- 1:34SPEAKER_00: So I'm like, yay, did I do it right?
- 1:36SPEAKER_00: You did a great job.
- 1:37SPEAKER_00: Visible, thank you.
- 1:38SPEAKER_00: Yes.
- 1:43SPEAKER_00: So let me give you a little information about um our guest, Anna.
- 1:48SPEAKER_00: So Anna's mission is to show coaches and consultants how they can reclaim their time and CEOs and executives and grow their businesses by outsourcing the right support.
- 1:59SPEAKER_00: And that's really key because there's a key component to leadership.
- 2:03SPEAKER_00: And so as a business owner, Anna has mastered the art of leveraging virtual assistants to kill her to scale her operations and focus on what matters most.
- 2:13SPEAKER_00: And that is what has inspired her to launch her business.
- 2:19SPEAKER_00: So the podcast.
- 2:22SPEAKER_00: So glad to have you here.
- 2:23SPEAKER_01: I'm so glad to be here.
- 2:24SPEAKER_01: I'm so wondered.
- 2:25SPEAKER_01: Thank you.
- 2:26SPEAKER_00: So yeah, so I always like to share and ask.
- 2:30SPEAKER_00: So if you're thinking about you know what your business is and and reclaiming time.
- 2:55SPEAKER_01: Whatever that is, right?
- 2:56SPEAKER_01: If it's revenue producing, do that.
- 2:59SPEAKER_01: If it's operations, do that.
- 3:02SPEAKER_01: If it's whatever, technology, do that.
- 3:05SPEAKER_01: Find what only you can do and that you love doing.
- 3:09SPEAKER_01: That's the other caveat, right?
- 3:10SPEAKER_01: We all have things that we're really good at, but don't want to do anymore.
- 3:13SPEAKER_01: But do find what you love doing and can do, and only you can do.
- 3:18SPEAKER_01: Outsource the rest.
- 3:20SPEAKER_01: There's tons of people out there who love to do the stuff that you might hate or that you don't want to do anymore.
- 3:27SPEAKER_01: That's how I found the power of virtual assistance.
- 3:29SPEAKER_01: It was a game changer.
- 3:32SPEAKER_01: I actually tripled my revenue when I found virtual assistants because it's like, oh my gosh, I can do the stuff that I want to do, which is coaching and it's talking to people and working with them, you know, to do revenue generating activities that I loved doing.
- 3:49SPEAKER_01: And I found people in the Philippines that loved doing the admin and were so good at it, and they wanted to do that work.
- 3:57SPEAKER_01: They didn't want to do the work that I was doing.
- 3:59SPEAKER_01: And it's like, well, why should you do anything you don't want to?
- 4:02SPEAKER_01: I mean, obviously we have to pay our taxes.
- 4:03SPEAKER_01: There's things we all have to do that we don't want to do.
- 4:06SPEAKER_00: But you know, do what you love.
- 4:08SPEAKER_00: You're right.
- 4:09SPEAKER_00: It's like Anna, talk, you know.
- 4:11SPEAKER_00: So I I worked with some virtual assistants.
- 4:13SPEAKER_00: So, first of all, I guess I want to ask the question why the Philippines?
- 4:19SPEAKER_00: Like, how does that become the hotbed in a lot of ways?
- 4:23SPEAKER_01: It's fascinating.
- 4:24SPEAKER_01: It's fascinating.
- 4:25SPEAKER_01: So I am um just starting uh virtually aligned.
- 4:29SPEAKER_01: So we've been around actually for about nine months already.
- 4:32SPEAKER_01: And what it is, it's a company that helps people who know they desperately want and need a virtual assistant but don't know where to start or had a bad experience in the past and are looking for that virtual assistant.
- 4:45SPEAKER_01: So my company is a direct placement company.
- 4:48SPEAKER_01: It's not a managed services where you're paying somebody.
- 4:51SPEAKER_01: You hire, you interview, hire, and manage that person directly.
- 4:55SPEAKER_01: That person becomes a member of your staff.
- 4:58SPEAKER_01: And uh so we help you with all that.
- 5:00SPEAKER_01: And I can go into the process.
- 5:02SPEAKER_01: I love talking about the process, but we can go in the process later.
- 5:05SPEAKER_01: I found the Philippines, and there's lots of great countries out there.
- 5:10SPEAKER_01: I mean, a lot of friends have virtual assistants from Latin America and they're phenomenal.
- 5:14SPEAKER_01: Or, you know, uh South Africa seems to be coming up lately.
- 5:18SPEAKER_01: And what I like about the Philippines is that it's a culture that really supports that kind of virtual assistant work.
- 5:25SPEAKER_01: There's a lot of people who want that.
- 5:28SPEAKER_01: Um, a lot of people really, a lot of the virtual assistants that we have on our team are looking for that flexible work style and work time.
- 5:37SPEAKER_01: I love it.
- 5:38SPEAKER_01: I love that I get my work done, pass all the things off, and then while I'm sleeping, they're getting everything done.
- 5:44SPEAKER_01: Um, and then when and they give me my list of things that I have to do, of course.
- 5:48SPEAKER_01: Right, right.
- 5:49SPEAKER_01: Yeah.
- 5:49SPEAKER_01: Um, their English written writing speaking is phenomenal.
- 5:53SPEAKER_01: I think they do a better job writing than I do, and I'm a native English speaker.
- 5:58SPEAKER_01: Right.
- 5:58SPEAKER_01: So that's wonderful.
- 6:00SPEAKER_01: And the price point is good too.
- 6:02SPEAKER_01: There's a lot of uh, you know, we're not talking uh the US-based VAs who are looking for$30,$40,$50 an hour, and they're wonderful and they serve a specific niche.
- 6:12SPEAKER_01: But if you're looking for an admin person who's going to do marketing, who's gonna do whatever you need, anywhere from about six to seven dollars an hour all the way up to$15 or$20 an hour, depending on the skill set and everything else like that.
- 6:27SPEAKER_01: But I've now also never seen a harder working community.
- 6:31SPEAKER_01: They really take pride in their work and want to do a good job.
- 6:36SPEAKER_00: Yeah.
- 6:36SPEAKER_01: And so I've just been thrilled.
- 6:38SPEAKER_01: I've just been thrilled.
- 6:39SPEAKER_00: So that's really great.
- 6:40SPEAKER_00: So, you know, a lot of times people will say, Well, what do you have the virtual assistant do?
- 6:45SPEAKER_00: So tell us like, what do you have virtual or what should or could they do for your business?
- 6:54SPEAKER_01: That's a great question, one that I get all the all the time.
- 6:57SPEAKER_01: So we found in our business virtually aligned, we have three different levels of placement.
- 7:03SPEAKER_01: So we have the general VA, and I'll certainly explain what those different things are, but there's a general VA who's gonna do the more administrative tasks, the email management, the calendar management, the CRM, um, following up with uh clients, things like that.
- 7:19SPEAKER_01: For me, I had them do a lot of client management, emails, following up on past clients, uh reaching out to potential new clients.
- 7:28SPEAKER_01: They did a lot of outreach on LinkedIn to get me new clients.
- 7:32SPEAKER_01: Um, you can have them do a lot of generalist admin, what we call general VA work, general virtual assistant work is what we have.
- 7:43SPEAKER_01: Then there's sort of a higher level of skills that could be SEO, it could be graphic design, it could be photo editing, it could be something specific to real estate.
- 7:55SPEAKER_01: I also have a lot of people who are doing it around franchises because I'm transitioning out of doing franchise consulting and into owning my own company now.
- 8:04SPEAKER_01: And so there's a lot of uh skill sets around that.
- 8:07SPEAKER_01: That's a higher level, it's not gonna be your general admin.
- 8:10SPEAKER_01: You have to pay them more because you're getting higher skills, but you know, you have to pay them more, and they require different, different skill sets.
- 8:18SPEAKER_01: And then there's what's called the executive assistant, the EA level.
- 8:23SPEAKER_01: So that's somebody who has the drive and the experience to really be your right-hand person who can be that um really challenge you and really get you thinking, have you thought about this?
- 8:34SPEAKER_01: But you said this over here, so you need to do this over there.
- 8:37SPEAKER_01: So there's three different levels, and it really depends on what you're looking for.
- 8:42SPEAKER_01: And we work with our clients to really identify the tasks that need to be done.
- 8:47SPEAKER_01: What I found from my own experience with hiring my very first VA is that I had them do, it was a woman.
- 8:54SPEAKER_01: Most of the VAs on our team are women, that's just the way it works out.
- 8:59SPEAKER_01: But uh, she had she did some basic stuff.
- 9:02SPEAKER_01: She did some email, she did some, you know, didn't require a lot of thought, which is fine because that's, you know, I wanted to sort of gradually ease her into that.
- 9:10SPEAKER_01: And then as she started to grow and develop, and I realized, oh, wait, she can do more than that.
- 9:16SPEAKER_01: And she can like manage my inbox.
- 9:18SPEAKER_01: Oh my God, well, that was a game changer.
- 9:21SPEAKER_01: I don't know about you, but how many emails do you get in a day?
- 9:25SPEAKER_01: Oh my God, what a nightmare.
- 9:26SPEAKER_01: So she can manage my email.
- 9:28SPEAKER_01: She started to be more proactive.
- 9:30SPEAKER_01: So I started to go into LinkedIn and actively look for clients on LinkedIn.
- 9:35SPEAKER_01: Give her a general sense, this is kind of what I'm looking for, because she by that time knew me well enough and knew what my ICP, my d my ideal client profile was.
- 9:45SPEAKER_01: And she started to be more proactive and reach out and say and use her own messaging.
- 9:51SPEAKER_01: And sometimes if she had questions, she would use mine or would run it by me.
- 9:55SPEAKER_01: But she was able to do that.
- 9:56SPEAKER_01: Then I hired another VA to do some graphics for me, and they did a phenomenal job of the graphics and really, you know, just created some amazing stuff.
- 10:05SPEAKER_01: Um, as I transitioning out of the franchise world and into starting virtually aligned, my new company, um, then I've got my EA, and she's my right-hand person, and she's doing all the operations and she's thinking strategically, and she's thinking, I just was on a call with her earlier today, and she's like, okay, now this is what we need to think about pricing.
- 10:27SPEAKER_01: This is what we need to think about packaging, this is what we need to think about our CRM, and I'm gonna do the research, and I'm gonna find the one that's right, and we're gonna find a billing system.
- 10:36SPEAKER_01: So it really runs the gamut.
- 10:39SPEAKER_01: And it really depends on the on the coach or the consultant or the or the entrepreneur and what they're looking for.
- 10:45SPEAKER_00: And so are you finding that you're working more with with the with that group, the coaches, the consultants, and the entrepreneurs versus the people that are in you know, corporate?
- 10:56SPEAKER_01: Right now, yes.
- 10:57SPEAKER_01: Right now, yes.
- 10:58SPEAKER_01: You know, the temptation when you start a new company is you can be everything to everybody, right?
- 11:03SPEAKER_01: And that I'm not gonna fall down that trap as tempting as it is.
- 11:06SPEAKER_01: Right.
- 11:07SPEAKER_01: And so I am right now focusing on the solopreneur, the coach, the consultant, small companies, you know, two to five people perhaps is that the big because that's what I do really well is finding one or two people to support the key leaders.
- 11:26SPEAKER_01: We're increasingly, we just got a call yesterday from somebody who wants us to build a team for them, which of course we'll do, but that's less our skill set.
- 11:35SPEAKER_01: You certainly, my experience has been in the number of years that I've been in the corporate world, my experience has been that the leaders of a larger company typically have staff in-house.
- 11:47SPEAKER_01: And so it might outsource a key portion of what they're doing, but most of my experience has been that they're looking for somebody in-house to do it for them.
- 11:57SPEAKER_00: You know, it just gave me the idea really of somebody who um of you know, on the leadership side of it, hiring a hiring hiring a VA to actually handle this your personal stuff.
- 12:16SPEAKER_01: Yeah, yeah, that happens increasingly.
- 12:18SPEAKER_00: You know, I mean, how many times, you know, I mean, I don't have that kind of money per se, like of a so or a social calendar like that per se, I guess you could say.
- 12:28SPEAKER_00: Uh more than that.
- 12:29SPEAKER_00: But but I think about that, it's such a good that would be such a great idea, like like a great use of somebody else's time to like plan your family calendar and make sure everybody in the family is all squared away and has all the right stuff, or you're planning a vacation and you've got like you need all of those bits and pieces correspond, you know, you know.
- 12:51SPEAKER_00: Yeah.
- 12:52SPEAKER_00: Yeah.
- 12:53SPEAKER_00: Well, like, you know, if you're gonna be time saving.
- 12:56SPEAKER_01: Exactly, exactly.
- 12:58SPEAKER_01: And that's not something you as an entrepreneur or leader should be doing, it's not a good use of your time.
- 13:04SPEAKER_01: Now, if you love doing it, okay, that's fine.
- 13:06SPEAKER_01: But if you have to think about it, I was just planning, uh planning, thinking about planning my next trip, and you have to think about the flights, and you have to think about the flights not only for you, but for your family, and then you have to think about the hotel.
- 13:18SPEAKER_01: And it's fine if you're landing in one place and staying there, but if you're going around, you have to think about all the different hotels.
- 13:25SPEAKER_01: You have to think about do you rent a car, do you get trained, do you have to think about passports and do you have the right visas?
- 13:32SPEAKER_01: And you know, the just the list of things is endless.
- 13:35SPEAKER_01: And some people love that, and that's phenomenal.
- 13:38SPEAKER_01: And I'm great and always grateful to find those people.
- 13:41SPEAKER_01: Uh, I don't really, you know, I can do the basics.
- 13:43SPEAKER_01: That's what the travel agent comes in, right?
- 13:45SPEAKER_01: That's what comes in.
- 13:46SPEAKER_01: I didn't hear that.
- 13:47SPEAKER_01: Travel agent.
- 13:48SPEAKER_01: Exactly, exactly.
- 13:49SPEAKER_01: But you can hire a VA too, right?
- 13:52SPEAKER_01: You know, if you know generally, hey, I want to stay at this hotel or I like whatever the chain is, you know, Mary I Hilton, whatever it is, find me a Hilton.
- 14:01SPEAKER_00: Definitely hire a VA to do that for you.
- 14:03SPEAKER_00: It would be and actually in some ways that you could actually say to them, you actually tell them, research it research itineraries and find the best one and give me this.
- 14:12SPEAKER_00: Is what I'm looking at.
- 14:13SPEAKER_00: You could actually have them do that research for you so that it's not something that you're wasting, that you're not wasting, but it's not your no, but time value.
- 14:24SPEAKER_00: Right.
- 14:24SPEAKER_01: Yeah.
- 14:24SPEAKER_01: Well, and what's interesting, just to give you a quick idea, I everyone's talking about AI.
- 14:29SPEAKER_01: And don't get me wrong, I love AI.
- 14:30SPEAKER_01: I'm using it for everything, right?
- 14:32SPEAKER_01: It's wonderful.
- 14:32SPEAKER_01: And I was going on a college planning trip with my son and some friends a couple of uh back uh last year.
- 14:39SPEAKER_01: And so I typed into AI.
- 14:41SPEAKER_01: These are the schools we want to see.
- 14:43SPEAKER_01: This is, you know, what give me a schedule.
- 14:47SPEAKER_01: When can I see them?
- 14:48SPEAKER_01: These are the, you know, these are the times that they have the tours.
- 14:51SPEAKER_01: Where should I fly in and out of?
- 14:53SPEAKER_01: And gave me such awful, told me to fly into one to one airport and fly out of another one.
- 15:00SPEAKER_01: Neither one were close.
- 15:02SPEAKER_01: It kept telling me I could see all five schools, but then had me tour the same place on completely different sides.
- 15:09SPEAKER_01: This is down in LA and completely side different sides of LA within half an hour of each other.
- 15:13SPEAKER_01: Well, anybody who knows LA knows that you can't get there from here in half an hour.
- 15:18SPEAKER_01: I mean, you can't even get down the street in half an hour.
- 15:20SPEAKER_01: Right.
- 15:20SPEAKER_01: So that's why you need somebody who's going to give a critical eye.
- 15:24SPEAKER_01: And that's where really good VA can come in.
- 15:26SPEAKER_01: Yeah.
- 15:27SPEAKER_00: Okay, so now I just have to ask where's your where's he at school?
- 15:30SPEAKER_01: He's going, well, he's gonna this was uh he's a junior now, but fingers crossed, he really loves the University of Denver.
- 15:38SPEAKER_01: And so that's what we're going.
- 15:39SPEAKER_00: Yeah.
- 15:40SPEAKER_00: I'm hopeful.
- 15:41SPEAKER_00: Yeah.
- 15:42SPEAKER_00: Yeah.
- 15:42SPEAKER_00: No, my son's a junior too.
- 15:44SPEAKER_00: So that's what I was like, oh, you know.
- 15:45SPEAKER_00: Where's he going?
- 15:46SPEAKER_00: What's he looking at?
- 15:47SPEAKER_00: Um, east East Coast schools.
- 15:50SPEAKER_00: East Coast Coast schools.
- 15:51SPEAKER_01: Anyway, it's if you were a woman, I'd I'd suggest Simmons College because it was a great woman's college, but no, he's not not the right demographic.
- 15:58SPEAKER_00: Not in a woman.
- 16:00SPEAKER_00: And he doesn't identify as one either.
- 16:02SPEAKER_01: Yeah, yeah, exactly.
- 16:04SPEAKER_01: You can tell we're in California, right?
- 16:07SPEAKER_00: Um but yeah, so it's but it's it's fascinating to me, you know.
- 16:11SPEAKER_00: Um, you know, it's this is a um a growing industry.
- 16:22SPEAKER_01: Very much so.
- 16:23SPEAKER_01: Very much so.
- 16:25SPEAKER_00: Really, it's a growing industry.
- 16:26SPEAKER_00: And so again, I you know, I I'm gonna ask the question, you know, what what made you and I and obviously I know you shared culturally and ethically how they operate, but how are you picking and finding the VAs that you have?
- 16:46SPEAKER_00: And do would you ever go to other countries other than the Philippines?
- 16:50SPEAKER_01: Great question.
- 16:51SPEAKER_01: I started the Philippines by accident.
- 16:53SPEAKER_01: Colleague of mine said, because I mentioned that I didn't want to do this admin shit anymore, and she's like, Oh, go check out the Philippines.
- 17:00SPEAKER_01: So I did and found a phenomenal team and loved them.
- 17:04SPEAKER_01: Um, just to give you an idea, the VAs that we give to our clients to interview go through a very rigorous, thorough 20-step process where we're checking for things like motivation and energy and personality and skill set and language and writing, and we check references.
- 17:24SPEAKER_01: We also check little things that I never would have thought to think about because I have the team over there.
- 17:30SPEAKER_01: They're like, well, we know all the islands and all the different locations.
- 17:33SPEAKER_01: We know that this part of the country often loses uh electricity.
- 17:38SPEAKER_01: You wouldn't have thought I never would have thought of that.
- 17:40SPEAKER_01: Right.
- 17:41SPEAKER_01: You know, it's like, oh, hello.
- 17:43SPEAKER_01: So it's nice that we have the team there that will tell you that, you know, and and go take those people through that.
- 17:50SPEAKER_01: Um I love the Philippines, I love the culture, I love the people, I love, you know, everything that the price point is often often very good.
- 17:58SPEAKER_01: We are considering expanding.
- 18:01SPEAKER_01: Um South Africa, as I mentioned, you know, offline is becoming a popular place, and that might be an option for us.
- 18:09SPEAKER_01: Um, certainly Latin and South America, just you know, all of Latin America, except you know, Central and South America are just doing some phenomenal stuff.
- 18:17SPEAKER_01: You have to be more careful, the language skills are not as good necessarily.
- 18:22SPEAKER_01: I mean, you can find them absolutely, but you have, you know, I've my personal experience is that language is something you have to screen for more carefully.
- 18:31SPEAKER_01: Um we're we're still looking.
- 18:33SPEAKER_01: Right now we're focusing on the Philippines.
- 18:36SPEAKER_01: Um, it seems to be that really nice mixture of culture and pricing now.
- 18:42SPEAKER_01: As more and more people discover the Philippines and say, oh wow, that's great.
- 18:45SPEAKER_01: Like everything else, prices will go up.
- 18:48SPEAKER_01: But right now we're focused on the Philippines because that's where the team is.
- 18:51SPEAKER_00: Yeah.
- 18:52SPEAKER_00: And so I'm curious, how did you so you how did you find your first team?
- 18:56SPEAKER_01: So I found my first team because, and this is a fun story.
- 19:00SPEAKER_01: I love this story.
- 19:00SPEAKER_01: So I was like I said, I was looking for for a VA.
- 19:04SPEAKER_01: And a friend of mine said, Oh, check out this company, they'll help you find a VA.
- 19:07SPEAKER_01: And the company was fine, but they helped me find some really good VAs.
- 19:11SPEAKER_01: Then I started to grow my team to offer the same services to other coaches who were doing the exact same kind of franchise consulting that I was doing.
- 19:19SPEAKER_01: And so I said, Oh, I need a manager in place to manage all the people.
- 19:25SPEAKER_01: So I threw networking and found this incredible person.
- 19:30SPEAKER_01: And actually, she was my um, she was my account manager when I hired my first two or three for the for uh virtual assistants for that company.
- 19:39SPEAKER_01: And she's like, hey, I'm interested.
- 19:41SPEAKER_01: I would like to take that role.
- 19:42SPEAKER_01: I'm like, whole you know, sold, gone.
- 19:45SPEAKER_01: You know, you're you're mine, you're amazing.
- 19:47SPEAKER_01: She's wonderful.
- 19:48SPEAKER_01: So it's uh it's interesting to find that that one person and then get you in.
- 19:55SPEAKER_01: We now have a team of for just that small company, those consulting, you know, people who are doing franchise brokers and franchise consulting.
- 20:04SPEAKER_01: We already have a team of 15 virtual assistants who are supporting almost 70 coaches in that program.
- 20:13SPEAKER_01: And it's all started small like everything else and just grew.
