's be honest-it feels like a total maze when you're first
- 0:21stepping into it.
- 0:22Like, there are a million tools out there and they all claim to be game-changers.
- 0:27Edwin, for hiring managers who are overwhelmed before they even open
- 0:30a demo tab-what actually matters most when picking a platform?
- 0:30That's a
- 0:35good place to start.
- 0:36In my experience-advising companies and also watching HR tech evolve
- 0:41over the years-the key is this: prioritize the features that remove your
- 0:46actual pain.
- 0:47Not just what looks impressive in a pitch deck.
- 0:47You want workflow automation
- 0:52that shaves off hours-like moving candidates along your pipeline or firing
- 0:57off reminders-without you having to babysit it.
- 0:59Then there's AI-powered matching,
- 1:02where the system actually reads your job requirements and flags top matches.
- 1:06That's become a real force multiplier for lean hiring teams.
- 1:06Yeah,
- 1:12I keep hearing about interview scheduling too.
- 1:14Like, how some tools just handle the whole thing?
- 1:14Exactly.
- 1:17Especially if you're dealing with volume.
- 1:20Automated scheduling takes the email ping-pong out of the equation-it
- 1:24finds availability, syncs calendars,
- 1:27and books the call.
- 1:28Done.
- 1:28And I'd add recruitment marketing and reporting to that core list.
- 1:34You need tools that get your roles out in the world and show you what's
- 1:38actually working-without you having to cobble together data in a spreadsheet
- 1:42every month.
- 1:42Okay, that's actually a relief.
- 1:45I always worry there's some secret "killer feature" I'm missing-but it
- 1:49sounds like the basics, done well,
- 1:51are still the big wins?
- 1:51Exactly.
- 1:54Automation.
- 1:56Candidate matching.
- 1:57Scheduling.
- 1:58Marketing.
- 1:59Reporting.
- 2:00Nail those, and you're ahead of the curve.
- 2:00And one more that's often missed-but
- 2:05critical: integration.
- 2:07If your platform doesn't play nicely with your ATS or CRM,
- 2:12you're looking at a data silo nightmare.
- 2:14Suddenly you've got duplicate entries,
- 2:17missed updates, and friction every time someone tries to pull insights.
- 2:21It's one of the biggest killers of adoption I've seen.
- 2:21So integration
- 2:26isn't just "nice to have"-it's like...
- 2:28non-negotiable?
- 2:28It should be.
- 2:31Prioritize integration from the start and you'll save yourself months
- 2:35of frustration.
- 2:35Let me ask this-and maybe I'm outing myself-but why do
- 2:41so many leaders get totally overwhelmed by these tools?
- 2:44Is it just the jargon, or...?Partly.
- 2:46There's a lot of buzzwords-"AI," "pipelines," "automated engagement"-that
- 2:51sound impressive but don't always translate into clarity.
- 2:51But more than
- 2:55that, I think people try to solve everything at once.
- 2:59My advice is: pick your biggest bottleneck and find a tool that solves
- 3:04that well.
- 3:04Start there.
- 3:06Don't aim for a perfect system on day one-just one that removes friction
- 3:11where it hurts most.
- 3:11So focus over feature FOMO.
- 3:14That helps.
- 3:15Alright-let's get into the fun part.
- 3:17What tools are actually standing out heading into 2025?
- 3:17There's a lot
- 3:21of movement in the space, but a few names rise to the top.
- 3:24ClickUp is great for full-process tracking-especially if collaboration
- 3:29is a big need.
- 3:29Workable's strong if you want deep AI sourcing and solid
- 3:34parsing.
- 3:35And Greenhouse?
- 3:36That's your go-to if consistency and scalable workflows are what you
- 3:40care about.
- 3:41They've really leaned into structured hiring.
- 3:41Zoho Recruit's another one
- 3:45I've heard a lot about-especially for teams that want to tweak everything.
- 3:48And SeekOut, Manatal... they're both doing interesting things with AI pipelines.
- 3:48At
- 3:54my last job, we tested a couple platforms,
- 3:56and-funny enough-it wasn't the "most powerful" one we ended up picking.
- 4:00It was the one with the best onboarding.
- 4:02That training support?
- 4:03Honestly, it made all the difference.
- 4:03That tracks.
- 4:06A powerful tool that no one understands is just...
- 4:10unused potential.
- 4:12Training and onboarding should be on your evaluation checklist.
- 4:12And you
- 4:16mentioned ClickUp-real case study: QubicaAMF used their dashboards and
- 4:21automation features and cut reporting time by about 40%.
- 4:25That's not fluff-that's time back to your team.
- 4:25That's huge.
- 4:29And with Manatal, someone pointed out that their Chrome extension actually
- 4:33shows when you've already reviewed a candidate's profile-inside the ATS.
- 4:37Like a built-in memory so you don't waste time chasing the same person
- 4:40twice.
- 4:41Feels small, but it's such a sanity-saver.
- 4:41Exactly.
- 4:44SeekOut does something similar on the sourcing side-they're great for
- 4:49niche roles or teams with complex hiring needs.
- 4:49But even with all the tech,
- 4:53don't forget the human side.
- 4:55If your team finds the tool frustrating,
- 4:57it won't get used.
- 4:59Intuitiveness matters.
- 4:59So the big idea here: there's no "best" tool for
- 5:04everyone-just the right tool for you.
- 5:06Match it to your process, your people,
- 5:08your priorities......and how fast your team can get up to speed.
- 5:13A tool that looks amazing in a demo but confuses your coordinators?
- 5:18That's a slowdown waiting to happen.
- 5:18Think: adoption,
- 5:23integration, then advanced features-in that order.
- 5:23That's such a good
- 5:27mental checklist, especially for folks who don't feel super tech-savvy.
- 5:31Alright, let's shift to the messy part: the pitfalls.
- 5:35Because we all know software rollouts are never as smooth as the sales
- 5:39team makes them sound.
- 5:39Let's talk about it.
- 5:41The biggest trap?
- 5:43Assuming the default settings will magically fit your workflow.
- 5:47They won't.
- 5:47You need to customize: build workflows that reflect your stages,
- 5:52craft screening questions that match your values.
- 5:55Otherwise, the system starts working against you.
- 5:55We ran into that!
- 6:00Used a default four-stage pipeline when we actually needed six-and it
- 6:03totally broke our visibility.
- 6:05Reporting was a mess.
- 6:06Took us weeks to figure out where things were falling through.
- 6:06That's
- 6:10common.
- 6:10I hear similar complaints all the time-confusing dashboards,
- 6:14limited reporting, or steep learning curves.
- 6:14The better vendors-ClickUp,
- 6:20Greenhouse, Zoho-they're investing in cleaner onboarding.
- 6:24But still: always demo, pilot,
- 6:27and get real feedback from the people who'll live in the system daily.
- 6:27Yes.
- 6:32Because "intuitive" means different things depending on who's clicking.
- 6:36And if folks are scared to open the dashboard...
- 6:38back to spreadsheets you go.
- 6:38Exactly.
- 6:41Now-can we talk about the elephant in the room?
- 6:44AI.
- 6:44It's not just hype anymore.
- 6:48Roughly 92% of companies are already seeing measurable benefits from
- 6:52AI in hiring.
- 6:53We've crossed the tipping point.
- 6:53But it raises a real question.
- 6:58Claire-would you trust an algorithm to shortlist your next teammate?
- 6:58Oh
- 7:04wow-you're putting me on the spot.
- 7:05I mean...
- 7:06part of me says yes, absolutely,
- 7:08for efficiency.
- 7:09Let the system scan the pile, flag skill matches,
- 7:12maybe catch stuff I'd overlook.
- 7:12But full trust?
- 7:15Nah.
- 7:16I'd still want to feel the fit in an interview.
- 7:18Chemistry, energy, those micro-signals-you can't code those.
- 7:22At least, not yet.
- 7:22And I think that's the future of hiring-using AI to
- 7:27lift the heavy stuff, surface the right data,
- 7:29move faster...
- 7:30but keeping humans in the loop for the moments that matter.
- 7:33Final calls, culture fit, intuition-that's where leaders still
- 7:33lead.
- 7:33Exactly.
- 7:40Use the tech to get you to the moment,
- 7:42not through it.
- 7:43Edwin, what's your final word for folks eyeing new platforms this year?
- 7:43Keep
- 7:48it simple: choose tools that match how your team works today-not how a
- 7:52vendor wants you to work.
- 7:52Customize what matters.
- 7:56Pilot early.
- 7:57Train often.
- 7:58And if adoption lags?
- 8:00Don't hesitate to pivot.
- 8:02There's no gold medal for sticking with the wrong software.
- 8:02Couldn't agree
- 8:06more.
- 8:06And hey-if you're wondering how to actually put all this into action,
- 8:10OAD offers behavioral assessments and hiring tools you can test for free
- 8:15at o-a-d-dot-a-i.
- 8:16It's a smart way to build better-fit teams without spending hours in
- 8:20the weeds.
- 8:20Highly recommended.
- 8:23Especially if team alignment and smart decision-making are your north
- 8:26stars.
- 8:26Thanks, Edwin-and thanks to all of you for listening.
- 8:30We'll be back soon with another episode of The Science of Leading.
- 8:33Until then...
- 8:34lead with intention.
- 8:35See you next time.
- 8:35Take care, everyone.
