Latest / Modularity Podcast / AI Meeting Bots: Convenience vs. Client Trust
Transcript
- 0:00Wait, so you are sitting there on Zoom, just catching up with a supplier about a
- 0:04delayed shipment, and suddenly a random third party bot pops into the room?
- 0:09Yes!
- 0:10Literally out of nowhere.
- 0:12It announces that the call is being recorded and transcribed by an AI assistant.
- 0:17The vendor froze, I froze, and instantly this casual, friendly check in turned into
- 0:23a super cautious, guarded deposition.
- 0:26It happens all the time now.
- 0:28Small business owners are trying out these AI meeting tools like Fathom or Otter or
- 0:34Read AI, expecting this seamless magic where nobody ever has to take manual notes
- 0:39again.
- 0:41And look, the tech sounds incredible on paper.
- 0:43Right, because who actually enjoys writing down action items while trying to run a
- 0:48meeting?
- 0:49You miss half the conversation.
- 0:50Exactly.
- 0:51And if you look at the research out there, like a recent side by side comparison
- 0:56published by Read AI, Fathom's free plan includes unlimited recordings and
- 1:01transcriptions indefinitely.
- 1:03So as a founder or a solo operator, you see that and think,
- 1:08wow, this is a no brainer free productivity hack.
- 1:12Mm, until you try to roll it out to your team or connect it to your customer
- 1:16relationship database.
- 1:17That is where you hit the wall.
- 1:19You get your team hooked on it, and suddenly you discover the hidden paywalls.
- 1:23According to a breakdown by Avoma, Fathom syncs to Salesforce and HubSpot,
- 1:28but caps that sync at a maximum of three users per domain on their lower plans.
- 1:34The second you have a fourth team member who wants automated call notes in the
- 1:38customer system, boom, you are forced into a much higher business tier.
- 1:44It is classic software bait and switch.
- 1:47Otter does the exact same thing.
- 1:49They limit how many minutes you get, restrict CRM seats on basic tiers,
- 1:53and push enterprise security like single sign on behind a hundred user minimum.
- 1:58But honestly, Ryan, the pricing traps bother me less than the client experience
- 2:03trap.
- 2:03Say more about that, because that awkward meeting you mentioned,
- 2:07that is a trust issue, right?
- 2:09It completely ruins trust!
- 2:11When a client joins a high stakes consultation or a sensitive sales call,
- 2:16and an uninvited bot named Dave's AI Assistant joins three seconds later without
- 2:21warning, it forces this clunky, uncomfortable conversation about consent before you
- 2:26even say hello.
- 2:27It makes you look sloppy, like you do not respect their privacy.
- 2:31So how do we fix this without giving up on automated summaries altogether?
- 2:34Because we still want the efficiency.
- 2:36You have to move to bot free workflows.
- 2:39A lot of these platforms now offer desktop recording apps for Mac and Windows.
- 2:44Instead of sending an uninvited bot into the video call, the software records the
- 2:49audio directly from your system locally.
- 2:52No weird extra participant in the participant list, no awkward consent prompts
- 2:57interrupting the vibe.
- 2:58So the software still hears the meeting and generates the summary,
- 3:01but your client just sees you.
- 3:03Precisely.
- 3:04And if you do use a bot based service, configure your settings so the bot never
- 3:07automatically joins every single calendar event by default.
- 3:11Set it to only join when you explicitly hit invite or manually trigger it for
- 3:16internal team huddles.
- 3:17That makes total sense.
- 3:18Now, what about the actual notes?
- 3:20Because even if the transcript is generated cleanly, most people just let those
- 3:24summaries sit in their email inbox or in a siloed app dashboard where nobody ever
- 3:28reads them again.
- 3:29Yeah, an isolated transcript is basically useless.
- 3:32The real automation win is piping those summary action items straight into your
- 3:37operational tools.
- 3:38Connect your note taker via Webhooks or Zapier so that when a call finishes,
- 3:43key tasks go directly into your project board in Asana or Trello,
- 3:48and key client insights get logged to the client record.
- 3:51Right, so the meeting actually feeds the work, rather than generating more
- 3:55administrative noise.
- 3:56Exactly.
- 3:57So if we are giving listeners two concrete homework items for this week,
- 4:01here is what I would start with.
- 4:03First, open your AI note taker settings right now and change your default join rule
- 4:08from join all calendar events to join only when manually invited.
- 4:14That stops the accidental bot crashes cold.
- 4:17And number two, do a quick data audit.
- 4:20Check where your transcripts and audio recordings are stored,
- 4:22who has access to them, and whether your vendor is using your private client
- 4:26conversations to train public machine learning models.
- 4:29Technology is supposed to eliminate administrative friction for your business,
- 4:34not create friction with the people paying your bills.
- 4:37Protect that client trust first.
- 4:39Well said.
- 4:40If you want to streamline your digital tools and build automation that actually
- 4:44serves your business, check out what we are building over at modularity.us.
- 4:49Good chatting, Dave.
- 4:50Talk soon, Ryan.
