- 0:56You're already taking the first step. just by
- 1:00joining us here today. So back up to the CVS
- 1:04thing. So somebody's trying to pay you cash.
- 1:07Because I just think of our grandparents. People
- 1:09would come in to pay in cash and grandma and
- 1:11grandpa would hand write a receipt. And this
- 1:14was, I mean, I'm talking like even probably 10
- 1:17years ago, they were still handwriting receipts.
- 1:21This was not long ago. And so you're saying that
- 1:25like you've got a barcode. they can go to CVS
- 1:30Walgreens wherever you'll see that and it'll
- 1:32pay direct to their account paid direct to their
- 1:35account they give CVS the cash and right away
- 1:37their account gets credited for that rent yeah
- 1:42yeah yeah it's pretty amazing it's pretty the
- 1:48technology nowadays pretty amazing what we can
- 1:50do Okay. So let's kind of, I just had to go back
- 1:54and catch that one in a second. So let's kind
- 1:55of go, I guess I'm kind of all over the place
- 1:57here, but so like in a lot of your contracts,
- 2:00or at least in a lot of our contracts. So residential
- 2:03property management is 10%. That's the industry
- 2:05standard here, or actually in all the places
- 2:08where we have singles, that is the industry standard.
- 2:11And so we just don't mess with that too much.
- 2:13Now people talk about how in multifamily, it's
- 2:15so much less because the contracts and everything
- 2:17you sign say three, 3 % to 4%. But after you
- 2:21look at payroll and then you get charged per
- 2:24door or you get charged a flat fee for the software
- 2:27and you get charged for your personnel. So like
- 2:30once you've got all of those things in there,
- 2:32it's probably closer to like eight percent. Is
- 2:37that like if you're going from that to taking
- 2:39it in -house, I mean, you're still going to have
- 2:41personnel charges and you'll still have like
- 2:44your maintenance costs for the supplies and stuff.
- 2:46But how much do you think you can get it down?
- 2:51Yeah, so 3 % is really when if you have like
- 2:55a large multifamily that's really kind of like
- 2:57the lowest that they'll That a third party company
- 3:00will charge but you're right. Yeah, you don't
- 3:03need charging 3 % You saw that sounds great.
- 3:05But guess what you have to pay for their maintenance
- 3:07people You have to pay their salary for their
- 3:10office personnel So that doesn't go away. But
- 3:13if you bring it in house, you at least save the
- 3:153 % Now, how much does that come out to a year?
- 3:18I mean, it's you know several tens of thousands
- 3:20of dollars which is significant savings. So if
- 3:24you have multiple properties of these and you're
- 3:26doing everything in house, I mean, it's huge
- 3:27savings. Plus the other thing too is management
- 3:32companies and I, because I do this as well, we
- 3:35all do this, is that we have our maintenance
- 3:39people and we pay them a certain salary, but
- 3:43then we upcharge the salary so that we can make
- 3:45a profit on that. But if you have everything
- 3:46in house, you just pay that. The maintenance
- 3:49person who works for you, you don't have that
- 3:51upcharge. So there's some more savings there,
- 3:54huge chunk of savings. There's all these little
- 3:56things all the way down the line. That's why
- 3:58I recommend larger companies just bring it in
- 4:00-house. Have a good asset manager on your team,
- 4:03and that's their role, and they manage those
- 4:05people and everything. And there's just so much
- 4:09savings. What the numbers are, I mean, it depends
- 4:11on how many units you have, but it's tremendous,
- 4:13and it adds up after quite a bit. And I'm not
- 4:16saying that some of these manager companies aren't
- 4:18worth the 3 % of the paying. They certainly are,
- 4:21but I don't, I think that sometimes we forget
- 4:24that, um, you know, yeah, we're paying 3%, but
- 4:28we forget that we also have to pay the salaries
- 4:30of these other people and all these other things.
- 4:32So I just want to remind everybody. I think we're
- 4:34also paying for like, um, any kind of website
- 4:37or website maintenance you're paying for marketing.
- 4:41I'm sure that we're paying for the background
- 4:42checks or maybe not the background checks, but
- 4:45the membership into the like the Texas Apartment
- 4:47Association or whatever it is, if it's Texas
- 4:49or nationwide, like I'm sure we pay for all of
- 4:51those things. And so really the savings is that
- 4:563 % bump on the top. But when I think about like
- 5:00in -house stuff, I think about, okay, how do
- 5:02you do the background checks? Like is there a
- 5:04program you sign up for? Is there something?
- 5:07Because like to me, that's like the base level.
- 5:09Somebody comes in, they fill out an application,
- 5:10you have to run a background check. That's not
- 5:13just open access to the whole world. You can't
- 5:15just Oh, hey, I'm gonna run a background check
- 5:17on somebody. Like that's a... How do you do that?
- 5:21Right through our property management system.
- 5:24And we give them the link. We send them a link
- 5:26for the application. They pay the application
- 5:29fee, which we do make a little bit of a profit
- 5:32from. They pay the application fee. And on that,
- 5:35we check everything. We check their income, their
- 5:39criminal background record, their eviction record,
- 5:41their sex offender record. everything everything
- 5:44is checked right online and we get that full
- 5:46report now we can do further investigation right
- 5:49like we can ask them to confirm pay stubs or
- 5:51call their landlord and things like that certainly
- 5:53that's helpful as well but everything is done
- 5:56right online right through our property management
- 5:58software it's so easy nowadays it's not like
- 6:01it used to be wow yeah i'm telling you for my
- 6:08grandparents literally my grandmother would call
- 6:11me I was in college and she was like, hey, Angel,
- 6:15you went to school with so -and -so, right? I'm
- 6:17like, yeah. Like, what do you remember about
- 6:20them? That was how she background checked. She
- 6:23called me and this would have been like late
- 6:2690s, early 2000s, but they didn't have access
- 6:30to background check information. And I don't
- 6:33know, I don't know how grandma, grandpa figured
- 6:35out the income piece of it. Cause like now it's
- 6:37like they want you to have three times the income.
- 6:40of your rent. But I don't know that grandma and
- 6:43grandpa did that because I know grandma and grandpa,
- 6:45like, they would rent to people that did side
- 6:48jobs for cash. I mean, that was, they had, I
- 6:54don't want to call it low income housing, but
- 6:55they did like efficiency apartments. And then
- 6:58they had their small trailer park or mobile home
- 7:01community. So they had, they had housing for
- 7:06working class people. but a lot of people have
- 7:09a working class job and then run side gigs and
- 7:12cash on the side. So I don't know how, like I
- 7:15have no clue how Grandma and Grandpa would figure
- 7:16that out. Well, you know, the other side of doing
- 7:23background checks, and this is more like in the
- 7:26detail, like the site manager would really be
- 7:29doing this kind of stuff. Not so much like the
- 7:31asset manager, the upper level, but the site
- 7:32manager is, and I'm big on this and we do this
- 7:36in our company and this is a very, a huge part
- 7:38of how we decided to run to is the is the one
- 7:40-on -one interview. Like you really need to have
- 7:43a gut feel about somebody and you can often tell
- 7:47someone's characters like you know by asking
- 7:50the right questions and and having that one -on
- 7:54-one interview. So that's big in our interview
- 7:57process. Of course, we do the background check
- 7:59and all those things, but the interview process
- 8:01where we sit down and talk to them, just ask
- 8:03them some questions, and that can be like at
- 8:05the showing. Like you could just pull them aside
- 8:07in a room and just talk to them and say, you
- 8:09know, well, you know, how's work going? Okay,
- 8:14you've been there. Interesting. Oh, you're not
- 8:16at this place anymore. What happened there? And
- 8:17you listen to what their responses are, right?
- 8:19And you kind of get a feel for someone's character.
- 8:22And that plays a big role in how you decide who
- 8:25you're going to rent to. Look, I tell this to
- 8:28all our new clients. I'll put our record of leasing
- 8:35up apartments against anybody's because we're
- 8:38very thorough and we go through this whole interview
- 8:40process with them. And our record is as good
- 8:43as it gets because of that process. The ground
- 8:47checks. So I recommend that everybody do that.
- 8:51Again, you know, when you're talking about a
- 8:53multifamily GP team that, you know, maybe that
- 8:56person not doing that, but when, but you need
- 8:58to train your site manager on to do that stuff.
- 9:01Cause that's key and critical to keep getting
- 9:04good tenants in who pay on time, keeping them
- 9:08long -term, keeping the rents coming in and all
- 9:10that stuff. So that's a major part, even for
- 9:13like small time people who have their own property,
- 9:15the interview process is critical in deciding
- 9:18who to rent to. Yeah, I didn't even. So I don't
- 9:22know about all the little pieces that go with
- 9:24it. I just know what my two weeks of the burning
- 9:25was like. But like I. I think that would be tough
- 9:33for some for certain people that have really
- 9:35strong personalities, because I have a really
- 9:37big, strong personality and people either like
- 9:39me or they don't. And I have a tendency to either
- 9:42like people or I don't. And so that would make
- 9:44it really difficult to have those kinds of. Interviews
- 9:49with people because what if you just have a conflict
- 9:52of personality? But this person could be a really
- 9:54good resident and now you've screwed up because
- 9:57you had a conflict of personality So then I would
- 10:00wind up with a whole property full of people
- 10:02that I mesh with personality wise But what if
- 10:04they aren't really good residents? Yeah But is
- 10:08that something that you do or you want to do
- 10:10or do you just think that there are a lot of
- 10:12people out there like that? I Don't know I bet
- 10:17there's less than I think there are. It's just
- 10:18I want to assume people are with me so I don't
- 10:20feel so alone. Yeah. Yeah. Well, you know, maybe
- 10:26that's like a little self -reflection too, right?
- 10:29If a person wants to self -manage and they just
- 10:32don't think that they're fit for interviewing
- 10:36people, then maybe you are better off hiring
- 10:39someone, hiring a third -party manager. Because
- 10:41that's so critical. picking the right tenant,
- 10:46I mean, can make or break you sometimes. You
- 10:50picked the wrong tenant and you're in it for
- 10:52a world of hurt. So you wanna make sure you,
- 10:56if you can't, if you don't think you can do it,
- 10:58hire someone to do it, hire a management company,
- 10:59but it's critical, absolutely critical. When
- 11:03I think about like our singles, I think. when
- 11:06people live in singles or even duplexes in their
- 11:08residential, in the rich residential area, I
- 11:11think they're longer term tenants and they're
- 11:14harder on the homes. Like we had a resident that
- 11:17was in one of our singles here in town for, I
- 11:21don't know, for several years and moved out.
- 11:24And we went to go look at the carpet and I was
- 11:26like, Oh, cause we still have carpet in them.
- 11:28Right. And it was like, Oh boy. So I'm trying
- 11:31to find somebody that can dye the carpet to match
- 11:34the level of stain because pulling all the carpet,
- 11:39it's like a 17 or 1800 square foot house, but
- 11:41pulling all the carpeting that's in there and
- 11:43replacing it is going to be incredibly costly.
- 11:46And that's one of the that's one of the not great
- 11:48things about residential is you can't spread
- 11:51the cost out. Not the same way. Now, we have
- 11:55a property management company in Lubbock that
- 11:58will front the cost out. and they'll let us pay
- 12:01off, which is super nice. I see your eyes. How
- 12:06long they've been in business? Well, we've had
- 12:09that house since 2003. Yeah, OK. You get since
- 12:1307. So at least 15 years, but I'm pretty sure
- 12:18they've been a business before that. Did I do
- 12:19the math wrong there? 7 to 20. Well, that's that's
- 12:23business, right? Yeah, that's risky business.
- 12:25I mean, I would do that for a customer that I've
- 12:30known for a long time or had a good relationship
- 12:32with, I would start the rehab or something like
- 12:35that. But for newer customers or, you know, that
- 12:38that's risky because you do that rehab and then
- 12:41they don't pay you or they sell out from under
- 12:44you're in trouble. Well, I think if I remember
- 12:46correctly, we signed some kind of an agreement
- 12:50that said, like, it gives them first right refusal
- 12:54if we sell or I think they could probably put
- 12:56a lien on it if we don't pay. Yeah. which we've
- 12:59gotten in a bond before. Like one time it was,
- 13:03is it a furnace? I think it's anyway, HVAC went
- 13:05out, head of your place. And that was like five
- 13:08or $6 ,000, which they covered. And we paid that
- 13:11off. Then we had a long -term resident move out
- 13:14and they did like $9 ,000 worth of repairs, even
- 13:16though we said, keep it at five. That was a hard
- 13:19one, but we weren't about to sell to them because
- 13:21we were like, they put us in this position to
- 13:23make us sell to them. So we just scraped by,
- 13:26we figured it out. But I know that's not the
- 13:30norm because our property manager here in Wichita
- 13:32Falls, I'm pretty sure they won't front out because
- 13:36they keep, we have to keep some money on the
- 13:38side so that they can make repairs and they can
- 13:42make repairs up to a certain amount without contacting
- 13:44us at all. And then they have to contact us if
- 13:48it's over like four or $500, I think. But we
- 13:52just found that by making sure that money's in
- 13:54the side and letting them make those decisions,
- 13:56repairs tend to get fixed faster. But the other
- 14:00thing we've come into on the residential side
- 14:02is like you really have to make sure there's
- 14:06a lot of communication there so that your residents
- 14:08know to call if something goes wrong. Otherwise,
- 14:12they'll let leaks or drips or even foundation
- 14:16issues go on longer than they should. And it
- 14:20makes it harder to take care of later. And one
- 14:23of our houses, because everything here is slab.
- 14:25one of the houses like somebody was walking across
- 14:28the living room and of course I said it's carpeted
- 14:30and it was sloshy and somebody they thought they
- 14:34spilled something at first and so they let it
- 14:35go for a little bit finally we got the call and
- 14:38they had to reroute up through the attic because
- 14:41they can't like if there's not enough pipes sticking
- 14:44out they can't do the pro press or the shark
- 14:46bite or whatever so they have to reroute up through
- 14:48the attic but it was a it was a slab leak And
- 14:51so I just can't help but think if there wasn't
- 14:54good communication, they might have left that
- 14:55go on for weeks and weeks and weeks instead of,
- 14:59hey, did we spill something? Oh wait, no, this
- 15:00is still wet. We need to call. Yeah, like I mentioned
- 15:05earlier, the communication is huge. The other
- 15:07thing I love about the software nowadays is one
- 15:10thing we don't do at all anymore. We don't allow
- 15:12tenants to text us directly anymore. Phone calls
- 15:17are one thing, but texting, we don't do that
- 15:20anymore. the software program that we use, there's
- 15:24a texting module built into it and it texts directly
- 15:26to the phone. So they now know that they're texting
- 15:31us, we receive those notifications and that conversation
- 15:35is now documented right on their tenant page.
- 15:39So that gives them a lot of confidence knowing
- 15:43that they're definitely reaching us. The conversation
- 15:46is documented. The work is going to get done.
- 15:49All those things. It's so huge nowadays. But
- 15:52we stopped allowing even our small, single -family
- 15:57homes that we manage, we don't allow them to
- 15:59text us anymore on our cell phones anymore. We
- 16:03stopped doing that practice. Because then they're
- 16:06going to text you and like, oh, I texted you
- 16:07at this time. Oh, I didn't get it. No, it's all
- 16:09documented right here on your portal. So that's
- 16:13just another little tip. There is no more texting
- 16:15to my cell phone. Don't do that. That makes sense.
- 16:18Cause like with the property that we recently
- 16:20acquired in the first two weeks, residents were
- 16:24like, Oh my God, you're actually taking care
- 16:26of our maintenance requests. And so I don't know.
- 16:30Actually, I do know we went from res man to real
- 16:35pay a real page. Okay. But, um, or one site,
- 16:41I don't know. it doesn't matter anyway this program
- 16:45is supposed to keep up with all of it too but
- 16:48I think they print out the sheets and once the
- 16:52sheets get printed out they get filed into like
- 16:55this thing on the wall like what's at a doctor's
- 16:58office on the front of their door yeah so I think
- 17:01that yes and I don't think I think it's another
- 17:06job of that on -site person not just the maintenance
- 17:09person but like the leasing person to say hey
- 17:11Are we getting our maintenance request done or
- 17:13is something staying in the back because you
- 17:15don't really want to do it? So you just keep
- 17:16putting it to the back and put it to the back
- 17:18because oh that's a plumbing thing. Look at that.
