- 0:23SPEAKER_02: All right.
- 0:24SPEAKER_02: Welcome back to what is actually episode six.
- 0:28SPEAKER_02: Yes.
- 0:28SPEAKER_02: I think I accidentally said episode six for five, but you need to learn how to count and be organized, Landon.
- 0:35SPEAKER_02: That you know, counting's a good opportunity for an operator, so I should probably work on that.
- 0:39SPEAKER_00: I'm just kidding.
- 0:40SPEAKER_00: I didn't I didn't even know what episode we were on.
- 0:42SPEAKER_00: So episode six officially.
- 0:45SPEAKER_02: Opsy two.
- 0:46SPEAKER_02: Yes.
- 0:47SPEAKER_02: Uh I'm your host, Landon.
- 0:49SPEAKER_00: And I'm your host, Sabrina.
- 0:50SPEAKER_02: Uh super excited to be back today.
- 0:54SPEAKER_02: And um, can't believe it's been six episodes since we launched.
- 0:58SPEAKER_00: I know.
- 0:59SPEAKER_02: Um, super exciting, but uh what are we gonna talk about today?
- 1:03SPEAKER_00: Yeah, I think so.
- 1:05SPEAKER_00: We have received a few questions.
- 1:09SPEAKER_00: They're kind of they're slowly dying down, so please send us your questions.
- 1:14SPEAKER_00: I think it's super fun to get questions or stories.
- 1:18SPEAKER_00: I'm still waiting on a story.
- 1:19SPEAKER_00: Oh, yes.
- 1:20SPEAKER_00: Nobody has shared any stories.
- 1:22SPEAKER_00: I want to hear.
- 1:22SPEAKER_02: We need a good one, so it can be a little unfiltered about it.
- 1:25SPEAKER_00: Um, but we did receive a question from someone named Mark, and he said I could say his name on the podcast.
- 1:32SPEAKER_00: So hello, Mark.
- 1:34SPEAKER_00: Hi, Mark.
- 1:35SPEAKER_00: We're reading your question.
- 1:36SPEAKER_02: Thank you.
- 1:37SPEAKER_00: Um he said, I don't mean this to be rude, but what exactly do you do on a daily basis?
- 1:44SPEAKER_00: As someone who is not an operator, it's hard sometimes to understand what you guys are doing.
- 1:50SPEAKER_00: That's fair.
- 1:51SPEAKER_02: That's a good question.
- 1:53SPEAKER_00: Because sometimes I don't even know what I've done for the day, really.
- 1:56SPEAKER_02: I was gonna say that's a question I ask myself all the time.
- 1:58SPEAKER_00: So I'm like, what did I get done today that was on my list?
- 2:02SPEAKER_00: Uh-huh.
- 2:03SPEAKER_00: Um, would you like to go first?
- 2:04SPEAKER_00: I know we also get the question of like, how do you guys divide and conquer?
- 2:10SPEAKER_02: Our favorite question.
- 2:11SPEAKER_00: Our favorite question.
- 2:12SPEAKER_00: Ever since Landon and I started working together, we received that question like, I don't even know, almost daily from people.
- 2:20SPEAKER_00: Like, how are you guys dividing your roles?
- 2:23SPEAKER_02: Yeah.
- 2:24SPEAKER_00: Well, let me tell you, there's a lot to be done.
- 2:26SPEAKER_02: I was gonna say the operations has so much that can be done, you know, um, really from the day-to-day operations and then the business side.
- 2:35SPEAKER_02: There's uh in previous episode we talked about founders and kind of that difference um between the operator relationship with the founder.
- 2:45SPEAKER_02: And now let's just talk about the operators and kind of you know how that splits.
- 2:50SPEAKER_02: Um I guess to answer that question, I kind of see the day-to-day operations, and then um you really kind of drive the business and make sure that the business is operating um and functioning from the high level.
- 3:03SPEAKER_02: Is that fair to say?
- 3:04SPEAKER_01: Yeah.
- 3:04SPEAKER_02: Yeah.
- 3:05SPEAKER_02: Um, so you know, uh dealing with the team, making sure that the processes for the day-to-day is going smoothly, and making sure that, you know, our client engagement team are um really engaging with the clients and just making sure that the team has what they need, and then when they don't, you know, coming to you and um really brainstorming.
- 3:29SPEAKER_02: Um, I feel like that's what really drives this, is you and I are able to brainstorm together and really talk it out.
- 3:34SPEAKER_00: Yeah.
- 3:35SPEAKER_02: Um and go from there.
- 3:38SPEAKER_00: Yeah.
- 3:38SPEAKER_00: Yeah.
- 3:39SPEAKER_00: I guess to get into the nitty-gritty, like what does an average day look like for you?
- 3:45SPEAKER_02: Well, I I think that's what I love about it though, is it's like not really an average day.
- 3:50SPEAKER_00: Correct, yes.
- 3:51SPEAKER_02: Nothing's nothing's ever average.
- 3:53SPEAKER_02: But also um it can seem that we do the same thing over and over because we say people process in projects, but uh there's as we grow, there's always new people coming on, um, which creates either updating a process or creating a whole new process.
- 4:09SPEAKER_02: Yep.
- 4:09SPEAKER_02: And, you know, um people are projects.
- 4:12SPEAKER_02: So I I I feel like it's a never-ending cycle.
- 4:16SPEAKER_02: Yeah.
- 4:16SPEAKER_02: Um and every day is very different.
- 4:19SPEAKER_02: Um I'd say, you know, kind of the first thing I do is check in with the team, make sure that uh things are running smoothly, make sure I take care of that people um part of it.
- 4:29SPEAKER_02: And then um sometimes that also includes having scheduled one-on-ones.
- 4:33SPEAKER_02: Yeah.
- 4:34SPEAKER_02: And so if that's on my calendar, uh really looking at my calendar for the day, seeing what's on there.
- 4:39SPEAKER_02: Um after that, looking at the processes that I've kind of been working on, updating, um, you know, what taking the feedback from the team.
- 4:50SPEAKER_00: Yeah, I was gonna say receiving feedback on a daily basis and then trying to problem solve that.
- 4:56SPEAKER_02: Yeah, correct.
- 4:57SPEAKER_02: Yeah.
- 4:57SPEAKER_02: So um looking at those processes and then the projects as well.
- 5:00SPEAKER_02: Um after that, uh just diving into the projects and making sure that I'm on a timeline that you know, the founders, yourself, what we've all agreed on, and um just sticking to that.
- 5:12SPEAKER_00: So yeah, I think um I think that sums it up.
- 5:17SPEAKER_00: I what I typically do on a daily basis is I mean, I guess it changes, so I can't really say, hey, this is what I do every day, but I mean, I'm working on, you know, problem solving, brainstorming with you.
- 5:31SPEAKER_00: You know, you come to me with maybe problems that the team is having or an idea that you think we should implement, and then we start to brainstorm, hey, let's do it this way, or my perspective is this, and we do a really good job of kind of, you know, learning from each other and and compromising on things because we do have different viewpoints on a lot of them.
- 5:53SPEAKER_01: Yeah.
- 5:54SPEAKER_00: Um, but we always do a really good job of streamlining and making things as efficient and um easy for the team as it can be.
- 6:04SPEAKER_00: Um so I would say working with you a lot, especially while I'm here in the office, and then I do work from home a few days a week where I am more so focused on personnel.
- 6:16SPEAKER_00: Um, I'm in charge of hiring advisors and overseeing maybe being in interviews with ops, um, ops team members as they progress through the process.
- 6:29SPEAKER_00: But specifically, like right now, we're hiring advisors, so I'm working on that with the recruiter.
- 6:34SPEAKER_00: Um, I'm working on some recruiting myself.
- 6:37SPEAKER_00: And then I manage all of our uh firm financials.
- 6:41SPEAKER_00: So we don't have a CFO.
- 6:42SPEAKER_00: I kind of wear that hat, I guess, in a sense, but working on books and records with the uh accounting firm, working with Dana and Tyler on feedback for the team.
- 6:54SPEAKER_00: And then depending on what that is, either taking care of it myself, if it's an advisor-related process, because I lead um operationally speaking, I lead the advisors uh at our firm.
- 7:06SPEAKER_00: So you lead all of the ops teams, the marketing team, um, and then I lead advisors.
- 7:13SPEAKER_00: Yeah.
- 7:13SPEAKER_00: And so I'll have meetings with advisors.
- 7:16SPEAKER_00: I try to have one-on-ones with advisors, but they are so busy and pretty independent.
- 7:22SPEAKER_00: So I would say that's a monthly occurrence where I'm meeting with advisors one-on-one just to check in.
- 7:27SPEAKER_00: Um, and then I am sitting, it really depends on what industry you're in and what your business needs because operators are so dynamic.
- 7:38SPEAKER_00: I don't think we get enough credit for how dynamic we are in, you know, how we operate on a daily basis.
- 7:46SPEAKER_00: But for our business, I sit in the sales meetings with uh Dana as the sales coach.
- 7:54SPEAKER_00: Um Dana's the sales coach, not me.
- 7:56SPEAKER_00: And then I just make sure that we're following the agenda.
- 7:59SPEAKER_00: I'll give my opinions here and there, um, just because I've I've been in the industry for long enough to where I can kind of give a few of my thoughts and opinions on that, but I really let Dana lead that all the way.
- 8:12SPEAKER_00: Um, I'm just more there as support or um, you know, if there's an operational change that needs to happen, I take that from that meeting.
- 8:21SPEAKER_00: So I'm doing a lot of that.
- 8:24SPEAKER_00: Um, a lot of, you know, updating job descriptions, creating levels and ladders, um, which we can definitely go into on another episode.
- 8:33SPEAKER_00: But yeah, I'm managing the business.
- 8:35SPEAKER_00: So, you know, business insurance, payroll needs, you know, um, you know, executing, making sure that Dana and Tyler are happy with the direction of the firm and then working with you to make that happen.
- 8:48SPEAKER_02: Yeah.
- 8:49SPEAKER_02: Yeah.
- 8:49SPEAKER_02: It it it's kind of crazy that uh before we were doing it alone.
- 8:54SPEAKER_02: I know.
- 8:54SPEAKER_00: It feels like years ago at this point.
- 8:57SPEAKER_00: And you've yeah, I I don't know the timing of when because I feel like it's different for every firm.
- 9:05SPEAKER_02: That's true.
- 9:06SPEAKER_00: The timing of when you need an additional ops member.
- 9:11SPEAKER_00: But I will say I've always thought it funny that you know you have an operations manager or a director of operations or you know, a CO and they're running the entire operations of the business and it's only one of them, and everyone else has a team member typically, um, at least one as you grow, right?
- 9:34SPEAKER_00: Like, unless you're a single office where you have, you know, just individuals in one role and you're much smaller, which we've been there for sure.
- 9:42SPEAKER_00: But as you grow, you add team members to the departments except for operations.
- 9:48SPEAKER_00: That seems to be the last place that gets another team member.
- 9:52SPEAKER_00: Yeah.
- 9:53SPEAKER_00: And to me, that's just it's just interesting how that works.
- 9:57SPEAKER_00: And interesting how people think that you don't need more than one operator.
- 10:03SPEAKER_02: Yeah.
- 10:04SPEAKER_02: I don't know what your thoughts are on that, but you you wear so many hats and you put so many time so much time, excuse me.
- 10:13SPEAKER_00: Um It's early in the morning, guys.
- 10:15SPEAKER_00: It is we're recording this early today.
- 10:18SPEAKER_02: So um, but there's just you have this persona about you, I guess, and it's hey, I can handle it all.
- 10:27SPEAKER_02: And I think the mentality of an operator is I got this.
- 10:31SPEAKER_02: And, you know, with that relationship with the founder, um, you want to prove to them that hey, I can do this.
- 10:38SPEAKER_02: And so you do take so much um on your plate.
- 10:42SPEAKER_02: And I feel that, you know, being able to have two of us that um have been in the seed of okay, having to do the insurance, having to do uh the books and the day-to-day, you know, we really come together and we're able to divide and conquer.
- 10:59SPEAKER_02: Yeah.
- 10:59SPEAKER_02: And, you know, I I think that we were able to divide and conquer in our strong suits too.
- 11:04SPEAKER_02: Yeah.
- 11:04SPEAKER_02: Um, and because you're much better at the books than I am.
- 11:08SPEAKER_00: So I try.
- 11:10SPEAKER_02: But I think, you know, um you don't the reason that you put the last person there is because in operations is because you just you make or break.
- 11:21SPEAKER_02: And so you just do it and you prove to your founder that you can do it.
- 11:26SPEAKER_02: Yeah.
- 11:26SPEAKER_02: And so it's kind of the place that people are like, oh, they you know, you don't necessarily need that, or yeah, you know, as the operator, you're looking at everybody else but yourself.
- 11:35SPEAKER_02: Yeah.
- 11:35SPEAKER_02: And so you're like, hey, let's put the um someone there, let's put somebody elsewhere, and then you're like, you just forget about yourself.
- 11:44SPEAKER_00: Yeah.
- 11:45SPEAKER_00: And then next thing you know, it's 15 years later, you know?
- 11:49SPEAKER_00: But yeah, I think, and that's not to say that I think, you know, if you're a team of 10, you can't you need to have two operators.
- 11:59SPEAKER_00: That's it it's completely dependent on your business.
- 12:02SPEAKER_00: And I don't think I I don't think that a smaller operation needs two operators, but as you grow and you get bigger and you add more team members, your operations gets bigger.
- 12:14SPEAKER_00: Operations is the backbone of the business, and I think the reason that people kind of don't understand what we do is because we do so many different things.
- 12:24SPEAKER_00: That's correct.
- 12:24SPEAKER_00: We're not we're not in a specific department where, hey, I'm in client onboarding, all I'm doing is not all I'm doing, but I'm processing paperwork, I'm making sure assets transfer over, I am communicating and making sure that the client and the advisor is up to speed on that, and that is that is my role.
- 12:44SPEAKER_00: Those are my direct main responsibilities.
- 12:48SPEAKER_00: Operators have so many different responsibilities that all take priority at different times.
- 12:54SPEAKER_00: Yeah.
- 12:55SPEAKER_00: And so I think it's very hard for people that are not in the operations department or an operator at all or operationally inclined to understand that, like, hey, there's so much that we do behind the scenes, but you would never know about it.
- 13:11SPEAKER_02: Yeah.
- 13:11SPEAKER_02: No, the objectives change all the time.
- 13:14SPEAKER_02: And as you said, there's so many of them.
- 13:17SPEAKER_02: Um and not everybody can wrap their head around that.
- 13:21SPEAKER_02: And uh, you know, we also spoke in a previous episode that it's easy to forget, and that's because there's so much that you know you're trying to tackle.
- 13:29SPEAKER_02: Um, if it wasn't for list making, I don't know how I'd do it.
- 13:32SPEAKER_00: Yeah, and you well, yeah, I don't even list make anymore.
- 13:36SPEAKER_00: I used to have a a task list and I was I'm so scatterbrained, which is I'm just admitting I'm just so scatterbrained.
- 13:47SPEAKER_02: My life is a wreck, but I feel that's a common trait among operators.
- 13:52SPEAKER_00: Yeah, like I present very organized, and I definitely have some way of keeping track of things, but I am not a list maker.
- 14:01SPEAKER_00: I can't do it.
- 14:02SPEAKER_00: I don't know why.
- 14:02SPEAKER_00: I can't stick to a list.
- 14:04SPEAKER_02: I love a good legal pad.
- 14:05SPEAKER_00: I know, and your sticky notes.
- 14:06SPEAKER_02: Yeah.
- 14:07SPEAKER_02: Oh, you hate my sticky notes.
- 14:09SPEAKER_00: They're all over his desk, and I'm like declut like right now, my desk is a mess, and I'm trying to like declutter it, and his desk is like filled with sticky notes, and I'm like, I don't even know I lose my sticky notes.
- 14:22SPEAKER_00: I can't even keep track of those.
- 14:23SPEAKER_02: Oh, I organize them at the end of every day.
- 14:26SPEAKER_00: That is crazy to me.
- 14:27SPEAKER_00: I'm like wild.
- 14:29SPEAKER_00: That is a skill that I wish I had.
- 14:31SPEAKER_02: Well, maybe we can teach, but I don't yeah, it's it's sticky notes have always been my thing, and you know, sometimes I'll put them in order.
- 14:39SPEAKER_02: Um, and then other times like priority.
- 14:42SPEAKER_02: Of priority.
- 14:42SPEAKER_02: Yep.
- 14:43SPEAKER_02: And so there'll be one glob where sometimes I'll have them laid out across a desk.
- 14:47SPEAKER_02: And yeah.
- 14:48SPEAKER_00: I see them.
- 14:49SPEAKER_00: Just I see them.
- 14:50SPEAKER_02: She loves to look over and see them.
- 14:52SPEAKER_00: I do.
- 14:53SPEAKER_00: I I can't have things cluttered because I think my mind is so cluttered that like any clutter on my desk is I feel unorganized.
- 15:02SPEAKER_00: Disorganized?
- 15:04SPEAKER_02: Either.
- 15:05SPEAKER_00: Okay.
- 15:05SPEAKER_00: I'm like, what word do I use this morning?
- 15:07SPEAKER_00: I'm so brain dead.
- 15:09SPEAKER_00: Um, but yeah, anyway, sorry to get off on a tangent about the tasks.
- 15:13SPEAKER_02: No, I think you know, organization is a huge part of what we do.
- 15:17SPEAKER_02: Um, you know, whether it's organizing the firm, organizing the processes, um, HR policies, you know.
- 15:24SPEAKER_02: Yes.
- 15:24SPEAKER_00: Oh, I forgot about HR.
- 15:25SPEAKER_00: Yeah.
- 15:25SPEAKER_02: Yeah, that's a big one.
- 15:26SPEAKER_00: Yeah.
- 15:26SPEAKER_00: If you don't have if you don't have HR, you know, we have a a payroll service, but I am technically HR.
- 15:33SPEAKER_02: You have to have somebody to process it.
- 15:34SPEAKER_00: So Yeah, and someone to sit in, you know, you know, hiring meetings or terminations and do all of that work.
- 15:43SPEAKER_00: So yeah.
- 15:45SPEAKER_02: Yeah, it's it's a never-ending role that you just you continue.
- 15:49SPEAKER_02: You know, I earlier spoke to, oh, this is what I do, this is what I do, but I failed to mention that, you know, a lot of times it's oh well, this was interrupted by this, and then I have to come back to this.
- 16:00SPEAKER_00: Interruptions, I yeah, I mean, we're the go-to people for almost everybody in the firm.
- 16:06SPEAKER_00: I would say, I guess everybody.
- 16:08SPEAKER_01: Yeah.
- 16:08SPEAKER_00: Um, and so constantly interrupted with problems or fires to put out, or, you know, hey, I'm having this issue, can you help me?
- 16:18SPEAKER_00: Which I love, that's what we're here for.
- 16:21SPEAKER_00: But those interruptions constantly throughout the day then you know, deter us from getting other things done.
- 16:29SPEAKER_02: So yeah, we have so many tasks to accomplish.
- 16:32SPEAKER_02: Um, a drive-by is not my best friend at all.
- 16:35SPEAKER_00: Yeah.
- 16:36SPEAKER_00: Yeah.
- 16:37SPEAKER_00: Yeah.
- 16:37SPEAKER_02: Advisors are uh notorious for drive-bys.
- 16:41SPEAKER_00: Oh my gosh.
- 16:42SPEAKER_00: We love them.
- 16:43SPEAKER_00: We love them.
- 16:44SPEAKER_00: We love them.
- 16:45SPEAKER_00: We love drive-bys.
- 16:46SPEAKER_00: Yeah.
- 16:47SPEAKER_02: Uh what do you think that um, you know, just your all-time and your 19 years has been your favorite part about being an operator?
- 16:53SPEAKER_02: 15 years.
- 16:54SPEAKER_02: 15 years.
- 16:55SPEAKER_00: 15 years, Landon.
- 16:56SPEAKER_02: Sorry.
- 16:57SPEAKER_00: You're not that old.
- 16:58SPEAKER_00: Wait, what'd you say?
- 16:59SPEAKER_00: What is what is my favorite part?
- 17:01SPEAKER_02: I got you got flabbergasted when I said 19, I'm so sorry.
- 17:04SPEAKER_02: Oh my gosh.
- 17:06SPEAKER_02: Um, what would you say that, you know, over your few years and young age that you are, um, have what's been your favorite part about being an operator?
- 17:17SPEAKER_00: Hmm.
- 17:19SPEAKER_00: I really love I can think of two things.
- 17:23SPEAKER_00: I really love um seeing people develop and be successful and grow into leadership roles.
- 17:33SPEAKER_00: Um, like we just had someone promoted to a leadership role, and I am just so proud of her, and it's so fun to see somebody kind of step into that and then help guide them along the way.
- 17:46SPEAKER_00: Um you know, I I love telling people all the things that I did that were wrong because they can learn from my mistakes, and so that's fun.
- 17:55SPEAKER_00: I love giving advice on how to handle situations.
- 17:59SPEAKER_00: Um and so I love developing leaders.
- 18:04SPEAKER_00: Um, my second favorite thing is probably problem solving.
- 18:08SPEAKER_00: I love problem solving um any issues that people have and finding a solution.
- 18:17SPEAKER_00: And I am very stubborn.
- 18:18SPEAKER_00: So if someone tells me no, that can't be done, I'm like, yes, it can.
- 18:23SPEAKER_00: It can.
- 18:24SPEAKER_00: It will be done and it can be done.
- 18:26SPEAKER_02: You'll find a way.
- 18:27SPEAKER_00: Yes.
- 18:27SPEAKER_00: So I love those two things.
- 18:29SPEAKER_02: Yeah, no, I I'd say that, you know, one thing I admire about you is you're really good at um challenging people to then be a better themselves.
- 18:36SPEAKER_01: Oh, thank you.
- 18:36SPEAKER_02: And you don't accept um it anybody uh to do any less than that.
- 18:43SPEAKER_01: Yeah.
- 18:44SPEAKER_02: If they're not performing at their best and you know that they can perform better because you've either seen it or you see it in them, um, you challenge them to be better.
- 18:52SPEAKER_02: So you're really good at developing leaders.
- 18:54SPEAKER_00: Yeah.
- 18:54SPEAKER_00: Thank you.
- 18:55SPEAKER_00: Of course.
- 18:55SPEAKER_00: Appreciate that.
- 18:56SPEAKER_00: What is what is your favorite part?
- 19:00SPEAKER_02: I do love the people side, and you know, that'll probably always be my first favorite, but um I I really enjoy establishing a process that, you know, maybe started out as a project and then just the thought process through it, you know, what works, what doesn't, trial and error, and then seeing it come to fruition and then seeing it ease the lives of the team.
- 19:27SPEAKER_02: Um, I think you know, there's just some satisfaction to that as well.
- 19:31SPEAKER_00: Yeah, you are a process wizard, I will say.
- 19:35SPEAKER_00: You've been working on a huge uh project for us in the office, and it's almost uh ready to come to I mean, it started, so we'll see it all the way through to fruition, but it was a huge project, and you've done an amazing job at creating the process for every single step of that.
- 19:54SPEAKER_00: So yeah, you are fabulous at that for sure.
- 19:57SPEAKER_02: It's a lot of fun and um just seeing, you know, the team get excited and the executives get excited, you know.
- 20:04SPEAKER_02: I think there's there's just something fulfilling about that.
