- Dana (AI host): The meeting ends, you walk to your car, and the notes you meant to type are already fading. Rob (AI host): Now one tap on your phone's home screen records it, even with no signal, and HubSpot writes the summary. Dana (AI host): There's one switch on that recording screen that decides whether you keep the audio, and it remembers your last choice. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Honesty first: Rob and I are AI hosts. Dana (AI host): We don't carry phones, and we haven't recorded a meeting with this. Dana (AI host): We're reading HubSpot's help article, updated October thirtieth, 2026. Rob (AI host): Fair warning, today I'm playing a field sales rep who meets customers at job sites and hates typing notes. Dana (AI host): Then this one's for you. Dana (AI host): In the HubSpot mobile app, there's now a microphone icon in the upper right of the Home screen. Dana (AI host): Tap it, and Mobile Notetaker starts recording. You don't need a CRM record first. Rob (AI host): What if I'm somewhere with no signal? Dana (AI host): You can record offline. Dana (AI host): When you're back online, you connect the recording to the right meeting and CRM record. Rob (AI host): Is this iPhone only? Dana (AI host): HubSpot's September product updates list it for iOS and Android. Rob (AI host): Okay, which plans and seats does a field team need for this? Dana (AI host): Sales Hub and Service Hub, Professional or Enterprise. You need an assigned Sales or Service seat. Dana (AI host): HubSpot's August updates extended it to Service Hub, so it's not just for sales teams anymore. Rob (AI host): Can I record something that isn't a meeting on the calendar? Dana (AI host): Yes. Dana (AI host): HubSpot's September notes say you can record an in-person meeting or a voice note, with no CRM record needed first. Dana (AI host): You can also start from an existing meeting, or from a contact's activity tab, by tapping Record next to Mobile Notetaker. Rob (AI host): Does my admin have to do anything? Dana (AI host): Yes, on desktop, and setup needs a Super Admin. Dana (AI host): In Notetaker settings, turn on Conversation recording and Transcription and analysis. Dana (AI host): In AI settings, turn on generative AI access, CRM data, and Customer conversation data. Dana (AI host): Then, in Data Management, select Use smart data capture and set up your recommendation settings. Rob (AI host): Okay, I'm parked outside the job site. I tap the mic. Then what? Dana (AI host): The first time, your phone asks for microphone access. Tap Allow, and recording starts right away. Dana (AI host): You can pause, resume, delete, or tap Finish. Rob (AI host): You mentioned a switch. Dana (AI host): Save recording. Turn it on, and HubSpot keeps the audio and makes a transcript. Dana (AI host): Turn it off, and you get only an AI summary, with no audio and no transcript. Dana (AI host): Mobile Notetaker remembers your last choice for next time. Rob (AI host): So if I turned it off for one sensitive meeting, the next one is off too. Dana (AI host): Exactly. Check it before every meeting. Rob (AI host): Then I'm back in the truck, signal returns, and I want this on the deal. Rob (AI host): How do I connect it? Dana (AI host): Pick a scheduled meeting, or log it as a new meeting, then associate it with the right records. Dana (AI host): The scheduled meeting has to be created in HubSpot, not synced from another calendar. Rob (AI host): Can I fix the details before it's saved? Dana (AI host): Yes. Dana (AI host): You can rename the recording, set the meeting type and outcome, adjust the time and duration, add a description, and create a follow-up task. Rob (AI host): And the payoff? Dana (AI host): Once it's processed, you can get a push notification. Dana (AI host): Review shows the AI summary, which you can email or copy, plus the transcript. Dana (AI host): Actions shows suggested follow-up tasks and suggested property updates you can review. Rob (AI host): Why it matters: the notes get written while the details are still fresh, by the time you start the truck. Dana (AI host): Our research puts it bluntly: the biggest CRM problem isn't bad data, it's friction. Rob (AI host): Who should roll it out first? Dana (AI host): Our research points to field reps at trade shows and site visits, teams that work with spotty signal, like construction or logistics, and Service Hub teams doing on-site visits. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): A record button only helps if your reps actually trust the CRM. George B. Thomas (AI voice clone): Our Sales Hub training happens inside your portal, with your real deals and pipeline, and each role learns the tools it needs, from sequences to forecasting. George B. Thomas (AI voice clone): Sessions are recorded for new reps, and we check adoption afterward. George B. Thomas (AI voice clone): Find it under services at Sidekick Strategies dot com. Rob (AI host): Dana, what's changed since our August write-up? Dana (AI host): Two things. Our write-up said iOS only. HubSpot's September updates now list iOS and Android. Dana (AI host): And our write-up says the Action tab needs beta enrollment. Dana (AI host): HubSpot's help article doesn't mention a beta, so check with your admin rather than assume. Rob (AI host): What else should I know before I record? Dana (AI host): The legal part. Dana (AI host): HubSpot says recording laws are complex, and you're responsible for the right consent and disclosures. Dana (AI host): And Notetaker can't handle protected health information. Rob (AI host): And the suggested property updates? Dana (AI host): They only appear for recordings longer than ten seconds, so a quick voice note may give you a summary without property suggestions. Rob (AI host): Who can see the recording? Dana (AI host): HubSpot says Notetaker runs on a sub-processor, Hyperdoc, with data hosted on AWS in the United States, the European Union, and Asia. Dana (AI host): If that matters to your legal team, send them the help article before rollout. Rob (AI host): And does this create a duplicate call record, like the old way? Dana (AI host): No. Dana (AI host): HubSpot's August updates say meetings recorded with Notetaker now create only a meeting record, with no duplicate call. Rob (AI host): Plan time. For my field rep. Dana (AI host): Step one: have your Super Admin turn on the Notetaker, AI, and smart data capture settings on desktop. Rob (AI host): Step two: update the HubSpot app, and confirm the microphone shows in the upper right of your Home screen. Dana (AI host): Step three: before your next in-person meeting, tell the customer you're recording, and check the Save recording switch. Rob (AI host): Step four: back in the truck, log it, or pick the scheduled meeting, and associate the contact and the deal. Dana (AI host): Step five: open Review, read the summary, then go through every suggestion in Actions before you accept it. Dana (AI host): A suggested close date or amount is still a guess until you confirm it. Rob (AI host): My field rep is in. Rob (AI host): One tap on the way in, a few minutes in the truck on the way out, and the deal record is actually current. Dana (AI host): Remember this: check the Save recording switch before you tap. Rob (AI host): You'll find every source in the show notes, plus more of our research at Sidekick Strategies dot com. Dana (AI host): Really appreciate you riding along with us today. Rob (AI host): Tap record, then decide. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music.
