- Dana (AI host): If your QuickBooks Online sync has ever put an invoice on the wrong customer, you know the cleanup that follows. Rob (AI host): HubSpot now has a beta called Improved Customer Mapping. Rob (AI host): You choose how each accounting customer maps to a HubSpot contact or company, and you confirm it. Dana (AI host): Today: how the old matching worked, how mapping changes it, what's still unclear, and a careful Monday rollout. Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies. Narrator (AI voice): Your hosts, Rob and Dana, are AI. Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you. Dana (AI host): Before anything else: Rob and I are AI hosts. Dana (AI host): Neither of us sends invoices, and we haven't set this beta up ourselves. Rob (AI host): I'm Rob, and today I'm playing a RevOps admin who owns the QuickBooks Online sync and takes the calls from finance. Dana (AI host): Here's the change in one sentence. Dana (AI host): Instead of relying on contact sync or matching customers by billing email, you choose how your QuickBooks Online customers map to HubSpot. Dana (AI host): That's from a HubSpot Community team reply in October. Rob (AI host): Matching on email. Was that really how it worked? Dana (AI host): HubSpot's own QuickBooks Online help page shows it. Dana (AI host): When invoicing a new customer, it says the billing contact on the invoice should be the one whose email address you want connected to the customer in QuickBooks Online. Dana (AI host): The same page pairs each QuickBooks Online customer with a HubSpot contact. Dana (AI host): And when an invoice syncs in from QuickBooks Online, it's associated with the primary company of the contact on the invoice. Rob (AI host): So if that email changes, or a contact's primary company isn't the one you bill, the link drifts. Dana (AI host): That's the pattern our research describes. Dana (AI host): Invoices landing on the wrong customer, duplicate records piling up, and finance calling ops to ask why. Rob (AI host): And why does that matter to someone like me? Dana (AI host): Why it matters: when your CRM and your accounting system don't agree, nobody fully trusts either one. Dana (AI host): A confirmed mapping is meant to fix the link at the source, instead of after the invoice goes out. Rob (AI host): Fair. That's exactly the call I'd like to stop getting. So who should care about this? Dana (AI host): Anyone who creates invoices in HubSpot and syncs them to QuickBooks Online. Dana (AI host): HubSpot's help page lists the connector itself on all products and plans. Dana (AI host): Beta eligibility is less clear, and we'll get to that. Rob (AI host): Okay. How do I set it up? Dana (AI host): In the QuickBooks Online app, open CRM syncs and choose Set up customer mappings. Dana (AI host): Then pick whether your customers map to HubSpot contacts or to companies. Rob (AI host): Okay, mapped. Then what? Dana (AI host): Review and confirm the mappings. Dana (AI host): There's also an auto-create option, so HubSpot makes a contact or company when it can't find a match. Rob (AI host): What happens if I leave auto-create off? Dana (AI host): Then a customer with no matching record stays unmapped, and that may stop its invoice from syncing. Rob (AI host): Where do I fix things later? Dana (AI host): There's a Mappings page where you can review or update mappings at any time. Dana (AI host): And to check one record, go to Record view under CRM syncs. Rob (AI host): And if an invoice still won't sync? Dana (AI host): HubSpot's reply lists four checks. The mapping is reviewed and confirmed. Dana (AI host): The invoice is associated with the right contact or company. Dana (AI host): The invoice is finalized, not a draft. Dana (AI host): And invoice sync is turned on in the direction you want. Rob (AI host): The draft one would get me every time. Anything else that trips people up? Dana (AI host): Two, both from HubSpot. Customer display names in QuickBooks Online need to be unique. Dana (AI host): And the help page says payments tied to more than one invoice don't sync to HubSpot. George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies. George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission. George B. Thomas (AI voice clone): Before you map a single accounting customer, it helps to know how clean your contacts and companies really are. George B. Thomas (AI voice clone): Our Data Hygiene Scorecard asks ten questions and grades your CRM data from A to F, across completeness, accuracy, consistency, governance, and automation. George B. Thomas (AI voice clone): You walk away with a prioritized fix first list in about five minutes. George B. Dana (AI host): HubSpot's help pages for QuickBooks Online and Xero don't mention customer mapping yet, including the Xero page updated on the twenty-ninth of October. Dana (AI host): Our research also shifted. Dana (AI host): Our July write-up described a private beta for Revenue Hub Professional and Commerce Hub, covering invoices sent from HubSpot only. Dana (AI host): Our September write-up describes a public beta for all hubs and tiers, in every sync direction, with Xero included. Rob (AI host): So which one is right? Dana (AI host): We can't confirm either. Dana (AI host): HubSpot's Community reply calls it a beta and only talks about QuickBooks Online. Dana (AI host): Your own CRM syncs tab settles it. Dana (AI host): If Set up customer mappings is there, you have it. Dana (AI host): One more open item. Dana (AI host): Our research says contact sync is switched off and hidden once you confirm mappings. Dana (AI host): HubSpot's reply doesn't say that, so check before you depend on contact sync. Rob (AI host): Got it. As the admin I'm playing, here's my Monday. Rob (AI host): Step one: open the QuickBooks Online app, go to CRM syncs, and look for Set up customer mappings. Dana (AI host): Step two: before you start, clean up duplicate customer display names in QuickBooks Online. Rob (AI host): Step three: choose contacts or companies with finance in the room. Rob (AI host): Billing a business and billing a person can point to different answers. Dana (AI host): Step four: decide on auto-create on purpose, knowing that off can leave new customers unmapped. Rob (AI host): Step five: after you confirm, send one test invoice and check it in Record view before your next billing run. Dana (AI host): If it doesn't sync, run the four checks from earlier before you open a support ticket. Rob (AI host): Step six: write down whether you chose contacts or companies, and why, so the next admin doesn't quietly undo it. Dana (AI host): And bookmark the Mappings page for whoever owns billing. Dana (AI host): In short: map each accounting customer once, confirm it, and stop leaning on email matches. Rob (AI host): Links to every source are in the show notes, along with our write-ups at Sidekick Strategies dot com. Dana (AI host): Grateful you gave us a few minutes today. Rob (AI host): Confirm the match before you send the invoice. Narrator (AI voice): Sidekick's What Just Shipped is presented by Sidekick Strategies, with AI hosts Rob and Dana and AI-generated music.
